Getting started with IMAP for Aggiemail What is IMAP? IMAP, or Internet Message Access Protocol, lets you download messages from Aggiemail s servers onto your computer so you can access your mail with a program like Microsoft Outlook Express or Apple Mail, even when you aren t connected to the Internet. IMAP creates a constant connection between mail clients (desktop and/ or mobile) and Aggiemail. What s the difference between IMAP and POP? Unlike POP, IMAP offers two-way communication between your web Aggiemail and your e-mail client(s). This means when you log in to Aggiemail using a web browser, actions you perform on e-mail clients and mobile devices (ex: putting mail in a work folder) will instantly and automatically appear in Aggiemail (ex: it will already have a work label on that e-mail). In addition, IMAP provides a better way to access your e-mail from multiple devices. If you check your e-mail at work, on your mobile phone, and again at home, IMAP ensures that new mail is accessible from any device at any given time. Finally, IMAP offers a more stable experience overall. Whereas POP is prone to losing messages or downloading the same messages multiple times, IMAP avoids this through two-way syncing between your mail clients and your web Aggiemail. If you re trying to decide between using POP and using IMAP with Aggiemail, we recommend IMAP. How much does IMAP cost? IMAP for Aggiemail is free. How do I get started? First, you ll need to enable IMAP in Aggiemail. Once IMAP is enabled, follow the configuration instructions for your client of choice. Currently, only the clients listed are supported for IMAP. If you d like to download your Aggiemail messages with a different client, please check to see if it s on our list of supported POP clients. When you ve enabled IMAP and set up your client, sign in to Aggiemail through the client and watch your messages arrive. You ll notice that all of your custom Aggiemail labels will appear in your client as folders, with copies of the messages to which you ve applied those labels. While we d like to make your IMAP experience match the Aggiemail web interface as much as possible, some Aggiemail-specific features and terms, such as conversation threading and stars, won t appear in your client. Don t worry; you can still perform all the usual Aggiemail functions, just in a slightly different way. The IMAP behavior chart shows you how to perform common functions on your IMAP client. Please note that every client handles IMAP in a slightly different way. If you re curious about the specific use of your client, please contact the client s support team.
Enabling IMAP You can retrieve your Aggiemail messages with a client or device that supports IMAP, like Microsoft Outlook or Apple Mail. To enable IMAP in Aggiemail: 1. 2. 3. 4. 5. Sign in to Aggiemail. Click Settings at the top of any Aggiemail page. Click Forwarding and POP/IMAP. Select Enable IMAP. Configure your e-mail client and click Save Changes.
Configuring E-mail Clients Outlook Express To set up your Outlook Express client to work with Aggiemail: 1. 2. 3. 4. 5. 6. 7. 8. 9. 10. 11. Enable IMAP in Aggiemail. Don t forget to click Save Changes when you re done. Open Outlook Express. Click the Tools menu, and select Accounts. Click Add, and then click Mail. Enter your name in the Display Name field, and click Next. Enter your full e-mail address (demo.user@aggiemail.com) in the E-mail Address field, and click Next. For My incoming mail server is a server, select IMAP in the drop-down menu. Enter imap.gmail.com in the Incoming Mail (POP3, IMAP or HTTP) Server field. Enter smtp.gmail.com in the Outgoing Mail (SMTP) Server field. Click Next. Enter your full e-mail address (demo.user@aggiemail.com) in the Account Name field. Enter your password in the Password field, and click Next.
12. 13. 14. 15. 16. 17. Click Finish. Highlight imap.gmail.com under Account, and click Properties. Click the Advanced tab. Under Outgoing Mail (SMTP), check the box next to This server requires a secure connection (SSL). Enter 465 in the Outgoing mail (SMTP) field. Under Incoming mail (IMAP), check the box next to This server requires a secure connection (SSL). The port will change to 993.
18. Click the Servers tab, and check the box next to My server requires authentication. 19. Click OK. Congratulations! You re done configuring your client to send and retrieve Aggiemail messages.
Outlook 2007 To set up your Outlook 2007 client to work with Aggiemail: 1. Open Outlook. 2. For new setups, select Do not upgrade. 3. Click Yes. 4. Enter your display name, email address (including @aggiemail.com ), and password. 5. Select the Manually configure server settings or additional server types checkbox.
6. 7. Select Internet E-mail. Settings: name, full email address, including @aggiemail.usu.edu. a. In the Account Type dropdown menu, select IMAP; enter the incoming and outgoing server names shown below b. In the User Name field, give your full Aggiemail address, including @aggiemail.com. c. After creating these settings, click Next to go to the end of the setup.
