First time Credit card users looking for credit card receipts please go here: Credit card Customers with IDs and passwords please go here: Billing Reports and downloads STEP BY STEP INSTRUCTIONS FOR CREDIT CARD RECIEPT LOOKUP ON THE WEB 1. Click on Customers & then, click on On line billing
3 2. Click on General user login 3. Click on New User 4. Please enter your ETG account number (CLICK CONTINUE IF YOU DO NOT HAVE A SUB ACCOUNT) 5. Complete information on Add User page (WHEN ENTERING CREDIT CARD NUMBER DO NOT USE SPACES OR DASHES) 6. After submitting this page check your for the system generated password. Passwords are case sensitive and can be changed for your convenience 7. Once you receive your password return to ETG website. You will now be able to login with the user name and password. Note, most companies do not use subaccount numbers. 8. Following menu will appear: a. Run Reports: This option will let you obtain and print receipts within a specified date range that you have entered. We recommend using the date of trip. See a more detailed description of the options here in the below Reports and downloads section. b. Set Company Requirement Values: This option will allow you to add or change credit card information. c. Manage Profile: Option will allow you to change your password
4 Reports and downloads 1. From the ETG homepage ( click on the Customers tab, and then on the next page click on Account Reports 1. Log on to the system using your User ID, Password, Account and sub account (as appropriate for your company). Once you are logged in the following screen will appear:
5 2. The below explains what you can do in each section: Invoice Inquiry Allows you to research invoices based on a number of screening criteria. By Dates enter the beginning and ending periods of the invoices you d like to see By Invoice number if you know the exact number you re looking for enter it here and the invoice will be presented. By Sub Account ID to run off just a subset of invoices for your sub accounts enter the subaccount number here (note many accounts do not have sub accounts and therefore this field may be blank) Once you have input the criteria hit submit to run the report. The report will look something look this (more if you have asked for more, less if you have tightly selected the criteria. Clicking on any blue hyperlink will expand that data for you. For example, clicking on a blue invoice date would expand the detail for that invoice to the below:
6 From this screen there are a number of options you can do: If you click on Print Vouchers from this Invoice you can print all of the vouchers. If you select vouchers by clicking on the box on the left you can select vouchers to print and then print them by clicking on Print Selected Vouchers If you click on the Export to CSV/Excel button you can export the data from the trips into an Excel file in order to use the data to generate reports or allocate costs. CSV stands for Comma Separated Values, which is a type of text file that can be easily imported into many databases.
7 The other options on the Reports screen include: Voucher Inquiry View and print detail for a specific voucher number(s). You can view up to a maximum of 15 voucher numbers. Password Change password settings for yourself, administer account for general access, and administer users for general access. This last section also allows you to allow or deny administrative access to others accounts (for example an admin is allowed to see the users in a department but not the whole company). Credit Card Payment Option This option allows you to pay open invoices with a credit card, making it faster and simpler than creating and mailing checks. The form fields are straightforward, and allow you the option of paying a single invoice, all invoices (and repetitively into the future as well) or a specific amount. Customer reference This report allows you to screen by any company criteria you have asked us to collect for you at time of reservation. So for example, you could run the report and see
8 all the travelers from department x over and period, or how many trips did employee X take. It is quite handy for managing and allocating your costs and policies. Reports There are four main reports under this report section: Time of day allows you to see who is using the service between time X and Y and is good for insuring policy. Top Drivers shows which cars are servicing your account Top Customer Reference allows you to create a sorted report by your company criteria (requirements). Elements allows you to create a report which identifies trips which meet a certain criteria for example those with waiting time over $ x. Any of the above reports are printable or downloadable (Excel or CSV) to allow you to model the data as you need.
