E-mail Encryption SecurenCrypt e-mail encryption was designed to work as a plug-in with Microsoft Outlook. The following instructions are geared toward users encrypting e-mail with Outlook. However, throughout the step-by-step instructions, you will find alternatives if you do not currently have Outlook. After you install SecurenCrypt, you will notice the new SE toolbar when you open Microsoft Outlook with all the SE buttons you need. As well, a private e-mail encryption key is generated for you. Anyone receiving an encrypted e-mail from you must have your e-mail encryption key to decrypt your e-mails. If you receive encrypted e-mails, you will also need the e-mail encryption key from the sender. Once you send your e-mail encryption key, that recipient will be able to decrypt e-mail from you. You can send encrypted e-mail to anyone. However, recipients must have SE Lite or the full version of the software. Users can download SE Lite for free at www.securencyt.com. The following step-by-step instructions with screenshots will guide you through everything you need to know about e-mail encryption. How do I send my e-mail encryption key? 1. Make sure you are logged in to SecurenCrypt. *If you are not logged into SecurenCrypt and attempt to send your key, you will receive this prompt asking for your username and password to Log-in.* 2. Open Microsoft Outlook. 3. Click the Send SE Key button in the SE toolbar. Page 1
This will generate a new e-mail message with your e-mail encryption key and instructions for the recipient in the body of the e-mail for how to save your key and decrypt e-mail they receive from you. Simply fill in the To field and click Send as you normally would. *TIP: If you are using Office 2003, and use this method, the SE toolbar will look like this in Outlook. The buttons functions exactly the same.* How do I save an e-mail encryption key sent to me? When receiving encrypted e-mail from a user who has SecurenCrypt, you will need their e-mail encryption key to decrypt their e-mail. SecurenCrypt saves e-mail encryption keys sent to you in the senders contact information in Microsoft Outlook contacts. Follow the step-by-steps below to save an encryption key sent to you. Once you save the key, you can decrypt all following e-mails from that e- mail address. You will not need to enter the key each time. Page 2
1. Make sure you are logged in to SecurenCrypt. *If you are not logged into SecurenCrypt and attempt to save a key, you will receive this prompt asking for your username and password to Log-in.* 2. Click Yes when asked to save the e-mail encryption key sent to you (When a sender e-mails you their encryption key, this option will automatically pop-up.) This saves the encryption key, and you now are able to decrypt e-mail from the senders e-mail address sent to you. If you miss this step, you can also manually save the key following the step-by-step instructions below. 1. Make sure you are logged in to SecurenCrypt. *If you are not logged into SecurenCrypt and attempt to save a key, you will receive this prompt asking for your username and password to Log-in.* Page 3
2. Copy the e-mail encryption key. Select and highlight the e-mail encryption key in the body of the e- mail. Right click and choose Copy from the drop down menu. 3. Select the sender s e-mail address. Right click on the name or e-mail address shown in the From field of the e-mail. Choose either Look up Outlook Contact if the person is already saved in your contacts or Add to Outlook Contacts if you wish to create a new contact. Page 4
This will open a new or current contact in your Outlook address book. SecurenCrypt provides a section at the bottom of the contact information to save the e-mail encryption key. 4. Paste the key. Right click in the SE e-mail encryption key space provided and choose Paste from the drop down menu. *TIP: If you have Office 2003, your contact window looks different. See the instructions on the next page.* 5. Save the key: Click Save & Close. This saves the e-mail encryption key provided with that contact allowing you to decrypt e-mails from that e-mail address saved with that contact. *TIP: If you have Outlook 2003, you will need to click the Encryption Key button and then paste the key in the box provided. *TIP: You can locate your contact list in the lower left hand corner of Microsoft Outlook * Where can I view my e-mail encryption key? 1. Make sure you are logged in to SecurenCrypt. *If you are not logged into SecurenCrypt and attempt view your key, you will receive this prompt asking for your username and password to Log -in.* 2. Open Microsoft Outlook. 3. Click the About button in the SE toolbar. This will open the About SE pop-up allowing you to view the website and the support phone number. Page 6
