Terms and Conditions Sponsor Terms and Conditions - & Awards All exhibitors acknowledge that participation at the and Fleet Conference and Awards implies certain responsibilities. The following terms and conditions are applicable to this event: (1) Sponsors must be a Local Buy Pre-Qualified or Preferred Supplier as at 01 March, 2014. If not, Local Buy will cancel the sponsorship and refund the money. (2) Sponsorship and trade booth allocations are provided on a first in basis. Local Buy payment terms are strictly 30 days. (3) To confirm participation sign and return this form to Local Buy. Please be aware that we do have a cancellation policy. Cancellations of participation after a confirmation has been received are liable for the following costs: Written notification received more than six weeks prior to the event ½ cost Written notification received less than six weeks prior to the event full cost Local Buy, at its discretion, may waive the cancellation charges if a replacement sponsor or exhibitor can be found to fill the vacancy. It is the responsibility of sponsors to notify Local Buy immediately of any change to participation. (4) Changes to staff registrations will be charged at $35 per change, commencing one month prior to the start date of the Conference. (5) All details provided with this package are subject to change. Information contained within is provided in good faith, and it is expected that details will not change greatly between now and when the Conference commences, however this cannot be guaranteed. Local Buy reserves the right to amend trade booth locations and allocations as well as all other aspects of the event including the program, speakers and stated times. Any exhibitor likely to be impacted by any change will be kept informed. (6) In order to ensure smooth participation Local Buy may set various deadlines in relation to items such as signage, registrations, printing, etc. Local Buy is under no obligation to action any item or request from an exhibitor that deals with an issue that had an identified due date, and which has subsequently passed. Exhibitors are responsible for ensuring their own compliance with identified deadlines. Local Buy will ensure that all exhibitors are kept fully informed of all deadlines, logistical details and information requirements. (7) Local Buy requires all sponsors and trade exhibitors to be aware of, and abide by a set of general rules and regulations which are traditionally considered standard. These cover issues regarding workplace health and safety, insurance, noise restrictions, damages, cleaning, venue limitations, venue compliance elements as well as any actions that are considered contrary to standard professional ethics. A full list of obligations will be supplied once confirmation is received. Conditions Conditions Brisbane Convention Centre and Local Buy require all trade exhibitors to be aware of, and abide by, the following conditions. These rules and regulations are generally considered standard participation elements if you have any questions or concerns contact the event coordinator Marie McGrane. All booths are 3m X 3m and include a trestle table, tablecloth and two chairs. The booth s contents must remain within the booth structure and not impede or hamper amenity to walkways or fire escapes. The Brisbane Convention Centre safety officer has the right to ask any exhibitor to move or remove any item that contravenes this requirement. Due to the physical amenity, large, bulky or heavy items may potentially be unable to be accommodated. Send all requests to the event coordinator who will forward your request to the Brisbane Convention Centre for consideration. All exhibitors are responsible for abiding by workplace health and safety regulations. Any action or situation that may potentially cause harm to any person may be moved or removed at the discretion of the Brisbane Convention Centre Safety Officer. Noise restrictions apply to all exhibitors. Any item impacting negatively on other exhibitors (ie. loud audio presentations) may be asked to be modified or removed. All electrical equipment supplied by an exhibitor must be tagged by an electrician. Equipment that does not comply may be directed to be removed. Although all care is taken Local Buy accepts no responsibility for theft or damage. Limited security services will be provided, however no guarantees can be provided. All insurances for these outcomes are the exhibitor s responsibility. Please keep valuables with you at all times. Local Buy recommends exhibitors obtain appropriate insurance prior to attending the 2014 and Fleet Conference. Any damage to the venue caused by an exhibitor is the exhibitor s responsibility. No exhibitor will be allowed to engage in any activity that may cause damage or potentially cause damage. Cleaning of trade booths remains the responsibility of each exhibitor. Excessive cleaning of the booth or adjacent areas undertaken by Brisbane Convention Centre, which were caused by the action of an exhibitor, will be at a cost to that exhibitor. Exhibitors wishing to provide any food or drink as part of their stands are required to seek permission directly from the venue. Brisbane Convention Centre reserves the right to exclusively provide food and beverages throughout the entire event. Any actions that are contrary to standard professional ethics and beyond what is generally considered to be fair and reasonable, may result in remedial action by Local Buy: in terms of serious breaches this can include expulsion.
