3 Please read these RULES ELIGIBILITY a. Competition is open to all California residents, 18 years and older who can hand deliver and pick-up their entries. b. All poems must be the original work of the poet and cannot be submitted simultaneously to any other contest, publisher, exhibition, or Fair in order to be eligible. c. No poem previously submitted to the Alameda County Fair can be entered again. d. No poem that has been a previous award winner of any contest will be eligible. e. No poem that has been published previously will be eligible for this contest. f. Poems that appear on the internet are not eligible for this contest, unless the poem is available on the author s personal blog only. 2. PRESENTATION a. Poems must be framed, ready to hang, with glass or acrylic cover. Strap or mirror hangers and wire are required. See the final page of this guide for hanging instructions/diagrams. b. SIZE LIMIT: Minimum outside dimensions 8 x 10, maximum 16 x JUDGING a. Judges take into consideration presentation as well as the poem, though literary merit is the primary judging criteria. Only accepted pieces will be displayed, and may be intermixed with Fine Art and Photography. b. Poetry will be judged AS IS. Please check for typographical and grammatical correctness. Please finalize titles prior to entry. No changes made after submission.

4 c. Exhibitors are solely responsible for reading the competition guidelines and rules, and entering their items in the correct Divisions/Classes. Incorrect entries may result in disqualification and may not be exhibited. No refunds will be issued for items incorrectly entered by the exhibitor. d. All state and local rules apply. e. The Fair Association reserves the right to refuse any entry, or refuse to display any entry considered not to be in accordance with the rules of entry or in the best interests of the Fair. ENTER ONLINE BY April 27 th, 2016 The Alameda County Fair Poetry Exhibition is a juried exhibition. Not all entries are accepted. All entries are juried by recognized Bay Area poets. Judges rotate each year. FAIR THEME THIS YEAR IS: ** The Spirit of Summer ** When you drop off your poem, you can let staff know if you want your piece considered for the Fair Theme award. Remember, drop-off is by hand-delivery only, on Saturday, May 21 st, 9 am - 2 pm or Friday, May 20 th, 4pm-8pm, at Grandstands, use Pleasanton Ave. Entrance, Yellow Gate

5 HOW TO ENTER ONLINE Online Entry Deadline is Wednesday, April 27 th, 2016 Entry limit is 6 entries per division ~ Entry fee is $7.00/entry 1. Review the POETRY Rules. 2. Entering online requires a credit card! (All cards except for American Express are acceptable.) Make sure you have a credit card ready when you start the entry process. No entries are accepted before the entry fee has been paid. 3. First, Register/Log-in directly at 4. Select Create Entries option 5. Choose Division #206 for Poetry 6. Enter the Title and Sale Price (or NFS). The Fair takes a 20% sales commission from each sale. Sale prices cannot be changed after registration. No exceptions. Please note long titles may not fit in full on the exhibition card. 7. Complete payment of entry fees. Entry Confirmations You will receive notification and confirmation immediately when your entry fee is received. This will be your receipt.

6 Hanging Diagram with illustrations for all Framed Entries: These instructions are created to ensure the safety of your work and the Plaza del Arte. We can only accept work for judging which follows these guidelines. WIRE ATTACHMENT Back of Work OK To Use Wood frame Metal frame Mirror/strap hanger Flat hanger Recommended for large works: * Frames must be ready to hang with picture wire only. * No screw eyes, spring clasps, saw tooth clasps, or clip frames can be used. Do Not Use No Screw eye No Spring clasps No Clip Frames

7 Weight Limit: 30 pounds. Provide appropriate packing for handling. Diptychs and triptychs are not allowed unless framed together in one frame within stated size restrictions. All wall work must be wired and ready to hang with fasteners and with wire attached. Wire should be heavy enough to support the piece and attached in a permanent way that does not protrude. Use strap or mirror hangers. No screw eyes; no saw-toothed hangers. See diagram above. Note: NO supplies will be available to correct unacceptable framing. Any artwork not conforming to framing standards will not be accepted for judging. Artwork not ready to hang adequately will be rejected at point of delivery. Any entry not meeting framing requirements will be disqualified. Final Judging Results You will be notified of the final judging results by on or prior to Wednesday May 25 th. You will be sent a separate for each of your entries whether or not they were accepted into the exhibit. Please check spam/junk folders before calling for your results. If your delivered entry is judged not accepted, you will need to pick up your artwork on Saturday May 28 th, Claim check or photo ID is required for pickup. PICK-UP OF NON-SELECTED WORK: Saturday May 28 th, 9am 1pm Building O (Hobbies) at Festival Square - use Pleasanton Av. Yellow Gate entrance Please bring your Claim Check(s) (or photo ID)~ Judges will be present to answer questions. All poetry (accepted or non-accepted) must be picked up on designated days, or a $10 storage fee per piece is charged. Poetry will become the property of the Fair Association on Wednesday, July 6 th at 7:00 p.m. RESPONSIBILITY: Greatest care will be exercised in handling your work, but the Fair Management, Alameda County Fair Association, and the County of Alameda WILL NOT BE HELD liable for loss, theft or damage of any kind from any cause. Submission of any work constitutes an agreement to this effect. RIGHT TO REPRODUCE: The right to reproduce images of any work accepted by the Judges is assumed by the Fair Association. This use would be ONLY for publicity and promotion of the Alameda County Fair.