4. Click Close to finish. How do recipients decrypt my e-mail? Recipients who have SecurenCrypt and Outlook will be able to store your e-mail encryption key in their contacts and will be able to decrypt your e-mails with one click. If the e-mail recipient does not have SecurenCrypt, SE Lite is available as a free download that will enable them to decrypt your e-mails. They will not have the ability to encrypt outgoing e-mail unless they upgrade to the full version of SecurenCrypt. Visit www.securencrpt.com for the SE Lite download. What does an encrypted e-mail look like? When you receive an encrypted e-mail message, it will look like the screenshot below. You will notice instructions in the body of the e-mail, and your encrypted e-mail is attached. Page 7
How do I send encrypted e-mail? Sending encrypted e-mail from Microsoft Outlook is easy. 1. Make sure you are logged in to SecurenCrypt. *If you are not logged into SecurenCrypt and attempt to encrypt e-mail you will receive this prompt asking for your username and password to Log-in.* 2. Open Microsoft Outlook. 3. Click New to create a new e-mail message. 4. Type your e-mail message as you normally would. 5. Click the encrypt message button to encrypt the e-mail. *TIP: If you are using Office 2003, the SE toolbar will look like this in Outlook. The buttons functions exactly the same.* Page 8
Your message is now encrypted and attached. You will notice that SE auto-generates detailed instructions for decrypting e-mail in the body of the e-mail for the recipient. 6. Click Send. Your encrypted message has now been sent. *TIP: As an additional security feature any items in your sent box that you encrypted will remain encrypted. If you wish to view a message you sent encrypted, you may click the decrypt button. *TIP: ALL ENCRYPTED E-MAIL WILL AUTOMATICALLY BE MARKED WITH A DATE AND TIME STAMP VERIFYING THE ENCRYPTION. The screenshot below shows what this looks like. How do I decrypt incoming e-mails? To decrypt incoming emails, you must first have the sender s e-mail encryption key. You will be prompted to save the key. SecurenCrypt will automatically save this key in your Outlook contact information for future e-mails from that person, so you only need to receive their e-mail encryption key once. There are several ways you can decrypt incoming e-mails. Page 9
1. Click once on the message in your inbox to select it. 2. Click the decrypt Message button on the SE toolbar You will now be able to read your decrypted e-mail in the reading pane. You can also use this method to decrypt e-mail: 1. Double click the e-mail message which will open the e-mail message in a new window. Page 10
2. Click the decrypt Message button. You will now be able to read your decrypted e-mail. Can I re-encrypt my e-mail after I read it? If you decrypt a message and wish to re-encrypt it, you can. Simply encrypt by clicking the encrypt Message button on the SE toolbar. SecurenCrypt will now encrypt this e-mail message using YOUR e- mail encryption Key. How to encrypt attachments Encrypting attachments is as easy as sending an encrypted e-mail. Simply attach files to your e-mail as you normally would and include an e-mail message if you want to. Then click the encrypt button and send as you normally would. SecurenCrypt automatically encrypts attachments with the e-mail. All types of attachments can be encrypted. Can I encrypt any e-mail message in my inbox? To enhance your privacy, you may also encrypt any e-mail that you want kept private in your inbox. Simply select the email and click the encrypt icon, or right click on the e-mail and select encrypt from the drop down menu. To decrypt, follow the same procedure and click decrypt. When you choose to decrypt e-mail that you have chosen to encrypt in your inbox you will be prompted to enter a key. Simply click Use My Key since you are the one who encrypted the message and it will decrypt. You may encrypt and decrypt e- mails in your inbox as many times as you like. What does an encrypted e-mail really look like? Although you will never see what encryption looks like, we wanted to show you. When you encrypt an e-mail, your message turns into a series of letters, numbers, and symbols that is basically gibberish. The screenshot below is an actual demo of what an e-mail message looks like encrypted using SecurenCrypt 256 bit encryption. Your actual e-mail message will be encrypted and added in the attachment section of your email. Page 11
What if I don t have Microsoft Outlook? The preferred method for using the SecurenCrypt e-mail encryption feature is with Microsoft Outlook. However, if you do not have Microsoft Outlook, you can decrypt and view encrypted e-mail with the SE Reader Utility. SE Reader can be used with any version of SecurenCrypt, but will limit you to decrypting only. What if I don t get my e-mail in Microsoft Outlook? You have several choices if you want to receive encrypted e-mail through an e-mail provider other than the e-mail address associated with Microsoft Outlook. You can import your other e-mail so you receive it in Outlook, allowing you to take advantage of all the features of the Microsoft Outlook plug-in. You can also decrypt and view encrypted e-mail with the SE Reader Utility. SE Reader can be used with any version of SecurenCrypt but will limit you to decrypting only. How do I use the E-mail Reader Utility? Both the full version of SE and SE Lite give you access to the E-mail Reader Utility.
