4 Working with Ad Hoc Grids In This Chapter About Ad Hoc Anaysis...31 Creating and Working With Ad Hoc Grids...32 Ad Hoc Grid Options...36 About Ad Hoc Anaysis Subtopics Using Ad Hoc Grids Ad Hoc Roes Ad Hoc Grids in Smart View Using Ad Hoc Grids With ad hoc grids, users can create and personaize focused data sices that they frequenty access or that others can use. Users with access permissions, who are granted the Ad Hoc User roe, can open ad hoc grids and dynamicay change the data sice. If they have the Ad Hoc Grid Creator roe, users can save the ad hoc grid for their own or others' use (see Ad Hoc Roes on page 32). Ad hoc grids can be created and accessed in a simiar ways from Panning and Smart View. At their onset, ad hoc grids refect the root dimensiona ayout of the form from which they are created. However, users are not confined by the form definition and can competey change the data intersection and ayout of ad hoc grids (assuming that they have access to the members). Exampes: Save a set of products that you work with during spring promotions so you can easiy access their data Quicky review profit margins in your regions by customizing a grid to ook the way you want it to ook Open an ad hoc grid that someone ese created and change its definition: its members, which axis they dispay on, and so on About Ad Hoc Anaysis 31
Ad hoc actions can aso be performed from the root dimensions of the seected pan type, both from the top menu or by right-cicking in forms. This fexibiity enabes users to start at the pan type's root eve and then navigate to any ocation. Starting from a form enabes users to start from the form's boundaries and navigate beyond or within its boundaries. Notes: Access permissions to ad hoc grids and their dimension members are honored, so users can view ony grids and members to which they are granted Read or Write access. If the form from which the ad hoc grid is aunched has row or coumn groupings, the members are assumed in the ad hoc grid, but the groupings themseves are not. For a description of ad hoc actions, see Performing Ad Hoc Actions on page 34. Ad Hoc Roes Ad hoc roes, set for Panning users in Orace Hyperion Shared Services: Ad hoc User: Can open and personaize ad hoc grids but cannot save them. Ad hoc icons and functionaity are visibe ony to users with this roe. Ad hoc Grid Creator: Can create and save ad hoc grids for their own and others' use. Users with this roe can aso save over existing grids to which they have access. Note: The form foders to which the ad hoc grids are saved can be assigned permissions that enabe others to use them. Ad Hoc Grids in Smart View In Smart View, users can anayze data using ad hoc grids that are created in Panning. For information on using Smart View, see the Orace Hyperion Smart View for Office User's Guide. Error messages are dispayed with a bracketed number showing the number of errors, and hyperinked numbers that go to the ces with errors. For exampe, if an error message dispays, there are five errors reated to this issue, and the foowing hyperinks go to the errors. 3 For each error, cick the hyperink to go to the ce that needs to be corrected. If the administrator provided a data vaidation message, you can hover the mouse over ces to view information to assist with resoving the error. 4 Update the form as necessary to resove the errors, and then save the form. After an error is resoved, it no onger dispays in the Data Vaidation Messages pane. When a errors are resoved, the Data Vaidation Messages pane is not dispayed in the form. Seecting Ce Ranges You can seect and work with mutipe ces if the seection is rectanguar and contiguous. ä To seect a ce range, a row, or a coumn: 1 Open a form. 2 Take an action: To seect a ce range, cick in the range's upper-eft ce, press Shift, and then cick in the range's ower-right ce. To seect a row or coumn, cick in its heading. After you seect a group of ces, you can copy and paste them or adjust the data vaues. See: Copying and Pasting Ces on page 47 Adjusting Ce Vaues on page Entering Data
Copying and Pasting Ces You can copy data vaues within a form, from one form to another, or from another appication, such as Microsoft Exce. In one copy and paste operation, you can copy from one ce to another ce, from one ce to many ces, or from many ces to many ces. Note: Because Panning appies spreading ogic to pasted vaues, understand how data vaues are spread before you paste vaues into time periods. See How Spreading Data Works on page 66. ä To copy and paste data: 1 Seect the ces that contain the data to copy. See Seecting Ce Ranges on page Right-cick, seect Edit, and then seect an option: Cut to remove the ce vaues Copy to copy the ce vaues. Seect the ces to which to paste the data. Right-cick, and then seect Paste. Paste inserts the Cipboard contents at the insertion point, repacing any seection. Cear to cear the ce vaues About copying and pasting data: If the destination seected area is an exact mutipe of the size and shape of the copied seected area, the data is repeatedy pasted into the destination area. For exampe, if you copy the contents of two rows, and seect six rows to paste the data into, Panning copies the contents of the two rows three times, to fi the six destination rows. Panning does not paste data into read-ony ces. When you copy within or among forms, Panning copies and pastes the ces' stored vaues, not the vaues that are dispayed based on the precision setting. Data that is copied and pasted from Microsoft Exce to Panning refects the formatting that is set up in Microsoft Exce. For exampe, if the number of decima paces in Microsoft Exce is set to zero, when you enter the vaue in Microsoft Exce, the vaue is dispayed as 459. If you copy this vaue into a Panning form, the vaue 459 is pasted. When pasting data to time periods, Panning appies the spreading rues for each ce in succession, starting from eft to right and top to bottom. The resuting data from a paste operation may not match the origina copied data. For information on how pasting data may affect ces' vaues, see How Spreading Data Works on page 66. When you copy data, a message might dispay if you disabed Internet Exporer s setting for Aow Paste Operations via Script. Copying and pasting data from a text editor (for exampe, TextPad, Notepad, or WordPad) fais if the data is space deimited. Use Tab-deimited vaues instead. Copying and Pasting Ces 47

Subtotaing Vaues How vaues are subtotaed and totaed in forms: Member subtotas are cacuated based on factors set by your administrator, such as the hierarchies and ogic of the outine, and member properties. To recacuate subtotas on the page, cick Save. If the Cacuate Form cac script is seected to aunch during Save, a subtotas in the form are recacuated based on their members aggregation properties and the form s design and ayout. Saving data automaticay cacuates members that are set to dynamicay cacuate, excuding eve 0 members. The form does not require a cac script to cacuate these members. Cacuations are based on the stored (not the dispayed) vaues. Dispayed vaues might be based on scaing or precision settings. Ony dispayed members are cacuated. If you have read but not write access to some members, subtotas correcty incude their vaues even if they are read-ony. See aso Adjusting Ce Vaues on page 63 and How Spreading Data Works on page Entering Data
