Providing support to the mission of each of the CSU campuses, auxiliary enterprises include foundations that handle contracts and grants and/or gifts to the university, enterprise corporations that run bookstores and dining services, associated student organizations, student unions, and sometimes athletic or housing corporations. Through your partnership with AOA, you can impact the programs and services offered to nearly 447,000 students and 45,000 faculty and staff throughout the CSU! AOA continues to seek business partnerships that will help build a better future for California higher education. The Annual Conference held every year is an opportunity for the leaders and staff of these organizations to learn and collaborate on topics and issues that are crucial to auxiliaries, enterprise operations and the CSU system. We know that your organization is committed to serving higher education, and we are convinced that your participation and collaboration with the AOA membership is crucial to the continuing success of our auxiliaries and the CSU. White, the Chancellor of the CSU system will provide the keynote address at the Sunday evening banquet. These additional hosting opportunities include conference breaks and receptions. Hosting and cohosting is available at $2,500 for cosponsored breaks, $5,000 for a fully sponsored break or cosponsored reception, and $10,000 for a fully sponsored reception. These hosting opportunities are above your current Business Partner commitment. Benefits include signage at the hosted event and recognition in printed and online programs. Additional hosting opportunities are on a first come basis and the previous year s Business Partner commitment level must be maintained to participate. New For 2015: New Corporate Connections Session Presentation Allows Business Partners to present about their company or services (nine 30minute sessions available). There is a $1,000 fee per session (this fee is in addition to your current Business Partner commitment). Confirm Your Company s Participation To confirm your participation as a Business Partner at the AOA 2015 annual conference, please email Fred Neely at fneelyinhb@gmail.com. Register OnLine Your next step is to register your company online as a Business Partner at: http://csuaoa.org/conferencereg/. Note: Some partner benefits are date sensitive please refer to key dates throughout the Business Partner packet. Register Your Attendees Once your company is registered, you may register your complimentary attendee(s) at any time but no later than December 31, 2014. You are able to send additional attendees in addition to your complimentary registration(s); each additional Business Partner registration will be at the $425.00 early bird registration rate through November 30, 2014. After November 30, 2014, the additional Business Partner registration rate will be $475.00 through December 31, 2014. All attendees need to be registered by accessing the Business Partner online registration process. After December 31, 2014, the Business Partner registration rate will be $575.00 and will be only available onsite at the conference. Onsite registration will be available/accepted on a space available basis. One day Business Partner registrations are available at the rate of $180.00 through November 30, 2014 for Business Partner sponsors. After November 30, 2014 the daily Business Partner registration rate will be $230.00 through December 31, 2014. After December 31, 2014, the daily Business Partner registration rate will be $330.00 and will be only available onsite at the conference. All attendee cancellations or requests for substitutions must be made in writing and received at the AOA office by, December 31, 2014. A processing fee of $50.00 will be applied to each refund or substitution request made by December 31, 2014. Cancellation requests received after December 31, 2014 are not eligible for refunds. Substitution requests received after December 31, 2014 may only be done onsite at the conference and will have a $50.00 processing fee applied. No shows are not eligible for a refund. Provide Your Company s Logo One of the benefits of being an AOA Business Partner is that your logo will be displayed prominently on the AOA website and in printed conference materials. Please submit your logo file no later than September 30, 2014 to ensure your logo is included in the conference materials. Send logo file in the following format to Dustin DeBrum at ddebrum@calpoly.edu. Vector Graphic 300dpi resolution All fonts outlined EPS (Encapsulated Post Script) or AI (Adobe Illustrator) Color and/or BW No other format type will be accepted i.e., jpeg, tiff etc. If you are a returning Business Partner, please confirm that your logo is already on file in the correct format. Returning Business Partners may view the logo AOA has on file on page 8 of this packet. Business Partner Payment Information All payments must be received by AOA in full, no later than December 31, 2014. Payment by Credit Card Business Partner sponsorships may be paid by credit card. There will be a 3% convenience fee assessed for this payment method. The 3% convenience fee applies only to your BP sponsorship commitment amount and is not added to the cost of any additional attendee registration(s). Premier and Diamond partners will be provided preferred table placement. Bronze Partners are not provided table space. Setup/Break Down Information Exhibit setup can begin as early as 9:00 a.m. on Sunday, February 8, 2015. All exhibits need to be set up no later than 12:00 p.m. To maximize your exposure as a Business Partner and to be courteous to our members and your fellow Business Partners, we request all Business Partners remain through 4:00 p.m. on Tuesday, February 10, 2015 which is right after the last conference break of the day Exhibit break down can begin no earlier than 4:00 p.m. on Tuesday, February 10, 2015 The conference officially adjourns at noon on Wednesday, February 11, 2015 Business Partner Gifts Business Partners that participate at Silver and above receive a gift purchased and awarded on their behalf during the AOA President s Luncheon on Monday, and the Business Partners Luncheon on Tuesday. All partners (including Bronze) are also welcome to provide additional gifts from their companies. Platinum, Diamond, and Gold Business Partner gifts to be given away at Monday s Luncheon. Silver and Premier Business Partner gifts to be given away at Tuesday s Luncheon. OnSite Conference CheckIn Please visit the Business Partner Registration area located in the Huntington Ballroom Foyer. Upon check in, you will be provided with your name badge and additional conference and Business Partner information. 5

SHIPPING INFORMATION Shipments and Deliveries will be accepted beginning on February 5, 2015 1. 2. 3. 4. 5. 6. 7. Small package delivery will be accepted no more than three days prior to the event date. The fee for small package delivery under 30 lbs., to function space is $15.00 per package/box and $50.00 per box for items between 31100 lbs. The hotel will bill you for small package delivery to the function space, so please contact Christie Joseph, Senior Meetings and Special Events Manager, at 6265856445 if you plan on shipping packages. The Hotel will not be responsible for any loss or damage to materials sent to hotel prior to the event date. Storage arrangements for exhibit drayage must be made with an offproperty exhibit company for movein the day of exhibit and removal on the moveout day. Removal of all property is strictly the responsibility of the Business Partner. Handling charges will be applied when shipping through the Business Center at a rate of $10.00 per box plus the shipping company s charges, i.e., Federal Express, UPS, etc. The Hotel will not assume responsibility for any unattended or unsealed and unaddressed boxes left on property in the function space.
