Minnesota Hockey s goal is to provide the best possible experience for players, parents, spectators and other participants at Minnesota Hockey Region and State Tournaments. A Word About Our Corporate Sponsors A number of sponsors provide significant financial support to Minnesota Hockey. These corporate sponsors have committed to youth hockey in Minnesota. In return, Minnesota Hockey has committed to the continued growth and development of the sport utilizing all of the resources available to us. Minnesota Hockey has a certain inventory of items that provide exposure for these corporate sponsors. One of these items is the Minnesota Hockey Region and State Tournaments. Minnesota Hockey uses these tournaments to help showcase our sponsors by displaying their logos and marks on banners and dasher boards, by providing advertising space in tournament programs and providing opportunities to display or exhibit products on-site at tournaments. The use of this inventory is essential to continued support by corporate sponsors. Therefore, Minnesota Hockey must carefully look after its inventory of items used to develop and thank our corporate sponsors. A Word About Our Corporate Licensees The Minnesota Hockey logo and name Minnesota Hockey are trademarked and registered. Only approved licensees and corporate sponsors of Minnesota Hockey are allowed to use the logo and trademarked name. Any alteration of the logo is prohibited. All other uses must be requested in writing and approved prior to use. Questions? MINNESOTA HOCKEY REGION and STATE TOURNAMENT HOST AGREEMENT 1. Site & Host Association Selection. The Arena and Host Associations ( Host ) for Region and State Tournaments shall be specified prior to the Minnesota Hockey ( MH ) Fall Meeting. 2. Tournament Game Times. A complete schedule of game times shall be provided to the applicable MH Vice President, Region Coordinator and MH Tournament Committee Chair no later than November 1. 3. Tournament Chair. A Tournament Chairperson shall be designated by the Host and his/her names, address, phone numbers (including cell phone), fax and e-mail address shall be provided to the MH Tournament Committee Chair no later than the MH Fall Meeting. 4. Tournament Expenses. The Host shall cover all tournament expenses, unless noted otherwise in this agreement. A line item budget summary shall be submitted by Hosts of Region and State Tournaments to the MH Executive Director within 30 days of the last day of the tournament on the attached form. To receive the State Tournament subsidy, the report must be submitted within 30 days after the completion of the State Tournament. 5. Region Tournament Program. Host shall provide a printed tournament program, with complete rosters for each participating team. MH shall provide cover art and up to 8 pages of material (including cover, inside front cover, inside back cover and back cover) to be included in the program. Host shall have the right to sell advertising that does not conflict with the categories represented by the Corporate Partners of MH. The Host may charge a program cover fee to offset costs associated with the tournament program and keep the proceeds. 6. State Tournament Program. MH will provide the State Tournament Program and establish the appropriate fee. Host shall be expected to have a volunteer to sell the programs and may retain all revenue associated with the program. 7. Local Sponsors. The Host shall have the right to retain all funds related to local sponsorships and donations for Region and State Tournaments. However, the Host shall not sell local sponsorships that conflict with the categories represented by the Corporate Partners of MH. In addition, the Host shall not allow the use of the registered MH name and/or trademarked logo by local sponsors without prior written approval from the MH Executive Director. 8. Minnesota Hockey Corporate Partners. MH retains the right to sell corporate partner marketing packages that include category exclusive exposure at sanctioned events, but MH understands that arenas may have category specific sponsor agreements that may supersede MH sponsors. MH corporate partners retain the right to conduct mutually agreed upon promotions and displays at MH Region and State Tournaments. 9. Referees. MH and the Minnesota Hockey Officials Association ( MHOA ) shall establish the officiating system and fee schedule used for Region and State Tournaments. The Host is responsible for paying referees per the established fee schedule. The Host is responsible for locating housing for officials, if necessary. Hosts shall not pay any housing or meal costs to any referee. For State Tournaments only - payment for referee s housing shall be made according to a process established by the MHOA and MH Tournament Committee Chair. 10. Passes. The Host shall provide tournament passes for all tournament staff, officials and media covering the event. Hosts are only required to provide a maximum of four (4) passes for the participating team officials. MH will provide event passes for corporate sponsors, MH officials and MH volunteers. 11. Banquet. The Host may provide a banquet or breakfast for players, coaches and official team staff. All teams will attend the banquet/breakfast. Parents and families should be invited to attend the event. Please note this is not a requirement.