Getting the Latest Data To ensure that you are working with the atest data, especiay if other peope are working on the same budget, refresh data. ä To retrieve the atest vaues from the database: 1 Open a form. 2 To save your current work, cick Save before refreshing the data. 3 Seect View, and then Refresh. Exporting Data to Microsoft Exce Exporting data from the form to Microsoft Exce ets you expore what-if scenarios in Exce before copying and pasting vaues back to Panning. 57 6 Working With Business Rues In This Chapter About Launching Business Rues...57 Launching Business Rues...58 Entering Runtime Prompts...58 Runtime Prompts and Approvas...60 Using Business Rues...60 Checking Job Status...61 About Launching Business Rues You can use business rues to cacuate data. Some business rues prompt you to enter information, caed a runtime prompt. After you enter required information and aunch a business rue, the data is updated. Your administrator can set up forms to automaticay aunch business rues when you open or save forms. You can aso aunch business rues from severa contexts. ä To aunch a business rue: 1 Depending on where you are working: When a form is open, its associated business rues are isted in the eft bottom pane. Doube-cick any business rue. With a form open, from the top menu, seect Toos, and then Business Rues. Seect the business rues to aunch, and then cick Launch. If menus are set up in a form, right-cick a row or coumn member in the form, and then seect a business rue from the shortcut menu. See Entering Data with Shortcut Menus on page 41. From a task ist, see Chapter 2, Working with Task Lists. Outside of forms, from the menu, seect Toos, and then Business Rues. See Launching Business Rues on page If the business rue incudes runtime prompts, enter the required information, aunch the business rue, and then cick Cose (see Entering Runtime Prompts on page 58). If the cacuation is successfu, the vaues in the database refect the cacuation resuts. About Launching Business Rues 57
3 Cick Refresh to see the updated vaues in the form. Launching Business Rues ä To aunch business rues from the Toos menu: 1 Seect Toos, and then Business Rues. 2 On the Business Rues page, seect the pan types for which you want to dispay the associated business rues. 3 From Rue Type, seect whether to dispay rues, ruesets, cac scripts, or a cacuation types. To view the business rues in ruesets, expand the hierarchy. Business rues are dispayed in this format: rue_name appication_name pan_type where appication_name pan_type indicate the appication and the pan type to which the business rue is depoyed and wi be aunched against. Red Fags indicate an error in oading chidren members of the rueset. One possibe cause for the error is that the rueset cacuates across appications, and the chid members reside on another server that is not running. 4 Optiona: By defaut, ony cacuations to which you have access are dispayed. To dispay a cacuations associated with the seected pan type, cear the option Dispay ony aunchabe rues, ruesets, and cac scripts. 5 Cick the Launch ink for the business rue, rueset, or cacuation script you want to aunch. None indicates that you do not have access to a business rue. The aunched cacuation may incude runtime prompts. See Entering Runtime Prompts on page 58. See aso About Launching Business Rues on page 57. Entering Runtime Prompts When aunched, a business rue can prompt you to enter variabe information, caed a runtime prompt. The business rue designer sets up runtime prompts. To earn how the dispay and vaues of runtime prompts are affected by certain settings and conditions, see Understanding Runtime Prompts in the Orace Hyperion Panning Administrator's Guide. Notes: If a business rue has a runtime prompt and Use Members on Forms is seected, the defaut member on the runtime prompt window matches the current member in the page or POV axes of the open form. 58 Working With Business Rues
Members and substitution variabes on the Member Seection page are fitered by your access permissions and imitations set for the runtime prompt (for exampe, ony Descendants of Q1). You cannot seect a shared member in a runtime prompt. If mutipe business rues having runtime prompts are aunched when saving the form, enter vaues for each one successivey, using the Next button. ä To enter a runtime prompt: 1 Launch a business rue having a runtime prompt. Your administrator determines your view. 3 If any runtime prompt vaues are not vaid, correct them. Symbos indicate whether the vaues in runtime prompts are vaid: the runtime prompt vaues are vaid. the runtime prompt vaues are not vaid (for exampe, the entry does not exist in the dimension hierarchy). You cannot aunch a business rue unti a runtime prompt vaues are vaid. 4 Optiona: To generate a fie containing the runtime prompt vaues, seect Create runtime prompt vaues fie. Entering Runtime Prompts 59
The fie is saved as rue_name.xml, in the EPM_ORACLE_INSTANCE/panning/ Panning1/RTP/user_name foder. Administrators specify this generated fie when aunching business rues with the CacMgrCmdLineLauncher.cmd utiity (see the Orace Hyperion Panning Administrator's Guide). 5 Cick Launch. If the cacuation is successfu, the vaues in the database refect the cacuation resuts. See aso Checking Job Status on page 61. If you are using an Orace Essbase substitution variabe as the runtime prompt vaue and the vaue of that substitution variabe is outside of the variabe imits, the imits are ignored, and the rue aunches successfuy. Runtime Prompts and Approvas Depending on how the administrator has designed a business rue, to be abe to execute a business rue, panners must have write access to a members seected in runtime prompts and own the affected panning units members. For exampe, a business rue can be designed such that if you have aready promoted a panning unit containing entity Product A, you cannot change the data for Product A using a runtime prompt. Runtime prompts dispay ony members to which you have access. Using Business Rues You can work with business rues if your task incudes them. ä To aunch a business rue when tasks incude forms: 1 In a task that incudes a form, open the form. 65 Spreading Data for Time Periods Subtopics How Spreading Data Works Spreading with Mutipe Currencies Locking Ces Exampes of Spreading Data with Ce Locking Whie working in the Enter Data page, you can spread, or distribute, vaues by: Spreading the vaue in a summary time period back to its base time periods, or to the first parent or first chid of its parent time period. Spreading vaues among chidren and parents proportionay, based on existing distribution. Spreading vaues based on a caendar s weeky distribution in a quarter, which coud be 4-4-5, 5-4-4, 4-5-4, or None (as set up by the administrator). Fiing the parent's vaue to a its descendants Temporariy ocking certain ce vaues whie spreading data over time periods. (See Locking Ces on page 70). You can seect, copy, paste, or adjust mutipe vaues. If you paste data to time periods, Panning appies the spreading rues for each ce in succession, starting from eft to right and top to bottom. The data resuting from a paste operation may not match the origina copied data. See How Spreading Data Works on page 66. Note: You cannot spread data in a summary time period that incudes members with mixed currencies. Note: Vaues for summary time periods are automaticay spread, even if the form uses an aternate hierarchy for Period, so make sure the spread resuts are correct. Orace recommends against entering data into aternate hierarchy members, because the vaues coud spread incorrecty. ä To spread data for time periods: 1 In a form, put the cursor in the ce with the vaue to spread. 2 Enter the vaue. The vaue is distributed according to the rues described in How Spreading Data Works on page Cick Save. See aso Spreading Vaues Using Grid Spread on page 71 and Spreading Vaues Using Mass Aocations on page 72. Spreading Data for Time Periods 65
