2 Job title: Salary: Start/duration: Probation period: Based at: Responsible to: Head of School Administration 47,314 to 56,457 per annum Immediately 9 months School of Envrionment,Education and Development Russell Ashworth JOB DESCRIPTION The role of the Head of School Administration is to: Provide overall leadership for, and management of, all PSS staff within the School, and make a significant contribution to the Faculty PSS Leadership Team and the realisation of School, Faculty and University plans. Ensure effective and efficient administrative support for the School s teaching, research and other activities in a manner that complies with the strategic objectives of the University, Faculty and School. Contribute strategic and tactical advice to the Head of School, the School Leadership Team and other policy making bodies, and oversee the School s input to the Faculty and University planning cycle and related outputs. You will report to the Head of Faculty Administration and will work closely with the Head of School on a day to day basis. You will support the Head of School by taking lead responsibility in the following areas: Planning and Academic Services and External Relations To be ultimately responsible to the Head of School for the management, coordination and delivery of high quality and cost effective support for the following key activities: undergraduate programmes, taught postgraduate programmes, postgraduate research programmes, research, quality assurance and enhancement and external relations, including student recruitment and admissions. Working with appropriate specialist colleagues, providing advice and administrative support for the planning process. Preparing and maintaining a calendar of administrative tasks and deadlines for the School and ensuring that these deadlines are met. In consultation with appropriate specialist colleagues, managing and coordinating the development and implementation of a strategy for undergraduate and postgraduate recruitment. Managing and coordinating all aspects of the administration of UG, PGT and PGR programmes, including induction and registration, student records, student administration and support, examinations and progression and graduation. Supporting Programmes Directors in the administration of programmes, including liaison with other Schools.
3 Providing information and advice to staff and students (e.g. regarding University regulations and policy on finance awards, examinations, etc). In consultation with appropriate specialist colleagues, overseeing all matters relating to quality assurance, ensuring that the School is implementing all relevant University directives and policies and following best practice, and assisting in preparing for any audit of teaching/learning and the Research Assessment Exercise. In consultation with appropriate specialist colleagues, supporting the set up and management of research projects and Research Centres and Institutes. Staff management/staffing support Managing the secretarial/clerical staff, technical, professional and other support staff within the School and ensuring that they are deployed efficiently in order to perform the tasks assigned to them and to ensure a customer orientated service to all staff, students and visitors. Conducting and/or co-ordinating performance reviews of support staff in order to ensure that their skill requirements are identified and developed by the provision of appropriate guidance and training. Assisting with the co-ordination of academic staff profiling, personal review and peer review of teaching. Co-ordinating, arranging and servicing any School committees relating to the consideration of staff probation, promotion or salary review. Collating and co-ordinating the preparation of any new post or post replacement cases, including preparing business cases as required.. Finance, HR, Estates, ICT and Compliance related activities Working with professional colleagues at Faculty and University level, overseeing, coordinating and undertaking specific tasks to facilitate the delivery of Finance, HR, Estates and ICT services at School level. Proactive support to Head of School on risk, compliance and health and safety issues, including overseeing the management of the School s laboratories and workshops. General In accordance with the strategic objectives, reviewing the administrative tasks of academic staff with a view to streamlining and where possible reducing the commitment of time. Working with colleagues in the Faculty Office and in other schools to contribute to the formation and dissemination of Faculty policies, to promote consistency of approach (where appropriate) and to ensure that agreed Faculty plans are implemented at School level. Working with academic and administrative colleagues to draft strategic policy making and implementation plans in furtherance of the School s mission and vision. Managing, at the request of the Head of School or the School management team, major projects and initiatives (e.g. response to staff surveys) and to respond positively and effectively to a range of discrete opportunities and challenges which arise both internally and externally. Managing the servicing of School committees, boards and other groups as required.
4 PERSON SPECIFICATION You will be able to provide evidence of all or most of the following: Experience Proven experience of managing a busy, customer-orientated service within an academic unit/department/ school of significant size and/or complexity. Proven experience of leading and managing a team of staff engaged in a broad range of activities. Proven experience of managing multiple and complex projects which require effective change management leadership. Skills and Knowledge An aptitude for providing administrative leadership at a strategic level within higher education. Demonstrable ability to contribute effectively to the achievement of Faculty and University objectives. The ability to communicate effectively at all levels, both orally and in writing and a strong commitment to open communication, flexibility and participation at all levels. The ability to work independently and use his/her own initiative. An excellent knowledge of the University s organisation, governance and strategic objectives. A degree and/or relevant professional qualification or equivalent managerial experience. Be able to demonstrate the intellectual capacity to initiate, negotiate and implement major policy developments and to find solutions to complex problems
