Purpose To provide effective, efficient and high quality administrative and secretarial support to staff and consumers of the Diabetes Education Service. This position has a key role in supporting the Diabetes Team through maintaining accurate data bases and reports, in Excel, HBCIS and other information systems. Your key responsibilities Fulfil the responsibilities of this role in accordance with the Wide Bay Hospital and Health Service pledges outlined above. Ability to build and maintain effective working relationships with team members, patients, staff and external agencies. To develop and maintain an efficient and effective administrative support service to the NUM and team of the Diabetes Services. Reception duties include answering enquiries and coordinating room bookings. Create, maintain and update computer databases and spreadsheets of clinical outcomes. Provide clerical and administrative support to the staff of the service, including making client appointments on HBCIS, entering referrals, managing cancellations, developing and sending appointment letters and other correspondence. Co-ordination of the electronic diaries of the educators. Effective operation of office equipment including: personal computer, videoconferencing, photocopier, printer, scanner, facsimile, shredder and telephones. Keyboard skills of a high standard in terms of speed and accuracy. Create client charts when required, gathering of charts from Medical Records and updating of client information in HBCIS. Maintenance of a filing system of confidential documents, papers and internal correspondence, client records and other information as necessary. Input and retrieve data/statistical information from information systems and software packages eg. HBCIS, work processing, Xcel spreadsheets, Auslab, email, QHEPS and FAMMIS. Collate service statistics and forward statistical reports to NUM within the required time frame. Prepare agendas, minutes of meetings and reports as required. Sorting and distribution of mail in a timely and efficient manner ensuring outgoing mail is dispatched promptly and incoming mail forwarded to appropriate persons. Arrange for the prompt maintenance of all office equipment. Order stock, stationery and maintenance requests using appropriate computer programs (FAMMIS) Independently maintain stock supplies. Maintain stock of clinical resources, and clinical information resources required by the diabetes educators. Maintain and update administration protocols. Participate in Quality Management activities including the co-ordination of the Medi-pro process throughout the hospital. This involves sending out quality solutions monthly to each ward and collate results from each ward. Actively participate in a working environment supporting quality Human Resources Management practices including employment equity, anti-discrimination, workplace health and safety and ethical behaviour. Qualifications/Professional registration/other requirements There are nil mandatory qualifications/registrations required for this position; however previous administrative experience is highly desirable. The Health Service covers the coastal stretch from Agnes Waters in the north to Maryborough and Hervey Bay in the South and includes the accompanying rural hinterland. Included in the WBHHS are the Hervey Bay and Maryborough Hospitals and the Bundaberg Hospital, the main referral centre with health facilities at Gin Gin, Childers, Biggenden, Eidsvold, Mundubbera, Gayndah, Mt Perry and Monto). The WBHHS serves a population of approximately 184,000 residents. Across the Health Service, a range of specialty services are provided including acute care, surgical, medical, maternity, mental health rehabilitation and aged care services. Hervey Bay and Bundaberg Hospitals provide care in some major adult specialties and provide support to the surrounding smaller rural hospitals in the Health Service. The Health Service has a number of Multipurpose Health Services that provide access to integrated health and aged care services to smaller communities. Bundaberg is located at the southern tip of the Great Barrier Reef with access to coral islands and scuba diving. Possibly the most famous beach in Bundaberg is Mon Repos. Located 15 kms east of Bundaberg, Mon Repos is known for having the largest concentration of nesting marine turtles on the eastern Australian mainland and is considered one of the two largest loggerhead turtle rookeries in the South Pacific Ocean. For a taste of the Australian bush, Cania Gorge, located in the hinterland west of Monto, is popular for bushwalks and abseiling. Fraser Coast includes the World-Heritage listed Fraser Island, which has a unique and unspoilt landscape including rainforests with abundant fresh water lakes and crystal clear creeks. From July to November, during their annual migration, Humpback whales take time out in the protected waters of Hervey Bay.
