OTHER WAYS TO SUPPORT SCLTA ANNUAL CONFERENCE & TRADE SHOW In addition to sponsorships and exhibitor booths, there are other ways to support SCLTA and the 2016 Annual Conference such as scholarships for students and door prizes. Scholarship Donations The SCLTA awards $6,000 in conference scholarships each year to South Carolina students pursuing a career in the landscape and turfgrass industry. You can donate to help these deserving students attend the Annual Conference with your support. $40 FOR 40th In honor of the 40th Anniversary of the SCTLA, we are pleased to offer $40 for 40th sponsorships to support SCLTA education scholarships. Our goal is to obtain at least 40 of these $40 sponsorships, which will go entirely towards scholarships offered to college students with an interest in South Carolina s green industry. Exhibitor agrees to be bound by these terms upon return of Exhibitor Registration Form to SCLTA. SIGNATURE: DATE: TERMS AND CONDITIONS 1. Annual Conference exhibitors must set up between 1:00 p.m. and 5:00 p.m. on Monday, February 8 or between 7:00 a.m. and 8:00 a.m. on Tuesday, February 9. 2. Exhibitors may not break down or remove booths or any promotional materials before 3:30 pm. on February 9. 3. All booths will be provided draping, identification sign, 6 draped table, and chair. Standard booth is 10 wide and 8 deep. Display materials shall be brought into hall through exhibitor entrances at allocated times. Exhibits are to be attractive, safe and designed not to block view of adjacent displays. SCLTA reserves the right to have any part of an exhibit removed or adjusted should it be considered illegal, objectionable or unsuitable. The booth shall be occupied by the exhibitor named on the agreement only. Any assignment or subleasing of booth space to another party is not permitted. 4. Should exhibitor not occupy assigned leased space prior to show opening, SCLTA will retain any monies paid and exhibitor remains liable for any balance due. Any display in booth space not paid for in full by close of show will be placed in storage until booth fees are paid in full. 5. Cancellation must be made in writing to SCLTA via mail or email. If such cancellation is received 15 calendar days prior to show, SCLTA shall be entitled to retain or collect 50% of the exhibitor s total contract obligation as liquidated damages. No refunds will be made if cancellation notice is received later than 15 calendar days prior to show and the SCLTA shall be entitled to collect 100% of the exhibitor s total contract obligation. Refunds for cancellation will be paid after the conclusion of conference. 6. Exhibitor agrees to hold SCLTA and Columbia Convention Center harmless in the event conference or exhibits are canceled due to unforeseen circumstances. SCLTA shall not be liable for any damages or expenses incurred by exhibitors in the event the show is delayed, interrupted or not held as scheduled. If the show is not held due to reasons beyond the control of the SCLTA, SCLTA may retain an amount paid by the exhibitors to defray expenses already incurred. 7. Exhibitor is responsible for security of all personal and display items. SCLTA and Columbia Convention Center accept no responsibility for lost, stolen or damaged items. 8. SCLTA accepts no liability at any time for loss, damage or injury occurring in or to the exhibit or its occupants. The exhibitor is responsible for the leased exhibit space and shall not damage or mark any part of the building. The exhibitor agrees to reimburse SCLTA and Columbia Convention Center for any loss or damage due to the exhibitor s activities as well as cleaning fees incurred. If desired for booth booth and display materials, insurance must be obtained by exhibitor. 9. All exhibitors must comply with city ordinances and regulations including but not limited to the Fire Marshal and any facility codes. 10. Exhibitor agrees to abide by any decision made by the SCLTA for the good of the show and safety of other attendees.