How Spreading Data Works Factors such as account type, the Time Baance property, existing distribution, member hierarchies, and data type affect how vaues are distributed, assuming that no data ces are ocked (see Locking Ces on page 70). Note: Date and text vaues are excuded when spreading data. The foowing tabe shows exampes of the effect on data of entering or changing a currency or non-currency vaue: Time Baance Property of the Account New Vaue Distribution Exampes FLOW Revenue, Expense, Saved Assumption (where the Time Baance property is set to Fow) To a its chidren and its parents proportionay, based on the existing distribution. The vaue affects the entire Summary Period Roups hierarchy so that the parent time period is the sum of its chidren. If no distribution exists (that is, the vaues for a the chidren are zeros or are missing), and the changed vaue is a Quarter, the vaue spreads down proportionay, based on the weeky distribution (which can be 4-4-5, 4-5-4, 5-4-4, or eveny distributed if the account's spreading is set to None). If the changed parent is a Year Tota or some other kind of summary time period, the vaue is spread eveny. Exampe 1 You change Qtr 1 from 250 to 500, with these current vaues for its months: Jan = 100 Feb = 50 Mar = 100 Resut: 500 is distributed to its chidren proportionay, repacing their previous vaues with: Jan = 200 Feb = 100 Mar = 200 The increment of 250 is aggregated to the parents of Qtr 1. If Year Tota was 1000, its new vaue is Exampe 2 You change March from 100 to 200. Resut: March, Qtr 1, and Year Tota a increment by 100. Jan and Feb remain unchanged. 66 Adjusting and Spreading Data
Time Baance Property of the Account New Vaue Distribution Exampes FIRST A types of Accounts BALANCE Asset, Liabiity, Equity, Saved Assumption (where the Time Baance property is set to Baance) Upward to its first parent and downward to its chid ony if the changed ce is the first chid of its parent time period. The summary time period equas the first of its chid time periods. If no distribution exists (that is, vaues for a chidren are zeros or are missing), the vaue is copied to each of the chidren. Downward to its ast chid and upward to its parent ony if the changed ce is the ast chid of its parent time period. The summary time period equas the ast of its chid time periods. If no distribution exists (that is, the vaues for a chidren are zeros or are missing), the vaue is spread across its chidren. Exampe 1 You change Qtr 1 from 20 to 40, with these current vaues for its months: Jan = 20 Feb =15 Mar = 05 Q1 = 20 Resut: 40 is distributed to its chidren, repacing their previous vaues with: Jan = 40 Feb = 15 Mar = 05 Q1 = 40 Exampe 1 You change Qtr 1 from 30 to 50. Resut: March aso changes to 50. Jan and Feb don't change. Year Tota does not change because Qtr 1 is not its ast chid. Exampe 2 You change Qtr 4 from 100 to 50. Resut: Dec changes to 50 because it is Qtr 4 s ast chid. Oct and Nov remain unchanged, as do Qtrs 1, 2, and 3. Year Tota changes to 50 because Qtr 4 is its ast chid. Exampe 3 You change Qtr 2 to 100 with these current vaues: Resut: Apr = 0 May = 0 June = 0 Apr = 100 May = 100 June = 100 Year Tota is unchanged. Spreading Data for Time Periods 67
Time Baance Property of the Account New Vaue Distribution Exampes AVERAGE Revenue, Expense, Saved Assumption, (where the Time Baance property is set to Average) FILL A types of Accounts Weighted Average - Actua_365 Revenue, Expense, Saved Assumption, (where the Time Baance property is set to Average) To a its chidren and its parents proportionay, based on the existing distribution. The vaue affects the entire Summary Time Period Roups hierarchy so that the parent is the average of its chidren. Assumes an equa number of days in each period, such as 30 days for each month. The vaue set at the parent is fied into a its descendants. Weighted daiy average based on 365 days in a year, assuming that February has 28 days. This does not account for eap years. About Weighted Average - Actua_365: You cannot customize month abes, athough you can use aiases. Years must have tweve months, and quarters must be the sum of three base months. You cannot change the fisca start month after the appication is set up. A months are incuded in the cacuation. #MISSING is treated as 0 in the numerator, and a the days are incuded in missing months in the denominator. This means, for exampe, that QTR means three months, not QTD, and Tota Year means a tweve months, not YTD. Exampe 1 You change Qtr 1 from 5 to 10 with these current vaues: Resut: Jan = 05 Feb = 10 Mar = 00 Q1 = 05 Jan = 10 Feb = 20 Mar = 00 Q1 = 10 Exampe 1 You change YearTota from 100 to 200. Resut: Vaues for Q1, Q2, Q3, Q4 and a months are changed to 200 Note: Consoidation operators and member formuas overwrite FILL vaues when the members are recacuated. Exampe 1 You enter vaues for Jan, Feb, and Mar. For any year, incuding eap years, February is assumed to have 28 days, and Q1 is assumed to have 90 days. Vaue Entered and Number of Days Jan = 9, days Feb = 8, days Mar = 8, days Q1 = 90 days (the tota days for Jan, Feb, and Mar) Resut: Q1 = 8,344 The average for Q1 is cacuated thus: (1) Mutipy the vaue for each month in Q1 by the number of days in that month, (2) Sum these vaues, and (3) Divide the tota by the number of days in Q1. Using 28 for the number of days in Feb, and 90 for the number of days in Q1, the resut is: (9,000 times 31 pus 8,000 times 28 pus 8,000 times 31) divided by 90 = 8, Adjusting and Spreading Data
Time Baance Property of the Account New Vaue Distribution Exampes Weighted Average - Actua_Actua Revenue, Expense, Saved Assumption, (where the Time Baance property is set to Average) Weighted daiy average based on the actua number of days in a year. This accounts for eap years, in which February has 29 days. About Weighted Average - Actua_Actua: You cannot customize month abes, athough you can use aiases. Exampe 1 For a eap year, you enter vaues for Jan, Feb, and Mar. February is assumed to have 29 days, and Q1 is assumed to have 91 days. Vaue Entered and Number of Days Jan = 9, days Feb = 8, days Mar = 8, days Q1 = 91 days (the tota days for Jan, Feb, and Mar) Resut: Q1 = 8,341 The average for Q1 is cacuated thus: (1) Mutipy the vaue for each month in Q1 by the number of days in that month, (2) Sum these vaues, and (3) Divide the tota by the number of days in Q1. Using 29 for the number of days in Feb, and 91 for the number of days in Q1, the resut is: (9,000 times 31 pus 8,000 times 29 pus 8,000 times 31) divided by 91 = 8,341 Exampe 2 For a non-eap year, you enter vaues for Jan, Feb, and Mar. February is assumed to have 28 days, and Q1 is assumed to have 90 days. Vaue Entered and Number of Days Jan = 9, days Feb = 8, days Mar = 8, days Q1 = 90 days (the tota days for Jan, Feb, and Mar) Resut: Q1 = 8,344 Using 28 for the number of days in Feb, and 90 for the number of days in Q1, the resut is: (9,000 times 31 pus 8,000 times 28 pus 8,000 times 31) divided by 90 = 8, 344 Note: The Skip option does not appy to data spreading but affects ony the cacuation of the member hierarchy. If you change a percentage: Regardess of account type, existing distribution, or setting, the vaue is spread eveny across its chidren. If the changed ce is the ast chid of its parent time period, the vaue is copied upwards to its parent. Spreading Data for Time Periods 69
