Recommended Browsers Computer Settings The KCDA catalog can be accessed from most Internet-ready computers. However, for optimum performance, we recommend that they be equipped with the browsers listed below. Microsoft Internet Explorer version 6.0 or higher. Netscape Internet Explorer version 4.7 or higher. Apple, Safari version... V00 Checking Your Current Browser To determine the browser that is loaded on your computer, follow these steps:. Access the Internet as you usually do.. Click Help on the menu bar at the top of the screen. 3. Select About Internet Explorer or About Netscape in the Help menu. The version information will be displayed on the screen. 4. Compare it to the recommended versions identified above. Downloading the Recommended Browser If your browser version number is lower than the recommended version, download a more recent version by going to the appropriate web site below, clicking the Download link, and following directions to download the newer version. KCDA recommends that you do not download Internet Explorer version 6.0 without first loading Internet Explorer version 5.5 with service pack. For Microsoft Internet Explorer: www.microsoft.com/windows/ie/default.htm For Netscape Navigator: www.netscape.com/download/

Adjusting Screen Resolution KCDA Online Catalog User s Guide The catalog is best viewed when your monitor resolution is set to 800 600 pixels or greater. If your screen resolution is set lower than this, you will not be able to view the complete width of the screen without scrolling side-to-side. To check and adjust your screen resolution, follow these steps: On a PC:. Right-click the desktop screen. (You will need to minimize or close any programs you are working in.). Select Properties from the menu options listed. 3. Click the Settings tab. 4. On the right-hand side in the Screen area box, move the slider until it displays the value 800 600 pixels (or greater) below the slider. 5. If you changed the screen setting, click Apply, click OK resize your desktop, click Yes to approve the new setting, then click OK to close the Display Properties window. You now should be able to view the complete width of the web site without scrolling side-to-side. On a Mac:. Click the Apple icon in the upper left-hand corner of the desktop.. Select Control Panel. 3. Select Monitors & Sound. 4. Click 800 600 in the right-hand section of the box. If this was a change from your previous setting, the computer will automatically resize your desktop. Click OK to approve the settings. 3

Home KCDA Online Catalog User s Guide After you log on, the catalog Home page will open. Here you will find links to all of the tasks you need to perform. Below is a snapshot of the catalog Home page followed by a description of its features. A B C D E F G H I J K L M N A Home Click the Home tab at any time during your shopping process to return to the window shown above the starting point of the catalog. B Shop Click the Shop tab to access the catalog, create shopping carts, access shopping cart templates, and track the status of your shopping carts. C To Do List Click the To Do List tab to see a list of tasks that need to be completed for your orders to be submitted. D Specials Click on specials to view and or order products that are being offered at a reduced price. E View Cart Click the View Cart button to view the contents of your active shopping cart. Here you can remove items, modify quantities, continue shopping, or edit cart info. 4

F Log Out Click the Log Out button to leave the KCDA online catalog. Clicking the button will take you back to the Member Login page. G Support Click the Support button for KCDA Customer Service contact information as well as online help, including frequently asked questions (FAQs). H Tools The Tools box informs you when you have items to complete on your To Do List. It also provides shortcuts to the most common purchasing activities. I To Do List If you are a cart approver, any carts pending action by you will be listed by clicking here. J Create Cart Click the Create Cart link for a shortcut to the Create Cart function on the Shop tab. Here you create a new shopping cart, which is the starting point in the purchasing process. K Cart Manager Click the Cart Manager link to track the status and history of all shopping carts that have been created. Here you can locate a specific shopping cart or switch from using one cart to another. L Cart Templates The Cart Templates link takes you to any shopping cart templates that you previously designed. Cart templates can be used to quickly shop for frequently ordered items, because you can bundle those items in shopping carts ahead of time. M Express Shop Click the Express Shop button if you know the KCDA numbers for all the items you wish to buy. You can simply type in the KCDA item numbers and quantities and skip browsing and searching. N Hyperlinks Click the hyperlinks at the bottom of the window to get to commonly used features also available from the buttons and tabs above: click the Customer Service link to go to the Support window with tips, FAQs, and contact information; click the Select a Cart link to go to the Cart Manager; click the View Active Cart link to see the shopping cart that is active (if there is none, it will take you to the Cart Manager); or click the To Do List link to see the list of items to be completed. 5

