WELCOME TO AR BOOKGUIDE What Is? is a Web-based management tool to help you manage your Accelerated Reader quizzes and your school library. You can use to Create customised book lists for teacher and pupil use Create a new account Customise your preferences Export files from a library circulation system or Accelerated Reader program and import them into Search for books Create a Teacher List for AR BookFinder Print reports (book lists or book labels) Export a text file or HTML file of a book list What Is Accelerated Reader (AR)? Accelerated Reader (AR) is a computer program that helps teachers manage and monitor children s independent reading practice. Children pick books at their own levels and read the books at their own pace. When finished, children take a short quiz on the computer. (Passing the quiz is an indication that the children understand what they read.) AR gives both children and teachers feedback based on the quiz results, which the teacher then uses to help children set targets and direct ongoing reading practice. is used with AR to help manage AR quizzes and school libraries. What Is AR BookFinder? AR BookFinder is a Web-based search tool that allows anyone to search for appropriate Accelerated Reader (AR) books. AR BookFinder contains all of the book and quiz information Renaissance Learning has available. This information is updated weekly. AR BookFinder allows users to conduct book searches by author, readability level, point value and topic. Selected titles can be placed in the online AR BookBag and the list of titles can be printed or saved. The list can be used at a library or bookshop. Teachers can create lists of books (Teacher Lists, see page 74) in and make the lists accessible to users of AR BookFinder. Teacher Lists contain titles of books that teachers assign or recommend for pupils to read. For more information on AR BookFinder, see page 86. 1

MANAGING USER ACCOUNTS Creating a New Account If you lose your activation code, please contact Technical Support. You have been sent an email with a link to website and an activation code. You will need this information to create a new account. 1. Click the link in your email to go to the website. UK: www.arbookguide.co.uk Australia: www.arbookguide.com.au 2. Click Create a new account A. A 3. Type your code in the blank Activation Code fields B. B C 2

M ANAGING USER ACCOUNTS Logging In To use a title (Mr, Mrs, Miss, Ms, Dr, etc.), enter it as part of your first name (Mrs Jane Doe) or in place of your first name (Mr Doe). 4. Enter the rest of your information into the remaining fields. The way you enter your name determines how your name will appear on the Informational Letter (see page 22) and Teacher Lists (see page 74). You can always change your name (see page 5). Note: Passwords are case-sensitive. 5. Click OK C. Your account will be created. 6. Within a few minutes you will receive an email confirmation that your account was created. 7. Click the link in the email to validate your account. (Your account must be validated before you can access it.) 8. Log in to the using your email address and password. The AR BookGuide Home page will open. Logging In 1. Go to your website. UK: www.arbookguide.co.uk Australia: www.arbookguide.com.au 2. Enter your email address A and password B in the blank fields. Note: Passwords are case-sensitive. C D B A 3. can remember your login information for two weeks. To do this, tick the Keep me logged in for 2 weeks C box. Note: We strongly recommend that you do not use this feature if you are working in a shared computer environment. When Keep me logged in for 2 weeks is checked, you do not have to log in, or log out, for two weeks. Instead of logging out when you are finished, close your browser tab or window instead. When you return to the Web site, you will automatically be logged in. This remains in effect for two weeks or until you log out. 4. Click Log In D. 3

M ANAGING USER ACCOUNTS Viewing or Editing User Accounts Viewing or Editing User Accounts On the Home page, click User Accounts to view your account information, activation code and expiration date. The way you enter your name when you set up your account determines how your name will appear on the Informational Letter (see page 22) and Teacher Lists (see page 74). You can modify your name, email address and password via User Accounts. To edit your account information: 1. On the Home page, click User Accounts A. A 2. Click Edit B to the right of your name. B 5

Your email address D Your password E. Passwords must be six or more characters with at least one number (A Z, a z, 0 9). Click Cancel if you do not want to save the changes. You will return to the previous page. Click Update to save the changes. 6

The User Accounts page will open. The person will not be invited. To invite the person, click Invite User D. You will see a message that confirms that the email was sent. To invite another person, click Invite User D. If you are finished inviting new users, click Done E. The User Accounts page will open. 8

