Line Management Junior High School/IB DP Coordinator Job description October 2016 The JHS/IB DP Coordinator is responsible to the Principal for the complete organisation and administration of the Junior High and IB Diploma Programme. The IB Coordinator is responsible overseeing the role of the CAS and TOK Coordinators and acts as an adviser to the Principal regarding the curriculum management and development of the JHS/IB DP programme. In addition, the JHS/IBDP Coordinator is responsible for: 1. Liaison with the Principal : a) To ensure all matters relating to the IB are promptly and fully completed; b) To assist in the preparation of timetable blocks to ensure the most efficient use of teachers and teaching time whilst giving as much breadth of choice as possible to potential students; c) Working with the Principal, PYP Coordinator and staff for the long-term improvement of the JHS/Diploma Programme within the school. d) To distribute updates; e) To ensure ACER ISA and any other testing is completed annually. 2. Budget : a) Developing and administering the budget for the JHS/Diploma Programme b) Submitting budget requests to the Principal c) Monitoring expenditure from the budget d) Ensuring fees are paid to the regional billing office e) Purchasing and distribution of IB publications f) Monitoring student field study costs g) Monitoring CAS and TOK budgets 3. Communication with the subject teachers for: a) Issuing copies of the Diploma Programme Coordinator Notes and Diploma Programme General Regulations b) Issuing relevant sections of the Vade Mecum c) Requesting predicted grades and marks for internal assessment d) Monitoring and acting on professional development needs e) Agreeing a timetable of internal school deadlines f) Advising on ways to promote and monitor academic honesty among students g) Liaising with the teacher i/c ToK regarding the construction and delivery of the Theory of Knowledge programme h) Liaising with the teachers of English and Modern Foreign Languages to ensure that group 1 and group 2 oral examinations are properly conducted
4. Recruitment and Marketing : a) Assisting the Principal in the recruitment and selection of students b) Preparing promotional material c) Advising students and the parents of prospective students on course and subject selection in conjunction with the Principal d) To coordinate test material from teachers to check suitability of prospective students for courses e) Organise JHS/IB Information Evenings to market JHS/IBDP to in-house and external candidates f) Liaise with the Principal over the transition to the IBDP of suitable candidates. This includes interviewing potential candidates g) Marketing and promoting the IBDP to feeder schools 5. Communication with students a) Advising students on subject selections; b) Informing students about the IB Diploma Programme General Regulations; Academic Honesty Policy c) Supporting, encouraging, counselling anxious students; d) Informing students about internal school deadlines for the receipt of examination material; e) Ensuring records are accurate and kept up-to-date when candidates change subjects; f) Liaison with teachers to ensure that students are provided with appropriate guidance on application to Universities globally; g) Acting as an advocate for student concerns; h) Requiring students to agree and sign the Academic Honesty Code of Conduct. 6. Communication with Parents : a) Working with the Principal to ensure clear communication b) Informing parents about the JHS/Diploma Programme, its regulations and the importance of complying with deadlines; c) Enlisting parental support for achieving academic honesty; d) Obtaining information about students with special educational needs; e) Helping parents understand the demands of the JHS/Diploma Programme. 7. Communication with organisations outside the school a) Liaising with offices of the IBO, such as IBCA in Cardiff and the regional office, and sub-regional organisations b) Attending meetings and dissemination of information to appropriate teaching staff 8. Extended essays a) Informing supervisors and students about the extended essay requirements, the guidelines and assessment criteria;
b) Identifying teaching staff with suitable qualifications and experience to act as supervisors; c) Ensuring potential supervisors are familiar with the extended essay requirement and how it contributes to the Diploma Programme; d) Ensuring that students do not change their subject and/or response language for an extended essay after the registrations have been submitted; e) Enforcing internal school deadlines; f) Ensuring that students meet with their supervisor on a regular basis; g) Ensuring the timely mailing of extended essays to examiners and mailing of coursework, liaising with the Examinations Officer; 9. Examinations a) Liaison with Internal Exams Administrator to ensure all internal exams are properly and efficiently schedules, roomed and staffed (including oral exams); b) Liaising with Exams Officer for an external visual arts examiner to visit in liaison with IBCA; c) Informing students and invigilators about examination procedures and regulations; d) Providing students with individual examination schedules and the IB handout (see section G of the Vade Mecum) on the conduct of the examinations; e) Checking requirements for calculators, data booklets, case studies and other authorized material for examinations with assistance from the Examinations Officer; f) Encouraging teachers to complete and submit form G2 after each examination for their subject; g) Submitting CAS information to the regional office. 10. Post Examinations a) Ensuring students receive their results; b) Counselling students (and their parents) about their results; c) Informing students about their opportunities for enquiries about results and the retaking of subjects; d) Registering six month retake candidates by 29 July (May to November) or 29 January (November to May); e) Ensuring that a responsible person is available to receive correspondence from IB offices well after the issue of results; f) Conveying diplomas, diploma results and certificates to students. 11. Teaching Staff a) Informing JHS and IB DP teachers of professional development opportunities and making necessary arrangements. Implementing requirements from IB re training of staff new to the programme; b) Communicating curriculum developments and administrative changes to teachers;
c) Hiring, along with the Principal, and orienting new teachers and informing them about the JHS/Diploma Programme; d) Advising teachers about internal assessment requirements; e) Monitoring the receipt of internal assessment forms and candidates work for submission to examiners; f) Organising and chairing regular meetings for JHS/IB teachers; g) Consulting with teachers about IB teaching practices and standards in consultation with the Principal. 12. Additional Responsibility for Teaching IBPYP PSPE from Preschool to Grade 1. a) The requirement to teach IBPYP PSPE to Preschool to Grade 1 will form part of the contract for the 2017-2018 school year at minimum. The Person Qualifications, skills and experience: The successful person will have: An accredited degree and a recognised teaching qualification Have experience of working in the JHS/IBDP and may have even been an IB Coordinator already, but this is not essential Good IT skills; The ability to work with a range of staff at all levels; Ambition to develop the JHS/IBDP further at Osaka YMCA; Personal qualities The successful person will have: A (very) good sense of humour; Good inter-personal skills; An ability to work very hard; resilience; Enthusiasm that inspires others; Excellent communication skills; Positivity and perseverance.
