Intrductin Use Cnnectr fr Micrsft Dynamics t integrate Micrsft Dynamics CRM and Micrsft Dynamics ERP data. Fr example, yu can integrate Micrsft Dynamics ERP custmers with Micrsft Dynamics CRM cntacts and have access t up-t-date custmer and cntact infrmatin in bth systems. Cnnectr fr Micrsft Dynamics is intended t be used in an implementatin where Micrsft Dynamics CRM is used t manage business cntacts, track leads, enter sales rders, and perfrm ther sales and marketing activities, and where Micrsft Dynamics ERP is used t perfrm accunting functins, manage yur cmpany s chart f accunts, and maintain custmer, vendr, item, emplyee, and ther recrds. Within Cnnectr fr Micrsft Dynamics, separate adapters are used t identify a surce system (where data is read frm) and a destinatin system (where data is written t). The surce adapter reads data frm the surce system. The destinatin adapter writes the data t the destinatin system. Recrd types that are integrated are referred t as entities. Sme entity infrmatin can be integrated nly ne way between the tw systems. Fr example, a prduct that is entered int Micrsft Dynamics CRM cannt be integrated with Micrsft Dynamics ERP as a sales item, but a sales item that is entered int Micrsft Dynamics ERP can be integrated with Micrsft Dynamics CRM as a prduct. Cmmn terminlgy The fllwing terms are used in this dcument. A Micrsft Dynamics ERP custmer recrd, a prduct, r a Micrsft Dynamics CRM rder are each an example f an entity recrd. An abnrmal cnditin r errr that ccurs during the integratin between a surce entity and a destinatin entity. The prcess f synchrnizing data that was entered in ne Micrsft Dynamics applicatin with anther Micrsft Dynamics applicatin. Within Cnnectr fr Micrsft Dynamics, an integratin cnsists f a set f maps that can be run t integrate sme Micrsft Dynamics CRM entities with sme Micrsft Dynamics ERP entities. A recrd that has been linked between the tw systems and then synchrnized. Fr example, if a custmer recrd in Micrsft Dynamics ERP has a crrespnding accunt recrd in Micrsft Dynamics CRM and these recrds have been linked, it is an integrated recrd. A cllectin f assciatins between fields in ne Micrsft Dynamics CRM entity with fields in anther Micrsft Dynamics ERP entity. Maps als determine in which directin data flws frm a given entity, and defines which adapter is the surce and which adapter is the destinatin. The database created fr Cnnectr fr Micrsft Dynamics during the installatin prcess. The prcess f reading entity infrmatin frm the surce system, transfrming that infrmatin int data that the destinatin system can recgnize, and then writing the transfrmed data t the destinatin system. The surce entity prvides the data that will be used t create new entities in the destinatin system. The destinatin entity is created r mdified after yu run an integratin. If the Micrsft Dynamics ERP Custmer recrd is the destinatin entity and the Micrsft Dynamics CRM Cntact recrd is the surce entity, then Micrsft Dynamics CRM Cntacts will be created as Custmers within Micrsft Dynamics ERP when the integratin is run. 6

Architecture Cmpnents f Cnnectr fr Micrsft Dynamics are described belw. Cnnectr fr Micrsft Dynamics service The Cnnectr service is the cre engine that drives the runtime prcess. This Cnnectr service is a WCF service and is respnsible fr cntrlling, mnitring, and reprting n all activated integratins. The client The client prvides the user interface that yu use t create integratins, custmize and activate maps, enter adapter settings, set up exceptin ntificatins, stp and restart recrds that are in the retry queue, and view lgging infrmatin. MSDI database The Micrsft Dynamics Integratin (MSDI) database stres all cnfigured integratins and their status and als acts as a security bundary between