About Polkast Einstein Welcome to Polkast Einstein! Einstein is a business solution that secures all company data on a Windows server and makes the complete file index visible from designated devices. Permissioned users may access documents on demand via a secure WiFi tunnel directly between the server and the approved device. Files are not seen, replicated, or stored within the Polkast system, so they can never be viewed, accessed, or seized by unauthorized users. Polkast addresses BYOD issues by putting tablets at the core of the personal device ecosystem, and by providing advanced security features such as user permissioning, remote wipe capabilities, and streamlined deployment across multiple operating systems. Introduction This guide will walk you through the process on how to setup your devices for local access, remote access, and collaboration. Your mobile devices will be connected securely to your company s server, and you will be able to access approved company documents from your PC, ipad, iphone, Android phone, and Android tablet. Definitions Polkast Einstein app: This is the client app used to access content from a Polkasted Server or Polkasted Folder. The client app is available on Windows, iphone, ipad and Android. Polkasted Server: Any Windows Server or Computer with Polkast Einstein installed on it. A server or computer that is set up to allow remote access to authorized employees. Polkasted Folder: Any folder that has been shared to other users by your IT department or a user with Manager permissions. In other words, you have given access to other users to share, download files, upload files or create new folders within the Polkasted Folder. Logging into your Polkast Account There are three ways to acquire the Polkast Einstein App: 1. An email will be sent to your company s email address with instructions and a link to download the Polkast Einstein app 2. You can download Polkast Einstein from the app store or Google Play. 3. You can download the Einstein app from the Polkast web page. Remember to use the same email and password you created when logging into the Polkast Einstein app. Please utilize the Forgot Password link if you happen to forget your password.
Registering your Mobile Device If you have been granted permission to access a server or folder from your company, you will receive a Welcome email with instructions to create an account. 1. If you don t have an account setup, there will be a link provided in the email for to create your account 2. When clicking the link, enter your company s email address and provide a password 3. Click on Done 4. From a mobile device or Windows computer, you can download and install the Einstein client 5. Remember to login with the same username and password that was created in Step #2 6. Select the server or folder that you have been granted access to 7. If your device has been previously authorized to access this same server, you will be able to access this server and folder immediately. Your access type will depend on the permission level you were granted by your IT Admin or Manager 8. If your IT admin has not authorized your device, you must request authorization for this device. A pop- up message will appear, confirming you have requested authorization for this device. You will need to wait until your IT admin approves your request before you can access the server or folder 9. When you exit this popup, you will see the server or folder selection screen. However, you device cannot access the server until it is authorized 10. Once approved, the you will receive an email that confirms your device has been authorized and you can now access the server from this device 11. If the request is declined, you will receive an email that shows your request was declined and that you should check with the IT admin for more information or install Polkast on another device Once your device has been authorized, Polkast lets you access all the files from your company s server or folder(s) onto your mobile screen in seconds. User Access Permission Type to a Polkasted Server Your IT department may assign you with permissions to access all the content on a server. This ensures that the right project teams or departments have the appropriate access type to a Polkasted server. For access to a Polkasted server, you will be assigned one of the following permission levels: Viewer: Users will be able to download and view all files on this server Collaborator: Users will be able to download, upload and create new folders on this server Manager: Users will be able to download, upload, edit, create new folders and share folders to others on this server
As a user with Manager access, you can manage your own project teams or departments by sharing folders to certain team members and assigning them with specific permissions. See User Access Type to a Shared Folder. Note: Employees will have the same access type throughout a particular folder structure. For example, if an employee has Collaborator permissions in a top- level folder, he/she will have Collaborator permissions in the associated sub- level folders as well. Sharing Folders For users with Manager access Your IT admin may give you Manager access to a Polkasted Server. As a Manager, you will be able to share folders within a server to other team members or departments, remotely from your mobile device (client). You can invite any person to access your folders as long as he/she has a Polkast Einstein account. Share Polkast Folders on your iphone or ipad 1. Launch the Polkast Einstein app 2. Select All Files this feature is available with the All Files view or within each categories in the Folder view (List by Folders) 3. Navigate to the folder you want to share 4. Tap the Share icon 5. Select Start Folder Sharing 6. Select the folder you want to share 7. Select Done 8. Enter the email address of your recipients 9. Click Add to set the permissions for each recipient: a. Viewer: Users will be able to download and view all the files within this folder b. Collaborator: Users will be able to download, upload, edit and create new folders within this folder 10. Select Done to complete Note: A shared email notification will be sent to your recipients. Please note they will need to have the Polkast Einstein client app on their devices in order to see your shared content. Remember, users will have the same access type throughout a particular folder structure. Share Polkasted Folders on your Android 1. Launch the Polkast Einstein app 2. Select All Files this feature is available with the All Files view or within each categories in the Folder view (List by Folders) 3. Navigate to the folder you want to share
