Director of Information Technology CALL TO ORDER The Board of Directors of Coastal Pines Technical College met, 12:03 p.m., at the Golden Isles Instructional Site. Ted Buford, Board Chair, called the meeting to order and Phillip Cook asked the invocation. ACTION ITEMS Approval of Agenda Upon a motion by Patrick Ebri, a second by Gwen Mungin, the Board unanimously approved the agenda for the meeting. Approval of Minutes Upon a motion by Greg Jacobs, a second by Joel Hanner, the Board unanimously approved the minutes of the November 13, 2014, Coastal Pines Technical College Board of Directors meeting. Academic Affairs January 2015 Instructional The attached chart compares Academic Affairs classes by program for Spring 2014 and Spring 2015 semesters. Duplicated enrollments and online enrollments for each program are compared as shown in the last five columns on the right side of the chart. Comparisons show the number of classes in Spring 2015 decreased by 17.1% but duplicated enrollment decreased by only 5.3% (Spring 2015 registration is continuing at the time of this report and will affect the final duplicated enrollment for the semester). The Automotive Collision Program had the largest percentage decrease (-87%), decreasing from 23 classes in Spring 2014 to 3 classes in Spring Duplicated enrollment in that program decreased by -93%, from 60 in Spring 2014 to 4 enrolled in Spring Other programs with decreased classes and decreased duplicated enrollments are: Business Administrative Technology, -37.7%; Culinary Arts, -23.1%, Commercial Truck Driving, - 50%, Electronics Technology, -50%; Industrial Systems Technology, -38%; Allied Health Sciences, -22.5%; and Clinical Laboratory, -14.3%. Programs that had an increase in the number of classes and an increase in duplicated enrollment are: Cosmetology, 26%; Automotive Technology, 5.6%; and Electrical Systems, 13.3%. The average class size for the College increased by 14.3% in Spring, 2015 when compared with Spring, The ratio of student enrollment for online classes to total duplicated enrollment increased by 42.4% for the College during Spring, 2015.

2 2 Student Progress Ten Practical Nursing students at the Jesup Instructional Site completed their program and participated in the Pinning Ceremony on December 4 th. Other Allied Heath Program students who completed their programs during December were: 10 Practical Nursing students at Jesup; 13 Practical Nursing students at Waycross; 8 Clinical Laboratory Technology students at Waycross; 9 Respiratory Care Technology students at Waycross; 8 AEMT students at Waycross, and 2 AEMT students at Jesup. A total of 39 of the 41 TRF cohort members have been registered for Spring, 2015 classes. The remaining four should be registered before classes start on January 12 th. Academic Affairs Personnel Dr. Abraham Pallas will make presentations during the February TCSG Academic Affairs Leadership Workshop in Macon. His topics will be Leadership and Time Management. Terry Simmons, Full-time Automotive Collision instructor, resigned on January 5 th. Alicia Sumpter, Full-time Cosmetology Instructor, is a new hire and started work in Alma on January 5 th. Dr. Al Cunningham is scheduled to participate in the Leadership Camden, Higher Education Planning Meeting for Camden County Schools on January 12 th.

3 3 Administrative Services January 2015 Items for Information 1. Implementation of HigherOne Refund Management a. Administrative Services began working with HigherOne in December 2014 to implement a new refund management system to be in place for Spring Semester Monica O Quinn is the project manager. The implementation process has included the following: 1. Completion and signing of a one year agreement. 2. Completion of launch documents. 3. Coordination of removal of current ATMs on Jesup and Waycross locations. SunTrust will be removing current ATMs on January 12, New HigherOne ATMs will be installed on January 28 th (Waycross) and January 29 th (Jesup). 4. Coordinating kick-off meeting and conference calls with HigherOne and several CPTC staff to review details of implementation. 5. Training of several CPTC staff using HigherOne s etrain system regarding administration of the refund management program. 6. Sending test files from CPTC to HigherOne. 7. Testing of system with HigherOne cards issued to several staff. 8. Informing students, faculty, and staff of the new HigherOne refund management system through , posters, Facebook, Angel, and CPTC website. The new system is being implemented due to the cancellation by SunTrust of its contract with TCSG to provide refund management services and debit cards to credit students. 2. Human Resources a. Coastal Pines Technical College will be implementing an online Absence Management System in May We have been participating in conference calls with TCSG and the State Accounting Office. We will be participating in the training provided by TCSG and the State Accounting Office. Training will be provided to the CPTC staff by the CPTC Human Resources staff. c. The Human Resources staff will be working with TCSG and the State Accounting Office during January 2015 to issue 2014 W-2s for employees of

