2 About these Oerating Instructions These Oerating Instructions describe the use of the otipoint 500 economy, otipoint 500 basic, otipoint 500 standard, otipoint 500 standard SL (US only), otipoint 500 advance telehones in conjunction with the HiPath 4000 Communication Server, Version 1.0 and Hicom 300 E/300 H (not used in US), all Versions. They describe all functions you can use from your telehone. You may find that some functions you wish to use are not available on your telehone. This may be due to one of the following reasons: The function has not been configured f your telehone - address any questions to Customer Sut. Your communications latfm does not sut this function - contact your Siemens sales reresentative to ugrade your system. Imtant Notes Never oerate the telehone in an environment where there is a risk of exlosion. Only use Siemens accessies (! age 114). The use of other manufacturers accessies may be dangerous and will render the warranty and aroval null and void. Never oen the telehone set an add-on unit. If any roblems arise, get in touch with your system administrat. The telehone must not come into contact with abrasive liquids liquids which are liable to discol it, such as tea, coffee, fruit juices soft drinks. Care of the telehone! age 118. Basic and enhanced functions You can use all of the communication latfm s basic and enhanced functions that are offered in the dialog on the dislay, in the service menu, in a main menu and on the function keys. Additional multiline and grou functions! age 91 These are configured by your system administrat. You can use the multiline and grou functions in addition to the basic and enhanced-convenience functions. A telehone with line keys is identifiable by the fact that your number and the numbers of your colleagues have been assigned to line keys. You have access to all lines and you can also make calls via several lines simultaneously. The individual telehone can also be configured (as a keyset) f multi-line oeration, f examle, f use by nonteam members by brokers who are in contact with clients on several lines simultaneously. Additional executive/secretary functions (not used in US)! age 108 These are configured by your system administrat. You can use the executive/secretary functions in addition to the basic and enhanced-convenience functions. A telehone with an executive/secretary (not used in US) configuration is identifiable by the executive secretary line keys f direct calls to the executive to the secretary s office. An executive/secretary telehone also has an intercet key, while a secretary s telehone has a icku and a deuty key. 14

Your system administrat can rovide a customized key to give you access to a main menu. On this main menu you can choose from the following otions: Press the key. Use functions such as the redial seed dial features. Launch functions such as fwarding code inut. View active features such as fwarding do-notdisturb. Branch to the usual service menu. Branch to the settings on the service menu. Exit the menu. The menu item Main menu? will be available on every submenu. How to make best use of your telehone No doubt you have colleagues outside business associates to whom you make frequent calls. You can save a great deal of time and efft by sting these numbers on keys (Sting a seed dialing number on a key! age 56). All too often the number you have dialed is busy. But afterwards you are extremely busy and comletely fget to try calling it again. Our advice: make a habit of using the Callback function(! age 48). Basic and enhanced-convenience functions 15

Seaker and t n Switching to seakerhone This function is not available with the otipoint 500 economy/basic. Precondition: You are making a call with the handset. Press the seaker key and release, then ut the handset down and continue the call. Switching to the handset Precondition: You are on the hone in seakerhone mode. Lift the handset. Call icku fe and When you are execting an imtant call, you should activate the call waiting function. A waiting call is signaled to you if you are on the hone. Answering the waiting call Precondition: You are on the hone. Call waiting is activated. You hear the alerting tone. The lam flashes. The caller hears ringing tone as though you were free. You will also find mail server voice/fax messages in your mailbox (if this facility is available). Retrieval from mailbox Mailbox The lam is lit if there are new entries in the mailbox. You can jum to the end of a message by entering 66. This designates the message as "old", thereby making it deletable. Terminating mailbox retrieval: Mailbox Press the key. The lam goes out. Entries remain in the mailbox until you delete them. Using the mailbox function (otional) Users with a mailbox (HiPath Xressions) can use it by calling the messaging extension, f examle, set u call fwarding tyes and check available messages. Soken user romting directs you to all available functions. If call fwarding is active, the messaging extension is shown on the dislay. Infmation on call fwarding can be found on! age 63. Reminder: n t Timed reminders Precondition: You have saved a timed reminder (! age 59). When the saved time has been reached: The telehone rings. Lift the handset. The time of the reminder is dislayed. Relace the handset. If you do not lift the handset, the telehone rings several me times and "Timed reminder" is dislayed befe the reminder is canceled. 20

