1 SiO Associations online guide: Get a number in 20 minutes! An organization number is useful for most student organizations. Your organization need such a number to place orders, apply for funding and keep better record of the economy. It is not hard to fix 20 minutes and internet connection is all you need. The target group of this guide is leaders or treasurer in student organizations who need an organization number. What do you need? For most student organizations, only a minimum of information is required. Bylaws/statues, protocol from the last general assembly/annual meeting and name/ssn-number/d-number of all members of the board. To get a number you need to register the organization in The Brønnøysund Register Centre. They have provided a guide in english, but there is a lot of information you do not need as a student organization their guide is 22 pages and may complicate what really is quite simple. Registration in the Central Coordinated Register of Brønnøysund is free of charge. Simple registration The registration is electronic and very simple. You need to log on to To do this you need a D-number or a social security number. The students with a bank account in Norway also have a D-number, and students living in Norway for more than 6 months can apply for a Social security number. If you have questions about D-numbers or SSN-numbers, contact UiO s Knutepunkt at Enhetsregisteret (Cental Coordinated Register): Before you begin to fill in the notification to Brønnøysund you have to make some simple preperations. You need to have the following at hand: Log-in information to Altinn or MinID (see above) Attachments on your computer either as scanned copies (you can scan your documents at the Studentliv centre) or as documents. You need the following documents available: 1

2 o o o Bylaws/statues of the organization Founding document if it exists. If you do not have this at hand, you can use the protocol from the last general assembly/annual meeting. Protocol of the election meeting/general assembly which documents that the board members are chosen. Name and D-number/Social security number of one contact person who the Brønnøysund Register can keep in touch with. (Preferably the person registering) Name and D-number/Social security number for all persons in the board (at least 4 see question 20 in the specific guide underneath) Enhetsregisteret (Central Coordinated Register) Step by Step: => Click the logg inn -button on the top right of the window Choose an alternative such as Jeg har pinkoder til MinID (I have pin codes to MinID) and State D- or Social Security Number Click the scroll down-menu Velg snarvei (Choose shortcut) at the end-right of the page Click the meny Registrering av foretak og enheter (Registration of entities and companies) Click the link: Gå til elektronisk skjema for registrering/endring av foretak mv (Go to electronic form for registration/change of business) Click the link Samordnet registermelding (Coordinated register notifiactaion) If you have done these steps properly, you should have arrived at something similar to a questionare. In this questionare there is two main parts. Melding (Report) and Vedlegg (attatchments). You can choose one of the two main parts by clicking the top meny to the left. First question of the main part Melding (report) shows: Hva skal meldes? (What to register?) Tick off Ny enhet (New entity) 2

3 Question 2: Organisasjonsform? (Form of organization) Tick off Forening/lag/innretning (Association/Organization/Facility) Question 3: Merverdiavgiftsregisteret (VAT-register): Tick off Beløpsgrensen er ikke passert (Value-limit not passed) Question 4: Registrering i Foretaksregisteret : Tick off Enheten skal ikke registreres (Enitity not to be registered) Question 5: Registrering i Frivillighetsregisteret : Tick off Enheten skal ikke registreres (Enitity not to be registered) Question 6: Navn/Foretaksnavn (Name): Write the official name of your student organization Question 7: Har enheten organisasjonsnummer (Does the entity have a organization number): Tick off Nei (No) Question 8: Drives virksomheten under samme navn? (Is the activity conducted under the same name): Tick off Ja (Yes) Question 9: Hovedkontorets adresse (Adress of main office): Write the student organization s official contact adress. (Preferably as it is registred with SiO Associations). Remember to give a C/O address if the student organization is not listed on the mailbox. Question 10: Postal adress : Type in postal address if it differs from the official contact adress in question 9. Remember to give a C/O address if the student organization is not listed on the mailbox. Question 11: Virksomhet flere steder (Activity several places): In almost every case, tick off Nei (No). Question 12 og 13: Virksomhetens beliggenhetsadresse : (The municipality of the organizations premises) Tick of Ja (Yes) at question 12 og Nei (No) at question 13. These questions apply to bigger businesses and organizations. Question 14: Oppstartsdata (Starting date of organization): Type in the date of the founding of the organization. Question 15: Er virksomheten kjøpt/overtatt av andre? (Is the 3

