1 Receiving Secure from Contents This document provides a brief, end-user overview of the Secure system which has been implemented by. Why Secure ? When someone sends you an , the typically travels over the internet in order to be delivered. that travels over the internet is inherently unsecure. Consequently, it can be read fairly easily by someone other than you much like a post card sent via US mail. When financial information or other sensitive information travels by , interception by an unauthorized person may compromise your privacy, may violate s internal security policies, and may violate state and federal privacy regulations. Because of these concerns, we are implementing a change in the way we deliver sensitive, private . This change will allow to be encrypted before it is sent over the internet so that only the intended recipient will be able to open the message. What s Will Be Encrypted? The sender of the will make the decision to encrypt the before sending it to you. The sender may know that either the or an attachment contains sensitive information and thus requires encryption. Enrolling in Mercantile s Secure System In order for a Secure to be created and read by you, you first need to register with our secure system. The enrollment process will take under a minute. The first secure you receive will trigger an to be sent to your Inbox. An example of this is shown on the next page. Subsequent secure s will simply trigger a notification to be sent to your Inbox alerting you of a new secure . 1

Before we can send you this message, you must first register and create a secure account. You can register by going to the website and selecting "Secure " from the Online Services menu in the upper right corner. When creating an account, you will need to enter your registration number. Registration number: 211ecc085242dcf37f b To register and create a secure account, simply go to mercbank.com and select Secure from the Online Services menu on the left side of the screen. 2

3 On the login screen select the First Time Users link. Copy and paste the registration key from your enrollment into the appropriate space and click Submit Information. 3

4 Complete the required fields on the New User Registration screen (seen below) and click Register. Upon successful completion you will be brought to your secure Inbox. 4

5 How do I Open a Secure ? When you receive a secure , you will receive an notification like what you see below. You have been sent a secure message myloanofficer@mercbank.com, an employee at of Michigan, has sent you a secure message. To retrieve the message, please visit the website and select "Secure " from the Online Services menu in the upper right corner. To retrieve the message, simply log into the Secure system from s website by selecting Secure from the Online Services menu in the upper right corner. Enter your Address and Password in the appropriate fields and click Login. You will be presented with your secure Inbox. 5

6 Once in the Inbox, simply click on the subject of the you desire to open. The message and any attachments will be displayed as seen below. 6

7 To retrieve an attachment, simply click on the name of the document shown as a link. The following warning or similar warning will be displayed. Click Open to view the document or click Save to save the document to your personal computer. 7

8 Replying to a Secure After you have opened the secure within your secure Inbox, you have the option of Reply, Reply All, or Forwarding the secure . Note: s secure system is designed to work solely between the bank and its customers. For example, after choosing Reply, the page will look something like the image below. Just type in your response and click Send. 8

9 How do I Generate a Secure ? There may be an occasion when you want to generate or begin a secure . To do so, simply log into the Secure system from the website located under the Online Services in the upper right corner. From the Inbox simply click Compose Message. Complete the following screen by keying in the address of the Mercantile employee you wish to reach, the subject, the message wished to be delivered and click Send. You can also attach a file(s) which is described on the next page. NOTE: DO NOT include confidential data in the subject line. The subject line is not encrypted in any case. 9

10 How do I Attach a Document? You can securely send documents or files by attaching them to newly composed messages or messages you are replying to. Simply click the Attachments link. Type in the location of the document you wish to send or click Browse to search for the document. 10

11 If you chose Browse the following screen will appear. Locate the file you want to attach and click Open. On the screen below click the Attach link. The length of time to attach the file will depend on the size of the attachment and the speed of your internet connection. 11

12 After you have finished attaching the files you desire to send, click Done. The attachment will now be shown with your and sent by clicking the Send link. 12

13 Other Common Questions Why is sending me a secure message? Protecting customer privacy and data is a priority at. We use the Mercantile Secure System to give our customers and business partners a safe, quick, and secure way to personal data (like account numbers, balance information or bank documents). What is Secure ? Our Secure System uses encryption to safely transmit the s content across the internet. Secure is similar to Internet Banking as it uses SSL certificates to encrypt information between your browser and the bank s systems. We scramble the information inside the (attachments also) and send it. Do I need any special software to view Secure Messages sent by? No, Our Secure System uses a combination of and html (stuff web pages are made from). So if you have a browser of any kind and surf the net you have all you need to use the Secure System. Will I have a Username and Password to access the Secure System? Yes, you will enter the address and password you enrolled with to access the Secure System. What if I forget my Password? Use the Forgot Password link when you attempt to access the Secure System. The process will require you to answer your secure question to reset the password. If you continue to have problems, please contact the bank s ebanking department at (616) or Ext Can I send a Secure Message to? Yes, if you have previously registered, go to mercbank.com to the Secure System and log on. There you can compose a message to your Mercantile recipient but you can only generate mail to someone at Mercantile. You can not send Secure Messages to persons outside of. Can I reply securely to an from? Yes, by simply logging into the Secure System. Once logged in, you can choose to compose an to anyone at Mercantile. Can I send/receive attachments through the Secure System? Yes, the body of the and all attachments are encrypted. What size of attachment is too big? 10MB is the general size limit. A policy is in place within Mercantile that restricts users to a send and receive maximum of 10MB per . Can I change my password? 14 Will I be able to save an encrypted attachment on my computer unencrypted? Yes, after entering the Secure system, open the and attachment and save it to your computer's hard drive. What type of encryption is used by the Secure system? 128 bit triple DES encryption. Any precautions in sending encrypted s? Yes. DO NOT include confidential data in the subject line.