8 SALES: All sales originating at the Fair must be completed in their entirety before the conclusion of the Fair. NO EXCEPTIONS. We DO NOT offer either POR (Price on Request), nor Best Offer as options. Entrants shall be notified of a sale prior to the end of the Fair and payment mailed after the conclusion of the Fair. All sale funds become the property of the Fair until pieces are relinquished to the buyer. The Alameda County Fair will retain a 20 % sales commission from each sale. DISPLAY: Works are hung under cover, out of doors. Fine art, poetry and photography may be mixed for display within exhibit area. The Alameda County Fair assumes total design control over the presentation of the exhibit. PLEASE JOIN US SATURDAY, JUNE 18 th, for POETRY DAY!!! 11:30am 1pm: Reading by poets whose work is accepted into the Fair The events will take place in the Plaza del Arte

9 END OF FAIR RETURN OF POETRY: Wednesday, July 6 th, pm 7pm ONLY Pick up at Plaza del Arte ~ Enter through Gate 12 (Red Gate). All poetry (accepted or non-accepted) must be picked up on designated days, or a $10 storage fee per piece is charged. Artwork will become the property of the Fair Association on Wednesday, July 6 th at 7:00 p.m. About the Judging Exhibits are placed using the American Judging System where exhibits are ranked one against another. Awards will be made if, in the opinion of the jury, the items entered have sufficient merit. Silver, Fair Theme and Honorable Mention awards may be awarded in each class if judges so determine. Jury selection is final. The judges decisions are final and cannot be protested. Poets names and titles of poems in the exhibit will be posted on the Alameda County Fair s website on the RESULTS page. Awards Each entry is restricted to one cash prize. Poets can earn multiple awards for literary merit. However, only their top 2 awards will earn a cash prize. Cash awards will be mailed after conclusion of the Fair. During the Fair, fairgoers vote for their favorite piece in each of the Fine Art divisions. The ribbons for these Public Favorite Awards go on the wall next to the winners during the last weekend of the fair. Purchase Awards The Alameda County Fair may purchase pieces from the 2016 Fine Art Exhibit. These purchases will become part of the Alameda County Fair s Permanent Collection.

11 POEMS AT THE FAIR CONTEST Division 212 $5.00 per entry ENTER IN-PERSON ONLY, During Fair (no online entry) 1 st Place 2 nd Place 3 rd Place $25 $15 $10 PAPER ENTRY ONLY, only during Fair dates: June 15th, 2016 to July 4th, 2016 Entry is at the Fine Arts Office, Plaza del Arte 1st, 2nd, and 3rd prize winners get automatic acceptance in the 2016 Alameda County Fair Fine Art Exhibition* Division 212 Poems at the Fair Photography Contest Write a poem at the Fair! First, come to the Fine Arts Office---the small building in the Plaza del Arte. Tell us you d like to write a Poem at the Fair. You ll receive a date-stamped piece of cardstock and a pencil. Take these with you around the Fair, and write your poem as you go about, looking for inspiration! When you re done, return to the Plaza del Arte Office. Turn in your poem, fill out the entry form, and pay the entry fee. (Note: cash or check ONLY. And since only poems written in real-time at the Fair are eligible for entry, there s NO ONLINE ENTRY.) If you need to copy your poem over, you may ask for a second piece of cardstock at the Plaza del Arte office. However the spirit of this contest is writing in real time, and so we don t mind seeing your crossouts or erasures! The three winning poems will be displayed at the 2017 Fair alongside the Photography at the Fair contest winners. This is a contest for poems written at the 2016 Alameda County Fair. Please respect the spirit of this contest, have fun with it, and don t try to enter something you previously wrote elsewhere! Judging takes place after the Fair has closed on July 4th. All entrants, including winners, will be notified of the results by Wednesday, July 13th. The 1st, 2nd and 3rd place winning poems are automatically accepted into the 2016 Fine Arts Exhibition*, and the names of winners will be publicized on the Alameda County Fair s Facebook page.

12 POEMS AT THE FAIR CONTEST RULES This is a juried contest. Winning entries will be automatically accepted into the 2017 Fine Arts Exhibition as long as they are framed per the requirements for the exhibition (See Division 206, Poetry, for framing requirements). 1. ELIGIBILITY: a) Competition is open to adults (18 years and older) who are residents of California. b) All entries must be the original work of the poet and have been written during and at the 2016 Alameda County Fair. c) Poems must be written on the specific, date-stamped cardstock available at the Plaza del Arte office. d) Do not put your name on the poem. This ensures anonymous judging. We will be able to match your poem to you via the matching title on your entry form. Winners will be able to sign their poems prior to display in the 2016 Fair. e) Title: All entries must include a title. The title cannot be changed later. The work cannot be edited after entry, even if it is chosen as a winner for display in the 2017 Fair. In other words, no changes after registration. No exceptions. f) ENTRY LIMITS: 3 poems per exhibitor. 2. HOW TO SUBMIT ENTRIES: a) Mandatory Paper Entry Process for Poems at the Fair. Submit at the Plaza del Arte office. Entry forms are available there. Cash or check only. b) Entry fees are not refundable. c) Any entrant may retrieve their poem after judging results have been ed. Poems will be available for pickup at the Exhibits Office until August 1, 2016, or by calling FAIR RIGHTS The Fair Association reserves the right to refuse any entry, or refuse to display any entry considered not to be in accordance with the rules of entry or in the best interest of the Fair.
