1 Remote Access User Instructions NOTE. Accessing the network remotely requires the installation of a digital certificate on your PC. If you are using a CEOM laptop, a Digital Certificate will be already installed, and you are ready to access the network remotely by following the instructions below; at Step 3. Anti-virus software is already installed on a CEOM Laptop so you can skip step 2. If you are using your home PC, there are 2 steps you need to complete before you can proceed to installing a digital certificate. Digital Certificate 1. To install a Digital Certificate on your home PC, please follow the procedures in the document Installing a Digital Certificate on your home PC, BEFORE following the instructions below.. Please be aware that some of the screenshots depicted in these instructions may vary slightly from what you will experience, depending on software versions and configuration differences, however, however, you should still be able to follow the procedure bearing this in mind. Should you find any issues which you are unable to resolve on your own, please contact the CEOM ICT Helpdesk. Anti Virus Software 2. During the Remote Access connection to the CEOM network, a check will be run on your computer to verify that your PC meets the minimum security requirements for connecting to the CEOM network. This includes having your computer regularly updated from the Windows Update site. It also checks that you have suitable Antivirus software installed on your computer. Since it is not possible to check for every single anti-virus vendor on the market, we are checking for a list of the most common programs. A list of programs that are acceptable is included in Appendix B at the end of this document. If you are using Antivirus software that is not on the list, contact the ICT Helpdesk. We may consider adding this software to the list if enough people are using this specific program. If you are not using an antivirus solution at all, there is a free program that is acceptable; it s called AVG Anti-Virus Free Edition and is available from: NOTE: You must have an anti-virus program installed before you can remotely access the CEOM Network. Setting up Remote Access to the CEOM network: 3. To connect to the CEOM network, open Internet Explorer (or another web browser application) and type in the Address bar. 2 4. Enter your normal network username and password (i.e. the one with which you log into your PC at work each day). 5. Click Sign In. If you are using a CEOM laptop it will have a machine certificate installed which will allow you to connect, however you may still be prompted for a user certificate. If you are using a CEOM laptop and you see the following prompt: 6. Simply click Cancel and you will be logged in. (This prompt is unavoidable as we are using two mechanisms for authentication - user and machine certificates.) OR Remote Access User Instructions Page 2 of 11
3 If you are using your home machine you will need to follow the instructions for Installing a Digital Certification on your home PC found on ceom@work under Policies and Procedures or the myinternet page. Assuming you have already installed the Digital Certificate, you should see the following screen: 7. Select the Remote Access certificate and click OK. A check will now be run on your computer to verify that your PC meets the minimum security requirements for connecting to the CEOM network checking for Windows Updates and Anti-Virus software. Once the security check is completed, you should see a screen similar to the one below. If the security check fails, you should see a message saying that the Host Checker failed. If your security check fails, read more information in Appendix A at the end of this document. NOTE: You may see a popup message on your taskbar saying Host Checker failed even after you have logged in successfully, if you are using a non CEOM computer. This relates to the check for the machine certificate and can be ignored. The Remote Access screen shows that there is a link to CEOMAIL and to the common network drives you would use in the Office as well as a My Documents link. Keep the Remote Access screen open, as you will use it again if you want to upload the files that you have been working in, back to the CEOM network. Remote Access User Instructions Page 3 of 11
4 The CEOMAIL link points to Outlook from Home with which many of you are already familiar. The My Documents link points to the network location where your My Documents folder on your work PC is directed to, i.e. your User Files directory. For example, a user named Fred Bloggs who works in Business Systems, will have a My Documents directory of: G:\Corporate Services\Business Systems\User Files\fbloggs. 8. Click on My Documents or one of the network drives and you will see a listing of your usual files and folders. 9. Click on a folder to view its contents. 10. Click on a file to view or download it. 11. Click Save IMPORTANT. If you only wish to read the file, click open to read it. However, if you are going to edit the file, you will have to save it to the hard drive on your home PC, then upload it back to the CEOM network after making the changes. 5 12. To save the file to the hard drive on your home PC, browse to the location that you want to save the file. 13. Then click Save. 14. To work on the file, open Windows Explorer or My Computer and browse to the location where you saved the file. 15. Double click the file to open it. 16. Once you have made your changes, ensure that you have saved the file on your home PC. Once the file has been saved, you can upload it back to the CEOM network. 6 Upload a file to the CEOM network Once you have edited a file, you will need to upload it back to the CEOM Network otherwise you will only have a copy of the original file at work. 17. In the Remote Access screen, click Upload Files. 18. Click the Browse button. 19. Browse to the location of the file and select it. 20. Then click Open. Remote Access User Instructions Page 6 of 11
7 21. The name of the file you are uploading to the CEOM network should then show; 22. Finally, click the Upload button. Your file/s should have been successfully uploaded back to the CEOM network. The following screen will appear to confirm the upload has been completed. 23. Click Close. Remote Access User Instructions Page 7 of 11
8 NOTE: Your file has been renamed it will have the original filename + the time and date it was uploaded, appended to the file name. This is a safety mechanism to avoid the situation where 2 people may be trying to edit the file at the same time and one person uploads the file after the other, removing the first person s changes. IMPORTANT: The next time you are in the office, you must review any files you have edited from home, and remove any unwanted versions of the file. This will avoid using unnecessary space on the network and save confusion later on. An alternative if you are certain that no-one else will be editing the file at the same time, is to delete the file from the CEOM network before you upload the edited version from home. HOWEVER, you must be sure you have saved the copy of the file at home, in a location where you can find it, otherwise you could delete the wrong file and lose all your work! When you have finished your Remote Access session, you need to logout of the Remote Access screen. 24. Click the Sign Out button (in the top right-hand corner) to log out of the Remote Access screen, then close your web browser. Remote Access User Instructions Page 8 of 11
9 Appendix A: Advice if your PC does not meet minimum security requirements If your PC does not meet the CEOM s minimum security requirements, a window will pop up notifying you of the component that has failed, i.e. Anti-Virus scanning or the Windows Updates. Anti Virus Scanning If the check fails the Anti-Virus scan, look at Appendix B to see if your virus scanning software which is installed is included on the list in Appendix B. If your software is not on the list in Appendix B, you will need to discuss this with the ICT Helpdesk. There is a free program that is acceptable; called AVG Anti-Virus Free Edition and is available from: Windows Update: If the check fails the Windows Update, follow the instructions below to set up your home PC for an automatic update. The best way to ensure that Windows is kept up-to-date, is to turn on automatic updates: 1. Click on the Windows Start button and select Control Panel. 2. In the Control Panel window, from the list of options, select Automatic Updates. Remote Access User Instructions Page 9 of 11
10 3. Select the Automatic option, set the time you want them to download, then click OK. Note: If your PC is turned off at the time updates are scheduled to happen, the process should start the next time the PC is turned on. Your PC should now pass the security check. Return to Page 1, Step 3 and try to set up your Remote Access to the CEOM network again. To manually install Windows Updates If you have Automatic Updates turned on, but the Remote Access check is still reporting that your system does not comply and reports Host Checker failed, you can manually check for updates using the following procedure: 4. Open Internet Explorer, go to the Tools menu, and select Windows Update. Follow the onscreen instructions to update your PC. Your PC should now pass the security check. Return to Page 1, Step 3 and try to set up your Remote Access to the CEOM network again. Remote Access User Instructions Page 10 of 11