the Cnnectr fr Micrsft Dynamics service and the Cnnectr fr Micrsft Dynamics client. Adapters Adapters are used t cnnect the runtime and the client t the Micrsft Dynamics CRM and Micrsft Dynamics ERP web services. This cnnectin is used fr reading and writing data frm ne applicatin t anther applicatin. The fllwing adapters are available: Micrsft Dynamics CRM adapter Cnnects with Micrsft Dynamics CRM 4.0 n-premises nly. This adapter is als cmpatible with Micrsft Dynamics CRM 2011 rganizatins that were upgraded frm Micrsft Dynamics CRM 4.0 and were previusly integrated using Cnnectr fr Micrsft Dynamics. Micrsft Dynamics CRM 2011 adapter Cnnects with Micrsft Dynamics CRM 2011 nly. Use this adapter if yu are integrating with Micrsft Dynamics CRM 2011 fr the first time. Micrsft Dynamics ERP adapter Cnnects with the Micrsft Dynamics ERP database. Depending n yur ERP system, Cnnectr fr Micrsft Dynamics might have mre than versin f this adapter. Fr mre infrmatin, see the Cnnectr fr Micrsft Dynamics ERP cnfiguratin guide fr yur ERP system. Transfrmatin engine Cnnectr fr Micrsft Dynamics mves data frm ne system in ne frmat t anther system, in a different frmat. The adapters prvide the data frm the surce and destinatin systems, and the transfrmatin engine changes the data frm ne frmat t anther. The change that is made by the transfrmatin engine is determined by the map that is assciated with the type f data that is being mved. Fr example, t mve a Micrsft Dynamics ERP custmer recrd t a Micrsft Dynamics CRM accunt recrd, the transfrmatin engine creates a Micrsft Dynamics CRM Accunt bject based n the transfrmatin that is defined in the Custmer t Accunt map fr the Micrsft Dynamics ERP custmer entity, and sends it t the Micrsft Dynamics CRM system using Cnnectr fr Micrsft Dynamics. Map templates Cnnectr fr Micrsft Dynamics includes a series f map templates that prvide default field mapping between surce and destinatin entities. Yu can create and mdify new maps frm the templates. Yu may need t d this t meet specific business needs r t ensure that any custmizatins that yu have made t yur surce r destinatin systems are implemented. Map template files are stred at the installatin lcatin in the Templates flder and have a.map file extensin. Any maps that yu create in the client are stred in the MSDI databases. Maps can als be exprted t.map files fr backup purpses. 7

Infrmatin flw After installatin, setup, and initial data synchrnizatin, sme entities that yu create in Micrsft Dynamics ERP are written int Micrsft Dynamics CRM and sme entities that yu create in Micrsft Dynamics CRM are written int Micrsft Dynamics ERP. The maps that yu have activated determine which entities are integrated between the tw applicatins. The fllwing illustratin demnstrates the infrmatin flw between Cnnectr fr Micrsft Dynamics, the surce system, and destinatin system during integratin. Fr an example, the fllwing scenari describes the infrmatin flw f integratin between the custmer entity in Micrsft Dynamics ERP and the accunt entity in Micrsft Dynamics CRM. 1. As part f the mapping prcess, a new integratin is created, surce and destinatin adapters are selected, cmpanies are selected t integrate and a map fr the custmer entity is created and activated. The map is scheduled t run at a specific time interval. 2. The Cnnectr fr Micrsft Dynamics client sends the integratin service a cntrl message that instructs the Cnnectr service t lad the integratin settings and maps frm the MSDI database. 3. When the next run time fr the map is reached, the Cnnectr service queries the surce system with a timestamp frm the MSDI database that indicates when the map was last successfully run. 4. The surce adapter returns a cllectin f custmer numbers that have been added r changed since the date n the timestamp. It als returns anther cllectin f custmer numbers that have been remved since the date n the timestamp. 5. Cnnectr fr Micrsft Dynamics sends each custmer number, ne by ne, int the surce adapter, which uses the custmer number t retrieve the entire custmer recrd frm the surce system. 8

