Chapter 34 Easy IEP fr Special Educatin Easy IEP, a cmpnent f Fultn Cnnect, is the infrmatin management system fr dcumentatin f events fr special educatin students. The student infrmatin system fr Fultn Cunty Schls (eschlplus) is the surce f demgraphic data fr students. The demgraphic data frm eschlplus is updated in the Easy IEP system daily. Easy IEP data requirements fr Special Educatin students: Data entry fr Easy IEP is the respnsibility f special educatin staff and prviders. Levels f security allw users apprpriate access t cmplete necessary events and frms fr special educatin students. Typical users f the prgram are the Instructinal Supprt Teacher (IST), Special Educatin Teacher, Psychlgist, Speech Language Pathlgist (SLP), Occupatinal and Physical Therapist (OT/PT), and any ther related service prviders. The Special Educatin prcedural manual cntains all instructins fr Easy IEP (available thrugh Services fr Exceptinal Children Department). The lcal schl Technlgy Specialist will prvide supprt fr laptp and printer cnfiguratins. Assistance t Special Educatin staff and Technlgy Specialists will be prvided by staff in the Services fr Exceptinal Students Department. eschlplus data requirements fr Special Educatin students: The fllwing prcedures are general tasks fr cmpletin and verificatin f special educatin data. The Student Infrmatin Crdinatr, Data Clerk, and Special Educatin staff will crdinate t ensure that all data elements are verified and updated. 1. Classificatin Setting All students currently receiving special educatin services are marked with an "S","B", r "X". Required updates are cmpleted in the Easy IEP system and these indicatrs are updated in eschlplus via nightly data feed. Any manual changes will be verwritten during the nightly interface. Please infrm users update t these fields is an autmated prcess and des nt require manual entry. Attendance Status & Building f Residence Students receiving special educatin services (including assessment services) in Fultn Cunty while attending private schl, state perated public schls, r residential schls are enrlled with active status in eschlplus. These students are marked with a calendar type f N (N ADA). ADA Status: Student Center > Demgraphics > Registratin Schl f Residence Fr a variety f reasns, sme special educatin students may nt be attending their hme schl. The student s hme schl, based n address, is entered during the registratin prcess. 3. Prgrams The current exceptinalities and services fr all special educatin students are ppulated in prgrams screens (GAHPW, GAIEP, GAEXT) frm the Easy IEP / eschlplus interface. 4. NCLB Learning Level The NCLB Learning Levels screen is updated at registratin, Octber FTE, and March FTE cunts. The screen cntains three fields that are updated thrugh the Easy IEP / eschlplus interface. These three fields are Primary Exceptinality, Classificatin, and GAA Flag. Special Ed Setting: Student Center>>Demgraphics>>NCLB Learning Level The remaining fields are updated manually. The cmpletin f this data is a cperative effrt between special educatin staff, Student Infrmatin Crdinatr, and Data Clerk. Special Educatin staff is respnsible fr gathering the data (frms prvided) and submitting t the Student Infrmatin Crdinatr. ISTs will enter data if pssible but assistance frm ther staff may be required fr cmpletin f the data in a timely manner. Student Infrmatin Crdinatrs will prvide directin t staff. Field Descriptins: Special Educatin Setting is the indicatr fr instructin type fr enrllment cunts. 1=self-cntained and 2=resurce Cnsider the lcatin f the SEC class. Segment Reprt Setting is the indicatr fr special educatin segment reprts. S=self-cntained and R=resurce Definitin f Self Cntained fr Segment Cunts Regardless f lcatin f Sp. Ed. Classes Self-cntained is defined as mre than 50% f the schl day in ANY Special Educatin Class. Nte: If a student is in team-taught classes all day lng, the student is cnsidered selfcntained fr the Segment Cunt Setting. ----------------------------------------------------------------------------------------------------------------------------- ---- Learning Levels & Lcatins All CORE subjects taught in Special Educatin (pull ut and team taught) require the learning level indicatr cmpleted as fllws: Indicate the Learning Level - (If there is nt a direct measure f the cgnitive level fr the student in a subject area, use the Present Levels f Perfrmance and prfessinal judgment t determine the mst apprpriate range). The subjects are listed generically; chse the mst apprpriate subject fr the classes that are indicated n the student s schedule. (Language Arts, Reading, Math, Science, Scial Studies). PK-5 - (use this level fr students n a functinal curriculum fr all 5 subject areas) 4-8 6-12 - If a student s learning level can be placed in mre than ne level, chse the lwer level. (i.e. If a student s learning level is 5, he culd be placed in either PK-5 r 4-8, chse the lwer level PK-5) - Fr High Schl, the Language Arts and Reading Levels are the same. Indicate the Lcatin fr each respective CORE subject class SE Special Ed ONLY (This is used fr students wh are in a PULL OUT special educatin class resurce r self-cntained) TT Team Taught (This is used fr students wh are taught in a team taught envirnment with