2 Overview Dürr Projects is an integrated tool for project processing which applies where standard tools cannot provide solutions anymore. Based on long lasting experience in the processing of projects of any size, Dürr has developed a tool which assists the project manager with his daily work and serves as an information platform for all project participants. Dürr Projects operates the Dürr Projects has been designed for corporate usage in the intranet and internet. With its offline functionalities, utilization in case of limited internet access is also possible. Dürr Projects has an integrated user concept which enables all project participants to access all information that is relevant for them. The software s modular configuration allows flexible adjustments for every project. data management data preparation and data distribution of project-specific information and supports compliance with well-proven processes. Dürr Projects can be integrated without any difficulties into an existing IT environment. Installation within the end user s system is not necessary as all access is carried out via a web browser. 3 Benefits Dürr Projects focuses on those functional areas in project management that are not covered by standard ERP or time scheduling software. It covers the areas Management of minutes and tasks, Change management, Site management, Information management and Quality management. Information processing and distribution is handled by predefined pdf reports which ensure that all documents are available in a standardized structure and form. The integrated feature allows the sending of all documents directly through the system. Project-specific und cross-project evaluations give project managers a fast overview of the project status and also support the continuous improvement process within the company. The system is based on a database in which all data is stored centrally. A web interface enables all project participants to access relevant data anytime and anywhere. The flexible role-based user concept permits purposeful access to relevant information and furthermore allows an involvement of customers and suppliers. 4 Management of minutes and tasks Via the Minutes and Tasks module you can write the minutes using predefined standard forms, distribute them via the system and trace open tasks. In the Minutes of Meeting, header data of the meeting such as the purpose of the meeting, minutes writer, location and participants have to be filled in. Minutes can be assigned to different minutes groups, which serve as distinctions between subject areas and also have their own number groups. All approved tasks are administrated by the overall Task List. In this list all minutes items of one project are brought together and can be filtered by different criteria, e.g. minutes group, responsibility or completion status. Within this list more information can also be stored, due dates can be updated and tasks can be marked as completed during project progress. The original minutes are not affected by the changes, but all changes are documented. The second step is to write down all minutes items and to define them as tasks, decisions or information. In addition appendices can be added via the integrated document management feature before the minutes are sent directly via through the system. With this module every employee always has an eye on his outstanding tasks and the responsible person for the project has an overview about the current status at any time. Minutes form
5 Change management The change management feature documents all deviations within the projects. The starting point is the Project Change Request which documents character and extent of the change, reasons for change, deadline shifts and expected costs. This process serves internal tracing and provides the basis for decisions about the project manager s further proceedings. If the costs remain within the company the implementation is traced with this module until the process is completed under technical and administrative aspects. If deviations arise for the customer like extra costs, reduced costs or changes within the scope of delivery, then a Customer Change Request for the customer can be generated from the original Project Change Request. Likewise a Project Change Supplier can be generated from the Project Change Request if deviations arise for the supplier, e.g. because of a change in the scope of delivery. The customer just as the supplier can access change requests, which affect him, if the project manager releases the information. By using this module it can already be fixed before contract award, which changes will be implemented at which costs. The high level of transparency and the assured procedure which result from this process create trust between you and your project partners. Short summaries enable a quick overview of open topics and of the whole expense situation which occurs when project changes are made. 6 Site management For the tracing of open points the Punch List module has been developed. By using the module open points or errors within processing can be recorded, furthermore responsible persons can be appointed, reasons and measures can be documented and the status of completion of open points can be traced. In the Site Reports all relevant processes and events which occur during installation, commissioning, and start-up at the client s site are documented. The software provides the opportunity to adjust the contents and the level of detail of the documentation to the project s requirements with the different report formats. In order to simplify the documentation of the recorded points, photos can easily be added to reference lists and detail reports. The open points can be listed according to different criteria by using filters. Extensive graphic evaluations enable the tracing of progress in work completion. Sites without internet connection can also use the system because they have the possibility of creating points with Excel in the offline mode. The reports are available to all users after upload into the system. For internal reporting short reports exist, which enable the input of free text into different categories, as well as detailed reports which provide tables for every category, where project participants select from several options like the degree of installation progress in every subsection, the personnel situation and security relevant events. Moreover there are site reports for customers and reports in which sub-suppliers can document the work they have accomplished. Daily site report form