PREFERENCES There are two groups of preferences that you can change Personal (see below) General Preferences (see page 13) AR BookFinder Preferences (see page 10) are accessed via Personal Preferences. Personal Preferences Titles per Page In the Personal Preferences, you can change the number of titles you want to appear on a page. Changing the Personal Preferences only affects you. 1. On the Home page, click Preferences A. The Personal Preferences page will open. A 2. In the Titles per Page drop-down list, choose the number of titles you want to appear on each page of your search results as you use B. Your choices are: 10, 20 (default), 30, 40, 50, 75 or 100 titles per page. B 9

P REFERENCES AR BookFinder Preferences AR BookFinder Preferences AR BookFinder is a search tool that enables parents, guardians and pupils to find Accelerated Reader books using either a search or by accessing Teacher Lists. AR BookFinder Preferences are found in the Personal Preferences of AR BookGuide. The settings you choose in determine how some information is displayed in AR BookFinder. AR BookFinder Preferences allow you to: view the AR BookFinder Keycode (see page 17) show the ownership status of books (see page 55) print an Informational Letter (see page 22) To change the AR BookFinder Preferences, follow these steps: 1. On the Home page, click Preferences A. The Personal Preferences page will open. A 2. By AR BookFinder Preferences, click Edit B. B 10

C D Show Book Ownership data must be ticked E or AR BookFinder will not show whether a book is owned by your school. E F G H C This link takes you to the AR BookFinder Website. D The keycode shown here will be printed on the Informational Letter. Parents, guardians and pupils can use this keycode to access your Teacher Lists when they go to the AR BookFinder Website. For more information on Teacher Lists, see page 74. E Tick the Show Book Ownership data box if you would like to view the books your school owns when you search for book titles within the AR BookFinder Website. F Your email address is displayed in the Email Address field. G Remove the tick mark from the Print Email Address box if you do not want your email address to be shown on the Informational Letter. H You can send an Informational Letter home to help parents, guardians and pupils use AR BookFinder. See page 22. 4. To print an Informational Letter, click Print Informational Letter H. The way you entered your name when you set up your account determines how your name will appear on the Informational Letter and Teacher Lists. To change how your name appears, see page 5. If you do not want to print an Informational Letter, continue to step 7 to save or cancel your preference changes. 11

P REFERENCES General Preferences General Preferences Changes made to General Preferences affect all users, not just you. 1. On the Home page, under Set-Up & Administration, click Preferences A. The Personal Preferences page will open. A 2. On the Preferences tab, click General Preferences B. 3. Make your changes to the Book Locations C and/or Custom Fields D. Locations cannot be deleted. B C D D You must assign values to the Custom fields before you can use Custom fields for searches. See page 14. C To change Book Locations, click Edit. You can then add or edit a location. Make your changes. Click either Save (to save your changes) or Cancel (to cancel the changes). Click Done to return to General Preferences. For more information on Book Locations, see page 14. D You can create up to two custom fields to help you search for specific data. Click Edit after either Custom Field. You can set up custom fields with a title and options beneath the title. This allows you to search based on these options. For more information on Custom Fields, see page 14. 13

P REFERENCES General Preferences Book Locations Use the Book Locations field to track where books are physically located. Locations cannot be deleted. For example, books may be located in a classroom, a school library, different buildings on a campus and/or a public library. Copies of one book may be found in multiple locations. To add book locations (examples: Classroom, Library, Building 1, Public Library, etc.), use General Preferences (see page 13) and/or the CSV Import (see page 33). To assign or delete books (ownership) to or from a book location, see page 55. Books can only be deleted one at a time from a location. Before using Book Locations as a search parameter, verify that books are assigned to the location(s). Custom Fields You must assign values to the Custom Fields before you can use Custom Fields for searches. includes several fields (such as Book Location, Book Points or Number of Copies) to help you store information about your books and quizzes. See the Book Details Page for more information (page 49). also allows you to add two Custom Fields in the Preferences tab. By adding Custom Fields, you are defining two columns of your own information. (These are the last two columns on the right of your list report if you choose to show Custom Fields from the Format options.) When you create your Custom Fields, you can name them, specify which values should be assigned to titles in each column and then assign the information to the appropriate books. If you need to make changes later, you can change your Custom Fields or delete them. Custom Fields only display on the Book Details Page (see page 49) and the Book List (see page 76). Creating Custom Fields 1. On the Home page, under Set-Up & Administration, click Preferences A. The Personal Preferences page will open. A 14

