The post holder will be required to operate a proactive PMO function providing support, advice, training and co ordination of all project documentation and reporting, internal communication, monitoring and evaluation activities.
Dimensions Reporting to the Head of Corporate Services, responsible for direct liaison with the Corporate Management Team, RBFRS personnel and key stakeholders as directed. This is predominately an internal facing role but the post holder may be required to liaise we Fire Authority Members, Party Leaders, representative bodies and external bodies, including partner emergency services other Fire Services and relevant commercial and voluntary organisations depending on the project/programme Context The Post Holder must have a expert knowledge of project management methodologies, excellent communication skills and have a flexible approach as this position may entail some evening work. The focus of this role is to embed good practice for project management within RBFRS. Main Duties and Responsibilities: Using fit for purpose, good practice programme and project management methodology, develop, implement and maintain key project toolkit to include: Risk Log; Project Plans; Project ssues Log; Project Change Record; Lessons Learned Registers, to support Project Managers in ensuring all potential benefits are fully realised. Ensure that the RBFRS Programme and Project Governance Structure is appropriately applied within programmes and projects ensuring compliance and transparency of decision making. Deliver a range of training to include workshops, 121 s and develop an online self help, how to training guide on the practical application of project management methodology. Ensure the governance of project and programme board decisions are recorded centrally and comply with the RBFRS Governance Framework Support project and work package managers to secure the appropriate resource and expertise to deliver the agreed outcomes. Manage effective communications using a range of communication tools and contribute to consultations with managers, staff and stakeholders. Take responsibility for development and maintenance of intranet pages to ensure clear communication about the programme, current projects, and governance framework. Providing administrative support to the Programme Boards to include the preparation of agendas; collation and reporting of required information to enable the effective control, recording of minutes and key actions; monitoring the implementation and achievement of key actions Maintain oversight of all the projects within the RBFRS Programmes and other projects being carried out as part of the wider project portfolio to ensure that interdependencies between projects are identified and managed.
Proactively identify opportunities for efficiency, sharing or alternative delivery models and escalate these through the appropriate management structures. Maintain oversight of key corporate objectives and strategic commitments to ensure that projects and work packages are prioritised accordingly. Take a lead role in ensuring lessons learnt from key projects are distilled and shared to maximise organisational learning. Post holder will be responsible for implementing and maintaining robust controls for monitoring project budgets and reporting on these. These budgets could range from hundreds of thousands to in excess of a million pounds, dependent on the size and scope of the project.
