12 Key West cake Champagne Melba Asian pear tart All dinner buffets include roll and butter, freshly brewed coffee and tea. Cake service is also included. General Information Pertaining to Functions Food Service We do prefer that our caterer is the choice for your food service needs but in the event our caterer is not chosen outside food may be brought in for consumption. The guest must go to the town hall and apply for a one day food service permit. This permit must be on record with the hotel before the start of the event. If the permit is not on record you may not serve your food at the event. If our caterer is preparing the food for your function the price is subject to state meals tax and a food service charge. Consuming raw or undercooked meats, seafood, shellfish or poultry may increase your risk of food borne illness, especially if you have certain medical conditions. Menu Selections Final menu selections need to be submitted at least two weeks prior to the event. In the case of a short term booking of less than two weeks, final menu selections need to be made at the time of the booking. Guarantees There is a requirement that the hotel be notified of the exact number of attendees at the time the contract is signed. If this number is to be changed it must be done at least 2 weeks prior to the event. This minimum number of guests will be considered a guarantee for which you will be charged, even if fewer guests attend the function. Beverage Service It is policy that all liquor, wine and beer be supplied by the caterer. It is our responsibility to enforce the legal drinking laws of the Commonwealth of Massachusetts. If alcoholic beverages are to be served on hotel premises or under the caterer s alcoholic beverage license, the hotel will require that
13 beverages be dispensed only by the caterer s servers and bartenders. The caterer s alcoholic beverage license requires (1) request proper photo identification of any person of questionable age and refusing alcoholic beverage service if the person is either underage of proper identification cannot be produced and (2) refuse alcoholic beverage to any person who, in the caterer s judgment, appears intoxicated. Room Rental Function rooms are assigned according to the anticipated number of guests. If there are fluctuations in the number of attendees, the hotel reserves the right to reassign the banquet function rooms accordingly. Signs, Banners, and Decorations The hotel reserves the right to approve all signage in the banquet and meeting rooms. No signs will be allowed in public areas of the hotel. The hotel will not permit the affixing of anything to the walls or ceilings that may cause damage to the structure. The hotel reserves the right to charge a fee to cover damage to the walls or ceilings if any unapproved materials are hung. Billings and Deposits Billing arrangements for all events must be made in accordance with hotel policies. A deposit of $125 must be paid when the contract is signed to hold the function space for your event. All rates quoted are exclusive to your function. All charges are to be paid 30 days in advance of the function. Cancellations A cancellation fee of 50 % of the total banquet function will be charged if cancelled 15 days prior to the function. No refunds will be made if cancelled with in a week of the function. Banquet Music Terms The hotel does allow music in the banquet halls to be played at a level which is not disturbing to other guests. If the hotel is alerted to loud music from other guests, the host of the party will be notified and asked to cease and refrain or lower the volume of the music to a reasonable level. If the hotel receives a second complaint the hotel reserves the right to ask the guest to leave, without any refund or may call in local authorities to assist. The hotel reserves the right to charge the host up to $ in lost revenue and/or as a violation of the hotel policies.