Shop In order to begin the purchasing process, you need to have an active shopping cart. When you click the Shop tab, the Catalog will automatically open with the active shopping cart ready to take additional orders. If there is no active shopping cart or if the active cart is not the cart you wish to use, you will need to create a cart (see below) or select the cart you wish to use from the list available in Cart Manager. Create Cart Each order requires a shopping cart. If you do not have an active cart or a cart template (see Cart Templates, page 7) that you wish to use, you need to create a new cart. 4 3 To create a cart: On the Shop tab, click the Create Cart link. The window above will appear. To complete the cart information needed, select cart type, Regular or Annual then use your tab key to go from field to field. 3 When the information is complete and correct, click the Create and Shop button. This will bring up the Catalog window, where you can browse or search for products. When you create a cart, the new cart receives active status, and any previously active cart is automatically parked. 4 To view the contents of your active cart at any time, click the View Cart button. Your active cart information can be edited when viewing cart by clicking on EDIT in the cart information field. 6

Cart Templates A cart template is a shopping cart that you customize to contain products that are repeatedly ordered. This will save you time by allowing you to begin the shopping process with a cart that already contains those frequently ordered items. Create Cart Templates A shopping cart template can be created from any cart that has not been checked out. To create a cart template, Fill a cart with the items you wish to include. Click the Save as Template button in the shopping cart Tools box. 7

3 A cart template can be reserved for an individual s private use or may be designated as a public template to be shared with all buyers in the purchasing group. Giving each template a unique name may help you locate the correct template later. 3 Click the Update Template button to create the template. 8

Create Cart from Template After creating a cart template, you can use it to shop at any time. 3 Click the Cart Templates link of the Shop tab. Locate the cart template you want by browsing through the list, or use the Search feature to locate a cart template by template name or type. You may narrow the list by selecting Private or Public from the drop-down menu. This is the designation selected when the cart template was created: A cart template can be reserved for an individual s private use or may be designated as a public template to be shared with all buyers in the purchasing group. 3 Review the cart information. Make any necessary changes and click the Update and Shop button. You now can use the catalog to select additional items (see Catalog, page ) or you proceed to checkout with the new shopping cart (see Check Out, page 6). 9

4 4 This screen allows you to review the cart information and make any necessary changes, click the Update button when done. The Update button will send you to the catalog browse screen where you now can use the catalog to select additional items and or edit any item in the cart or proceed to checkout 5 5 Click on View cart to modify the contents of the cart template. 0

Catalog KCDA Online Catalog User s Guide The process of selecting products occurs in the Catalog section of the Shop tab. There are three means of searching the thousands of items in the KCDA Catalog. Use the search feature to locate a specific product Browse for a product using the categories and subcategories. Express shop, if you know the KCDA numbers for the products you wish to order, you may use the Express Shop feature. Before you can begin to select items, you need to have an active shopping cart. Whichever shopping cart is active when you enter the catalog is the one that will be used. If you wish to use a different shopping cart, you will need to activate an existing cart or create a new cart. If there is no active shopping cart and you try to shop, a message will pop up on your screen prompting you to create or activate a cart. Express Shop If you know the KCDA numbers for the items you wish to purchase, the quickest way to shop is to use the Express Shop feature. If you do not know the KCDA item numbers, you may use the catalog search feature or browse through the categories. 3 Once you have accessed the desired shopping cart, click the Express Shop button when you are in the Shop tab. Or click the Express Shop button located on the Home page or in the active Shopping Cart window. Enter the KCDA item number and quantity you would like to purchase, using the tab key to move from field to field. 3 Click the Add button. The Cart Contents list will be updated to reflect the item added to the cart by using the enter key. To select additional items by KCDA number, repeat these steps.

