Serving as an ambassador, the Director of Alumni Relations is charged with engaging alumni in the life of the MBS; collaborating with colleagues across the school (including, but not limited to Admissions, Development, Faculty, Media and Communications, Marketing, Executive Education and Student Services) to create and maintain pathways for alumni participation that advance the goals of MBS; partnering with development colleagues to identify, cultivate and steward alumni giving; and serving as a liaison between the Alumni Council and the School s executive leadership. There are approximately 17,000 alumni of the School. These include graduates of our Award programs (such as the MBA suite of programs) as well as specified Executive Education programs (including some open enrolment short courses and corporate programs). There are a further 7,000 alumni of the former Graduate School of Business and Economics at the University of Melbourne within the extended graduate business alumni network. KEY RESULT AREAS: KRA 1 Strategy formulation: alumni engagement Design and implement a comprehensive long-term alumni strategy, and annual activity plan and budget, which reflects a holistic and integrated approach for both Award and Exec Ed alumni to achieve increased alumni commitment and participation and support Melbourne Business School s strategic goals Develop processes to extend relationship-building and loyalty management activities from alumni strategy to wider Executive Education past participant network Strengthen relationships with, and between, alumni, students, the School, partners within the Faculty of Business and Economics at the University of Melbourne, and the Alumni Council Develop appropriate KPIs and manage tracking and assessment mechanisms to monitor and report on program outcomes Collaborate with the Faculty of Business and Economics to maximize synergies and opportunities across the extended business alumni group and provide processes for integration of alumni from FBE graduate programs into the MBS alumni community Actively contribute to the External Relations leadership group.
KRA 2 Alumni Data Develop and maintain a reliable, relevant and comprehensive alumni database and on-line directory to facilitate personal and business networking for students and alumni, and to enable access to detailed alumni contact and profile information to support the School s various business units Develop and manage alumni data cleansing program to increase quality of records; and outreach campaigns to alumni to increase level of accurate records KRA 3 Alumni Networks Develop and oversee channels for effective alumni networking, through alumni chapter development and support, and alumni class representative coordination Manage the interface with interstate and international alumni chapters and provide support for their activities KRA 4 Alumni Services & Benefits Develop and deliver alumni services and benefits in conjunction with relevant departments across the School to increase alumni participation and satisfaction Alumni lifelong learning: Plan and execute an annual calendar of refresher programs, seminars, forums to support continuous learning for alumni Manage relationships with MBS faculty and visiting faculty to gain access and support for alumni activities Alumni Career Services: work with Career Services to design effective program of alumni career support Alumni Events: Take overall responsibility for the management of Alumni Relations events worldwide, working with the Events team to create inspiring, persuasive and successful alumni events, including annual Reunions and the Global Alumni Celebration Design and oversee the annual MBS signature events (e.g. Annual dinner, WAM dinner, Valedictory dinner) and annual Reunion program Develop an annual calendar of professional and social networking events (integrated with continuous learning calendar, and MBS Chapter events) KRA 5 Alumni Communications Establish and continuously improve plan to ensure regular communication with alumni via direct contact, print and digital communication channels, social media (including content development and messages for LinkedIn, Twitter, and other such online media); prepare talking points for any presentations to alumni by the School s leadership as required. Drive development of enhancements to communications channels to ensure effective communications KRA 6 - Alumni Volunteer Program Evolve and implement an alumni volunteer program, encompassing the recruitment, development and recognition of the pool of alumni volunteers, to effectively partner the School and support implementation of the Alumni Relations strategy, particularly through chapter volunteers, class representatives and corporate ambassadors Work with and support other MBS business units through the provision of alumni to: host student projects; act as guest speakers; recruit students; mentor students; develop new business; build the School s profile and networks KRA 7 Student/Alumni Transition Raise alumni relations profile across the student/participant community and ensure seamless transition of new members into the alumni community
Collaborate with program staff to maximize opportunities for student/alumni interaction throughout the student/alumni lifecycle KRA 8 Alumni experience and service Ensure operational processes and service quality standards are in place within Alumni Relations to efficiently support the administration of the alumni network KRA 9 IT Support systems Ensure the necessary systems are in place to support alumni administration and an active alumni online community, sponsoring key IT development projects as required to support the alumni engagement strategy Manage the alumni pages on the School s website, and the alumni community portal MBS Direct, including the on-line Directory ( via Unity database) KRA 10 Alumni giving Develop activities and communications to build a culture of alumni giving, reflected in increased alumni participation in annual fundraising Participate in the development and implementation of the MBS fundraising strategy Support Development/Advancement team fundraising activities KRA 11 - Team management Manage and develop the Alumni Relations team, ensuring that clear objectives are set and that individual team members receive necessary support, training and guidance Manage the day to day activities of the alumni department KRA 12 Governance of MBS Alumni Administer the governance arrangements of MBS Alumni Council and alumni Chapters Manage the Alumni Council appointment process through the Nominations Council and the Alumni Council President election process Sit on the Alumni Council, guiding and actively participating in its activities; manage secretariat support to the Council KRA 13 Occupational Health and Safety Within their functional areas of responsibility and as far as it is practicable and reasonable, Managers are expected to ensure adherence and active participation in the Schools Occupational Health and Safety (OH&S) policies, practices and obligations. This will include: Facilitation of all safety management systems as requested Implementation of appropriate accident, incident and hazard reporting systems Actively ensuring and supporting your functional area retains the appropriate number of OH&S representatives and appropriately trained safety officers, wardens and first aiders. Ensure all new and existing employees are appropriately inducted regarding OH&S policies, practices and obligations. SELECTION CRITERIA QUALIFICATIONS Minimum bachelor s degree; postgraduate qualifications in management/ business preferred (MBA or similar desirable).
ESSENTIAL EXPERIENCE/SKILLS Experience in working with, and relationship-building with, people from diverse cultures, industries, job functions and backgrounds at all levels and career stages.