Exampe 1 You change Qtr 1 from 10 to 20. Resut: Jan, Feb, and Mar aso change to 20. However, Year Tota does not change because Qtr 1 is not its ast chid. Exampe 2 You change Feb from 10 to 20. Resut: Jan and Mar do not change because neither one is a chid or parent of Feb. Qtr 1 (and therefore Year Tota) does not change because Feb is not its ast chid. Exampe 3 You change Qtr 4 from 30 to 20. Resut: Oct, Nov, and Dec aso change to 20 because the vaue is copied to Qtr 4 s chidren. Year Tota aso changes to 20 because Qtr 4 is its ast chid. Note: See Adjusting Ce Vaues on page 63 and Spreading with Mutipe Currencies on page 70. Spreading with Mutipe Currencies When data is spread from a parent member to chidren of mixed currencies, the chidren assume the currency type of the parent time period, and data is spread as described in How Spreading Data Works on page 66. When currencies are mixed and a chid time period is changed, the currency of the parent time period assumes the currency type of the chid ony if that time period does not have chidren with mutipe currencies. Locking Ces When spreading or manipuating data, you can temporariy ock ces whie Panning cacuates and fis in other vaues. You can visuay review the changes before saving them. See Exampes of Spreading Data with Ce Locking on page 71. ä To temporariy ock vaues: 1 Seect the ces to ock. 2 Seect Edit, and then Lock/Unock Ces. A tan background indicates that a ce is ocked. If you ock mutipe ces, some of which are aready ocked, a the unocked ces become ocked. You can now spread or manipuate the other data. Exampes of Spreading Data with Ce Locking Exampe 1 Before ocking and spreading, Account A has the vaues described in the foowing tabe: Jan Feb Mar Q1 Account A You then ock the Feb and Mar vaues at 100 and change Q1 from 300 to 600. Because Jan, Feb, and Mar must now tota 600, and Feb and Mar are ocked at 100 each, Panning cacuates Jan to be 400 and fis in that vaue. After ocking and spreading, the data dispays as shown in the foowing tabe: Jan Feb Mar Q1 Account A Exampe 2 Before ocking and spreading, Account B has the vaues described in the foowing tabe: Q1 Q2 Q3 Q4 YearTota Account B You then ock Q1 and Q2 vaues at 100 each and change Year Tota from 400 to 800. Because the yeary tota must equa 800, and Q1 and Q2 are ocked at 100 each, Panning cacuates Q3 and Q4 to be 300 each and fis in those vaues. After ocking and spreading, the data dispays as shown in the foowing tabe: Q1 Q2 Q3 Q4 YearTota Account B Spreading Vaues Using Grid Spread If your administrator has enabed Grid Spread as a form property, you can specify an amount or percentage by which Panning increases or decreases vaues across mutipe dimensions on the form, based on the existing vaues in the target ces. 75 8 Working with Supporting Detai In This Chapter Working with Supporting Detai...75 Adding Supporting Detai...76 Viewing or Changing Supporting Detai...79 Synchronizing Supporting Detai with Essbase...79 Pasting Mutipe Ces into the Supporting Detai Window...80 Working with Supporting Detai Supporting detai serves as a buit-in cacuator for deveoping data that is not in the member outine. It aso provides a way to better understand the basis of the data. For exampe, if the bottom-eve member in your outine is pens, you can add ine items in supporting detai for bapoint, fountain, marker, and so on. Then you can aggregate their vaues to the pen member. Supporting detai heps you buid and communicate bottom-up vaues when panning such corporate expenses as trave and projects, where you must cacuate aggregate vaues. Supporting detai can incude text, vaues, and operators that define how data aggregates. About supporting detai: Supporting detai does not change members in the outine. To create, change, or deete supporting detai, you must have write access to ces. You must have read access to view supporting detai. To protect vaues, you cannot enter, adjust, spread, and save data into aggregate vaues that have supporting detai. The aggregate vaues are read-ony. You can add supporting detai to target and bottom-up versions. You cannot add supporting detai to Summary Time Periods such as Quarters but ony to base time periods (eve 0 members). Number and precision formatting is not refected in the Supporting Detai window. The sequence of operators foows the same ogic as is used to process mutipe operators in a compex cacuation. You can print supporting detai. When using Copy Versions, you can copy supporting detai from one version to another. Working with Supporting Detai 75
Your administrator can copy data, incuding supporting detai, from one dimensiona intersection to another. For exampe, administrators can copy Budget, FY10, Fina to Forecast, FY11, First Draft. They can aso copy data from one business unit to another, or from FY10 to FY11 to prepare a budget. See Adding Supporting Detai on page 76. Adding Supporting Detai Subtopics Exampe of Supporting Detai Totaing When Supporting Detai Ces are Bank Working with the Supporting Detai Hierarchy Use the Supporting Detai window to set how detai items aggregate to ce vaues in a form. ä To add supporting detai that cacuates vaues in a form: 1 Open a form, and then seect the ces. You can seect one ce or a range of contiguous ces in a row or coumn. The section cannot incude a combination of rows and coumns. Seect ces that are in the oca currency so that you can write to them. 2 Seect Edit, and then Supporting Detai. The Supporting Detai window refects your ce seection. 3 Use the buttons to create or change the indented hierarchy to refect the desired structure and cacuations. For exampe, cick Add Chid to add a ine item directy beow the seected item. See Working with the Supporting Detai Hierarchy on page In the Labe coumn, enter a description. The text and its associated operator must be unique among chidren of the same parent. By defaut, you can enter up to 1,500 characters. 5 Set the mathematica reationships among the ine items by seecting an operator for each of them. Seect from these operators: + (add), - (subtract), * (mutipy), / (divide), and ~ (ignore). 6 Enter data to set or cacuate. Enter numbers using the same scaing that was set up for the form. 7 Cick Save. Vaues are dynamicay cacuated and aggregated before the data is saved. Data on the form is aso saved. 76 Working with Supporting Detai
Exampe of Supporting Detai This exampe shows how the first quarter s trave budget for a department is cacuated using supporting detai. These supporting detai Tota vaues aggregate to the Q1 Trave ce in the form. Totaing When Supporting Detai Ces are Bank If a data ce in supporting detai is bank, Panning ignores it when aggregating vaues (instead of assuming that a bank ce means zero). For exampe, you might define supporting detai to cacuate the daiy rate of hiring an instructor ($250) times the number of days per month for which you pan to retain an instructor (4 in January, but none in February). The Instructor tota for Feb is 250, even though you do not intend to hire an instructor in Feb, as shown in the foowing tabe: Jan Feb Instructor Rate Days 4 To correcty tota vaues that are aggregated by the * mutipier when some ces are bank, you can eave the Rate ce bank, or enter a zero in the Days data ce, instead of eaving it bank, as shown in the foowing tabe: Jan Feb Instructor Rate Days 4 0 This causes the rate (250) to be mutipied by 0 (zero), resuting in a vaue of zero. Order of Supporting Detai The supporting detai order affects the resuting vaue that is saved to Essbase. Understanding the cacuation order heps you correcty enter supporting detai. 