5 5 Altamaha Technical College, Okefenokee Technical College, and Coastal Pines Technical College. d. Three new staff members joined CPTC Administrative Services staff in December 2014: LaRonda Dickens Accounting Technician Jesup Fidaa Saif Accounting Technician Golden Isles Christina Smith Bookstore Assistant Jesup e. Coastal Pines Technical College is providing to all full-time employees online training, which meets the required TCSG annual staff development. Staff Development training courses via Kantola Productions must be completed by June 30, Each full-time employee has received an from Kantola Productions with a link to access the videos. The online training includes the following: Bloodborne Pathogens General Harassment: Sex, Religion and Beyond - Managers/Employees HazMat: What You Need To Know Power of Positive Discipline The Drug-Free Workplace: Setting the Standard Workplace Ethics. 3. Banner AR a. Credit students enrolled in Altamaha Technical College, Okefenokee Technical College, and/or Coastal Pines Technical College who paid for certain fees and charges during 2014 will be issued a 1098-T during January Bookstore a. The renovations of The College Store on the Waycross Campus have begun. The projected completion date is April Purchasing a. The 2014 Security and Immigration Reports for Altamaha Technical College, Okefenokee Technical College, and Coastal Pines Technical College were submitted to the Georgia Department of Audits by the December 31, 2014, deadline. b. A purchasing self-audit for Altamaha Technical College and Okefenokee Technical College for FY2014 will be completed and submitted to DOAS State Purchasing by February 19, Reporting a. The TCSG Program Cost Survey for Altamaha Technical College and Okefenokee Technical College for FY2014 is in the process of being completed. The deadline to submit to TCSG is January 31 st. 7. Staff Development a. Melissa Lamb will attend the TCSG Executive Leadership Academy meeting in Callaway Gardens on January 20 th through 22 nd. b. Angie Crews will attend the TCSG Administrative Services Academy meeting in Savannah on January 21 st and 22 nd. c. Angie Crews and Kathy Kovach attended the DOAS State Purchasing s. Purchasing Self- Audit training on December 15 th in Swainsboro, Georgia.

6 6 8. Meetings a. Monica O Quinn and Angie Crews will attend the Vice Presidents of Administrative Services Meeting in Savannah on January 21 st through 23 rd. Economic Development Report January 2015 Dr. Deibert announced that Dr. Pete Snell would be our new Vice President for Economic Development. He will be on the Waycross campus for now. Adult Education EAGLE Awards Final packet for state EAGLE competition was submitted to TCSG on Sarah Williams (from Glynn Co.) will be the CPTC representative. The EAGLE Conference will be held in Atlanta on March Sarah will be accompanied by Shawn Williams (Glynn Adult Ed Instructor) and Kelly Peacock (Director of Adult Ed). Business and Community Services, Jesup CPR/First Marketing to Childcare Centers Economic Development reviewed a list of childcare facilities, provided by Bright from the Start, operating in CPTC s service delivery area. On December 18, CPTC sent 34 flyers to childcare facilities in Wayne, Appling, and Long counties. By January 15 another 68 flyers will be sent to all remaining childcare facilities within the service delivery area. Fundamentals of Photography Course This course was offered at GICA beginning January 5. It will cover 5 weeks/7 sessions for $100. As of January 5, 10 people confirmed attendance. The course was marketed via blast to Glynn, Camden, and McIntosh Chambers; Glynn and McIntosh Family Connections; Glynn and Kings Bay Employer Committees. Manufacturing Appreciation Week Beginning December, requests for nominations were sent to Chambers/Development Authorities in Long, McIntosh, Glynn, Camden, Brantley, and Charlton Counties. Follow-ups will be conducted this week (Rodgers Rail will be our small business candidate). Business and Community Services, Waycross South Georgia Regional Commission Area Agency on Aging CPTC conducted 2 days of CPR/First Aid Training December at the SGRC Waycross Facility, 17 participants were trained. CPTC is currently working on additional partnership opportunities. Manufacturer s Appreciation Week Nominations Local Nominations are due to Economic Development January 7, :00 noon. Nominations are due to QuickStart January 23, 2015 Manufacturer s Appreciation Week is scheduled for April in Atlanta. The Awards Luncheon will be April 14.

