All fonts must be embedded (not sub-sets). Please be sure to remove all security settings to enable us to import the file into our layout programs. Full color ads must be CMYK (not RGB). If an ad will run in black and white, please do not submit it in color. Finally, please submit your PDF(s) at 200 dpi - 300 dpi and to the actual size you wish it to appear in our publications. Adobe InDesign Currently, our art department creates all of our publications using Adobe InDesign CS3. We can accept InDesign files CS3 or lower. If you wish to send a file created in a more recent version of InDesign, please export your file as.inx before sending. Microsoft Word This is a very popular program that many people have on their computers. Unfortunately, it is not an ideal program to use for ad layout since fonts cannot be embedded, and the document will appear differently on each monitor. Yet, Word files can help us to get a basic idea of your ad as well as ensuring we have the correct text for your ad. However, we cannot guarantee we can recreate your ad exactly as it originally appears in Word. Please note that for both InDesign and Word, we will also require any graphic or photo elements used in your file, as well as typefaces (as we cannot guarantee we have the same, or similar, fonts in our systems.)
* FIle Formats (continued) Adobe Illustrator Our art department currenty uses Adobe Illustrator CS3. We can accept Illustrator files CS3 or lower. If you are submitting a file that includes text, please convert text to outlines before emailing. Adobe Photoshop Our department also uses Adobe Photoshop CS3. We can accept Photoshop (.psd) files CS3 or lower. If you must submit a file that includes lettering, please rasterize the text before emailing. JPG This is the preferred format for submitting photos through e-mail. In this case, it is best to send us the original file (unedited). Our art department will set up the photo and resolution for the best possible reproduction. When taking digital photos, it is best to use the highest quality setting available on your camera. If sending scanned images, be sure the resolution is at least 200 dpi and the image size set to approximate size used in the ad. Please, do not send GIF files or image files taken from the internet - especially if you do not have permission from the copyright owner. Internet files are not print quality and will appear pixelated and reproduce poorly when printed. reminders COLOR All color ads are to be CMYK. All Black & White ads and artwork should be sent grayscale. Camera Ready Ads Ad must be correct column width and height. All original photos should be supplied to be scanned again by our art department to avoid moires and other quality issues. Line Art Line art (such as pen and ink drawings or strictly black & white logos) should be set at a minimum of 800 dpi. As much as 1200 dpi if the art will appear larger in the final layout. Vector format is ideal for these types of graphics. Screens Please lighten screens and photos as they will always appear darker in newsprint. (When possible add a 30% gain to photos.) Troubleshooting If you get a message that your email is undeliverable or that our mailbox is full, chances are that your file size is too big. Try to send attachments no larger than 3mb total in one e-mail. If sending a large quantity of files, break them down into multiple e-mails. Be sure to attach all graphic files, do not paste them into the body of the email message itself. This sheet is only intended to be a basic guide. If you need technical help, please contact our art department at 845-534-7771 * We can also accept files burned to CD or DVD, USB memory stick or Iomega Zip disks sizes 100mb or 250mb. Although, email is preferable.