81 9 Working with Currencies In This Chapter Working with Mutipe Currencies...81 Changing the Currency for a Data Ce...82 Reporting on Data in Mutipe Currencies...82 Working with Mutipe Currencies You can pan and anayze your financia information in one currency or in mutipe currencies, if certain conditions are met. If mutipe currencies are enabed, ces show the currency code. You can: Enter data in oca currencies View or report on data in reporting currencies On forms where the Aow mutipe currencies per entity option is enabed, no currency codes are dispayed for parent entities, even if they have singe- or mutipe-currency chidren. When you run a currency conversion cac script, a currencies on the page are converted. For exampe, you can seect oca, USD, and EUR currency members on the page axis and enter data in the oca currency. The currency conversion cac script dynamicay cacuates the entered data for a currencies seected for that page. In this exampe, the script converts oca currency to USD and to EUR. Currency conversion converts a eves except the Time Period dimension, where it converts ony eve 0 time periods and then aggregates the summary dispayed time periods. 82 Changing the Currency for a Data Ce If an administrator has enabed the functionaity, you can enter data into ces in a currency other than the base currency of the ces. Currencies isted in the Avaiabe Currencies ist can be used for input as a oca currency. Note: To override the base currency for an entity, the ce must be dispayed in the oca currency, and its version must be bottom-up. ä To enter data in a oca currency other than the ce's base currency: 1 In a form, seect a oca currency member for the ce. 2 Optiona: To ook up the currency's code, seect View, then Currency. Avaiabe Currencies shows the appication's currencies. Note the Currency Code for the currency you want to work with, and cose the window. If you cannot seect View, then Currency, mutipe currencies are not enabed for this appication or form. 3 In the right part of a data ce, enter the Currency Code for the ce's currency. Doing this overrides the entity's base currency. The eft part of the ce is for the vaue itsef. 4 Enter or view the data in the eft part of the ce. 5 Seect Fie, and then Save to cacuate and save the vaue. If the Cacuate Currencies cac script is set to run when the form is saved, and the form is enabed for mutipe currencies, the data vaue is dispayed in the currency you seected. Reporting on Data in Mutipe Currencies If an administrator has enabed the functionaity, you can view data in a reporting currency. ä To see data vaues in a reporting currency other than the base currency, in a form, seect another reporting currency. You can ook up the currency code for a currency by seecting View, then Currency. The Avaiabe Currencies ist shows which currencies are set up for the appication. Note the Currency Code for the currency you want to work with, and cose the window. (If you cannot seect View, then Currency, mutipe currencies are not enabed for this appication or form.) Note: You cannot enter data into a reporting currency. You can enter data ony into a oca currency. 82 Working with Currencies

It is the basic unit for preparing, annotating, reviewing, and approving pan data. The foowing sections discuss: Panning Unit States Panning Unit Actions Panning Unit States Panning units are in one of the foowing states: Not Started Initia state of a panning units. An administrator begins the review process by starting a panning unit using the Start action, which changes a panning unit's state. In FreeForm, the Start action changes the panning unit state to First Pass. In Bottom Up, the Start action changes the panning unit state to Under Review and it goes to first in promotion path. In Distribute, the Start action changes the panning unit state to Under Review and it goes to ast in promotion path. Overview of the Review Process 83
Note: First and Last in the promotion path are not states but ocations of where and who owns the panning unit. First Pass Beginning state of panning units seected for the budgeting process. Panning units have no owners during First Pass. Users having access can enter data and promote panning units during the First Pass state. During this state, administrators may excude some or a members from panning units. When a panning unit is ready for review, users seect one of severa actions, changing panning unit status and passing ownership. To be notified by emai if you become the owner of a panning unit, see Setting Up Emai on page 102. Note: When using the Free Form tempate for approvas, ownership does not automaticay pass to another user. Users must assign the next owner. Under Review Occurs after a Promote or Submit action, and signifies that someone is reviewing the panning unit. Ony the current owner or administrators can modify data on panning units whose state is Under Review. Whie Under Review, panning units may undergo iterations of promotions, submissions, signoffs, and rejections unti they are finay approved. Frozen A reated data in descendant panning units is ocked (read ony). The owner who froze the panning units, or an owner above that user, seects Unfreeze to reverse this action. Distributed Mutipe users are reviewing the budget. The reviewers are fitered by permissions and specified reviewers for the distribute action seected (Distribute, Distribute Chidren, or Distribute Owner, see Changing Panning Unit Status on page 96). Signed Off Occurs when Sign Off is seected. Ony the current owner or administrator can modify data or perform an action on panning units whose state is Signed Off. Ownership does not change when a panning unit is signed off. Not Signed Off Occurs when Reject is seected. Ony the current owner or administrator can modify data or perform an action on a panning unit whose state is Not Signed Off. Approved Occurs when Approve is seected. The ast user in the promotiona path (the owner of the panning unit) becomes the owner, regardess of whether they are an owner or a reviewer. Owners can edit the data if they have write access to the member combination that defines the panning unit, and can perform the Approve action. Reviewers who are the ast user in the promotiona path cannot edit the data in the panning unit, but can perform the Approve action. After a panning units are approved, the budgeting cyce is compete. Notes: In a states except the Not Started state, users with read access can view data, view the approva state, view the history, and read and enter annotations. A panning unit may skip approva states. For exampe, an administrator may approve a started panning unit from any state. The review process can be managed at a higher eve with parent panning units. 84 Managing Panning Units
