Reference Sheet Company Setup Work Comp Tab You use this tabbed page to define the Workers Compensation codes for the company. Once you set up these codes, you can assign them to positions (Company Setup > Positions tab) and employees (Employees > [employee] > Status/Position tab). To work with Workers Compensation codes, select [company] > Company Maintenance > Company Setup > Work Comp tab. The system displays the Workers Comp page and associated sub pages, as shown in Figure 1: Figure 1: Workers Comp page The sections that follow explain the tabbed sub pages of the Workers Comp page. Company Setup Work Comp Tab Figure 2: Edit Workers Comp Code sub-page The explanations of the fields are as follows: Description Enter a concise but full explanation of the Workers Compensation code provided by the client s Workers Compensation provider. Workers Comp Rates sub-tab Click on the Workers Comp Rates sub tab. The system displays the sub page, as shown in Figure 3: Figure 3: Workers Comp Rates sub-page The explanations of the fields are as follows: State Start Date End Date Enter the two character postal abbreviation of the state for this Workers Compensation code. If multiple states use this same code, you must create a separate entry for each state. Enter the date on which this Workers Compensation rate is in effect. [informational only] Enter the date on which the company s fiscal year begins. [calendar YTDs only] Enter the executive wage limit. Used with states where the Workers Compensation calculation stops after the employee earns a certain amount. Enter the industry defined Workers Compensation rate for that code. Enter the experience rating (experience modification factor) assigned to the company by the state. If no experience rate has been assigned, enter 1.0 in this field. Enter the code group if the Workers Compensation is based on specific earnings and/or deductions. [for Washington L&I only] Enter the employer memo earning code. [for Washington L&I only] Enter the deduction code if Washington L&I is being withheld from the employee. Put a check in this check box if the Workers Compensation calculation is based on hours worked. [for Washington L&I only] Enter the employee rate. [informational only] For each of these column pairs, enter a description and the associated factor. Use these fields for states that have additional rate modifiers for Workers Compensation. If you are not using these fields, leave blank and zero, respectively. Put a check in this check box if your organization impounds the Workers Compensation monies. Put a check in this check box to use the default SUI tax if there is no SITW tax. Put a check in this check box if the overtime premium is subject to Workers Compensation. Most states base Workers Compensation calculations on regular working hours. However, some states include the portion of overtime premium; that is, they base Workers Compensation calculations on all hours (regular working hours + overtime). If this company meets this requirement, you must put a check in this check box. Company Setup Work Comp Tab Adding Workers Compensation Codes To create a new Workers Compensation code: 1. Click the yellow star button in the page header: Figure 4: Yellow star button to add an item The system displays a pop up window in which you define the label for the new Workers Compensation code: Figure 5: Enter New Workers Comp Code dialog 2. Enter a descriptive label for this new Workers Compensation code and click the OK button. Each Workers Compensation code ID must be unique. The Workers Compensation code can be up to ten characters, must be alphanumeric, and should not contain any special characters or spaces. The system creates a new Workers Compensation code, adds it to the items list, and puts the cursor in the Description field of the Edit Workers Comp Code sub tab. 3. Fill in the appropriate information for this new Workers Compensation code. Deleting Workers Compensation Codes To remove a Workers Compensation code: 1. Highlight the Workers Compensation code in the items list. 2. Fill in the appropriate information for this new Workers Compensation rate. Deleting Workers Compensation Rates To remove a Workers Compensation rate: 1. Under the Workers Comp Rates sub tab, highlight the Workers Compensation rate in the items list. 2.
