Tasks & Responsibilities (Manager role) Strategic Role As Shop Manager to take day to day responsibility for managing your shop; to brief the CEO at regular agreed intervals (and immediately if urgent) on progress in your shop; to propose action to her for improvements in operations; to maintain an awareness of developments in local shops, especially in the charity/low cost sector, updating the CEO as required; to maintain an awareness of the work of Yorkshire Cat Rescue and relevant local, regional and national issues through press, media and local views; to maintain and develop good channels of communication with colleagues, trustees, local communities and other organisations; to assist the CEO/Trustees as required in area wide initiatives, for example new shop openings; (Ii applicable) to provide cover for Shop Managers from time to time in other stores, as required by the CEO. This would usually be through negotiation and mutual agreement, although in an emergency you may be asked to cover at short notice. Shop floor provide a high quality retail service; manage and co-ordinate the day to day retail activities and team within the shop; implement and manage a stock rotation system within the shop to regularly refresh and update stock; to ensure only the best quality donated goods are selected for sale; manage and co-ordinate efficient and effective shop operations to include windows, shelf display, storage of stock, recycling of unwanted donations, removal of rubbish; to operate and manage a consistent pricing policy to maximise profit from donated goods; manage and co-ordinate the sale and stock control of any bought in goods including greeting/christmas cards, with a view to extending this source of income; to deal with any customer complaints; to develop systems and working practices for the running of the shop; to be customer focused and drive sales; operate a welcoming, happy and appreciative atmosphere for customers and shop volunteers. Optimising Sales to ensure the shop meets sales targets; to initiate marketing campaigns and sales promotions to increase sales; to ensure the shop is competing effectively with local competitors; to ensure all staff and volunteers maintain a high standard of customer care; to promote the store in the local community through initiatives, for example initiating stock appeals by writing to a local paper or working with local schools; to maximise the sales potential of new goods and Christmas cards. Maintaining Effective Stock Management & Merchandising to supervise and maximise the efficiency of the collection system; to control pricing in line with company policy; to ensure the highest possible resale value of donated stock; to control coding and processing of stock and to ensure quality control; to apply company display, merchandising and window dressing standards; to control stock density and rotation; to initiate local stock and sales promotions. Staff & Volunteers Management & Training to take day to day responsibility for managing and delegating work to the Deputy Manager (if applicable) and to volunteers ensuring satisfactory performance;
to provide adequate supervision and an annual appraisal for the Deputy Manager (if applicable); to provide training for all shop staff and volunteers; to recruit volunteers, including work experience students; to lead and develop the staff/volunteer team in the shop, encouraging effective communication, setting objectives, initiating workplans and helping to foster a positive team spirit through regular team meetings; to provide appropriate guidance and support to all volunteers; to actively listen to customers and volunteers; to encourage team work, listening and providing leadership values; to ensure shop volunteers are regularly briefed on key issues, activities and changes to policy; to engage volunteers in the communication loop with timely and effective information; to help recruit, select and train new volunteers and possibly new staff; to support and carry out an induction programme for all new staff and volunteers; to provide follow-up information (eg references) for volunteers; to provide training on specific needs and maintain training records; to ensure that volunteers are trained in roles which maximise their ability and requirements. Donations to generate donations of stock; to ensure gift aid donations are maximised; to identify partnership opportunities, locally and regionally; to seek opportunities to maximise value from donated goods; to show real appreciation to donors for all donated goods at all times; to follow security procedures when handling donations. Money to assist the trustees with the production of an annual budget; to maintain the petty cash; to manage banking and book keeping in liaison with the charity's treasurer; to monitor sales performance against budget and take remedial action if necessary; to control expenditure, minimise costs and authorise expenses within budget; to ensure daily banking with accurate and timely completion of weekly sales reporting plus other reports and relevant information as required; to follow agreed till and cashing up procedures when handling money; to ensure correct procedures are followed in the shop for the safe receipt of donated money. Health & Safety to liaise on Health & Safety policy and take responsibility for implementation in the shop premises and back rooms; to ensure that Health and Safety and Trading Standards regulations are adhered to; to ensure that health and safety procedures are understood and implemented by all staff and volunteers; to maintain adequate security and safety of shop, money, goods and personnel; to report accidents according to the charity's policy and identify and report any resulting maintenance requirements; to implement risk assessment procedures; to conduct risk assessment in conjunction with the CEO contributing to the development of emergency procedures and implement if required; to ensure staff/volunteers are trained in fire/evacuation procedures; to maintain Health & Safety records; to undertake required fire drills; to ensuring Fire Equipment is correctly sited and serviced; to ensure electrical equipment is properly maintained and PAT tested. Colleagues Develop strong relationships with colleagues and trustees. Charity to positively promote the role and working of Yorkshire Cat Rescue within the community;
to promote and support key fundraising events for Yorkshire Cat Rescue; to provide key information about Yorkshire Cat Rescue and fundraising opportunities to the general public. Administration to complete daily/weekly sales returns and brief the CEO/trustees as required; to ensure shop costs do not exceed agreed budget; to apply Trading Standards Regulations in the shop and ensure staff are aware of these; to apply cash register procedures; to take action to ensure the shop is adequately staffed, setting and maintaining staff rotas; to control and requisition shop supplies; to process post; to bank takings using agreed banking procedures. Premises Management to ensure shop housekeeping is to a high standard; to take day to day responsibility for shop exterior; to ensure all shop equipment is kept in good working order; to inform the CEO of necessary repairs and maintenance, agree action plan and costs with her and organise for work to take place using authorised contractors.
