Job Description Position Details Job Title Grade Department Line Manager Job Title Faculty Quality Officer G Faculty of Business and Management Faculty Manager Job Purpose The Faculty Quality Officer will work closely with the Dean, Associate Dean (Academic) and the Academic Registry in the effective management of quality assurance processes in the Faculty. The post holder will be responsible for managing all aspects of quality administration, liaising closely with the relevant personnel within the Student Registry as well as Programme Directors and teaching teams. S/he will provide a professional customer-focused service to staff and students. The post holder will identify and create new systems and procedures where necessary to enhance quality assurance and reporting, working to ensure the continuous improvement of policy and practice to facilitate the strategic goals of the Faculty and University in the light of evolving and changing internal and external environments. S/he will work proactively with Faculty Academic staff at all stages of the academic cycle. Amongst other tasks, the role will involve preparation of documentation for course validation, periodic review and annual monitoring of modules and programmes, as well as internal and external review of programmes and modules and project management of the Faculty portfolio developments. A knowledge and understanding of quality assurance developments in the UK Higher Education sector is essential to fulfil this role and position. Main Responsibilities Main Responsibilities 1. 2. Academic Quality Functions Provide specialist advice and guidance to staff in the Faculty in regards to implementation of the University s quality assurance procedures and external quality assurance developments. Provide specialist advice to colleagues on the development, implementation and adherence of Academic Registry regulations, procedures and practices, and to provide training, advice and guidance to staff within the Faculty. 3. Responsibility for the organisation, reporting and follow-up for validation of courses, collaborations and units which has been devolved to the Faculty. 4. Manage the production and development of documentation required for validations, re-validations, annual monitoring and Faculty audits.
5. To provide support to the Associate Dean (Academic) by monitoring and conducting an analysis of data relating to teaching and learning, and the student experience, in relation to the activities such as student feedback, retention, completion, and student surveys. 6. To maintain knowledge and understanding of external body requirements such as HEFCE, HESA and other professional bodies in the HE sector. 7. To be responsible to the Academic Registrar for compliance to professional quality standards as set-out by the University Quality policies and procedures. 8. Undertake qualitative and quantitative research into Faculty and departmental performance, making use of Feedback Questionnaires, Programme Monitoring Reports, Progression Statistics and other data collected in order to make recommendations for the enhancement of Faculty and departmental performance. 9. Where relevant, liaison with Professional and Statutory bodies regarding the administrative arrangements relating to accreditation. 10. 11. To work with Programme Directors and the Associate Dean to ensure current programmes are in compliance with institutional regulations, policies and procedures as well as those of the external validators and other bodies. To maintain up-to-date documentation of the Faculty's quality assurance procedures and take responsibility for the consistent local interpretation of the University's procedures. Administration 12. To maintain up-to-date records of the Faculty's units and programmes, ensuring integration with and accuracy of Faculty and University record systems. 13. To provide committee support and participation, including presentation of reports where necessary. 14. 15. 16. To produce, publish and disseminate reports and statistics on programmes and modules when required by the Associate Dean, Faculty Manager or Academic Registry. To take responsibility for the Faculty prospectus sections being updated annually and ensuring course leaflet materials are updated regularly, accurately targeting publicity to student cohort, with an awareness of Equality and Diversity and professional concerns. Take responsibility for all documentation relating to learning, teaching and quality and ensure they are maintained in an orderly and accessible system for the purposes of Faculty reference, auditing, accreditation events and other quality assurance events.
17. 18. Other Duties To provide short term cover for the team, assisting at busy periods as and when required. To oversee the timely presentation and consideration of External Examiner nominations to the relevant staff and committee, and maintaining records of reports from and responses to external examiners. 19. Gathering and presenting information relating to complaints and appeal cases, liaising with the academic members of staff and central departments as necessary. 20. To undertake market and competitor research to help academic staff to identify future directions for development of Faculty provision. 21. Identify areas of potential academic development and work with Faculty staff to improve and disseminate good practice. 22. To undertake specific projects and prepare policy reports and recommendations as required by the Dean, Associate Dean (Academic) or Faculty Manager. 23. EXPERIENCE Demonstrable experience of quality work preferably in a higher education institution. A good knowledge and understanding of working in a Higher Education (HE) environment, preferably in an Academic Registry or equivalent. Demonstrable record of managing a complex administrative workload, in an academic environment and operational planning capabilities. Proven ability to do quality related tasks and bring them to a timely and successful conclusion with a track record of working to tight deadlines. Experience of using SITS or other equivalent student databases in respect of student and programme data. D X Experience of working in a busy, customer contact environment.
A willingness to gain knowledge of quality assurance and enhancement relating to learning and teaching in UK HE and familiarity with the Quality Assurance Agency, including compliance issues. KNOWLEDGE, SKILLS & COMPETENCIES Ability to analyse and understand complex regulatory and procedural documentation and to communicate such issues with clarity both orally and written. Clear and accurate written and verbal communication including excellent report and minute writing skills. Ability to work with staff at all level including Senior Management. The ability to display tact and discretion at all times particularly when handling confidential matters such as the drafting of documents prior to publication (e.g. validation of new programmes or annual monitoring reports).