Panning unit owners and reviewers can be individua users, or they can be a group. For information about assigning a group as the owner or the reviewer, see About Group-based Approvas in the Orace Hyperion Panning Administrator's Guide. Note: The actions avaiabe when changing panning unit status depend on which Approvas tempate is seected. For exampe, when using the Distribute tempate, users can seect Submit to pass ownership to the next user in the promotiona path. When using the Bottom Up tempate, however, Submit is not avaiabe. Instead, users seect Promote to pass ownership to the next user in the promotiona path. The Freeze and Unfreeze actions are ony avaiabe for the Bottom-up tempate and Distribute. Note: Optiona for budget administrators: The Entities ist can be dispayed as a tree or fat view. If the dispay is a tree view, expand the hierarchy unti you see the entity or members you want to work with. In a fat view, you can sort the ist by any of the coumns. Panning Unit Actions There are severa actions that can be performed in a panning unit. The avaiabe actions vary depending on what state the panning unit is in. Start Starts the panning unit New panning unit state: First Pass for FreeForm, Under Review for Bottom Up, Distributed Excude Stops the panning unit and deetes a its history New panning unit state: Not Started Originate: Bottom Up Moves the panning unit to first in the promotion path New panning unit state: Under Review Promote FreeForm moves the panning unit to anyone in the ist. Bottom Up moves the panning unit to the next position in the promotion path. New panning unit state: Under Review Reject FreeForm moves the panning unit to anyone in the ist ist. Bottom Up, Distributed moves the panning unit to anyone previous in the promotion path New panning unit state: Not Signed Off Sign Off Moves the panning unit to the Signed Off state Deegate Deegates the panning unit to a newy-seected owner New panning unit state: Under Review Take Ownership Takes ownership away from the current owner. For Groups, caims ownership of the panning unit from the group. New panning unit state: Under Review Return Returns ownership to Group Overview of the Review Process 85
New panning unit state: Under Review Pass When in a group, passes ownership to another user in the group New panning unit state: Under Review Freeze Freezes the panning unit from data entry New panning unit state: Frozen Unfreeze Unfreezes the panning unit and aows data entry again New panning unit state: Under Review Distribute Moves the panning unit to previous in the promotion path New panning unit state: Distributed Distribute Chidren Moves the panning unit to previous in the promotion path. Appied to chidren of the seected panning unit. New panning unit state: Distributed Distribute Owner Moves the panning unit to first in the promotion path New panning unit state: Distributed Submit Moves the panning unit to next in the promotion path New panning unit state: Under Review Submit to Top Moves the panning unit to ast in the promotion path New panning unit state: Under Review Approve Approves the panning unit. This competes the approva process, and panners cannot perform any additiona actions. New panning unit state: Approved Reopen Reopens an approved panning unit. Reopen is avaiabe to panners or interactive users who are ast in the promotion path. New panning unit state: Under Review Using the Approvas Dashboard to View Panning Unit Status You can use the approvas dashboard to view a graphica representation of approvas. This ets you better visuaize approvas status information. Using a view seection option, you can easiy switch between four different views (Process Status view, Leve Status view, Group Status view, and Tree view). Cicking on a section of the chart dispays detaied information about that chart section in the grid dispayed beow the chart. ä To use the approvas dashboard to view panning unit status: 1 Seect Toos, and then Manage Approvas. 86 Managing Panning Units

For exampe, cicking compete panning units in Education on the chart dispays specific detais about those panning units. Tree View Dispays panning units as a hierarchy. You can search for a specific panning unit by name, by aias, or both. Using the Approvas Dashboard to View Panning Unit Status 87
Note: The Tree View is ony visibe to the administrator and to users provisioned with roes to manage tree views. The grid beow the chart in the Process Status, Leve Status, and Group Status views dispays coumns for Panning Unit, Approvas Status, Sub-Status, Current Owner, Location, Path, and other Detais. Above the grid, you can seect an option from the Actions menu or cick an icon to perform the foowing actions: Dispay My Panning Units Dispay ony the panning units for which you are the owner. Cear A Fiters Cear a the fiters that you have set. Defaut Sort Sort aphabeticay in the defaut hierarchica sort order. Vaidate Vaidate data for the seected panning unit against any existing vaidation rues. Change Status Change the status of the panning unit. Refresh Refresh the screen to ensure that a the change you have made are dispayed. In addition to the above actions, you can use the View menu to seect which coumns to dispay or to reorder the coumns, and cick (or seect Detach from the View menu) to detach the pane coection and render the tabe over the page that contains it. For the Tree View, the grid dispays coumns for Panning Unit, Pan Cyce (where you can start or excude a panning unit), Approvas Status, Sub-Status, Current Owner, Location, Path, and other Detais. Above the grid, use the menus and icons to perform the foowing actions: Actions Seect Refresh to ensure that a the change you have made are dispayed. You can aso cick to refresh the data. View Customize the Tree View. You can seect the coumns to dispay, detach coumns, coapse the view, show the seected coumn as the top coumn, go to the top coumn, scro to the first coumn, scro to the ast coumn, and reorder the coumns. 90 7 Optiona: Cick the icon in the Path fied to view the panning unit promotiona path. 8 Optiona: Cick Detais in the Action coumn to view panning unit history, and then cick Done. See Viewing Panning Unit Detais on page 99. Exampe: Approvas Dashboard and Leve Status This exampe uses a hierarchy in which Sr_VP has write access to entity Senior VP and a of its descendants, user VP has access to entity VP and a of its descendants, and so on. In this exampe, assume that a user ogs on to the appication as Sr_Dir_Zone1, seects Manage Approvas, then seects Scen1 and Ver1, and then cicks Go. The user then seects View, then Leve Status. As shown in the foowing figure, My Leve refers to the Location of the panning unit owned by the ogged in user. If the user does not own any panning units (for exampe, if the user is a reviewer), My Leve refers to the highest eve (such as the highest Entity eve) to which the user has read/write access. The dashboard status, Compete or Pending, denotes whether or not the panning unit has reached the eve seected in the Leve Reached drop-down ist. If the panning unit is at the seected eve or at a higher eve, its status dispays as Compete. If the panning unit has not yet reached the seected eve or above, its status dispays as Pending. Assume that the ogged-in user, Sr_Dir_Zone1, owns a panning unit at eve (or Location) Senior Director Zone1. As shown in the foowing figure, the Location coumn shows that 90 Managing Panning Units
