Purpose This document is designed to assist with configuring your email clients, both on your desktop and mobile devices, following your migration to the Microsoft Office 365 single email platform. Office 365 Mail Connections Finding IMAP server From Microsoft: http://help.outlook.com/en-au/140/cc875899.aspx To find your server settings, sign in to your email account using Outlook Web App. After you sign in, click Options > See All Options > Account > My Account > Settings for POP, IMAP and SMTP access. The POP3, IMAP4 and SMTP server name and other settings you may need to enter are listed on the Protocol Settings page under POP setting or IMAP setting and SMTP setting. Note: The following servers work: - imap.outlook.com - pop.outlook.com - smtp.outlook.com 3
Desktop computers Apple Mail Mac OS X 10.6 (Snow Leopard) and later 1. Open Mail If you have previously used Mail: 1a. From "Mail" menu, choose "Preferences" 1b. Select "Accounts" tab at the top of preferences window 1c. Click "+" button at the bottom of account list on left 2. Enter the following details: Full Name: John Smith Email Address: john.smith@anu.edu.au 3. Click Continue Mail will be unable to log-in as it needs your username 4. Enter the following details: User name: u1234567@uds.anu.edu.au 5. Click Continue 6. When prompted, select if you want to also configure Office 365 contacts and calendars 7. Click Create 4
Apple Mail Mac OS X 10.5 (Leopard) and earlier 1. Open Mail If you have previously used Mail: 1a. From "Mail" menu, choose "Preferences" 1b. Select "Accounts" tab at the top of preferences window 1c. Click "+" button at the bottom of account list on left 2. Enter the following details: Full Name: John Smith Email Address: john.smith@anu.edu.au 3. Enter the following details for Incoming Mail Server (you may only see 3 of the below headings): Account Type: IMAP Description: ANU Email (or your own description) Incoming Mail Server: IMAP server (see above selection) User Name: u1234567@uds.anu.edu.au 4. Click Continue 5. Enter the following details for Outgoing Mail Server: Description: ANU Email (or your own description) Outgoing Mail Server: smtp.outlook.com Use Authentication: On User Name: u1234567@uds.anu.edu.au 6. Click Continue 7. Click Create 5
Outlook for Mac 2011 1. Launch Outlook If you have previously used Outlook for Mac: 1a. Choose "Accounts" from the "Tools" menu 1b. Click the "+" menu at the bottom of the accounts list, and choose "Exchange" from the menu If you have no previously used Outlook: 1a. Click "Add Account" in the welcome window 1b. Click "Exchange Account" 2. Enter the following information: E-mail address: john.smith@anu.edu.au Method: User Name and Password User name: u1234567@uds.anu.edu.au Configure automatically: On 3. When prompted if you want to allow the server "autodiscover-s.outlook.com" to configure your account, tick the Always use my response for this server box. Select "Allow" 4. Once Outlook has configured itself, you may wish to rename the default account name: Account Description: ANU Email (or your own description) 6
Entourage 2008 (Web Services Edition) You must have the Entourage (Web Services Edition) optional update from Microsoft installed to work with Office 365. Office 365 does not work with the standard version of Entourage 2008. 1. Launch Entourage If you have previously used Entourage: 1a. Choose "Accounts" from the "Tools" menu 1b. Click the "New" button at the top of the Accounts window If you have not used Entourage before: 1a. Choose "Start using Entourage without importing anything" 1b. Click the right arrow 2. Enter your email address when requested: E-mail address: john.smith@anu.edu.au My account is on an Exchange server: On 3. When prompted, enter your account details: Account ID: u1234567@uds.anu.edu.au Save password in my Mac OS keychain: On (recommended) 4. When prompted if you want to allow the server "autodiscover-s.outlook.com" to configure your account, select "Allow" 5. Click the right arrow when asked to confirm your account details 6. Check that your name and email address are correct on this screen, then click the right arrow 7. Click "Verify my settings" and ensure that the following is displayed: "Your account settings have been successfully verified" 8. Click the right arrow 9. Enter a description for your account: Account name: ANU Email (or your own description) 7