bth a general educatin and special educatin teacher in the rm at the same time.) Fr EVERY subject that is NOT taught in special educatin: (ALL Cnsultatin students and any student wh is Speech nly): Leave the Learning Level BLANK Indicate the Lcatin fr classes is in the general curriculum setting. GE General Ed ONLY (This is used fr all students whse class is nt a special educatin class) Every cre subject must be addressed. Therefre, even if the student des nt have any cre classes, enter GE in the field and leave the learning level blank. CRCT/CRCTM field The infrmatin fr these fields cmes directly frm the decisins made during the IEP meeting. Enrlling Students with Special Circumstances (Refer t Chapter 9 fr detailed instructins) Pre-Schl Students Pre-Schl children referred t special educatin are enrlled in eschlplus by staff at J Wells Center with calendar type f N (N ADA). Referrals and eligibilities fr pre-schl children are entered in Easy IEP by pre-schl diagnsticians. If a pre-schl child is fund eligible fr services, the student is transferred t an assigned elementary schl in eschlplus using standard transfer prcedures. Students at State Operated - Public, Residential, and Private Schls Students are enrlled in eschlplus with calendar type f N (N ADA). The lcal SEC Cntact is respnsible fr updating the Easy IEP status and ntifying Data Clerk with any changes. D nt withdraw a special educatin student frm eschlplus withut first verifying with the SEC Cntact that the student is n lnger in a State Operated Public, Residential r Private Schl. Fr Residential Schl questins, cntact Rbin Lewis at J Wells Center. Students Parentally Placed in Private Schl r Hme Schled Students are enrlled in eschlplus at their schl f residence with calendar type f N (N ADA). The SEC Teacher f Recrd is respnsible fr updating Easy IEP infrmatin and prviding infrmatin t the Data Clerk when needed. Cncurrently Enrlled Students N students are cncurrently enrlled fr special educatin services. If a unique situatin requires cncurrent enrllment, cntact yur Student Infrmatin Supprt Specialist fr instructins. Students receiving services frm tw schls A student may receive special educatin service fr the primary disability at ne schl and speech service at a different schl. The student is enrlled in eschlplus at the schl f the primary special educatin service nly. This student is NOT cncurrently enrlled. The Easy IEP and eschlplus recrds are lcated in the FTE reprting schl. It is the respnsibility f the SEC Cntact r SLP at the secnd schl t crdinate with the SEC Cntact at the primary schl t update the Easy IEP recrd. FTE will be reprted frm the Hme/Primary Schl; therefre the Data Clerk at the special educatin secndary placement schl must infrm the Data Clerk at the hme/primary placement schl f the infrmatin needed fr the FTE reprt. 07/01/2013 Chapter 34 Easy IEP fr Special Educatin 34-9

Easy IEP Student Transfer and Withdrawal Prcedures Withdrawal frm ne r mre Special Educatin Services Special Educatin Placement/Related Services change (student remains in Special Educatin fr at least ne service) Prcedures in Easy IEP SEC Cntact r Teacher f Recrd The Placement and Related Services changes are mdified in Easy IEP by special educatin staff. Refer t Easy IEP prcedural manual fr specific instructins. Prcedures in eschlplus Data Clerk (SEC cntact will prvide infrmatin) N change is required in eschlplus unless the primary exceptinality r student schedule has changed. If s, the infrmatin in Easy IEP is updated and the Easy IEP / eschlplus interface will reflect the changes in prgrams and Primary Exceptinality, Classificatin, and GAA Flag n the NCLB Learning Level screen. The learning levels and lcatins may require updating based n student s schedule. Special Ed staff will prvide schedule changes t the data clerk. Withdrawal frm ALL Special Educatin Services (Student Returns t general educatin r graduates) Student will n lnger receive any special educatin services fr the fllwing reasns: Student is n lnger eligible fr services Parent rescinds permissin fr placement in special educatin Student graduates frm Fultn Cunty Schls Prcedures in Easy IEP The placement changes are mdified in Easy IEP by special educatin staff. Refer t EASY IEP prcedural manual fr specific instructins. Withdrawal frm the Fultn Cunty Schl System (Student N Lnger Attends Fultn Cunty Schls but is still eligible fr ne r mre areas f special educatin.) Prcedures in EASY IEP Any changes are mdified in Easy IEP by special educatin staff. Refer t EASY IEP prcedural manual fr specific instructins. Prcedures in eschlplus Student is withdrawn frm eschlplus using the standard prcedures. Any required prgram updates are cmpleted via the EASY IEP / eschlplus interface. Transfers within Fultn Cunty Schl System Prcedures in EASY IEP Any changes are mdified in Easy IEP by special educatin staff. Refer t EASY IEP prcedural manual fr specific instructins. Prcedures in eschlplus Data Clerk will cmplete the transfer accrding t standard Fultn Cunty prcedures. Any required prgram updates are cmpleted via the EASY IEP / eschlplus interface. FTE Prcedures 2013-2014 (Refer t Chapter 23 fr detailed instructins) FTE Cycle 1 - Tuesday, Octber 1, 2013 The Special Educatin Child Cunt reprt is cmbined with FTE 1.