6. The entities are transfrmed as defined in the map. 7. The resulting transfrmed accunt is sent t the destinatin adapter, which, in this example, is the Micrsft Dynamics CRM adapter. 8. The Micrsft Dynamics CRM adapter calls the Micrsft Dynamics CRM rganizatin web service t create r update the new entity. 9. The Cnnectr fr Micrsft Dynamics service updates the timestamp fr the Custmer t Accunt map in the MSDI database t reflect the time that the integratin finished successfully. Micrsft Dynamics CRM Cnfiguratin utility The Micrsft Dynamics CRM Cnfiguratin utility is used t prepare yur Micrsft Dynamics CRM rganizatins fr integratin. Fr mre infrmatin, see Cnfigure Micrsft Dynamics CRM rganizatins. Micrsft Dynamics ERP Cnfiguratin utility Sme Micrsft Dynamics ERP systems have an additinal cnfiguratin utility. System requirements Befre installing Cnnectr fr Micrsft Dynamics, yur system must meet the fllwing requirements. Nte: Depending n yur Micrsft Dynamics ERP, Cnnectr fr Micrsft Dynamics might be available with the installatin applicatin fr the ERP. Upgrading Cnnectr fr Micrsft Dynamics Yu are nt required t manually uninstall a previus versin f Cnnectr fr Micrsft Dynamics if yu are upgrading t the current versin. That prcess is cmpleted autmatically. Nte: If yu are upgrading frm previus deplyments, we recmmend that yu update rle-based security fr the Micrsft Dynamics CRM Cnfiguratin utility. Fr infrmatin abut yur specific upgrade scenari, see the Cnnectr fr Micrsft Dynamics ERP cnfiguratin guide fr yur ERP system. Nte: If yu are using Micrsft Dynamics CRM nline, r if the Micrsft Dynamics CRM server has Update Rllup 12 r later installed, use Cnnectr fr Micrsft Dynamics versin 2.1.29.1 r later (with Cnnectr fr Micrsft Dynamics CRM slutin versin 1.0.1603.3 r later). Upgrading t Cnnectr V3 frm previus versins Nte: Befre yu begin the upgrade prcess, create backups f yur Micrsft Dynamics ERP database, yur Micrsft Dynamics CRM database, and yur MSDI database. When yu upgrade t the current release f Cnnectr fr Micrsft Dynamics, the fllwing mdificatins are made: Obslete tables are remved frm the MSDI database and user settings are cleared. The first time that yu start the client applicatin after upgrade, the Adapter Settings windw is displayed s that yu can enter settings fr the adapters that were installed. Yu must enter passwrds and user infrmatin fr bth the ERP adapter and the Micrsft Dynamics CRM adapter in Cnnectr fr Micrsft Dynamics. Sme cnfiguratin ptins fr the Cnnectr service, such as the maximum number f retries and retry wait settings, are n lnger available in the Cnfiguratin table f the MSDI database. T change the retry settings, mdify the apprpriate fields in the CnnectrServiceHst.exe.cnfig file, and then start the Cnnectr fr Micrsft Dynamics service again. T view versin infrmatin abut Cnnectr fr Micrsft Dynamics, click the Abut buttn n the tlbar. Nte: After the upgrade prcess is cmpleted, run the Cnfiguratin Utility fr Micrsft Dynamics CRM and the Micrsft Dynamics ERP t update the adapter settings. Adapters cannt create new integratins until the adapter settings are updated. Upgrade frm Micrsft Dynamics CRM 4.0 t Micrsft Dynamics CRM 2011 If yu have upgraded frm Micrsft Dynamics CRM 4.0 t Micrsft Dynamics CRM 2011 and are currently integrated with Cnnectr fr Micrsft Dynamics Feature Pack 4 (versin 1.4.717.1) r earlier, yu must upgrade Cnnectr fr Micrsft Dynamics and manually recnfigure Cnnectr fr yur ERP system. When the