a panning units are beow, and none are at or above eve Senior Director Zone1. The status shows that, for the panning units to which this user has access, 100% are Pending. In this exampe, the ogged-on user, Sr_Dir_Zone1, seects 1 Leve Beow in the Leve Reached fied. Panning units owned by directors of individua products are one eve beow the ogged-on user, Sr_Dir_Zone1. Because a panning units are at the director eve, the dashboard shows 100% of panning units as Compete, as shown in the foowing figure. Note: Compete and Pending status are not reated to Approvas Status or Sub-Status of the actua panning unit. The user can cick the graph to refresh the corresponding information isted at the bottom of the Manage Approvas page. In this exampe, assume that another user ogs on as Dir_prodD and promotes Director Zone1 Product D Panning Unit so that Senior Director Zone1 becomes the owner of this panning unit. Then user Dir_prodA ogs on, seects Toos, then Manage Approvas. Then the user seects Scen1 and Ver1, cicks Go, and then seects View, then Leve Status. User Dir_ProdA has read access to IDescendants (Director Zone1) and write access to entity Director Product A. Due to this access, user Dir_ProdA sees two options in the Leve Reached drop-down ist: My Leve and 1 Leve above. When this user seects My Leve in the drop-down ist, a the panning units to which user Dir_ProdA has access have reached the eve of Dir_ProdA or above. If the user cicks the dashboard graph to refresh the tabe at the bottom of the screen, the Location coumn shows that a panning units are at or above eve Director Zone1 ProductA. The status shows that, for the panning units to which this user has access, 100% are Compete. Exampe: Approvas Dashboard and Leve Status 91
If this user then seects 1 Leve Above in the Leve Reached drop-down ist and cicks the Compete, 25% portion of the graph, the graph shows that, for the panning units to which Dir_ProdA has access, one out of four have reached 1 Leve Above or Senior Director Zone 1 Location. The Director Zone1 Product D panning unit that had been promoted earier is now at Location Senior Director Zone1. Cicking the Pending, 75% portion of the graph shows the three out of four panning units to which Dir_ProdA has access that have not reached the 1 Leve Above Location. These panning units are appropriatey shown as Pending. Exampe: Approvas Dashboard and Group Status Group Status is a different way of visuaizing the information shown by the Leve Status option. As with the previous exampe, this exampe uses a hierarchy in which user Sr_VP has write access to entity Senior VP and a of its descendants, user VP has access to entity VP and a of its descendants, and so on. In this exampe, consider that a user ogs on as Dir_prodA, seects Toos, then Manage Approvas, then seects Scen1 and Ver1, and then cicks Go. The user then seects View, then Group Status. As shown in Exampe: Approvas Dashboard and Leve Status on page 90, when user Dir_ProdA seects My Leve, a panning units to which this user has access have reached this eve or a higher eve, so a panning units are shown as compete. As shown in foowing figure, four panning units at My Leve are aso dispayed as Compete. 92 Managing Panning Units
Assume that Dir_ProdA then seects 1 Leve Above in the Leve Reached drop-down ist, seects My Leve in the Group By drop-down ist, and then seects Location from the List By drop-down ist. As shown in the foowing figure, the graph shows that 1 Leve Above is associated with Location Senor Director Zone1. One panning unit, Director Zone 1 Product D, has reached this eve. The other three panning units have not yet reached this eve. Three panning units are dispayed as Pending, and one panning unit is dispayed as Compete. In this exampe, assume that the user seects 1 Leve Above in the Group By drop-down ist. The user can then cick portions of the graph to view the detais dispayed in the tabe at the bottom of the screen. Note that the Group By and List By seections do not change the content of the information shown for the Leve Reached option. Seecting different options in the Group By drop-down ist changes the visua representation of the information dispayed by the option Exampe: Approvas Dashboard and Group Status 93
seected in the Leve Reached drop-down ist. Seecting different options from the List By dropdown ist changes the abe on the horizonta axis of the graph. Vaidating Panning Units The panning unit moves from one reviewer to another unti the budget process is compete. Each reviewer must vaidate the panning unit before sending the budget to the next reviewer. The vaidation runs a data vaidation rues defined for the panning unit with which the reviewer is working, and reports any data errors or changes in the panning unit promotiona path. The seected Approvas tempate determines the first user to review the budget. The first user competes the assigned tasks, then promotes (Bottom Up tempate) or submits (Distribute tempate) the budget. If approvas notifications are set in preferences, the next owner is aerted that the budget requires attention. Other users may aso be notified when the budget passes from one user to another. The review process foows the promotiona path uness an event triggers a change. Events that affect the promotiona path incude: Exceeding or not reaching expense boundaries for budget items such as saaries, new hires or capita equipment The current owner returning the budget to the previous owner for additiona information The current owner requesting hep from an authorized user who is not necessariy on the promotiona path ä To vaidate panning units: 1 Seect Toos, and then Manage Approvas. 2 For Scenario, seect a scenario. 3 For Version, seect a version. 94 Managing Panning Units
4 Cick Go to dispay the panning units associated with the seected scenario and version combination. The panning units isted are enabed for approvas. You can dispay panning unit members as a tree or a fat ist, expand the hierarchy, and cick a coumn header to sort the ist. 5 Order the panning unit ist by its contents by right-cicking the coumn heading in any coumn containing. Fiter the ist by doube-cicking in a coumn heading to open the Fiter diaog box, and then seecting options appropriate for the coumn. For detaied information on ordering and fitering panning units, see steps 5 and 6 in Using the Approvas Dashboard to View Panning Unit Status on page Seect Fat View, seect the panning unit, and then cick Vaidate to run a data vaidation rues associated with the panning unit. If the conditions in a associated data vaidation rues are met, the message No Additiona Approva Needed is dispayed in Sub-Status. This indicates that the panning unit can be promoted. 7 If any other message is dispayed, review the data vaidation report, and then take any necessary actions. See Viewing and Resoving Panning Unit Vaidation Probems on page 95. Note: You cannot vaidate a panning unit that has not been started. Note: Seecting Promote aso runs the vaidation rues defined for the panning unit. If the conditions in a associated data vaidation rues are met, the panning unit is promoted to the next owner defined in the panning unit promotiona path. Viewing and Resoving Panning Unit Vaidation Probems When panning unit vaidation returns a message indicating a probem, review the vaidation report, correct any data errors found, and take any other necessary actions. For exampe, the next reviewer you specified may not be the next reviewer in the promotiona path, and you woud need to seect the correct reviewer. ä To view and resove vaidation probems: 1 Check the message in Sub-Status for the panning unit, and then make the necessary changes to fix the probem. For exampe, if the message is Faied: Unauthorized New Owner, specify an authorized owner as the next reviewer. The possibe probem messages in Sub-Status are: Faied: Unexpected error Faied: Not Enough Access Faied: No Rue Defined For Action Faied: Unauthorized New Owner Viewing and Resoving Panning Unit Vaidation Probems 95
