Cambridge Judge Business School Further particulars JOB TITLE: REPORTS TO: MARKETING AND COMMUNICATIONS CO-ORDINATOR ENTREPRENEURSHIP CENTRE HEAD OF MARKETING & COMMUNICATIONS Background The Entrepreneurship Centre (EC) at Cambridge Judge Business School (CJBS), under the patronage of HRH The Duke of York, KG, aims to inspire, enable and research entrepreneurship. It builds on the CJBS track record in entrepreneurship and consolidates the School s strategy and vision by bringing together the School s programmes and activities in entrepreneurship to create a coherent and coordinated offering in entrepreneurship. The Centre supports the full entrepreneurial journey starting with the empowerment of aspiring entrepreneurs, through the creation and development of early-stage ventures; and all the way to small and medium size enterprise growth. The role The Marketing and Communications Co-ordinator reports to the Entrepreneurship Centre s Head of Marketing and Communications and supports the implementation of the marketing strategy for the Centre and all of its programmes. The role holder works productively and pro-actively with the Entrepreneurship Centre (EC) team, students, delegates, external entrepreneurs and practitioners, University of Cambridge and CJBS staff to ensure the effective recruitment and delivery of specific programmes and events through marketing and communications activities. The role holder must be comfortable with working on and applying marketing skills to a wide range of projects within budget and to agreed timescales. The Marketing and Communications Co-ordinator assists the EC s Head of Marketing and Communications with all aspects of implementing the company s marketing and communications strategy as well as providing administrative support on specific marketing activities, including data input and maintenance of records, web editing and booking event venues. MAIN RESPONSIBILITIES Marketing administration Support the Centre s Head of Marketing and Communications with financial administration on a project basis including raising purchase orders and processing invoices where appropriate. Assist in writing reports and analysing data on marketing activity. Manage and co-ordinate the schedule for annual marketing planning meetings and regular meetings between the marketing and programme teams to facilitate effective planning of marketing activity across the year. This includes writing and circulating meetings agendas after discussion with the Centre s Head of Marketing and Communications. Organise and administrate market research projects. Assess the results of marketing campaigns using available tracking tools and provide reports to inform on their effectiveness and make recommendations for future planning and implementation. 1

Liaise with other University departments and contacts to exchange information on event, newsletters, etc. as needed. Liaise with external contacts to build further marketing channels to promote the Centre and programmes, i.e. external networks, web sites, media and newsletters. Retain and refresh the EC online image library and presence on Flickr accounts. Maintain the Entrepreneurship Centre s press release and case study library. Monitor and maintain supplies of marketing and promotional collateral. Develop and improve administrative procedures for marketing-related activities and provide clarification for the Entrepreneurship Centre team on these procedures. Marketing communications Support the development of branded templates for reports, course manuals and teaching materials, disseminate to the EC team and provide assistance as required. Liaise with the Centre s Head of Marketing and Communications and Entrepreneurship Centre Programme Directors/Managers to develop content and production schedules for programme marketing collateral. Support the Centre s Head of Marketing and Communications in the development of EC collateral by gaining quotes, collating data and liaising with agencies and team members as needed. Proof and edit content for the Entrepreneurship Centre and programme marketing collateral as part of agreed production schedules, ensuring consistency of style and gaining final sign off from EC Head of Marketing and Communications and relevant programme team members. Liaise with external agencies to progress marketing collateral to agreed production schedules and budgets. Implement marketing recruitment campaigns, e.g. scheduled emails using CRM system, follow up on responses and monitors results. Support the development of online advertising campaigns and digital marketing activities via channels such as Google and LinkedIn in conjunction with the appointed media agency, helping to evaluate data and effectiveness of campaigns in line with strategic aims. Liaise with external contacts to circulate information on EC marketing activity via external websites, newsletters, networks and other channels as needed. Assist with promotion via social media by posting agreed content to EC social media groups on LinkedIn, Twitter and Facebook. Co-ordinate production of artwork with external agency for advertising or print. Manage internal communications across the University and the School including content for plasma screens, information points, bulletin boards, intranet and other internal channels to ensure consistent flow of information and messaging. Event co-ordination Arrange and co-ordinate the logistics of events to promote the Centre and for programmes as required. Book venues, catering, guest parking and liaison with the venue. 2