Cnfiguratin utility has finished running, activate maps fr the integratins again and cntinue integrating data. Data that was integrated using a previus versin f Cnnectr fr Micrsft Dynamics will be maintained. Micrsft Dynamics CRM duplicate detectin rules allw previusly integrated accunts, cntacts, and sales rders t be integrated using the Integratin Key attribute. Tips fr cnfiguring the Micrsft Dynamics CRM adapters If the Secure Sckets Layer (SSL) is nt set up crrectly, an exceptin ccurs in the web service and the fllwing message is lgged: The underlying cnnectin was clsed: Culd nt establish trust relatinship fr the SSL/TLS secure channel. If the CRM Integratin accunt specified fr the Micrsft Dynamics CRM adapter settings is a valid Micrsft Dynamics CRM user in multiple Micrsft Dynamics CRM rganizatins, and nt all f the 19

Micrsft Dynamics CRM rganizatins have been prperly cnfigured, the message Test settings succeeded with warnings is displayed when yu click Test Settings. This means that the Test Settings peratin was successful in validating sme f the Micrsft Dynamics CRM rganizatins but failed with thers. If yu d nt see the Micrsft Dynamics CRM rganizatin t integrate listed in the warning message, then the Test Settings peratin was successful fr that Micrsft Dynamics CRM rganizatin. If a warning message is displayed fr the Micrsft Dynamics CRM rganizatin t integrate, then yu must cnfigure Micrsft Dynamics CRM fr the rganizatin that yu want t integrate and try the Test Settings link again. Nte: Select the Remve ptin nly if yu want t remve custmizatins t the selected rganizatins that were made by the Cnfiguratin utility when it was last run. 9. Click Next. 10. Select the Micrsft Dynamics CRM entities t cnfigure fr integratin. The preselected entities are thse that are required fr the standard ut-f-the-bx integratin t run. If yu have custm Micrsft Dynamics CRM entities t cnfigure fr integratin, they are included in the entity list that is displayed. T view the available entities, click the plus sign (+) next t the rganizatin name. Select the check bx next t each entity t cnfigure. T add mre entities later, run the utility again. 11. If this is nt the first time that yu are running the adapter cnfiguratin, and if yu are adding a new entity r are making ther changes t the adapter cnfiguratin, select the Skip cmplete cnfiguratin and nly generate entity cnfiguratins check bx. 12. 13. If this is the first time that yu are running the adapter cnfiguratin, select the Imprt and verwrite custmizatins check bx. In Cnnectr fr Micrsft Dynamics, click Adapter Settings. In the left pane, select Micrsft Dynamics CRM 2011. 2. Click Cnfigure Micrsft Dynamics CRM. 3. In the Welcme dialg bx, click Next. 4. Enter the URL fr the Micrsft Dynamics CRM Discvery Service. 5. Enter the dmain, user name, and passwrd fr the CRM Deplyment Administratr accunt r the Administratr accunt fr Micrsft Dynamics CRM nline. 7. Select the rganizatin t cnfigure. The Micrsft Dynamics CRM Cnfiguratin utility must be run fr each rganizatin t integrate. 8. Click Next. 9. Select the Micrsft Dynamics CRM entities t cnfigure fr integratin. The preselected entities are thse that are required fr the standard ut-f-the-bx integratin t run. If yu have custm Micrsft Dynamics CRM entities t cnfigure fr integratin, they are included in the entity list that is displayed. T view the available entities, click the plus sign (+) next t the rganizatin name. Select the check bx next t each entity t cnfigure. T add mre entities later, run the utility again. 10. If this is nt the first time that yu are running the adapter cnfiguratin, and if yu are adding a new entity r are making ther changes t the adapter cnfiguratin, select the Skip cmplete cnfiguratin and nly generate entity cnfiguratins check bx. 11. Click Next. 12. When the Cnfiguratin status fr rganizatin page is displayed, click Cnfigure. If a message is displayed that indicates that existing custmizatins will be verwritten, click OK t cntinue. 