JOB POSTING FY 15/16 NOVEMBER 16, 2015 PAYROLL SPECIALIST #3334 FINANCE DEPARTMENT This position is an Essential classification and will require you to report to duty before, during and after a civil emergency. POSITION SUMMARY: Specialized accounting work in preparing and entering timesheets into the Payroll Financial Accounting Software and preparing payroll checks and direct deposits as required in a timely fashion. Compiling, maintaining and verifying diverse statistical, fiscal and bookkeeping records and accounts. MINIMUM REQUIREMENTS: Graduation from an accredited high school or possession of an acceptable equivalency diploma. Associate's degree (A.A. or A.S.) in Accounting or related field from an accredited two-year college or technical school preferred. Three (3) years of experience in accounting keeping, payroll or related experience. A comparable amount of training, education or experience may be substituted for the minimum qualifications. ADA PROFILE: While performing the duties of this Job, the employee is regularly required to sit, talk, hear, walk, stand, stoop, kneel, crouch, or crawl, use fingers and hands with dexterity, feel and reach with hands and arms, and access file cabinets. The employee must occasionally lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision and ability to adjust focus. LUCIE Position Description Job Title: Payroll Specialist Department: Finance Reports To: Comptroller Job Code: 3334 Band: Technical Union Status: FOPE FLSA Status: Non-Exempt Prepared Date: November 6, 2015 Modification Date: This position is an Essential classification and will require you to report to duty before, during and after a civil emergency. Summary Specialized accounting work in preparing and entering timesheets into the Payroll Financial Accounting Software and preparing payroll checks and direct deposits as required in a timely fashion. Compiling, maintaining and verifying diverse statistical, fiscal and bookkeeping records and accounts. Essential Duties and Responsibilities include the following. Other duties may be assigned. Processes Payroll for City Employees including data entry, proofing reports, balancing all ledgers associated with the payroll, including Pension accounts and payroll liability accounts. Prepares requests for checks to various vendors for deductions and taxes, including proper documentation to diverse entities. Researches, prepares and transmits the 941 and other payroll reports to the State and Federal Governments. Interacts and communicates with all City Departments especially HR to keep abreast with the changes in processes. Keep informed on changes in the six unions contracts which govern the police and city. Set up new pension enrollments into ICMA website for new hires. Reconciles pension statements from ICMA and Prudential at the end of each quarter. Updates the massive spreadsheets at the end of each biweekly payroll. Prepares journal entries to reconcile the payroll ledger to the pension statements. At the end of the calendar year, balance all ledgers and prepare W-2 and W-9 forms. Work with auditors to provide any requested documentation. Tracks fuel orders for city vehicles and issues keys for fuel in the absence of the Capital Asset Manager.
