OnClub is a system designed specifically to facilitate golf club administration, thereby boosting the value of individual membership and increasing accessibility to the game itself. It is obvious, that a system delivering such vital services has to be powerful... The system comprises a number of functional modules. It can therefore be extended gradually, whenever needs for additional functions occur. In its full extension, OnClub is capable of handling practically all the administrative work of the club secretariat! The core function of the system is the handling of membership administration and member statistics. Within the system, there is an impressive range of subfunctions facilitating the most frequent administrative work emanating from transactions between the club and its members and guests.

An extensive network of vital functions! The development of OnClub started a couple of years ago. We set out to apply modern information technology to automate the traditional routines of golf administration. By relieving club secretariats, we found it possible to create a surplus of additional time for personalized member service. We also found ways to streamline the flow of information and to utilize courses in a more rational way! Each basic function has a number of subfunctions. The total administrative power package can be tuned to meet the specific demands of the club. From limited number of functional modules initially, the system can be extended to handle practically all the administrative routine work within the club secretariat! Automated administration! The classical problems of golf club administrations are well known to both club members and club officials. Due to seasonal fluctuations, the load of work at club secretariats will sometimes eat all the administrative resources available. These resources cannot be dimensioned for the peak periods during high season. By its automated administrative functions, OnClub offers a multi-level solution to this problem. On next page are some of the basic functions handled by the system.
A UNIQUE SOURCE OF ADMINISTRATIVE POWER Membership administration This module will register new members, organize membership applicants in a waiting file, register relevant personal data for individual members, handle the charging of fees and the administration of loans to members, remove members from the files, register club officials, enable swift searching for individual members, etc. Administration of tournaments Within this module, all the administrative work before, under and after a tournament can be carried out with minimum human effort. The system handles tournament conditions, entries, listing of players, seeding, handicap control, updating of score cards, results, statistics and leader board. After the tournament, it will produce a number of additional services e.g. registration of trophies, updating of handicaps, listing of suspended players, etc. Club statistics Handles all kinds of statistics comprising club members and sponsors and a number of additional sectors e.g. prospective members, former members, shares, tee time reservations, cashier, tournaments, calendar, etc. Handicap & score card administration Provides efficient handicap control and will keep record of individual scores. Will also keep handicaps updated, individually or by player category. Cashier Provides a wide range of automated services traditionally performed manually within the cashier function e.g. cash payments, sales administration, greenfees, entries, etc. Invoice service Will handle the flow of invoices to members and register payments. Will also alert the operator when an invoice is overdue and handle the charge of annual membership fees. What if OnClub is only the beginning? Every installation of OnClub at the club level is a stitch in a possible future global IT net-work connecting golf clubs and their federations without the traditional boundaries set by national borders.
Mr Ove Olsson, secretary at The Golf Club of Halmstad, Sweden: When it comes to serving our members, we cannot afford slices or hooks... The Golf Club of Halmstad in southern Sweden has a tradition dating back to 1930, the year when the club was founded. The renown of its Northern Course has spread among golfers all over Europe. The club has 2.300 members and some 18.000 players come here annually to enjoy the technical challenges and the beautiful coastal scenery. The club also served as a platform in the development of the functions within the OnClub concept and today uses the system in its full extension. The club secretary, Mr Ove Olsson, has taken an active part in the development process. It all began in 1991. The founder of what came to be Epani, Mr Niklas Eklund was then a young student and a frequent player at our club. He set out to explore the possibilities to computerize some of our basic administrative routines, the handling of membership lists and cash flows within the club. At the same time, our national federation started a development project to solve the same functions... In 1995, the Swedish Golf Federation made a demand specification for a system based upon the Windows interface. Offers were submitted from a number of leading software producers, the winning bid however made by Mr Eklund and his friends at Epani. Well, the rest is history. Mr Olsson continues: Today, the system performs its duties in more than 300 clubs all over Sweden. It is reliable and saves unimaginable volumes of work. Since the guys involved in the project are avid golf amateurs, the system was developed on a solid platform of golf culture. The solution has facilitated the administration at many levels, and most important of all: It has improved the service we are able to offer considerably. In my opinion, this is the ultimate benefit. Reduces time spent waiting on busy phone lines and facilitates golfer s access to the sport as well as planning at club level. is a software facilitating the administrative part of the greenkeeper s job, leaving more time available for the actual tending of greens and fairways.