13. When the Finished updating rganizatin message is displayed, click Finish t exit the utility. Nte: After cnfiguratin is cmpleted, custmizatins are published fr Micrsft Dynamics CRM. If yu created custmizatins using the Micrsft Dynamics CRM Cnfiguratin utility, thse custmizatins might be published after cnfiguratin is cmpleted. Tips fr cnfiguring Micrsft Dynamics CRM Yu can run the Micrsft Dynamics CRM Cnfiguratin utility at any time t cnfigure new rganizatins in Micrsft Dynamics CRM. T pen the Cnfiguratin utility, pen Cnnectr fr Micrsft Dynamics, and then click Adapter Settings. In the Adapter Settings windw, select the versin f Micrsft Dynamics CRM that yu are integrating with, and then click Cnfigure Micrsft Dynamics CRM. If yu run the Cnfiguratin utility after yu have registered the Micrsft Dynamics CRM adapter, sme fields in the Cnfiguratin utility might already cntain values. These values are based n the infrmatin that yu prvided when yu cnfigured the Micrsft Dynamics CRM adapter. If yu have a distributed Micrsft Dynamics CRM n-premise deplyment, yu must restart IIS n all Micrsft Dynamics CRM servers, including applicatin and SDK servers, after cmpleting the utility. If yu delete an bject prvider file fr a static custmizable Micrsft Dynamics CRM entity frm the cmpany flder in the ObjectCnfig flder, running the Micrsft Dynamics CRM Cnfiguratin utility again will nt re-create the bject prvider crrectly. This will cause the Micrsft Dynamics CRM Adapter t fail t lad. A cpy f each static Micrsft Dynamics CRM bject prvider file is cpied t the ObjectPrvider flder. Yu will need t cpy the bject prvider file fr the affected entity frm the ObjectCnfig flder back int the cmpany flder. Static custmizable Micrsft Dynamics CRM entities are: AccuntObjectPrvider, CntactObjectPrvider, ErpSystemUserObjectPrvider, InviceObjectPrvider, OrderObjectPrvider, and PrductObjectPrvider. Micrsft Dynamics CRM 4.0 might cache infrmatin that causes the Test Settings ptin t return incrrect results. If yu click Test Settings befre the CRM Integratin User has been added t the PrivUserGrup fr the Micrsft Dynamics CRM 4.0 rganizatin that yu want t integrate n the dmain that the Micrsft Dynamics CRM server is jined t, the Test Settings peratin will fail until the client is clsed and re-pened. 23

If the user running the Cnfiguratin utility is nt a dmain administratr fr the dmain that the CRM Integratin User and Micrsft Dynamics CRM server are members f, a warning will be displayed. Until this CRM Integratin user is added t the PrivUserGrup, the Test Settings peratin will always fail and the integratin will nt wrk. Adding the CRM Integratin user t the PrivUserGrup may be cmpleted by a dmain administratr prir t running the Cnfiguratin utility r after it has been run. If yu add the CRM Integratin user t the PrivUserGrup after yu run the utility, yu must clse and restart the client befre the Test Settings peratin will return valid results. This issue ccurs because Micrsft Dynamics CRM uses the WindwsPrincipal.IsInRle methd t check if the user attempting t access Micrsft Dynamics CRM is in the PrivUserGrup in the current Dmain. The WindwsPrincipal.IsInRle methd caches the last result fr a given user until the user and caller bth lg ff and lg back n t the dmain. Fr mre infrmatin, see WindwsPrincipal.IsInRle Methd (String) n MSDN (http://msdn.micrsft.cm/enus/library/fs485fwh.aspx). If yu are integrating with Micrsft Dynamics CRM 4.0, yu must set up duplicate detectin fr the address entity in Micrsft Dynamics CRM 4.0. Fr mre infrmatin, see Set up duplicate