12. Use of Minnesota Hockey Registered Name and Trademarked Logo. All use of the registered MH name and/or trademarked logo must be approved, in advance, by MH Executive Director. 13. Merchandise Sales. All event merchandise sales (e.g. apparel, photography) must utilize vendors approved and licensed through MH. For example, all apparel bearing the registered MH name and/or trademarked logo must be purchased through the licensed MH vendor. Contact the MH Executive Director for a list of approved vendors. Proceeds from merchandise sales will be collected by MH to offset tournament expenses. 14. Tournament Officials. The Host shall be responsible for organizing and supervising tournament officials for ticket sales, gate attendants, medical attendants, locker room attendants, live scoring official, timekeepers, scorekeepers, game announcers and goal judges. 15. Liability Insurance. MH and its affiliates are insured under a general liability policy through USA Hockey, Inc. 16. Tournament Promotion. MH shall provide media exposure and promotional collateral materials for the Tournament, to include on-going exposure via the MH web site. 17. Tournament Operations. The Host shall be responsible to work with the Arena to ensure the provision of all necessary tournament related operations. Note: MH has developed an Arena Host Letter of Understanding that shall be used by the Host to help outline expectations of the arena for the tournament. 18. Tournament Results. Host shall be responsible for reporting Region and State Tournament results, to the MH Executive Director or his/her designee for posting on the MH website. Host shall report State Tournament results via the live scoring program. 19. Ticket Sales. MH shall determine the gate fees for all sanctioned Region and State Tournaments. Gate fees shall be retained exclusively by the Host. MH reserves the right to conduct ticket related promotions including, but not limited to discounts, vouchers and event passes. 20. Tournament Fees. MH shall determine tournament fees (team entry fees) for all sanctioned Region and State Tournaments. The Host shall retain tournament fees. 21. Lodging. There must be adequate lodging available within a reasonable distance from the tournament site for all Region and State Tournament participants, including players, coaches, officials and families. 22. Awards & Trophies. MH shall supply all team trophies for Region and State Tournaments. MH will also supply individual medals for State Tournaments only. The Minnesota Hockey Handbook governs all Minnesota Hockey events. In any case where this agreement conflicts with the Minnesota Hockey Handbook, the Handbook shall prevail. MINNESOTA HOCKEY ARENA HOST LETTER OF UNDERSTANDING Minnesota Hockey (MH), the governing body of youth hockey in Minnesota, sanctions Region and State Tournaments each year. In order for these tournaments to provide the best possible experience for everyone involved, MH requires a number of items to be provided by the host arena. MH utilizes local host associations (Host) to run its tournaments. Contact should be through the local Host regarding specific tournament issues. 1. Arena Operations. ARENA will provide all necessary arena related operations for Region and State Tournaments including, but not limited to ice cleaning, locker room cleaning, sidewalk and parking lot clearing, general maintenance, etc. 2. Arena Utilities & Access. In order to publicize event, MH asks ARENA to provide access to arena utilities (e.g. phone, fax, electrical, internet) for basic tournament operations. Installation of additional utility access for tournament use (e.g. extra phone lines, internet) will be charged at market rates to the Host. 3. Minnesota Hockey Licensed Tournament Merchandise. In order to protect MH vendors and MH trademarks during events, MH requires ARENA to grant MH exclusive rights to sell officially licensed MH apparel and merchandise at the Arena during the Region or State Tournament, and that ARENA will grant no such rights for sale of hockey related merchandise to any third parties without written consent of MH. MH will have the right to assign these rights to a third party. In addition, ARENA will not charge a fee to any MH approved vendor in order to display and/or sell official merchandise at MH Region and State Tournaments. 4. Minnesota Hockey Licensed Tournament Photography. MH requires ARENA to grant MH exclusive rights to sell officially licensed MH event photography during the Region or State Tournament and will grant no such rights for sale of hockey related photography to any third parties without written consent of MH. MH will have the right to assign these rights to a third party. In addition, ARENA will not charge a fee to vendor in order to display and/or sell official photographs at MH Region and State Tournaments. 5. Minnesota Hockey Licensed Tournament Video Broadcast. MH requires ARENA to grant MH exclusive rights to video broadcast the Region or State Tournament and will grant no such rights to any third parties without written consent of MH. MH will have the right to assign these rights to a third party. In addition, ARENA will be expected to provide MH s licensed vendor the necessary space to video broadcast the MH Region and State Tournaments. 6. Minnesota Hockey Signage. In order to provide recognition to MH sponsors and financial contributors, MH displays signage detailing sponsor and MH information. MH requires ARENA to grant MH the right to display signage during the Region or State Tournament in a minimum of two locations - one lobby banner (Region and State Tournaments) and one dasher board sign per ice sheet (State Tournaments only). Location of banners and dasher boards will be mutually agreed upon prior to installation. MH or Host will be provided the opportunity to install banners and dasher boards at a mutually agreeable time prior to start of the Region or State Tournament. 7. Other Signage. MH asks ARENA to grant MH the right to display additional signage prior to and during the Region or State Tournament if such rights are allowed and space is available. Parties will agree on financial terms as necessary for this type of signage.
8. Public Address. MH requires ARENA to provide access to their public address system during the Region or State Tournament for in-game and general announcements. 9. Exhibit Space. MH requires ARENA to provide a mutually agreeable amount of exhibit space, to include, but not be limited to, space for the display of tournament brackets, during the Region or State Tournament. 10. Ticket Sales. MH requires ARENA to grant MH the right to sell general admission tickets to the Region or State Tournament. Host will retain all revenues generated through ticket sales. 11. Ice Rental. Host will purchase hours of ice time at a rate of per hour during the duration of the Region or State Tournament at the ARENA. 12. Tournament Volunteers. Host will provide all necessary volunteers for tournament related operations, including team management, locker room attendants, live scoring official, announcers, scorekeepers and ticket takers. 13. Tournament Officials & Medical Staff. Host will provide all necessary officials for tournament including referees, goal judges, rules officials and medical staff. 14. Liability Insurance. MH and its registered affiliates are insured under a general liability policy through USA Hockey, Inc. 15. Tournament Promotion. MH will provide extensive media exposure and promotional collateral materials for the Tournament, to include but not be limited to, news releases to area media and on-going tournament exposure via the MH web site, www.minnesotahockey.org. The Minnesota Hockey Handbook governs all Minnesota Hockey events. In any case where this agreement conflicts with the Minnesota Hockey Handbook, the Handbook shall prevail. This Letter of Understanding is an outline of expectations for Minnesota Hockey, its host association and the host arena. The goal is to provide the best possible experience for the players and the fans attending the tournament, the host arena and its staff and the host association and its volunteers.
