2 An exciting opportunity has arisen to join one of Australia s most successful public interest and pro bono law organisations. Justice Connect is a not-for-profit organisation with a vision of a world that is fair and just; where rights are respected and advanced, laws are fairer, and systems are more accessible and accountable. Justice Connect provides access to justice through pro bono legal services to people experiencing disadvantage and the community organisations that support them. We also address injustice through law reform, policy work and legal education. The Receptionist is part of the Shared Services Team at Justice Connect. The Shared Services Team provides support, advice and expertise across the organisation and is responsible for managing the physical work environment, developing and maintaining information technology tools to support the work of Justice Connect, recruitment and development of staff, and management of and accountability for funds. The Shared Services Team also oversees the governance and compliance obligations of Justice Connect. We are currently seeking a Receptionist to play a key role in supporting the Justice Connect Melbourne office. The Receptionist is the front desk first point of contact for the public, managing front desk volunteers and providing general administrative and operational support to ensure the efficient and effective running of the Melbourne office whilst supporting both Justice Connect and our co-located partner, the Human Rights Law Centre. The Receptionist also plays an important role facilitating internal communication within the Melbourne office and between Justice Connect offices. 3 Position Description Position title Position reports to Position supervises Salary Employment Status Hours Receptionist Chief Operating Officer Administrative volunteers $55, per annum, plus 9.5% superannuation, annual leave loading and generous salary packaging options 1 Permanent Full 37.5 hours a week (1.0 FTE) Location Level 17, 461 Bourke Street Melbourne VIC 3000 Closing Date Applications are due 9am Tuesday 6 December 2016 For further information Phone Sophie Gordon-Clark, Chief Operating Officer on Role purpose The Receptionist is the front desk first point of contact for the public, provides general administrative and operational support to ensure the efficient and effective running of the Justice Connect Melbourne office, recruits and manages front desk volunteers, provides induction for all new team members, assists with on the ground event/meeting logistics and plays an important role facilitating internal communication within the Melbourne office and between Justice Connect offices. Key responsibilities Be the first point of contact for all visitors (including clients) and ensure a professional, respectful and welcoming environment Recruit, induct and manage volunteers to staff the front desk Provide administrative and operational support to ensure the effective running of the Melbourne office Be responsible for the timely procurement of office supplies and ensure the smooth and sustainable functioning of office facilities & equipment, including calling in service technicians when required and being the first point of contact with the building management Develop and communicate to staff a list of Aboriginal and Torres Strait Islander businesses that can be approached to procure goods and services Ensure that office practices are compliant with health & safety laws and report any concerns or incidents to the COO Manage Melbourne office based facilities induction including physical environment, OHS and IT Manage Melbourne office exit processes including undertaking exit interviews for volunteers and students 1 As a Public Benevolent Institution (PBI) Justice Connect is able to offer staff generous salary packaging options. 4 Ensure meeting rooms are managed effectively and support other relevant staff with setting up rooms appropriately for staff, client and visitor needs Manage incoming and outgoing mail Manage Melbourne based document storage activities, including any on and off site storage & archiving in line with Justice Connect s policy and procedures Review administrative systems, practices and procedures and implement changes and improvements where necessary Assist with event/meeting logistics for Melbourne based activities Train staff in suing video and phone conferencing systems In conjunction with other staff, maintain up-to-date contact details in salesforce, Justice Connect s CRM Proactively support the flow of communication and information within the Melbourne office and between Justice Connect offices Assist in maintaining a professional, respectful and friendly working environment Organise and promote ad hoc staff social gatherings to celebrate the work of the organisation Perform other duties as directed and necessary to the proper performance of the role This job description outlines the current duties and responsibilities of the position. 5 Selection criteria Qualifications & technical skills Advanced computer literacy in MS office software (including Outlook, Word, Excel), SharePoint and webbased relationship management databases Experience Significant experience in a reception, office management or legal secretarial role Experience supervising or working with volunteers Experience working in a not-for-profit context (highly desirable) Knowledge, skills & attributes A commitment to Justice Connect s strategy and values Demonstrated skills in office administration in a client service environment and knowledge of office processes including OH&S and IT Excellent time management skills and demonstrated ability to meet deadlines and effectively manage competing priorities Highly effective communication and interpersonal skills to enable professional and confidential interaction with a range of people including our clients and representatives from other organisations Professional and motivated with a positive attitude, sound judgment, a strong work ethic and demonstrated ability to work in a team Employee benefits Justice Connect offers employment benefits including salary packaging (making part of your salary tax-free), flexible working arrangements, above award annual leave provisions and opportunities for professional development.