detectin. Nte: Duplicate detectin fr addresses in Micrsft Dynamics CRM 2011 is actually enabled during installatin. If yu select t install the custmizatin prvided with the Micrsft Dynamics CRM adapter, yu will verwrite any existing frm custmizatins which have been created fr accunt, cntact, prduct and any f the ther Micrsft Dynamics CRM 4.0 entities which are updated t enable the integratin. Fr new installatins with n existing custmizatins, this shuld nt be an issue and the ptin t imprt the custmizatin shuld be selected. Fr existing Micrsft Dynamics CRM 4.0 installatins where custmizatins have been applied, registratin fr Cnnectr fr Micrsft Dynamics can cntinue withut imprting the Micrsft Dynamics CRM custmizatins. Hwever, the existing custmizatins and required new custmizatins will need t be merged befre they are imprted int Micrsft Dynamics CRM. This merge prcess can be accmplished by using the tl and related readme which are available frm the dwnlad site fr Cnnectr fr Micrsft Dynamics. When the merge prcess is cmplete, yu must imprt custmizatins. Data cannt be successfully integrated until these custmizatins are integrated int Micrsft Dynamics CRM 4.0. In Micrsft Dynamics CRM 4.0, click Settings, click Custmizatins, and then select Imprt Custmizatins. Nte: If yu are using the Micrsft Dynamics CRM 2011 adapter, these custmizatins are autmatically installed during cnfiguratin and merged with yur existing custmizatins in Micrsft Dynamics CRM 2011. N further actin is necessary. Changes made by the Micrsft Dynamics CRM Cnfiguratin utility If yu run the Micrsft Dynamics CRM Cnfiguratin utility, the fllwing changes are made t each Micrsft Dynamics CRM rganizatin that yu selected fr cnfiguratin. Nte: Befre the Micrsft Dynamics CRM adapter Cnfiguratin utility makes any changes t Micrsft Dynamics CRM, it saves yur existing custmizatins t C:\PrgramData\Micrsft Dynamics\Cnnectr fr Micrsft Dynamics. Yu can remve these custmizatins and revert t yur previus custmizatins if yu uninstall the prduct. If yu remve the custmizatins, any f the custm entities that cntain data will nt be remved. A Submit Order buttn is added t the Order frm. This buttn appears nly fr users wh are in rles that have the ISVExtenstins privilege enabled fr the rganizatin. All entities in the Prduct Catalg are set t read-nly. All unit grups and units are set t read-nly. Any existing prducts, discunt types, price levels in the Prduct Catalg are deactivated and renamed. The invice functinality is limited t read-nly within Micrsft Dynamics CRM. The default decimal precisin is set t fur decimal places. Nte: Yu can change this setting if yu want yur Micrsft Dynamics CRM pricing decimal precisin t be less than fur. The Micrsft Dynamics CRM pricing decimal precisin shuld match yur Micrsft Dynamics ERP currency decimal precisin t prevent runding issues. Micrsft Dynamics ERP currency decimal precisin can be set up t five while Micrsft Dynamics CRM can be set up t fur. Integratin key attributes are added t the entities selected n the Select the entities t cnfigure fr integratin windw. The fllwing entities are pre-selected by default: Accunt Cntact Invice Order Prduct ERP system user Nte: Certain system entities are nt available fr custmizatin and will nt have an Integratin Key attribute added t them. Fr these entities, the name attribute is mapped internally t the Integratin Key attribute frm the ERP surce system. The fllwing custm entities are added: ERP System User Fr tracking salespersns in the ERP system *Accunt* Fr tracking accunts that have been integrated and then deleted frm Micrsft Dynamics CRM *Cntact* Fr tracking cntacts that have been integrated and then deleted frm Micrsft Dynamics CRM The issopintegrated attribute is set t true fr each rganizatin t be integrated.
