3 Few Important Points to be taken care of: This document will guide you with the installation and configuration of Video Conferencing Solution. The position/ of the camera should be on the opposite side of audience to cover as many people as possible. Sufficient light should be present in conference room. The mic Volume should be adjusted to suitable level. Incase of any other clarifications feel free to contact our support team at Systems Division, NBCC Corporate Office, New Delhi. 1. Amandeep Singh Samarendra Rout Bhupesh Pandey To login to Video Conference users must have the computer with windows 2003/ XP/ Vista/ 7 Operating Systems. Steps for First Time Users: Go to Click on skip intro. Go to the Video Conference link in the left menu of NBCC website. If you are in NBCC Corporate Office, Select Corporate Office User link. For any user outside the Corporate Office click Other User For the detailed User Guide click User Guide *The Solution is supported by Internet Explorer only. 3
4 Software Download On the homepage of video conferencing you can find the Conference Name, Current No. of Attendees and No. of Attendees (Maximum no. allowed). Before using this application you need to download the Conference Software Client. For this, please click on Software Download on the top right of page. It will open a new page containing different software s. 4
5 Conference Software Client From the software s list you need to download Conference Software Client. Click on Download Then new dialog box will open asking you for Run, Save or Cancel 5
6 Click on Run and install it. 6
7 Now come back to Home Page of Conferencing and click on the Conference Name you want to enter. You will be redirected to the welcome Page. 7
8 Here you need to enter username/nickname for the conference and your Password which will be provided by Systems Division, NBCC Corporate Office, New Delhi. 8
9 After successful Login you will enter the conference and a Quick Guide will be available on your screen. This is for first time instructions. Click on Close to close the guide, you no longer need it. 9
10 The first step you need to take is to Configure your Setup for video conferencing. This is one time process. Click on General in Menu Bar on the top and select Conference Settings link. 10
11 A new Settings dialog box will open. At first step you need to configure the Audio, Select your Recording and Playback device and make sure the Noise reduction checkbox in Settings is checked. 11
12 Second step is to configure the Video Settings Please select your Camera in the Video Capture device. 12
13 Display to Video Banner Text You can also select the Banner Title for your conference room. It will display as a flowing text on the screen at desired position. For the Banner Title, insert your desired text to the textbox and make sure the Display to Video checkbox is checked. Now click Confirm. 13
14 Browse to change recording location On the Recording tab you can select preference for video recording and the default location on your computer for saving the recording of conference. Click on Browse button to change the default location for saving the recording file. 14
15 Speech Access After successful configuration We are ready to start with the conference. First step is to get the speech access by clicking on the Mic Button on bottom left of screen. After successful access it will turn from blue to orange. As your speech access has been granted, the person on the other side can listen to your voice. 15
16 Data operations Similar to speech access you can request access for Presentation Control. Presentation C o n t r o l a c c e s s is necessary to start live presentation and document sharing etc. After getting Presentation Control Access, you can see there are different options available in the Data Operation field. The very first option is Whiteboard. 16
17 Whiteboard can be used for real-time typing drawing and other features. Next option is Document Sharing. 17
18 To use Document Sharing click on Start Document Sharing link. A new window will open to browse for particular file you want to share. You can select any Word, PowerPoint and Pdf file etc. to share with the people on the other end. 18
19 The third option available is Web Co-Browsing, this feature can be used for internet surfing in the shared environment. The website you open in this browser can be seen by all the participants that are present in the conference at a particular time. The Desktop sharing is other useful application which can be used to share your Computer s desktop with other person within the conference. 19
20 Window Layouts Coming back to bottom toolbar the third option other than Speech access & Presentation Control is Window Layout. There are different types of preconfigured layouts available as per your requirement. For a video conference where your only concern is video calling you can choose a layout with images only. And if you want a presentation in the shared environment you can choose a different layout with presentation and images. 20
21 Chat Control Type your text here The last toolbar item is Chat Control. With this you can chat with the persons available in conference. This can be used if you want to send some information in written format eg. id or Phone No. etc. 21
22 Voice and Video Buttons Now to start video conference with any person click on the Video Camera Icon in front of the name. If its blue, it means the video camera is not installed properly or not available. If its yellow, then it means video camera is available. Similar is the case with Voice if its Yellow, it means it is activated, if it is blue, Then it means voice control is not activated or available. 22
23 Recording Button For recording the ongoing conference click on the Video Conference button on the bottom toolbar. To stop recording and saving file click on Stop button next to recording button. 23
