1 Board of County Commissioners Matters from Staff Agenda item # Staff Report Meeting Date: January 6 th, 2015 Presenter: Submitting Dept: Subject: Free Acts for 2015 Fair Statement / Purpose: Review entertainment contracts with Animal Specialities, What Goes Up Juggling Productions, and Wow Attractions for the Background / Description (Pros & Cons): On Monday December 15 th, 2014 the Fair Board had voted to acquire the following entertainment as free acts for the 2015 fair patrons: 1. Animal Specialties to provide a dairy cow exhibit and demonstration, petting farm, pony ride, giant pig, giant horse, small horse, chick hatching, and hands-on educational displays. 2. What Goes Up Juggling Productions to provide daily comedy and juggling performances along with strolling entertainment. 3. Wow Attractions to provide a Wild West Show with up to four performances daily in addition to an intermission show during a scheduled night event. Statement of Strategic Intent addressed by this item (Identify BCC goals accomplished/addressed): Hiring Animal Specialties, What Goes Up Juggling Productions and Wow Attractions to provide the 2015 free entertainment is transparent with organizational excellence. We will provide a safe, fun, economical and entertaining environment that will benefit Teton County residents and visiting patrons. Attachments: Contracts with Animal Specialties, What Goes Up Juggling Productions, and Wow Attractions. Fiscal Impact: The following is the financial obligation will have for the 2015 fair: o Animal Specialties - $5, o What Goes Up Juggling Productions - $6, o Wow Attractions - $5, Staff Impact: There will be minimal impact on staff. All entertainers are self-sufficient with setupand breakdown of their own equipment. Legal Review: Legal reviewed the contracts. The contracts were sent to legal on 12/23/2014 for review. Recommendation: Approve contracts for Animal Specialties, What Goes Up Juggling Productions, and Wow Attractions for the 2015 fair entertainment needs. In return for the services of The Performer, The Customer agrees to pay a total fee of $4, which includes G.S.T. in the amount of $0.00(G.S.T. # ). Payment shall be made to The Performer on ; Sunday, July 26, 2015 Should the customer fail to provide payment by the above date, a 20% Late Payment Fee of $ will be added to the total cost of this Contract. In event that The Customer cancels this agreement, giving at least 45 days written notice, then The Customer shall pay The Performer a cancellation fee of 60% of the total fee. Should The Customer cancel this agreement giving less than 45 days notice, then The Customer shall be held liable for the entire amount. Additionally the Customer will provide the Performer with 5 nights of quality hotel accomodation, in a room with at least two queen sized (or larger)beds. After reviewing these documents please fill in any blanks marked with an X and give special attention to areas highlighted in yellow. Enclosed are the following documents: 1. Performance Contract. Simply review the agreement and check the date, time and other details. 2. Fair Production Rider. This document simply outlines in specific numbers and details our expectations regarding facilities, equipment, etc. IMPORTANT: Please sign both the Performance Contract and Production Rider. a copy to me, keep a copy for your records, then mail the original of each item along with your deposit check to WOW Attractions. Once these documents are received, we will then be able to officially put the date on Loop Rawlins Wild West Show master calendar. Tracy, we have an array of free promotional items that are at your disposal for creation of your promotional campaign. Just let us know what you need and when you need it. This agreement is entered into by the undersigned parties for the purpose of establishing good communication and mutual understanding. The sponsor s signature acknowledges agreement with all information written on this form and its attached production rider. This agreement is not confirmed until it is returned along with the production rider to WOW Attractions, signed and accompanied by the deposit. Upon cancellation by the sponsor, deposits are non-refundable. If date is cancelled within 120 days of the performance the total performance fee will be due immediately. 11 Fair Production Rider Date Issued: December 18, 2014 You will need to provide a few items to make the attraction flow smoothly and to make this production as effective as it can be. The following is the ideal scenario for an unforgettable event. Please let us know far in advance if you will have a problem providing any of these items for the attraction. Fair to provide the following: Stage Must be a minimum of 16' Wide x 20' Deep x 14' Ceiling height. Stage flooring must be a smooth non-carpet surface. Ceiling clearance a must for trick roping & whip cracking Seating Provide bleachers or chair seating for audience. Start seating 12' from front of stage Sound System Capable of covering venue with at least four (4) open channels to plug into Electric Provide standard Edison outlet next to sound with one (1) power strip Lighting In performance area if shows are scheduled at dusk or after dark Merchandise Table Provide one (1) 6' table with two (2) chairs Passes Credentials for two (2) people & parking passes for up to two (2) vehicles Canopy or Dressing Room 10 x 10 Canopy with four (4) sidewalls if outside or private dressing room behind stage or in close proximity. Water at least five (5) bottles of water must be provided on stage per day Expected Attendance of Event: X Estimated Seating for show: X Loop Rawlins Wild West Show carries a 5 million dollar general aggregate liability insurance policy and will furnish your event a Certificate of Insurance.
