Introduction This document will introduce the reader on how to get started using the available Mail Link and Web Extension components to SuperOffice. The mail-link enables the user to create, save and store emails directly from their Microsoft Outlook. Web extensions enable a faster method for creating and archiving documents as well as edit documents already created. If you do not have MS Outlook, you need to use the SuperOffice mail function via IMAP link. Similarly, if you are a Mac user, the alternative to using Web Extensions is to use the SuperOffice Upload/Download function for documents. For how to get started with the alternative, please see alternative How-To guides available at website: support.superoffice.com Download the 7.web Extensions. 7.web Extensions is an add-on that is installed on the local computer. The add-on negotiates with SuperOffice 7.web on which elements to be used when the user clicks a document; when you click on a Word document in the activities-list, you want it to be opened in your locally installed text-editor. Downloading and installing from within SuperOffice After you are logged in, select from the File -menu, Download and select SuperOffice 7 Web Extensions. Choose to Run the software. When asked to save or run the file, select run. The installation is straight forward, just click Next until you are asked to finish. When done, go to the File menu again, and select Settings. A new dialog opens: As on the login-page, you should tick the box that says 7.web Extensions application is installed. When everything is done, you ll notice that an owl-icon has been put in your system tray, and whenever you open a document, you ll see some activity in the system tray. Installing the mail-link The mail link is an add-on that will let your locally installed Outlook mail-client communicate with the web application that SuperOffice 7.web is. It will enable storing e-mail correspondence in SuperOffice 7.web as well as the other functions of looking up a sender, adding a new e-mail address, storing a mail under a company, project and sale and finally archiving attachments. Downloading and installing from within SuperOffice First, exit Microsoft Outlook. Then Log-in to your SuperOffice CRM Online account. Open the Tools menu in Outlook, and go to SuperOffice CRM Options. In the dialog that opens, go to the SuperOffice panel: You need to enter the URL of your SuperOffice CRM Online account. Choose the desired language, and set the username you use when logging in to SuperOffice (e-mail address). Archive e-mail for the first time The Mail link has given you an additional button or meny in your Outlook. This will offer you to archive an email in various ways: Notice that you may archive an e-mail directly in your diary as a task! Very useful when the e-mail is an activity to follow up. The looking glass icon represents Search and will search your SuperOffice database for the sender of the email you have highlighted, and if found, will go to the contact card of this person. Now, when selecting an e-mail from your inbox that you wish to have saved in SuperOffice, select the e-mail you wish to archive, and then click the new button in SuperOffice. The very first time you are attempting to archive an e-mail into SuperOffice, you will be prompted for your password. Add your User Name and Password for your CRM Online account. A dialog will open, asking you which one of your contacts you wish to archive your e-mail under. Choose how to archive and store your mail. Once you have stored your e-mail, ever other user of your CRM Online account will also be able to read and share the information you have stored.