7 Information management A traceable information exchange between the project partners helps to avoid further inquiries and to reduce the time required for information search. Within the Request for Information module questions are put to project participants and answered by them. Inquiries and the handover of information are also documented here. The request for information is carried out via a mailing list to any addressees. Any type of document can be attached to these requests. The module contains a workflow feature, which ensures that the project manager checks all requests before mailing them and makes sure that the requests can only be answered by the addressee. The Personal Welcome Page informs the user about all events in the projects he is responsible for or which are addressed to him. Via the traffic light colour system he can see at one glance, which due or overdue tasks are pending. All processes can be dealt with directly on the welcome page without having to change from project to project. Similarly all new or changed processes within the projects which concern the user are shown in a second overview. Thus the user sees at one glance what has changed in his projects. 8 Quality management The assurance of consistent high quality standards in product processing is necessary to guarantee long-term stable customer relationships. Therefore all occurring errors and problems within the project have to be well documented and eliminated in the long run. For doing this Dürr Projects offers three options. Firstly, those Project Change Requests, which involve Recurrent Errors, are transferred to the Quality Management module, where they are documented and traced in a cross-project search. In order to ensure that after project completion the knowledge gained with the project is not lost, Lessons Learned meetings are organized when the project is completed. So after completion, all problems are discussed and documented once more together with the project team, and dates and responsible persons are fixed for the elimination of the causes for the problems. Finally Audit Reports can be created, and the countermeasures decided during an audit can be traced in the quality management module. This means that apart from being able to find a quick solution for the ongoing project, the actual cause of the problem can be considered and sustainable solutions can be developed. Similar to all the other modules this one also includes extensive screening and searching options, so that lists can be generated for different sources and criteria. Quality Management form
9 Further features The program is composed of different modules, which can be used separately or jointly depending on the project s requirements. Dürr Projects possesses a role-based user concept, which controls access to every module. Currently eleven user roles are defined, each with different rights for reading, changing and writing within each module. User rights can be granted on different levels and can contain different roles for different projects or areas. The user login box requires a user name as well as a password. The system is a multitenant system, which means that different projects can be created for different business areas and the system can be specifically customized. Dürr Projects is based on a multi-tier standard architecture including database, application tier and web server. Through the application of an integrated development environment which has already proven to be valuable for many customers, the system can be adapted fast to new requirements and only requires minimal administration effort. Access for the end user is carried out via the standard browser IE 6 or 7. For administrators a database client is available with which routine activities can also be executed without detailed system knowledge. A special synchronization package enables the operation of several servers to optimize availability and performance. Installation and starting-up of the server can be carried out within half a day. 10 System requirements Server requirements A Windows Server with the following characteristics is required: 32 Bit System Minimum 100 GB disk space 50 GB disk space for the backup of data on a separate drive Dual-processor Minimum 2 GB RAM Database client requirements For administration of the database a standard pc with 4th Dimension Client is required Two licenses for the database client are included within the 4D server license Server software Operating system: Windows Server th Dimension Server 4th Dimension Web Server or Windows IIS (Recommendation: Windows IIS) In case of synchronization of several servers an additional software component is necessary User requirements For the utilization of Dürr Projects a standard Windows PC / laptop with Internet Explorer Version 6 or 7 is necessary Dürr Projects is accessed via Intranet over http and via Internet over https (secure internet connection) IT structure of Dürr Projects
11 Getting to know the tool and purchase details If you want to get to know Dürr Projects better, then contact us in order to arrange a non-binding presentation at your location. Within a Seeing is Believing Workshop you can also test Dürr Projects in your own company. With the tool we provide you with a fully functional working environment. Within the subsequent four weeks we will come to your company once a week, coach your team in the practical use of the program as well as the processing of the respective project management processes and we are at your disposal to answer any questions concerning working with Dürr Projects. We only charge you for our personnel and travel costs. In case Dürr Projects is ordered later on, these costs will be settled proportionately. You can install Dürr Projects on your own server on site. Our experts assist you with the launch. When you purchase the software you acquire usage rights for the respective number of licenses for an unlimited term. For an annual fee you can also acquire a temporary usage right. If you do not want to operate Dürr Projects within your company you may also use our Software as a Service offer. We provide you with the server and infrastructure and ensure a secure working environment. Moreover the utilization of single modules is possible.