7 7 Prescribed Burn Certification Course CPTC, in partnership with Georgia Forestry Commission, will offer a Prescribed Burn Certification Course February on the Waycross Campus. The cost of the course is $85 and limited to the first 30 participants. Pre-registration is required. Senior Management Introduction to Lean Manufacturing CPTC will be offering a Senior Management: Introduction to Lean Manufacturing course January 21 from 11:30 AM 1:30 PM on the Waycross Campus. This course if FREE to all attendees and recommend for production supervisors, human resource managers, and other senior level personnel. Pre-registration is required by January 15 (extended one week due to the holidays). Campus Police, Safety, and Security Monitors for hallways Maintenance is currently finishing the process of mounting the monitors throughout the Waycross campus. Tech support will need to run the Cat 6 cable to connect them to the server. Rave Alert The Rave Alert system was purchased for Mass- Notification campus wide. Chris Missel, with Tech Support, is still currently working on this project. Traffic Issues on the Waycross Campus CPTC has received complaints of speeding vehicles in front of the Allied Health Building on the Waycross Campus. This traffic lane runs from George Street, in front of the Allied Health Building, down to the cul-de-sac and back out to Carswell Ave. Economic Development will check on the feasibility of placing a couple of speed bumps in that area. Currently, CPTC has speed bumps placed on the campus in other areas and it has proven effective in controlling the traffic. Institutional Effectiveness/Provost January The SACSCOC Annual Meeting was held December 6-9 in Nashville, TN. Attending on behalf of CPTC were: Dr. Glenn Deibert, Dr. Al Cunningham, Karla Eubanks, Lonnie Roberts, Dr. Teresa Allen, Vince Jackson, and Chad Swanson. At this meeting, the SACSCOC Board of Trustees continued the accreditation of CPTC based on the Substantive Change Committee s report of their on-site review in October. This was the last step in the merger process becoming final. 2. Many CPTC programs have specialized, programmatic accreditation. IE has been recently working with and overseeing several programmatic accreditation matters. CPTC has received notification from HVAC Excellence that the Air Conditioning Technology program s annual report for all locations was reviewed and accepted. The Air Conditioning Technology program at Waycross, Jesup, Golden Isles, Camden, and FCI remains in compliance with standards, and accreditation is continued.

8 8 3. IE staff met with faculty and staff on December 11 to provide/update training on Stingray SPIRIT. Faculty/staff worked on annual plans, goals, student learning outcomes, program outcomes, and budgets. 4. Work is underway on identifying room/space needs at GICA after the new building on the Golden Isles Campus is completed. Meetings have been held with Glynn County BOE and GICA staff. 5. Work is also underway on planning and updating old OTC/ATC signage on campuses and adult education sites. Institutional Advancement Report January 2015 Marketing The Coastal Pines Technical College mascot made its first appearance December 11 in Jesup at the C. Paul Scott Polytechnical Center during the professional development activities. Dr. Deibert introduced the mascot as a new hire who would assist faculty and staff with recruitment. Chad Swanson wore the costume for the reveal. CPTC enjoyed a delicious meal as part of the day in celebration of Christmas. The Student Affairs Division was highlighted on The Butch and Bob Show in December. Jovon Jones was the guest on the morning show. She shared upcoming enrollment and registration dates and other admissions information. The cosmetology program will be highlighted in January on the show. Waycross-Ware County Chamber of Commerce Doughnuts & Dialogue Coastal Pines Technical College hosted the 2014 Doughnuts & Dialogue, a Waycross-Ware County Chamber of Commerce event. A record number of people, approximately 130, turned out for the community affair, which was held the morning of November 18 on the Waycross campus in the Miller Lecture Hall. The program consisted of la question and answer session in which local and state representatives fielded questions from a moderator. The questions were submitted prior to the event. Wayne County Chamber of Commerce Banquet CPTC was well represented at the Wayne County Chamber of Commerce General Membership Luncheon held December 1, Aubrey Brown, manager of regional development for CSX Railroad in Georgia, was the keynote speaker. Eight CPTC officials attended. Dual Enrollment Events Austin Johnson, Rana Zauner, and CPTC high school coordinators coordinated regional recognition events for high school leadership teams that coordinate and promote dual enrollment programs. To meet the scheduling needs of its 14 partnering high schools, the group customized the event for each region, holding a lunch for the Rivers Division December 2 in Jesup, a brunch for the Coastal Division December 3 in Brunswick, and a brunch for the Southern Division December 4 in Waycross. High school counselors, dual enrollment coordinators, principals, and superintendents were invited. The events were well attended. The program agenda included a presentation on the College, another presentation on the dual enrollment program, and an awards ceremony.

