2 etutoring.org echat Guide This guide is step by step instructions on how to enter your etutoring.org Synchronous Chat Queue and Room. Please note that the word Breeze depicted in any screen print is synonymous with either the word Connect or Adobe Connect. A troubleshooting link is at the end of this document. Getting Started 1. Enter the echat Area Click on the echat link from either the main navigation or main menu from inside etutoring. Once on the echat page, you will see two listings: a Queue where your students will wait for a private session, and a Meeting Room where you will hold your private one-on-one session. 2. Click Subject Queue Button This will launch a new window on your computer. Note: Pop-ups must be enabled. Two windows will be opened (a browser window and the Adobe Connect Meeting window.) 3. Click Subject Room Button A second Adobe Connect Meeting room window will be opened. 4. Enter your Subject Queue Note: The first time you enter Adobe Connect as a tutor, you will be prompted to install a plug-in which will allow you to share screens and files with your students. a. To install, click the Install link.

3 b. You will then be prompted to add the plug-in; click Yes. The screen will refresh and you will re-enter the Adobe Connect Meeting room. Queue Overview The queue operates on a first come, first served basis. As students enter your queue, they will appear in order of entry underneath the Attendance List. Within the Notes section of the queue, there is an overview of the rules and process of a private tutoring session. Finally, there is

4 a Chat section that allows all students waiting to converse, but also allows tutors to send private messages to invite the student into a private one-on-one environment. 5. Send Welcome Chat Message (Optional) Within the Chat tool, type a message to the students waiting by filling in the text box and then clicking the Send icon. 6. Invite Student to Private Session. Use private chat to send private one-one-one invitation. a. Click on the drop-down next to the TO: field on the chat window. b. Select the student s name that you want to invite. c. Then copy the Chat Session URL from the etutoring platform into the text field

5 d. Click Send. e. Your student will receive a link to your private room and will be asked to login with their and password information inside the etutoring platform. 7. Accept Student s Request. When a student enters your private room, they are denied access until you grant them entrance. 8. Start Recording. Once you see the student has entered your room, go to the Meeting menu and select Record Meeting.

6 10. Name Recorded Meeting. Enter a unique name for the session and add any summary notes you like. Once the recording has started, a yellow box will appear at the top right of your screen. During the Session By default, your students have Read-Only access within Adobe Connect. They can actively participate in the Chat tool, but can only view the remaining tools. If you would like your students to be able to draw on the whiteboard and share an application on their own computer, you will need to promote their access level. Promoting a Student s Access There are 3 roles within Adobe Connect: Host, Presenter, and Participant. As the tutor, you are the Host and have control over every aspect of the room. As stated above, students by default are Participants and have Read-Only access. In order for a student to interact with you outside of chat, they will need to be promoted to Presenter.

7 1. Select the student s name by single clicking. 2. Click on the icon and select Set as Presenter. Sharing External Applications There may be times during your session that you need to access an application outside of the Adobe Connect Meeting room to demonstrate a concept. Within Adobe Connect, you have the ability to show a software application installed on your local computer or even your entire desktop area. 1. Select Sharing Model To share a local software application, click on the My Computer Screen button. 2. Select Screen. Select whether you want to share your entire desktop area or a specific software application.

8 3. Select Application If you select Application, a list of currently open applications on your computer will appear. Select the software application you want to show by clicking the checkbox next to it and then click Share. Sharing Files There are two ways to share documents within Adobe Connect. 1. File Share Tool: You can use the File Share tool which allows you to upload files to Adobe Connect and let students download them to their own computer.

9 2. Share Window: If you choose Document within the Share window, Adobe Connect will try to display or play certain file types for you. (PPT, JPG, SWF, FLV, and MP3). You can also display video in a FLV format. (Ultra Video to Flash is a free piece of software that will convert video files into FLV videos.) Ending the Session Once the tutoring session is done, there are a few house-keeping steps to prepare the room for the next student. 1. Stop Recording. Once the tutoring session is complete, return to the Meeting menu and de-select Record Meeting. This will stop Adobe Connect from recording the on-screen action.

10 2. Clear Content. If you do not wish the next student to view the content of your current tool windows (chat, whiteboard, etc), you must clear their contents. Chat: To clear the chat window content, click on this icon then select Clear Chat. Whiteboard: To clear the whiteboard content, click on the Eraser icon from the toolbar.

11 3. Remove the Student. If the student doesn t exit the room in a timely manner, you can remove the student s access. a. Highlight the Student s name by single clicking on them. b. Select Remove Selected User 4. Return to your Queue and repeat the Getting Started section.

Ending the Session 1. Stop Recording. 2. Clear Content. 3. Remove the Student. 4. Return to Queue and repeat the Starting a Session Steps 6-9. Troubleshooting Follow these steps when in the room as a host to re-enable the doorbell sound: 1. Go to the Pods Menu 2. Click Select from Content Library 3. Under Browse Content, click Shared Content 4. Double Click Support 5. Double Click ConnectAlarm this will put the connectalarm pod in the room 6. Resize the ConnectAlarm pod so that it is smaller than the Attendee List pod 7. Move the ConnectAlarm pod so that it s position is over the Attendee List pod 8. Click on the top bar of the Attendee List pod to allow that to cover the ConnectAlarm pod