4 entity bought/taken over by others): Tick off Nei (No) Question 16 og 17 (see the illustration above): Deals with questions of employer tax. Answer nei (no) to both questions Question 18: Formål (Purpose): Copy-paste the statement of purpose from the bylaws/statues. Question 19: Daglig leder/kontaktperson/foretningsfører (General manager/contact person/business manager): Tick off Kontaktperson (Contact person) State the D- number/ssn-number and last name of the leader/president or treasuerer of the student organization. Question 20: Styre : State D-number or SSN-number and last name of (preferably) all representatives in the board. At minimum the president, vice-president and 2 members of the board if you haven t got contact with or D/SSN-numbers of all in the board. There is no need to report deputy-members or observers. Question 21: Revisor/regnskapsfører (Comptroller/Accountant): This question can be left blank by smaller student organizations. Question 22: Signatur (Signature): If the student organization already has rules for signature listed in the bylaws/statues you should state them. If not answer Nei (No) and you will not register any information about rules for signature. Question 23: Procuration : Same as question 22. Question 24: Registrering i Merverdiavgiftsregisteret (Registration in the VATregister): Tick off Nei (No) Question 25: Målform (Language form): Choose form of language Question 26: Inngår enheten i konsern/foretaksgruppe (Is the organization part of a bigger conglomerate/company): In most cases - answer no. Question 27: Saksreferanse (Case number/refrence): If you want the Brønnøysund Register to mark all documents concerning your student organizations with a special number write it here. This is optional. Question 28: Varsling (Alerts): If the Brønnøysund Register needs more info they need contact info. Type the mobile phone number or address to the contact person. Question 29: Utskrifter sendes til (Print-outs mailed to) Choose where/to whom the print outs/document copies concerning the registration are going to be sent. 4

5 Question 30: Signering av melding : (Signment of the report) Choose the person who are going to formally sign the report. This is a electroinc signment, and this person has to be able to access/log in to his/her Altinn-account. Most preferable the leader or president should sign. Now the web-page should display a Sammendrag (summary), and you can control the information you have reported. After you have finished controlling and correcting, it is time to accsess the other main part of the report legg til vedlegg : The other main part: Legg til vedlegg (add attatchements) Velg vedleggstype (chose form of attatchment): Scroll down to the correct document to be attatched. You have to attatch the following documents: a) Bylaws/statues b) Election protocoll from the annual meeting/general assembly c) Founding document. If this isn t avaliable use the protocoll from the last annual meeting or a confirmation from the central organization (if you are a local branch of a bigger organization) If the founding document (a protocol from the founding meeting) doesn t exist anymore and you choose to attatch a protocol from the last annual meeting/general assembly or a confirmation specify this. Attatch the above listed documents and remember to click the Oppdater og lagre (update and save)-button when you have posted the documents in the right category. Signeringskrav (signing requirements): Forget about this it do not apply for student organizations. Return to the Sammendrag (sumary)-page under the main chapter Melding (report) (menu to the left). Push the Kontroller melding og vedlegg (control report and attatchments). If something aren t correct the web-page will tell you. If there still are errors or something lacking the system will tell you so after you have clicked the Kontroller melding og vedlegg (Control report and attatchments)-button. If nothing lacks a page reading Send til signering (send to registration) will display. Type in cell phone and so that they can alert the one who are going to sign (if its not you). After typing in that information, push the Send til signering i Altinn (send to registration in Altinn)-button 5

6 The last step, if you are the one who will sign, is to log on to Altinn one more time. If another person is to sign, they have to log in to Altinn. In the main field on the main page of your Altinn-account, you will notice that Samordnet registermelding (Unified registarnotice) have popped up. Click that. This is your last chance to control the information. If all looks good, push the button on the lower right corner of the page - Signer og send inn (Sign and send), and you are finished! Good luck! 6
