1 Business Support Manager Faculty of Development and Society Permanent Full time Salary c. 48,000 per annum Vacancy reference DS 1155/13 Closing date 30 May 2014 at 12 noon About the role Professional Services teams within the Faculty of Development and Society employ c.130 nonacademic staff and are primarily structured around four sections: Business Support, Student Services, Technical Services, and Faculty Operations. Collectively these teams deliver services to support the strategic and operational development and delivery of learning and teaching, research, and knowledge transfer within the Faculty; working in partnership with academic colleagues and key stakeholders. This post heads the Business Support team of c. 14 staff (see chart below) and is a member of the Professional Services Senior Team. Working closely with the Deputy Dean, and other members of the Faculty xecutive Group, it will be your role to ensure that robust and efficient services are in place to support the Faculty's business development activities. This includes support for the development of the academic portfolio (research, teaching and knowledge transfer); contract management; and the provision of high quality management information to facilitate operational planning and decision making. Reporting directly to Head of Faculty Professional Services, you will work with colleagues on the Senior Team and peers across the wider University, to ensure a consistency of service across all areas of the Faculty, and to share good practice. You may also be asked to lead and/or support University-wide projects related to improving the wider Business Support offer across academic areas. You'll engage with a diverse group of staff and students, and will be expected to support and advise senior colleagues on a regular basis. The ability to build strong, mutual relationships with both Faculty stakeholders and stakeholders across the University will be critical to your success. As well as being an experienced manager, you will need to be able to lead, negotiate, advise, and operate within a complex and changing internal and external environment, often with competing stakeholder demands. 2 The Faculty of Development and Society With around 12,000 students, 700 staff, and a turnover of c. 70m, the Faculty of Development and Society is the largest within Sheffield Hallam University. 4 Job description Job Title Faculty/Dept Grade Reports to Direct reports Role Purpose Business Support Manager Faculty of Development and Society Senior Staff Grade Head of Faculty Professional Services Various The post holder will take responsibility for the design, implementation, review and refreshment of a portfolio of key services to support the development and delivery of faculty business objectives. This will include achievement against key objectives, as outlined in the University's Corporate Plan and Faculty's Strategic Development and Annual Operating Plans. Working closely with the Faculty xecutive, Faculty Leadership Group and colleagues in University directorates, s/he will ensure that there are robust arrangements in place to support the development of new academic business, income generation; post award contract management, client relationship management, and routine operations. S/he will work closely with senior colleagues to lead cross-university and cross-faculty projects to deliver service improvements; to explore and develop innovative ideas and solutions to improve business planning, development and income generation; and to encourage innovation and the importance of service delivery among others. Role Specific Responsibilities To work closely with the Faculty xecutive, Faculty Leadership Group, and colleagues in University directorates to provide services that align with and support University and Faculty priorities for the development of new academic business, income generation; and post award contract management. This will include: o Relationship management and new business development (support for the identification of new business opportunities, horizon scanning and client relationship management.) o Pre award support (support for bid/tender development, approval processes, compliance with University procedures, contract development and negotiations) o Post award management (review of outcomes against targets, compliance with contractual requirements, external and financial reporting) To work closely with the Faculty xecutive, Faculty Research Centres and the Research and Innovation Office to develop efficient services to support cross Faculty research and knowledge transfer activities in line with local arrangements for research administration, including: o Contract administration and support o Continuing Professional Development o Research ethics o Contributions to the Research xcellence Framework To provide management information to support: o Operational decision making, o The preparation of returns to commissioning bodies o Resource management (e.g. academic work planning) Page 4 of 9

5 Where appropriate working closely with colleagues within Strategic Planning and Intelligence and other faculties to support the establishment of common data sets and methodologies. To provide services within the Faculty to support academic engagement with University, Faculty and external academic quality frameworks; including adherence to Professional, Statutory and Regulatory Bodies (PSRB) requirements and associated accreditation and inspection visits, working closely with the Assistant Dean Academic Development, or his/her nominee. To develop and maintain strong working relationships with external partners and stakeholders to support the delivery of Faculty objectives as appropriate to local needs, for example, professional bodies, local employers, contracting bodies, etc. To work closely with the Faculty xecutive and Leadership Group to improve the staff experience, for example through their contribution to the Faculty's Staffing Strategy, delivery of initiatives to meet identified people priorities, and support for Faculty change programmes. To provide other services as consistent with local needs. xamples might include: executive support; committee servicing; health and safety; major incident and contingency planning; local HR processes; internal, and as appropriate, external communications and accommodation management. Professional Services Generic Management Responsibilities To motivate, lead and manage all direct line reports, allocating responsibilities, setting objectives and managing performance to achieve set objectives and targets. To work with stakeholders to develop an understanding of their needs to inform the future development of services and functions. To ensure the delivery of an integrated approach to services in the role holder s area of responsibility, and to work in collaboration with other managers in professional services and with key stakeholders across the University. To benchmark services and service standards under their responsibility against provision within the wider H sector and to identify best practice. To set, deliver and monitor service standards. To lead by example, with other managers in professional services, to embed the professional services vision and to set and deliver high standards of professionalism in administration at Sheffield Hallam University. To contribute to strategic planning and undertake operational planning, and to ensure that the services and functions within the role holder's area of responsibility demonstrate added value and support the achievement of University and Faculty business objectives. To manage budgets and be accountable for the financial management and/or value for money of activities within the post holder's area of responsibility, on behalf of the Head of Faculty Professional Services. To contribute to communications, information sharing and consultation within and on behalf of the Faculty and to lead in this respect for the role holder's area of responsibility. To lead and participate in University working groups/committees relevant to the role holder's area of responsibility. To deputise for the Head of Faculty Professional Services, as required.