The Edit Custom Field page will open. D 4. To change the name of the Custom Field, click Edit after Title D. Type the new title in the blank field. Click Save. 5. To add a field option, type the name in the text box. Click Add. The new option is added to the Options list. For example, if you named Custom Field 1 Planets, you could add the options Venus and then Mars. There is no limit to the number of options you can add. 6. To edit an existing entry in the Options list, select the entry you want to change. Click Edit. Change the name. Click Save. 7. To delete an existing entry in the Options list, select the entry you want to delete. Click Delete. 8. When you are done editing the custom field, click Done. 9. To create the second Custom Field and its values, repeat steps 3 8 for Custom Field 2. 15

P REFERENCES General Preferences Assigning Custom Fields to Titles (Books) 1. To assign your custom fields to a particular book title, go to that title s Book Details Page by clicking the book title. For more information on the Book Details Page, see page 49. 2. On the Book Details page, locate the desired custom field(s) and choose the option from the drop-down list by clicking it. 3. To save your changes, click Save. To return to your Active List without saving your changes, click Cancel. 4. Repeat steps 1 3 for each title that you want to assign custom fields to. 16

KEYCODE Viewing the Keycode Only one keycode is automatically assigned to each account. The keycode is used by parents, guardians and pupils to access Teacher Lists when using AR BookFinder. See page 97. SHOWING BOOKS AVAILABLE TO YOUR SCHOOL IN AR BOOKFINDER Books Available to Your School Note: AR BookFinder contains all of the book and quiz information Renaissance Learning has available. This information is updated weekly. AR BookFinder can show if your school does (or does not) have a book. For AR BookFinder to show book availability, your school must: have the quiz and/or book available include the book availability information in choose to have the book availability information display in AR BookFinder have users enter a keycode when using AR BookFinder Book Availability/Ownership Your school may catalog the books owned by the school (both in the school library and/or individual classrooms). Your school may also request the catalog of books available in a local library circulation system or other system. can link this catalog information to AR BookFinder, allowing users to identify the books available to your school. For information on importing catalog information from sources outside of your school, see page 37. For information on changing book ownership status, see page 55. How to Display Book Availability in AR BookFinder To have AR BookFinder show the books available to your school, you must enable the Show Book Ownership data feature in. and AR BookFinder use Ownership Status to identify books your school has available for students to use. This feature (Ownership Status, Show Book Ownership data) is found in the AR BookFinder Preferences (under Personal Preferences) in. 19

INFORMATIONAL LETTER Printing the Informational Letter The Informational Letter: informs parents, guardians and pupils about AR BookFinder provides the keycode used to access Teacher Lists provides instructions for conducting searches in AR BookFinder The Informational Letter is found under Personal Preferences, in the AR BookFinder Preferences. 1. IMPORTING AR Advantage customers have access to all quizzes. If you are an AR Advantage customer, you do not have to import your data. Importing allows you to use to reconcile the lists of quizzes you own with the lists of books available to you. You can perform different types of imports. Accelerated Reader imports provide information about the quizzes you own CSV and MARC records imports provide information about books CSV and MARC records are the most commonly imported file types. You must first export files from one of the following before importing them into. Accelerated Reader desktop 5.x 6.x (see page 25) Accelerated Reader Renaissance Place 7.x (see page 26) CSV files (see page 32) MARC records (Australia only; see page 37) 24