Faied: Incorrect Owner Specified Faied: Invaid Data Faied: Additiona Approva Required Faied: Ambiguous Automatic User Faied: Circuar Out of Office Faied: No Essbase Connection 2 If the message is Faied: Invaid Data, or Faied: Additiona Approva Required, cick the message to view the vaidation report, and then find and resove the probems as foows: a. Review the vaidation report messages. Note: Depending on whether you are working in EPM Workspace or Standaone Panning, the vaidation report opens in a new tab or a new browser window. b. In the eft pane, cick each page name to view the forms containing the error or message, and then cick each page combination to open the form and dispay its vaidation errors and messages. c. Resove any data errors and take any necessary actions for each page, and then cick Save to save the changes. d. Cose the tab or browser to cose the vaidation report, and then seect the Approvas page. e. Cick Vaidate again to ensure that the panning unit no onger has any vaidation probems. If probems exist, fix them, and then revaidate unti a probems are resoved. Changing Panning Unit Status Panning units change status each time reviewers pass the budget to another reviewer. Panning units are assigned a status based on what action a reviewer takes to send the budget to another reviewer. Note: If the status of a parent panning unit changes, a its chidren change too, uness they were excuded during the First Pass state or were approved. ä To change panning unit status: 1 Seect Toos, and then Manage Approvas. 2 From Scenario, seect a vaid scenario, and then from Version, seect a vaid version. 3 Cick Go. 4 Seect Fat View, and then cick Change Status. 5 Cick Detais for the appropriate panning unit. 96 Managing Panning Units
6 From Seect Action, seect: Originate: Changes the ownership of a seected panning units (incuding a descendants) to the first owner defined for that panning unit in the panning unit hierarchy. Note: The panning unit first owner differs between the Distribute and Bottom Up tempates. With the Distribute tempate, the first owner is the owner at the top of the panning unit hierarchy. With the Bottom Up tempate, the first owner is an owner at the bottom of the panning unit hierarchy. Start: Begins the budget process, and changes the panning unit status to First Pass. This action is avaiabe in Tree View. Promote: Passes the panning unit to another user to review. This action assigns ownership of a panning unit the first time, and thereafter transfers ownership of a panning unit from one reviewer to another. Promote causes an impicit sign-off by the current owner and changes the panning unit status to Under Review. Excude: Excudes a panning unit from the budget process. This action is avaiabe in Tree View. Reject: Indicates the panning unit requires more work from the previous owner. Reject typicay requires the previous owner to create another iteration. By defaut, Reject returns panning unit ownership to the previous owner, but you may seect the next owner. Reject changes the panning unit status to Not Signed Off. Approve: Approves the panning unit and changes its status to Approved. With the Distribute or Bottom Up tempates, ony the ast owner in the promotiona path can approve the panning unit. With the Free Form tempate, a user can approve panning units from any status except Not Started. Ony an administrator can approve from a Not Signed Off or First Pass status. Approving a panning unit is an impicit reviewer sign-off. Typicay, a panning unit is approved ony once. However, an administrator can reject an approved panning unit, requiring a second approva. Deegate: Passes ownership to a user not on the promotiona path. Seect a user from Seect Next Owner to pass ownership to that user. The specified user seects Promote when done to return the budget to the user who seected Deegate. This action is avaiabe with the Bottom Up and Distribute tempates. Take Ownership: Become the owner of the panning unit and any eve 0 panning units under a seected parent panning unit. Avaiabe to the current user and users above the current panning unit owner in the panning unit hierarchy. Freeze: Locks a reated data in descendant panning units. This action makes a reated data read ony, but does not change ownership of any panning unit. The owner who seects this status or an administrator sets the panning unit status to Unfreeze to reverse this action. Distribute, Distribute Chidren, or Distribute Owner: Passes panning unit ownership to mutipe users. Distribute actions work differenty, depending on the current ocation Changing Panning Unit Status 97
of the budget in the panning unit hierarchy. These actions are for a panning unit hierarchy using the Distribute tempate. Distribute assigns ownership to the members at the current eve of the panning unit hierarchy. Distribute Chidren assigns panning unit ownership to the chidren of the current owner. Distribute Owner assigns panning unit ownership to the eve 0 owner defined during panning unit hierarchy creation. Sign Off: Signs off on a panning unit. Sign Off does not transfer ownership of the panning unit, but changes its state to Signed Off. Submit: Submit the panning unit to the next eve. Submit to Top: Give ownership to the top user defined in the hierarchy. Reopen: Reopen an approved panning unit. 7 Optiona: Cick Add Annotation to enter comments. See Adding or Viewing Panning Unit Annotations on page Cick Done. Adding or Viewing Panning Unit Annotations Annotations are comments about the data in a started panning unit. You must have at east read access to the panning unit to view or add an annotation. Annotations can vary by combinations of scenario, version, and panning unit members. ä To add a panning unit annotation: 1 Seect Toos, and then Manage Approvas. 2 From Scenario, seect a vaid scenario, and then from Version, seect a vaid version. 3 Cick Go. 4 Cick Detais for the appropriate panning unit. 5 Cick Add Annotation. 6 In Enter Tite, enter an annotation tite. 7 In Enter Annotation, enter your comments (up to 1500 characters; however, on mutibyte systems, Orace recommends imiting annotations to 750 characters). Note: 8 Cick Submit. You can enter a URL that wi dispay as a hyperink when the annotation is viewed. Note: You can aso add annotations to panning units from the Enter Data page. To dispay this page, seect a panning unit, cick Edit, and then cick Annotate Panning Units. 98 Managing Panning Units
ä To view annotations for a panning unit: 1 Seect Toos, and then Manage Approvas. 2 From Scenario, seect a vaid scenario, and then from Version, seect a vaid version. 3 Cick Go. 4 Cick Detais for the panning unit to view. 5 Under Existing Annotations, read the panning unit's comments. 6 Cick Done. Printing Panning Unit Annotations Administrators can print panning unit annotation reports (see the Orace Hyperion Panning Administrator's Guide). Viewing Panning Unit Detais You can view historic information for panning units if you have at east read access. Information incudes approva status, current owner, ast action taken, and the date and time panning unit status ast changed. You can aso change panning unit status from this page. ä To view panning unit detais: 1 Seect Toos, and then Manage Approvas. 2 From Scenario, seect a vaid scenario, and, from Version, seect a vaid version. 3 Cick Go. 4 Cick Detais to dispay panning unit history, and then cick Done. 5 Optiona: Seect Change Status to change the status of the panning unit (for exampe, promote the panning unit). If you seect Change Status, you can aso cick Promotiona Path or Add Annotations. See Changing Panning Unit Status on page Cick Done. Seecting an Aternate Reviewer When a reviewer is out of the office during the budget review process, you can seect an aternate reviewer to hande review responsibiities whie the user is away.