4. Tap the Share icon 5. If your location has content and folder, select Folder Sharing, otherwise go to the next step 6. Select the folder you want to share 7. Select Send to go to the sharing notification screen 8. Type email address or add the local contact by clicking on the + icon of your recipients 9. Select Add to add the recipient to this share 10. Set the permission level for each user: a. Viewer: Users will be able to download and view all the files within this folder b. Collaborator: Users will be able to download, upload, edit and create new folders within this folder 11. Select Save to complete Note: A shared email notification will be sent to your recipients. Share Polkasted Folders on your Windows Client 1. Launch the Polkast Einstein app 2. Select All Files this feature is only available within All Files view 3. Navigate to the folder you want to share (Note: this can be done locally or remotely) 4. Right- click on the folder and select Share Folder from the menu 5. Enter the email address of your recipient 6. Enter a message 7. Click on the Share icon to start sharing 8. On Window, the default user access permission is Download Only (i.e. Viewer). To give users Collaborator access, please manage users from the ios or Android Polkast Einstein client. Note: A shared email notification will be sent to your recipients. Please note they will need to have the Polkast Einstein client app to see your shared content. User Access Permission Type to a Shared Folder Your IT admin or Department Manager may share a folder with you for collaboration. Please note that other users may have access to this folder too. You will be assigned certain permissions to access this folder to ensure the right project teams or departments have the appropriate access type. For access to a shared folder, you can have one of the following permission levels: Viewer: Users will be able to download and view all the files within this
folder Collaborator: Users will be able to download, upload and create new folders within this folder Note: You will have the same access type throughout a particular folder structure. For example, if you have Collaborator permissions in a top- level folder, you will have Collaborator permissions in the associated sub- level folders as well. Download a file To download a file from your client, simply click on the file. You can choose to download & open the file, or just download the file for viewing later. Depending on your Internet connection, you can view the file once it has been successfully downloaded. Upload Files back to a Server or Folder 1. Ensure that you are in the actual folder where you want to upload content 2. Click on the up- arrow button to select upload files 3. A pop- up window will appear allowing you to select the specific file(s) you want to upload, or to take a new photo to upload 4. Select the specific file(s) and click OK Create a New Folder You can create new folders from any client as long as you have Manager or Collaborator access. There are two methods to create a folder remotely: Under All Files: 1. Open Polkast 2. Select All Files 3. Select the folder where you want to create a new folder, this folder will be created on the Server or Folder as well 4. Tap on the + icon 5. Select the Create Folder button 6. Enter the folder name and click Done 7. To create sub- level folders, simply click into the top- level folder and follow the above steps Under Pictures, Videos, Documents and Music 1. Open Polkast 2. Select a Category (i.e. Documents) 3. You will need to your display mode "List by Folders" in order to create new folders. To make sure your display mode is "Folders", tap on the display icon on the upper right 4. Select Folders Tab 5. Browse to the folder where you want to create a new folder, this folder will be created on back to the Polkasted Server or Polkasted Folders too. Note: Create
folder is not allow at the "TOP Level: or "Timeline" view, it must be in "Folders" view. 6. Tap on the + icon 7. Select the Create Folder button 8. Enter the folder name and click Done 9. To create sub- level folders, simply click into the top- level folder and follow the above steps Unshare Folders You can remove users who have access to your folder(s) at anytime. 1. From the Polkast Home Screen, go to the Folder Settings menu 2. Select the Folder you want to make changes to 3. Select the person you wish to remove 4. The next time this person tries to access your folder, they will not be able to see any content within this folder Delete Folders/ Files Please note that you cannot delete folders or files on the Polkast Einstein client. To ensure files and folders are not deleted by accident, we recommend you delete the file or folder from the actual server. Edit User Permissions Remember, as a Manager, you can also edit user permissions under the Folder Settings menu from the Server/Folder Dashboard. Simply choose the user you want to edit and select their new access type. Change their access type at anytime. Version Control and History Polkast will create automatic versions of file changes no edits will be lost. When you make changes to file(s) remotely, a new version of the file will be uploaded back to the folder where the original file resides. Remember, Polkast will save a copy of all the new file versions created. The file name will have a number appended at the end (i.e. image_v2, image _v3, etc.). If others are working on this same file, make sure you are editing the latest version by checking the latest revision number (i.e. image_v2, image_v3, etc.) or allow Polkast to download the latest file for you.. Remember to always refresh your screen to ensure you have the latest files. You will find a refresh icon on Android and Windows. When using an iphone or ipad, simply pull down your screen to refresh your resources.