8. 9. 10. In the Tools menu, select Options then Mail Setup. Under Email Accounts, click E-mail Accounts. Select an account, and click Change above the list of accounts. Click More Settings, then the Advanced tab. a. Incoming server must be 993, and must use SSL encryption. b. Outgoing server can use 587, TLS encryption.
11. Click the Outgoing Server tab. Make sure that My outgoing server (SMTP) requires authentication is selected. The radio button Use same settings as my incoming mail server should also be selected. 12. 13. Click OK > Next > Finish > Close > OK. Adjust your client s settings as needed. Congratulations! You re done configuring your client to send and retrieve Aggiemail messages.
Thunderbird 2.0 Note: if you re using an older version of Thunderbird, we highly recommend upgrading to version 2.0. To set up your Thunderbird client to work with Aggiemail: 1. Enable IMAP in Aggiemail. Make sure you click Save Changes when you re done. 2. Open Thunderbird, and select Tools > Account Settings. 3. Click Add Account. 4. Select the Email account radio button and click Next. The Identity screen appears. 5. Enter your full name in the Your Name field. Enter your Aggiemail address (demo.user@aggiemail.usu. edu) in the Email Address field, and click Next. 6. Select IMAP as the type of incoming server you are using. Enter imap.gmail.com in the Incoming Server field. 7. Set the Outgoing Server to smtp.gmail.com and click Next.
8. Enter your full email address (including @aggiemail.usu.edu) in the Incoming User Name and Outgoing User Name fields, and click Next.
9. 10. 11. 12. 13. 14. 15. Enter a name for your email account in the Account Name field, and click Next. Verify your account information in the dialog box, and click Finish. Select Server Settings from the folder list below your new account. Update the Port value to 993. In the Security Settings section, select SSL from the Use secure connection options. Select the Check for messages at startup checkbox and the Check for new messages every 10 minutes checkbox. Click Outgoing Server (SMTP) in the folder list.
16. 17. 18. 19. 20. Select the smtp.gmail.com (Default) entry from the list and click Edit. The SMTP Server page appears. Enter smtp.gmail.com as the Server Name and set the Port to 587. Select user name and password and enter your full email address (including @aggiemail.usu.edu) in the User Name field. Select TLS from the Use secure connection radio buttons and click OK. Click OK to save your changes and exit the Account Settings dialog. 21. Adjust your client s settings as needed. Congratulations! You re done configuring your client to send and retrieve Aggiemail messages.
Apple Mail 3.0 (Leopard) Please note that if you re adding your Aggiemail address to Apple Mail 3.0 for the first time, your mail will be automatically configured for POP access. To configure IMAP, please follow these steps: 1. 2. 3. 4. 5. 6. 7. 8. 9. 10. Click Mail > Preferences... On the Accounts tab, click the + button to add a new account. Fill in the new window with the following information: a. Full Name: [your name] b. Email Address: your full email address [demo.user@aggiemail.usu.edu] c. Password: your Aggiemail password d. Important: please deselect the box next to Automatically set up account Click Create. Fill in the following Incoming Mail Server information: a. Account Type: Select IMAP b. Incoming Mail Server: Change this to imap.gmail.com c. User Name: your full email address [demo.user@aggiemail.usu.edu] d. Password: your Aggiemail password Click Continue. Enter the following Outgoing Mail Server information: a. Outgoing Mail Server: smtp.gmail.com b. Use Authentication: selected c. User Name: your full Aggiemail address [demo.user@aggiemail.usu.edu] d. Password: your Aggiemail password Click Continue. Review your Account Summary, and click Create. Adjust your client s settings as needed. You re done!
iphone To set up your iphone to work with Aggiemail, visit http://iphone.usu.edu, or complete these steps: 1. 2. 3. 4. 5. Enable IMAP in your Aggiemail settings. Tap Settings. Tap Mail. Tap Add Account. Tap Other. (Note: If you re running software update 1.1.3 or later, tapping the Gmail icon will automatically configure IMAP. However, archiving and deleting messages will work differently. If you want your Aggiemail IMAP actions to operate as designed, please continue on to the next step.
6. Make sure that: a. The IMAP tab is highlighted b. Host Name is imap.gmail.com c. User Name is your full Aggiemail address, including @aggiemail.usu.edu.
d. For Outgoing Mail Server (SMTP), Host Name is smtp.gmail.com 7. 8. Tap Save. Adjust your client s settings as needed. And you re done. You can verify your Advanced settings by tapping Settings > [your Aggiemail IMAP Account] > Advanced.