Search for a Product The catalog Search feature allows you to locate items by type of product or brand name. 3 Once you have activated the desired shopping cart, click the Catalog link located on the Shop tab or scroll to the bottom of the active Shopping Cart window and click the Continue Shopping button. This will bring up the Catalog window. Type a product description or a brand name you wish to locate in the Enter Product or Brand box, and then click the Search button. 3 The search results may be a list of categories and subcategories containing items with that description (shown above) or a list of items that meet that description (shown next page skip to step 4). If your search produces a list of categories, click the line that best fits the description of the item you are seeking. This feature will list only the first 00 categories... if more categories are available you will be advised to narrow your search criteria.

7 4 6 5 4 Product descriptions and current quantity pricing will be provided for all products in the category you selected. Use the scroll bar on the far right side of the window to view the entire list. 5 If you wish to see more detailed information about the item before selecting it, click the KCDA item number below the product graphic. 6 Once you locate the item you are looking for, enter the desired quantity in the box provided and click the Add button. A check mark will appear next to the item that you selected, and a new line will appear in the drop-down menu at the bottom of the window. Click the arrow of this drop-down menu at any time to see the contents of the active cart. Repeat steps -5 to continue searching this way for products. 7 If you wish to see the contents and description of this active cart, click the View Cart button and the Shopping Cart window will appear. From the Shopping Cart window, you may edit your order, proceed to checkout, continue shopping, create a template, or perform other tasks. 3

Browse Categories The Browse Products feature allows you to locate items based on a series of categories and subcategories. 5 4 3 Use the scroll bar in the left column to locate the category of the item you wish to purchase. Click the category name and all subcategories will be listed. An arrow next to a category indicates that subcategories exist. A bullet point indicates there are no additional subcategories. Once you have located the category that most closely fits the product you wish to purchase, click that line. To close the drop-down menu of categories, click the arrow pointing down. Product descriptions and quantity pricing will be provided for all products in the subcategory you choose. Use the scroll bar on the right side of the window to view all the products. 3 If you wish to see more detailed information about an item before selecting it, click the KCDA No. under the product photo. 4 Once you locate the item you are looking for, enter the desired quantity in the box provided and click the Add button. A check mark will appear next to the item that you selected, and a line will appear in the drill-down menu at the bottom of the window. Click the arrow of this drill-down menu at any time to see the contents of the active cart. Repeat steps -5 to locate another product. 5 If you wish to see the contents and description of this active cart, click the View Cart button and the Shopping Cart window will appear. From the Shopping Cart window, you may edit your order, proceed to checkout, continue shopping, create a template, or perform other tasks. 4

Print Order You may print a copy of the cart information and contents at any time during the purchasing process by clicking on view cart. Click the Print Order link in the Shopping Cart window. Click the Print button to print out the order. If you are a MacIntosh user and the print button does not work, you can print by selecting print from the file menu. 5

Check Out After you have selected all of the items you wish to purchase, you are ready to check out. Only an active shopping cart may proceed to checkout, so you may need to activate the cart of the order you wish to submit. Before you check out, it is always a good idea to review all pertinent information related to the order: shipping and billing addresses, payment methods and terms, and running totals for your shopping cart. Edit information as needed using the edit button. This returns you to the create cart screen where you can change information. Select view cart to return to the active cart, then follow the steps below. The edit button allows you to change cart information prior to check out. In the active Shopping Cart window, click either the check out cart button in the Tools box or scroll down and click the Checkout button at the bottom of the window. 6

3 3 If you have not entered a P.O. # a Checkout Cart window will open asking you to confirm your purchase order number. The Checkout Cart window will ask you to confirm your purchase order information. You must have a number in the PO# box or a check mark in the Blank PO# box in order to proceed. When you are ready, click the Finished button. 4 4 This will bring up a Checkout Cart window that has a Checkout button. Your purchase order information should be correct at this point, so click the Checkout button to complete the purchase. A confirmation window will appear and the cart status will change to a level of pending cart approval in your Cart Manager list. In this status, products and quantities in the shopping cart may be modified until an approver has opened the cart. 7

KCDA Catalog User s Guide KCDA Confirmation and Invoicing Select KCDA Confirmation 3 Your KCDA Order number will display on the top right of the screen, usually within an hour of checking your cart out. 3 To view your invoice select Invoice Information. This information can be found the day after your order has shipped. See next picture. 8

Your invoice will display indicating quantity ordered, quantity that might be on back order and total invoiced. 9