Outlook 2003 1. Launch Outlook If you have not used Outlook before: 8 1a. Click Next 1b. You are prompted if you wish to configure an E-mail account. Select Yes, then click Next If you have used Outlook before: 1a. Select "E-mail Accounts" from the Tools menu 1b. Select "Add a new e-mail account" 1c. Click Next 2. Select server type "IMAP", then click Next 3. Enter the following information: User Information Your Name: John Smith E-mail Address: john.smith@anu.edu.au Logon Information User Name: u1234567@uds.anu.edu.au Server Information 4. Click "More Settings" 5. Select the Advanced tab Incoming mail server (IMAP): IMAP server (see above selection) Outgoing mail server (SMTP): smtp.outlook.com 6. Select "This server requires an encrypted connection (SSL)" under both Incoming and Outgoing servers 7. Click OK 8. Click Next 9. Click Finish
Outlook 2007 1. Launch Outlook If you have previously used Outlook: 1a. Choose "Account Settings" from the Tools menu 1b. Ensure the "E-mail" tab is selected, then click the "New " button 1c. Select "Microsoft Exchange, POP3, IMAP or HTTP", then click Next 2. You will be prompted for Auto Account Setup, enter the following information Your Name: John Smith E-mail Address: john.smith@anu.edu.au Retype 3. You may be prompted for a username/password for autodiscover.anu.edu.au User name: u1234567@uds.anu.edu.au 4. Click "Finish" when Outlook says your account is successfully configured 9
Outlook 2010 1. Launch Outlook If you haven't used Outlook before: 1a. Click Next 1b. You are prompted if you wish to configure an E-mail account. Select Yes, then click Next If you have used Outlook before: 1a. Click on the File menu 1b. Select the Info tab if it isn't already selected 1c. Click the "Add Account" button 2. You will be prompted for Auto Account Setup, enter the following information Your Name: John Smith E-mail Address: john.smith@anu.edu.au Retype 3. If you are prompted for a username/password for "Microsoft Outlook": 3a. Click Use another account 3b. Enter the following details: User Name: u1234567@uds.anu.edu.au 4. Click "Finish" when Outlook says your account is successfully configured 10
Thunderbird (14.x tested) 1. Launch Thunderbird If you haven't used Thunderbird before: 1a. Click "Skip this and use my existing email" at the bottom of the dialog 2. Enter the following information: Your name: John Smith Email address: john.smith@anu.edu.au 3. Click Continue 4. Click Manual Config 5. Enter the following information: Incoming Server type: IMAP Server hostname: IMAP server (see above selection) Port: 993 SSL: SSL/TLS Authentication: Normal password Outgoing Server hostname: smtp.outlook.com Port: 465 SSL: SSL/TLS Authentication: Normal password Username: u1234567@uds.anu.edu.au 6. Thunderbird also needs an advanced configuration tweak to work with Office 365 IMAP correctly. In Thunderbird for Mac: 1. From the Thunderbird menu, select "Preferences" In Thunderbird for Windows: 1. From the "Tools" menu, select "Options" 2. Select the "Advanced" section, then the "General" tab 3. Click "Config Editor" 4. Click "I'll be careful, I promise!" 5. Enter "expunge" in the search field 6. Double click on the "mail.imap.expunge_after_delete" setting to change the value to "true" 7. Close the configuration window 12
Apple iphone and ipad ios 4.0 (and later) 1. Tap the Settings app 2. Tap Mail, Contacts, Calendars 3. Tap Add Account 4. Tap Microsoft Exchange 5. Enter the following details: Email: john.smith@anu.edu.au Domain: Leave this blank Username: u1234567@uds.anu.edu.au Description: ANU Email (or your own description) 6. Tap Next 7. The ipad will locate your server settings; tap Next when it's done Server: podxxxxx.outlook.com 8. Select which services you would like to setup: Mail On Contacts Calendars Reminders (ios 5+) 9. Tap Save 13