The seakerhone mode is automatically activated (not with otipoint 500 economy/basic). Answering via seakerhone is immediately ossible. Lift the handset and rely. The headset is connected. The headset key has been configured. The lam flashes when a call is received. Press the key to answer the call. Ending the call: Press the key. The lam goes out. 21

Deactivate? ff and Activating/deactivating do not disturb If you do not wish to receive incoming calls, you can activate the do not disturb function. Internal callers then hear busy tone, while external callers are fwarded to the attendant. Your system administrat can also set u destinations f fwarding internal and external calls, such as to your mailbox. Precondition: Your system administrat has enabled the do not disturb function f all HiPath 4000 users in your system. Press the key. The lam lights u. Enter the service code. The dislay indicates whether the do not disturb facility has been activated deactivated. If do not disturb is active, you hear an alerting tone when you lift the handset. "Do not disturb" can only be used f the rime line not additional lines. The attendant can override the do not disturb function to seak to you. If your system administrat has disabled the do not disturb facility f the HiPath 4000 system, the otion "do not disturb" does not aear in the Service Menu. 22

Direct call to a colleague via loudseaker (voice calling) You can make a direct call to an internal HiPath 4000 Hicom 300 E/H (not used in US) user via the loudseaker in his her telehone. With HiPath 4000 you can use the functions under "HiPath 4000 as an intercommunication system (! age 85). Precondition: Your telehone has a "voice calling" key. Press the key. Enter the number. Wait f voice calling tone. Lift the handset and seak to the other arty. If the handset is on-hook: handsfree conversing. If the called arty has activated the sto voice calling facility (! age 21), he she receives voice calling as a nmal call. 25

DTMF suffix dialing? le This feature is not alicable f UK and other countries using tone dialing (default). After dialing a number, you can set tone dialing to activate equiment - such as an answering machine an automatic infmation switching system - by dialing commands in DTMF mode (DTMF = dual-tone multifrequency dialing). Press the key. The lam lights u. Enter the service code. You can now enter commands with keys 0 to 9, the star key and the ound key. DTMF mode is deactivated as soon as the connection is cleared down. The "DTMF suffix dialing" dislay may aear after you enter the number, deending on the PBX configuration. You can then roceed to enter commands as soon as you have dialed a number. 26

Setting u a conference (Hicom 300 E/H not used in US) With a conference circuit, you can converse with u to seven other ersons simultaneously. These can be either internal external users. Setting u an add-on conference Call the first user. Call the second user. Announce that a conference is to be set u. An alerting tone indicates that all three users have been interconnected to fm a conference circuit. If the second arty does not answer: Exanding the conference to include u to eight members Precondition: You have already set u an add-on (three-way) conference. Call the new user. Announce that a conference is being set u. The user is added to the conference. If the new user does not answer: 28

Users with system telehones can execute use all of the following functions. ISDN telehones and external users are assive users - they can only be included in an existing conference. You can include users and conferences from a distant system into your conference. The distant users can set u and extend their own conference. The members of this conference are included in your conference. But they cannot execute use the functions of your conference. The following functions are suted f all conference members (excet members of an included conference) with a system telehone: Setting u a conference when calling a user receiving a call making a consultation call receiving a second call. Acceting a waiting call and including the caller in the conference. Toggling between the conference and a consultation call waiting call. Holding a consultation call during a conference and adding it to the conference. Interconnecting conference members from two indeendent conferences via a distant netwk. Putting the conference on hold, if line keys are installed. Receiving overview of all conference members. Transferring the conference to a new user. The functions listed above can be carried out by all conference members at the same time. 30

The station number of each station user is assigned to a line and is the rimary line of that team member. The same line is configured on the line keys of the other station users as a secondary line. If the telehone needs to be cleaned thoughly, use a neutral, diluted, surface-active cleaning agent. Ensure that all traces of the cleaning agent are removed with a dam cloth (using water only!). Never aly a cleaning agent that contains alcohol that is liable to harm lastic surfaces; never use an abrasive cleaning owder. Troubleshooting There is no resonse after a key has been ressed: Check whether the key has become stuck. No ringing tone when an incoming call is received: Check whether you have activated the Do Not Disturb function (! age 22). If you have, cancel this function to receive calls again. You cannot dial a number: Check whether you have locked the telehone (! age 54). If you have, unlock the telehone to make calls again.
