3 Welcome to the role of authorisation administrator Swedbank Corporate Online Banking enables you to deal with many of your company s bank transactions when and where it suits you. By granting authorisation for different services, you can easily control who carries out various tasks, and from where. Ensuring that users only have access to the services necessary in order to carry out their work provides security for managers and users alike. This brochure explains the basics of how you, as an authorisation administrator, can add, amend, block and remove authorisations for the company s registered users.

4 . Overview To view and administer a user s authorisations, go to Administer in the menu bar and select Authorisation. Here you will see an overview of the users who are registered at the company. To register users for the online bank, please contact your local branch. 2. Users are sorted in alphabetical order. If the company has more than 20 users, they are divided up across several pages. To see a user s civic registration number, move the cursor over the user s name. Clicking on a name will take you to the page which shows all the user s authorisations. 3. Next to the user is the user s status. A user can be Inactive, Void or Lapsed. 4. A cross under a category, for example Save/Invest, means that the user is authorised to carry out bank transactions in this area. Click on the cross to see the user s authorisation in that category. 5. To produce a print-out showing all users and their authorisations, click on Print out users and authorisations. Inactive. The user has no authorisations. Click on the user s name to add authorisations. Void. The user is blocked and cannot be granted new authorisations until the block has been removed. Lapsed. The validity period for the user s authorisation has expired.

5 2. Add authorisation 2 3. Once you have clicked on a name/ user, you will see a page showing that user s current authorisations. Click on the Create authorisation button. 2. Click on the service you want to authorise under Limited authorisation. If you want to give the user unlimited authorisation, click on the link under Unlimited authorisation. 3. Alternatives shown in grey are bank services that the company does not have access to. Sometimes more than one authorisation is required in order to carry out a bank transaction. Click on Help in the top right-hand corner of the page for details of which authorisations are dependent on other authorisations. At the back of this brochure, you will find some of the services for which you can grant authorisation. Limited authorisation. Give the user access to the authorisation you choose. Unlimited authorisation. Give the user access to all accounts and online bank services for wich the company is registered.

6 3. Example step 3 2 The following example shows you how to grant Transfer and make domestic payments authorisation. The user will then find services for this authorisation under Pay/Transfer.. Conditions Check Single if the user should be authorised to approve the transaction alone. Check Two jointly if the transactionshould require approval by an additional user. Check Prepare if the user should only be able to prepare a transaction, not approve it. Some authorisations do not have any conditions. 2. Maximum amount Here you can set a maximum amount for the user which is lower than the bank s maximum amount. The maximum amount applies for each individual approval. 3. Available accounts Check those accounts which the user should have access to, or check the top-left box to select all accounts. Note that the user will also be given access to account information for the allocated accounts. When you are ready, click on Add.

7 3. Exemple step 2 2. This is the list called Authorisations for approval with the authorisations you have added. Click on To approve to approve the authorisations. If you want to see detailed information on the authorisations that have been added to the list, click on the authorisationin question. 2. If you want to add multiple authorisations for the user before approving, click on a new service from the list. To delete the selected authorisations, click on the Delete all button. Created authorisations can be found under Authorisations for approval until they have been approved or deleted.

8 3. Exemple step Once you have clicked the Confirm button, you carry out the new authorisations by granting approval using your ID method, such as a security authenticator. Instructions:. Check that the personal details are correct. 2. Check that the authorisation and conditions are correct. If you want to change something, click on Back. 3. Approve using your ID method. You have now successfully added or changed the user s authorisation to use the online bank. On the next page, click on Print if you want to print a confirmation of the authorisation changes. The user can now log in and carry out the services for which you have granted authorisation.

9 4. Show and amend authorisationt 2 3. To view and amend a user s authorisations, go to Administer in the menu bar and select Authorisation. 2. Click on the name of the user whose authorisation you want to view or amend. The authorisations which have been added are shown in a list. If you want to amend an existing authorisation, click on it. 3. To delete or block the user, click the Delete user or Block user button. To delete an authorisation administrator, contact your local branch. Most changes need to be approved using an ID method. You can make most changes on a single occasion.

10 5. Useful information To register new users for the online bank, please contact your local branch. You can only administer one user at a time. You are granted unlimited authorisation by the bank if you are an authorisation administrator with Single authorisation, enabling you to grant and amend other users authorisations. If all authorisation administrators have Two jointly authorisation, at least three authorisation administrators are required in order to set up authorisation for each other. As an authorisation administrator, you cannot grant authorisation to yourself. 6. Optional services Incoming payments Bankgiro Provides access to that day s deposits, incoming payment history and search function. View accounts and agreements Provides information and corresponding reports on those accounts for which the user has authorisation. To obtain access to the Extended authorisation management optional service, please contact your local branch. This will give you additional online bank functionality, such as access to authorisation templates. Authorisation templates allow you to copy the same authorisations to multiple users. Moving the cursor over a page will display help text explaining what to do. For clear instructions on how to carry out a transaction, click on Help. You will find the link in the top-right corner of the online bank. Here are details of some of the optional services for which you can grant the company s users access. View accounts Elektronic documents Feedback report on outgoing payments Obtain electronic feedback reports from Bankgirot. These reports are presented either in PDF format or in a format for importing into the company s accounting program.

11 Annual statement View annual statements for those accounts for which the user has authorisation. Statement of account Receive your statements of account in PDF format within the online bank instead of by post. Pay/Transfer Transfer between own accounts Transfer funds between your own accounts within the company. Transfer and make domestic payments Transfer and make payments within Sweden to other people, companies and banks. Make foreign payments Make payments outside Sweden to other people, companies and banks. Transfer between subsidiary accounts Transfer funds between subsidiary accounts within a group internal group transfers. Transfer from own Plusgiro accounts Transfer funds from your own Plusgiro accounts to your own bank accounts. Save/Invest Manage unit trusts Carry out unit trust transactions, such as buying, selling or changing unit trusts from Swedish and foreign fund managers. Manage endowment assurance Save in unit trusts and securities, with the tax benefits of assurance. Manage pension Carry out investments for individual pension savings. Manage securities service Deal in securities and get a full overview of the share market and the company s current holding. Optional services Manage salaries Manage payroll and salary payments. Analysis tools Gives an updated and accurate overview of the company s liquidity. Produce reports in Excel and text formats. Transfer files Send salary, outward payment and supplier payment files for processing and payment. Purchasing service Order various products and services, such as office materials, at discounted prices. Accounting The e-accounting program provides the company with a direct link between its corporate accounts, online payments and accounting. Invoice Invoice via the online bank and issue invoices via the e-accounting servicen.