9 9 Appreciation is extended to Georgia Pacific Cellulose who donated $20,000 to the ATC Foundation to support and promote high school dual enrollment and ACCEL programs throughout the Coastal Pines Technical College service delivery area. A portion of the donation was used to fund the events, which enabled CPTC to further promote high school initiatives. MAW Artwork Competition The 2014 Manufacturing Appreciation Week (MAW) Student Design Competition deadline is approaching January 16, K-12 students from the CPTC service area are encouraged to submit artwork depicting the importance of manufacturing to their lives and communities. Legislative Event Legislators representing the CPTC service delivery area were invited to join college officials, board directors, and trustees November 13 for dinner and a short program at the Economic Development Training Center. The event followed the December board meeting. After thanking legislators for their support, CPTC President, Dr. Glenn Deibert, presented the latest information on the merger, enrollment, and facilities. He also shared last year s accomplishments and progress resulting from the 2014 legislative actions, as well as CPTC s future plans to impact student success. Deibert asked those present to continue to support dual enrollment as a statewide initiative and encourage area school systems to continue to participate in dual enrolled programs. Dr. Deibert shared details of several major projects that may be brought before legislators in the upcoming session and, if acted upon, will impact the College and its state-affiliated agency, the Technical College System of Georgia. Appreciation is extended to AT&T for sponsoring the event Holiday Luncheon CPTC past and present employees enjoyed the 2014 Holiday Luncheon held at the Polytechnical Center in Jesup December 11 as part of professional development day. The event recognized and celebrated ATC, OTC, and CPTC retirees, 2014 faculty and student accomplishments, and the recent SACSCOC visit. Advancement OTC Foundation December Contributions Mayo Clinic Health System in Waycross donated $65,000 for an allied health faculty position. The Mayo Clinic Health System in Waycross Auxiliary donated $10,000 for student scholarships and the Auxiliary s endowed scholarship fund. Satilla REMC donated $10,000 for scholarships, programs, and capital projects. The donation was split between the two CPTC foundations. The Monroe Foundation donated $5,000 for student scholarships. Georgia Power, Wade & Rosemary Strickland, and various other supporters also made generous contributions in support of CPTC students and programs. Satilla REMC Check Presentations The Satilla REMC Foundation and Satilla REMC officials presented two checks totaling $10,000 December 17 in support of CPTC. As part of the ATC Foundation s regularly scheduled meeting, Hinson Mosley, a Satilla REMC board director, presented a $5,000 check to Dr. Deibert, Doug Ellis, and Melinda Laager for the ATC Foundation.

10 10 Satilla REMC CEO Romeo Reyes, Satilla REMC Foundation Chair Jim Tucker, and Sue Johnson met with Dr. Deibert and Cindy Tanner later in the day to donate $5,000 to the OTC Foundation in support of CPTC programs and students. Members of the Satilla REMC have invested more than $95,000 toward the educational futures of students who attend CPTC through the Satilla REMC Foundation Round-Up program. Wainwright Foundation Event Altamaha Technical College Foundation trustees thank everyone who purchased tickets for the Dierks Bentley event. The $1,160 raised by the ATC Foundation will benefit adult education. The Dierks Bentley and Thomas Rhett concert was held December Toolbox Scholarship Golf Tournament Report The OTC Foundation 2014 Toolbox Scholarship Golf Tournament was a terrific success. As you may recall, we had 72 players (18 teams) and 35 sponsors. The revenue from the event totaled $25,060. Thanks to in-kind donors, expenses totaled only $4,128.06, making the benefit to students $20, through Toolbox Scholarships. Thank you to everyone who contributed and volunteered! Toolbox scholarships pay for approximately 40% of a scholarship recipient s out-of-pocket expenses for tuition, books, and required program supplies. The Foundation establishes third-party accounts and pays the college directly for qualified expenses. In 2013, the OTC Foundation assisted 133 students using the Toolbox Scholarship Fund. GIMOAA Scholarships Melinda Laager met with the Golden Isles MOAA scholarship committee and two representatives from IAP to determine the Spring Semester 2015 scholarship recipients. Three recipients were selected and each was awarded a $2, scholarship. Sporting Clay Event ATC Foundation trustees will be sponsoring the clay event this year at Dorchester in Midway. The fundraiser is scheduled for April 25, Please mark your calendar. Student Scholarships The ATC and OTC Foundations have awarded numerous scholarships and grants for spring semester. Both foundations are still considering some applications and continue to make awards when students qualify. Grants for Consideration Three grants were completed in December for consideration within the next few months: United Way of Coastal Georgia, Hello Good Buy, and Rayonier Advanced Materials. IA Peer Group Meeting & GEAC Conference Melinda Laager and Cindy Tanner attended an Institutional Advancement peer group meeting and the GEAC Annual Conference November in Savannah.