Coordinate and send event mailings to target audiences as agreed with the Centre s Head of Marketing and Communications. Co-ordinate attendee lists and following up enquiries. Additional liaison with event speakers and/or speaker support team. Financial administration ensuring the event is completed in budget. Customer relationship management Assist the EC Head of Marketing and Communications in activities and processes for finding, targeting and winning new customers/students/delegates. Work with the Centre s Head of Marketing and Communications to develop a database of contacts for marketing purposes, then to administrate and monitor the lists regularly to keep them updated and as accurate as possible. Communicate with alumni to develop and update case studies and news stories on a regular basis. Support the management of marketing activity for the Entrepreneurship Centre community beyond the Centre s portfolio of programmes. Public relations co-ordination Develop and manage a process for handling press enquiries which ensures efficient processing of information and response from the Entrepreneurship Centre team. Support the EC Head of Marketing and Communications on the implementation of PR campaigns and activities to raise awareness of the Centre and to support the entrepreneurial offering at the School and the wider University. Support the Centre s Head of Marketing and Communications in the development of regular podcasts for the Entrepreneurs and Exerts series through liaison with potential interviewees, booking interview slots and getting approval for publication. Ensure the Centre blog is regularly updated with new material in line with agreed timetable by liaising with EC team and guest bloggers. Help develop relationships with journalists from relevant local, national, trade and entrepreneurial media to build contacts and aid PR activity. Website co-ordination and maintenance Develop and maintain timetable for regular updates of the Entrepreneurship Centre webpages and communicate to EC team. Keep the webpages up-to-date and refreshed through adding and editing content in line with agreed web content timetable. Liaise with external agencies and the School s Online team to develop graphics, visuals or content additional to text for web pages relating to EC programmes as required. Collate the monthly reports on stats from the EC webpages using Google Analytics and provided feedback as needed for future development of webpages. Support the generation of content on the entrepreneurial offering within the School s programmes in consultation with the EC Head of Marketing and Communications, EC Director, EC Executive Director and the School s Head of Online Communications for incorporation into the main School 3

website to increase visibility of entrepreneurship at CJBS and aid recruitment to the School s programmes. Work with the CJBS Online Communications team and IT team on technical issues as appropriate to ensure optimal presentation and user experience. Support the Centre s Head of Marketing and Communications with the annual review of the Entrepreneurship Centre webpages to meet marketing objectives. Other activities Provide support to team on a reciprocal basis during times of pressure and work overload. Participate in relevant committees and working groups at the School and University of Cambridge. Keep up-to-date with marketing industry developments and applying them to marketing activities as appropriate. Other duties, as requested by the Centre s Director, to support marketing and communications activities. From time to time, the role holder may also be required to perform other duties based on the grade of the post and current work commitments. The person The ideal candidate should have the following qualities, skills and attributes. You are asked to demonstrate how your own experience meets these requirements in the suitability for the role section of the online application form. Relevant degree (or equivalent) or appropriate work experience. Basic knowledge of marketing methods and principles, including application to the delivery of customer-focused projects and events via a range of marketing tools and channels. Experience of co-ordinating marketing campaigns using a range of marketing tools, i.e. direct mail, PR, literature, web site, advertising. Experience of using social media in marketing campaigns and organising and promoting events. Some marketing and event co-ordination work experience. Project management skills with the ability to implement and monitor marketing campaigns. Knowledge of PR and communications and also knowledge of branding. Knowledge of social media platforms and communications via these channels in a marketing context. Knowledge of marketing research. Knowledge of print production and design and co-ordinating and writing for web site. Good copy writing, editing, proof reading and good analytical skills. Knowledge of use of contacts lists and databases for marketing campaigns. Good IT skills with experience of word processing, spreadsheet and database software. Knowledge of desktop software desirable. Good interpersonal, verbal and written communication skills and strong organisational skills. Good customer facing skills needed to represent the Entrepreneurship Centre at functions and for networking. 4

Ability to co-ordinate marketing promotional literature from design to completion to high standards and strategic objectives. Understanding of implementing marketing research activities. Ability to multitask and work to tight deadlines. Ability to think creatively in resolving problems. Financial administration and interaction with customers and stakeholders. Some experience of liaising with external agencies and suppliers (Creative/PR/Website). Good team worker with pro-active team spirit. Managing and monitoring databases/mailing lists. Strong desire to develop within a marketing role. Desirable: Postgraduate qualification in marketing preferred, or, to have (or be working towards) a Marketing/Communications professional qualification. Knowledge of customer relationship management activities. Knowledge of e-newsletters and email marketing platforms, e.g. DotMailer. Benefits This is a full-time position working 36.5 hours per week. There will be a six-month probationary period. Holiday entitlement is 28 days per annum plus eight days of public holidays. The salary will be in the range 25,023 28,982 per annum. The full incremental salary range for the position is advertised in order to demonstrate the progression for the Grade. In the majority of cases appointments will be made at the Grade minimum; only in very specific exceptional circumstances can a higher salary be offered.