You do not have to perform this procedure. The default export name for AR 5.x AR 6.x desktop quiz lists is QuizInfo.exp. In AR 5.1 6.x desktop, you can create an export file of your Reading Practice quiz information to import into. Importing this file into allows you to mark the quizzes that you own and import the readability levels and points you are using in Accelerated Reader desktop. Anyone with access to the Accelerated Reader Management program can create this export file. To create the export file for, follow these steps. 1. Log in to Accelerated Reader Management. 2. From the Go menu, select Quizzes or Quizzes/Tests. 3. From the Edit menu, choose Select All. This will select all of your Reading Practice quizzes. 4. From the Quizzes menu, select Export for AR BookGuide. 5. In the dialog box, follow the directions for your operating system to save your file: Windows and Macintosh OS 8.6 9.x: a. Navigate to the drive and open the folder where you want to save the file. b. The default file name is QuizInfo.exp. Type a different name for the file, if desired. c. Click Save. Macintosh OS 10.3.9 and higher: a. Navigate to the drive with the folder where you want to save your file. If the drive is not shown, you may need to move the scroll bar to find the drive. b. Click the folder where the file will be saved. The default file name is QuizInfo.exp. Type a different name for the file, if desired. c. Click Save. 6. Anyone with access to the Accelerated Reader Renaissance Place program can create this export file. To create the export file for, follow these steps. 1. On the Renaissance Place Home page, in the list of Accelerated Reader tasks, click Manage Quizzes A. A 2. If necessary, choose the school you want to work with from the School dropdown list. 3. I MPORTING CSV Files CSV Files Preparing a CSV File for Importing If you have information about the books in your school s library stored in another database or spreadsheet, you can import that information into. First, you use the existing files to create a CSV (comma-separated value) text file of the information. Next, you format the file to work with. The header line and author names must be formatted as described below. Finally, you use the CSV text file to import your information into. To prepare a CSV file for importing: Including the ISBN in your file is not necessary, but it will give you better results. 1. Open the CSV text file that has the information you want to import into AR BookGuide. 2. In order for your file to import properly into, you must type the words ISBN, Title and Author as headers at the top of your document. Doing this will allow to recognise your data. The order of the headers must match the order of the data. For example, if the data for each book is listed as ISBN number, then the title, then the author, the headers must be in the order ISBN,Title,Author (as shown below). Note: do not include spaces between the items in the header. 3. Type ISBN at the top of your document. Press the comma key. 4. Type Title. Press the comma key. 5. Type Author. 6. Make sure the author names are formatted correctly. If the author names are not formatted correctly, will not recognise them. Author names must be (1) in quotes and (2) the sequence Last Name, First Name. Make sure there is a space before the author s first name. 7. Click File, then Save As. MARC records are a specific type of file that a library circulation system should be able to create. MARC records contain information about books owned by a library circulation system. For example, the MARC record of your school library would list the books owned by your school library. The library circulation system could be the library in your school, the library in another school or a public library in your area. Usually, you will work with MARC records from your school s library. Create a list from the results of the import. When you create a list, you can use it to print book labels. You can create a list of the books in the MARC record(s) you are importing, but you must create the list as part of the import process. You can import MARC records into. When you import MARC records, the books that are already in your collection (owned) can be identified. This will make it easy for you to identify books that your school does not own/have access to. It can also help you match your books to the quizzes you own or need. When you import a MARC record, you can create a list for (1) all the books in the import or (2) only new books (books not marked as owned). To view the Book Details on any book, click on that book s title in your book list or search results. 49

B OOK DETAILS Levels: Interest, Book and Reading Levels: Interest, Book and Reading Interest Level, Book Level and Reading Level measure different things. Interest Levels The Interest Levels are: LY: Content is most appropriate for pupils in the lower years (ages 5-8). MY: Content is most appropriate for pupils in the middle years (9-13). UY: Content is most appropriate for students in the upper years (14+). The Interest Level reflects the judgment of the book's publisher and the professionals at Renaissance Learning. However, the final decision on whether the content of a book is appropriate for a particular pupil is the responsibility of school librarians, teachers and parents. Within each Interest Level, you will find a wide range of Book Levels to support pupils who read at, above and below year level. Interest Level relates to content and age appropriateness - not the difficulty or readability of the text. Books and other reading materials are assigned an Interest Level based on publisher recommendations. Book Level Book Level measures the readability of the text of a book or other reading material. Accelerated Reader uses the ATOS Readability Formula for Books to determine the book level by using full-text computer scans of all the words in a book. ATOS does not analyse content, age appropriateness or literary merit. For more information, see page 54. Reading Level Reading Level relates to an individual pupil's reading comprehension ability. Reading level indicates the most difficult text a pupil can comprehend based on a standardised test (such as STAR Reading) or results from Reading Practice Quizzes. Accelerated Reader RP allows you to change the Interest Level of a quiz when you edit the quiz information. 54