11 11 Glynn County Adult Education Proposal Melinda Laager and the Adult Education team from CPTC are working on a proposal requesting funds to market the GED program and the Glynn County GED program for the new jail facility. In April the group will meet with several community leaders to determine next steps and possible funders. Student Affairs Board Report 1. New Student Orientation Attendance for Spring Semester 2015 The Special Services Team conducted New Student Orientation on all campuses/sites December With assistance from Admissions staff and Recruiters/HS Coordinators, CPTC new students were signed in, photo ID s were taken, parking decals were issued, and each student in attendance was given a CPTC information packet before viewing a presentation from the Special Services Team. Deans and many faculty and staff on all campuses/sites participated as well. 2. Admissions and Dual Credit Dual Enrollment As of January 15th, CPTC dual credit enrollment for Spring 2015 was 628. Combined dual credit enrollment for ATC and OTC for Spring 2014 was 350. We are currently showing an increase of 226 students or 65%. 3. Hazlehurst/Jesup staff positions Kim Hartley was hired as the Student Affairs Assistant for Hazlehurst site. She will start Monday, January 5 th. Jennifer Skipper will fully train Ms. Hartley then will transfer to the Jesup site to fill the Student Affairs Assistant position there. 4. Graduation Ceremony The first CPTC graduation ceremony is scheduled for Saturday, January 31, 2015 at the Wayne County High School Auditorium at 11 a.m. Dr. Patrick Ebri will be the speaker. Participating faculty and staff are asked to arrive by 10:30 a.m. We anticipate 140 credit students participating and 20 GED Graduates. President s Board Report Technical College System of Georgia (TCSG) Personnel Changes On December 4, 2014, Commissioner Corbin was approved by the State Board of the TCSG. During our Presidents Council Meeting (January 5-7) Commissioner Corbin released the new TCSG Organizational Chart. The chart includes the new leadership team members hired by the new Commissioner. 12 12 Haley Allison Darlene Smith Brian Harris Special Assistant to the Commissioner Executive Assistant to the Commissioner Project Manager with our Military Affairs team Camden County Meeting On December 30, 2014, I met with 10 community partners in Camden County to discuss the appropriate strategies for this year s Camden Fly-In. In attendance were representatives from the: (1) K-12 system, (2) Chamber, (3) Camden Partnership and Development authority. Representative Spencer was in attendance as well. J-233 (Kingsland) The Camden renovations are scheduled to go out for bid this month. TCSG-315 Project (Waycross) On December 16, 2014, the acquisition of the acres from the City of Waycross was approved by the State Property Commission. The land is a 60 feet wide by 852 feet long right of way that runs through the middle of the college s campus. This right of way was previously a part of Isabella Street that was later closed and remains as a drainage easement that is maintained by the City of Waycross. The planned construction of a new Welding and Computer Information Systems building (TCSG- 315) in close proximity to this easement will necessitate the College to install sewer lines and cover a portion of this open ditch in order to facilitate a pedestrian crossing to the building. TCSG-247 Project (Brunswick) Due to the discovery and disposal of some waste products on the construction site, the College has made adjustments to some budget areas of the Golden Isles project (TCSG-247). One of the items we reduced was the size and number of landscape plantings. Thus, the Environmental Horticulture program in Waycross will review the landscape plans and grow some of the plantings for the new site. Achieving the Dream (ATD) requires a three year commitment and primarily focuses on increasing student retention and graduation. The cost is $75,000 per year but is covered by the TCSG Foundation for a total investment of $225,000. CPTC has submitted our application and will begin our participation in this initiative in 2015.
