Introduction This document contains information necessary to configure a standalone email client such as MS Outlook or Mozilla Thunderbird, or a smartphone such as Blackberry, iphone, or Android to connect to the CASS Email servers. Webmail First of all, if you don t already know, CASS email is available via our webmail tool. To access it, go to https://webmail.c-a-s-s.org in a browser such as internet explorer or firefox, enter the first part of your email address (firstname.lastname) and your password. Settings Below are all of the details necessary to configure any email client to connect to the CASS email servers. Protocol (sometimes called account type): IMAP (POP3 will work too but is not recommended) Incoming mail server: mail.c-a-s-s.org Outgoing mail server: mail.c-a-s-s.org Username: your full email address ex: firstname.lastname@c-a-s-s.org Password: your email password (the same password you would use to connect to webmail) Incoming server requires authentication, (Username & Password) Outgoing server requires authentication, use the same settings as incoming mail server Incoming Server (SMTP) Port: 143 Outgoing Server (SMTP) Port: 587 Enable TLS encryption for both incoming and outgoing mail servers Forwarding Forwarding your CASS email to another account is technically possible, but not encouraged as it is inherently less secure. However, it is possible if absolutely necessary. Unfortunately, at this time our email systems do not support user-managed email forwarding. In order to have your CASS email address forwarded to another account, please contact CASS HR with your request.
Please note: Security requirements are still relevant, and your CASS email must still be accessed via an encrypted connection whether or not you are getting it directly from CASS. If the email provider you want your CASS email forwarded to cannot meet these requirements, you cannot have your email forwarded there. Email Client Configuration Outlook 2003 To setup MS Outlook 2003 perform the following steps to access the email account setup page: 1) Click on Tools in the menu bar 2) Select Email Accounts 3) Select Add a new email account and click Next 4) Select IMAP and click next 5) Enter all of the information listed above under settings. If you don t know your email account password check with your supervisor or the email administrator can reset it for you. 6) Click on the More Settings button 7) Select the Outgoing Server tab at the top of the dialog 8) Put a check in the checkbox labeled My outgoing server SMTP requires authentication 9) Select the Advanced tab at the top of the dialog 10) Under Port Number in the Incoming Server (SMTP) field enter: 143 11) Under Port Number in the Outgoing Server (SMTP) field enter: 587 12) For both Incoming and Outgoing servers; Under Use the following type of encrypted connection: select TLS 13) Click on the OK button 14) Click on the Next button 15) Click on the Finish button Outlook 2007 1) Click on Tools in the menu bar 2) Select Account Settings 3) Click on the New button in the toolbar 4) Select the MS Exchange, POP3, IMAP, or HTTP radio button and click on the Next button 5) Put a check in the Manually configure server settings or additional server types checkbox and click Next 6) Select the Internet E-mail radio button and click Next 7) Enter all of the information listed above under settings. If you don t know your email account password check with your supervisor or the email administrator can reset it for you.
8) Click on the More Settings button 9) Select the Outgoing Server tab at the top of the dialog 10) Put a check in the checkbox labeled My outgoing server SMTP requires authentication 11) Select the Advanced tab at the top of the dialog 12) Under Port Number in the Incoming Server (SMTP) field enter: 143 13) Under Port Number in the Outgoing Server (SMTP) field enter: 587 14) For both Incoming and Outgoing servers; Under Use the following type of encrypted connection: select TLS 15) Click on the OK button 16) Click on the Next button 17) Click on the Finish button Smartphone Configuration Please note: If you will be using your smart phone to access potentially sensitive or confidential CASS information (for example: Email), you must password protect your phone as per Policy 703.16 Mobile Devices Android To setup your android smart phone to connect to CASS mail servers, perform the following steps Note: these instructions pertain to the default Android email client, if you are using a different email client you will have to refer to the settings described on the first page of this document and any reference material available for the email client you have chosen to use. 1. Open your mail app 2. When prompted to Choose a mail provider select: Other (POP3/IMAP) 3. On the New Account page, click on the Manual Setup page 4. On the Incoming Settings page: a. Under Protocol select IMAP b. In the Email address field enter your full email address ex: firstname.lastname@c-as-s.org c. In the Password field Enter your email password provided to you by CASS Human Resources (the same password you would use to access webmail) d. In the Username field enter your full email address ex: firstname.lastname@c-a-ss.org e. In the IMAP Server field enter mail.c-a-s-s.org f. In the Security type field select TLS g. In the Server port field enter 143
h. Press the Next Button 5. On the Outgoing server settings page: a. The Login required button should be checked b. Your username should be your full email address c. Your password should already be entered from the last page d. Under SMTP server enter mail.c-a-s-s.org e. Under Security Type enter TLS f. Under Server Port enter 587 g. Click on the Next button 6. At this point the mail app will test your account settings and you will receive a warning about an unsigned security certificate. Click on the Accept button 7. On the New Account page you will be prompted to enter your Account name and Your name, account name is how the mail app will identify this email account, Your Name should be self explanatory 8. Click on the Finish setup button 9. At this point you should be taken to your inbox within the mail app. 10. Verify that you can in fact receive and send email from your new email account iphone 1. Press the Settings icon on your homescreen 2. Press the Mail, Contacts, Calendars button 3. Press the Add Account button 4. Press the Other icon 5. Press the Add Mail Account button 6. Enter your name as you want it displayed in the Name field 7. Enter your full Email address in the Address field 8. Enter your CASS Email password in the Password field (the same password you would use to log in to webmail) 9. Enter a brief description of the account such as CASS for identification purposes in the Description field 10. Press the Next button near the top right hand corner of the screen 11. Ensure that IMAP is highlighted 12. Ensure that your email address is entered into the Address field and a description is entered in the Description field 13. Under incoming mail server: a. Enter mail.c-a-s-s.org in the hostname field b. Enter your full email address in the User Name field c. Ensure that your password has been entered in the Password field 14. Under outgoing mail server a. Enter mail.c-a-s-s.org in the hostname field b. Enter your full email address (ex: firstname.lastname@c-a-s-s.org) in the User Name field c. Ensure that your password has been entered in the Password field
15. Press the Next button near the top right hand corner of the screen 16. Your iphone will attempt to verify the account settings at this time, when it is done, press the Save icon near the top right hand corner of the screen 17. At this point your phone should be configured to send and retrieve email from your c-a-s-s.org email account, try to verify this by accessing your mail from your home page and sending a test email. Blackberry 1. Press the Setup button on your homescreen 2. Press the Email Accounts button 3. Select Setup another email account 4. Select Other 5. Enter your email address in the Email address field ex: firstname.lastname@c-a-s-s.org 6. Enter your email password in the Password field (the same password you would use to access webmail) 7. Press the Continue button 8. At this point your blackberry should inform you that setup is complete
