1 CUSTOMISING THE IOE SPAM FILTER The Institute of Education Spam filter service allows you to take control of your spam filtering. The interface is very simple to access and use. Through a secure web page you may do all of the following: 1. Release and delete blocked s 2. Create a list of approved senders from whom s will always be passed through the Spam Filter and 3. Create a list of blocked senders whose s will always be blocked 4. Opt out of having your messages checked by the Spam Filter 5. Opt out of receiving the daily message listing blocked messages WARNING Switching the filter off is likely to result in many unwanted messages arriving in your mailbox daily. You are not recommended to do this. 1

2 TO ACCESS THE SPAM FILTER: 1. Log into the spam filter When working on Institute premises go to URL (Note, if a web page is displayed regarding website security please select the second option to Continue) When working from outside the Institute use the icon on the portal front page. 2. You will be presented with a login page. Enter your Institute username and password and click Login. 2

3 THE BLOCKED MESSAGES LIST Once logged on you will be presented with a historical list of blocked messages. This is the Blocked Messages page.: You will see 4 option buttons at the top and the bottom of the list. Before you use the first three options select messages you wish to action by clicking in the appropriate message header checkboxes. DELIVER MESSAGE will release selected messages from quarantine and deliver them to your mailbox DELETE MESSAGES will remove selected message from the Blocked Message page and send them to the Deleted Messages page DELIVER AND APPROVE SENDER will send the selected messages to your mailbox and add the sender(s) of those message to your Approved Senders list. DELETE ALL will remove all messages from the Blocked Messages page and send them to the Deleted Messages page TIPS: To view any message click on the subject of the message you wish to view. You can sort the list of blocked messages according to From, Subject or Date by clicking on the appropriate field heading. NOTES ON AUTOMATIC DELETIONS AND THE DELETED MESSAGES LIST Messages stay in the Blocked Messages list for 30 days after which they are automatically deleted, i.e. placed in the Deleted Messages list. 3

4 Messages manually or automatically placed in the Deleted Messages list remain there for 14 days after which they are permanently removed. CREATING A LIST OF APPROVED SENDERS When you add an address to the Approved Senders list messages from this address will not be scanned for spam and thus will not be blocked from your mailbox. TO ADD AN ADDRESS TO THE APPROVED SENDERS LIST: 1. Move to the Approved Senders Page by clicking on the Approved Senders option in the left sidebar. 2. If you currently have no addresses entered in the Approved Senders list an information box will be displayed and a space will be provided for you to enter an address. Enter an address and click Add Sender. The Approved Senders list is now displayed. 3. To add further addresses to the list click on Add Sender, type in an address and click Add Sender. TIP: addresses can be removed from the list by clicking in the checkbox by the appropriate address and clicking on Delete Sender. 4

5 CREATING A LIST OF BLOCKED SENDERS If you aware of any addresses that are known to distribute spam or viruses you can add them to the Blocked Senders list. Messages from these addresses will always be blocked from your mailbox. TO ADD AN ADDRESS TO THE BLOCKED SENDERS LIST: 1. Move to the Blocked Senders Page by clicking on the Blocked Senders option in the left sidebar. 2. If you currently have no addresses entered in the Approved Senders list an information box will be displayed and a space will be provided for you to enter an address. Enter an address and click Add Sender. The Blocked Senders list is now displayed. 3. To add further addresses to the list click on Add Sender, type in an address and click Add Sender. 6 SWITCHING OFF THE DAILY QUARANTINED SPAM MESSAGE SENT TO YOUR MAILBOX 1. Move to the Options Page by click on Options in the left sidebar. 2. Click in the second checkbox to remove the tick. 3. Click Save. SWITCHING OFF THE SPAM AND OFFENSIVE CONTENT FILTER (NOT RECOMMENDED) 1. Follow step 1 above and click in the first checkbox to add a tick. 2.
