2 About this Learner s Information Handbook This handbook has been designed to provide you with information about the Certificate III in Fitness (SIS30313) Fernwood Learning policies and an understanding of the Learner s responsibilities when undertaking a course with Fernwood Learning. We encourage you to read this document thoroughly before enrolling. If you would like clarification on any part of this document, or would just like a chat about pursuing a career in fitness or furthering your fitness education, don t hesitate to contact our friendly staff at Fernwood Learning on (03) or learning@fernwoodfitness.com.au. 3 Welcome to Fernwood Learning Our Story The first Fernwood Women s Health Club was established in Central Victoria in 1989 when Diana Williams recognised a need for women to have their own special space a sanctuary to work out in a relaxed environment and enjoy regular exercise. Since this time, Fernwood Fitness has become synonymous with Australian women s health and fitness. Today, with Clubs all over the country, Fernwood is the largest organisation of its kind with over 80,000 members with staff trained to support, encourage and motivate every member achieve their health and fitness goals! Fernwood Learning Pty Ltd is a nationally Recognised Training Organisation (RTO) providing courses in Certificate III in Fitness throughout Australia and we are proud to have you train with us. Qualification: Certificate III in Fitness Exercise Instructor (SIS30313) Certificate III in Fitness (SIS30313) is your entry into the exciting fitness industry where you keep fit, work flexible hours and change people s lives. Certificate III in Fitness (SIS30313) is the minimum qualification required to register to work as a Fitness Instructor in Australia. You will be able to work in health Clubs and Gyms, conduct fitness assessments, design programs and instruct clients safely. Now that s a job! If you are intending to become a Fitness Instructor then you will need to complete our Certificate III in Fitness (SIS30313) Exercise/Gym Instructor Work Description Designs and delivers exercise programs for low risk individuals in a controlled environment. At Fernwood Women s Health Clubs we refer to the Gym Instructor as the Member Motivator - a person trained in fitness activity with specific competencies to instruct low risk individual and group clients in specified work environments, under predictable circumstances. A Gym Instructor facilitates skill transfer or development to clients in order that they may exercise independently or with minimal supervision. This requires the instructor to be able to: Conduct an initial client induction including basic screening, fitness appraisal, program development and exercise instruction. Design individualised training programs for healthy individuals within the context of a long term plan. Critique technique and apply a variety of instructional strategies in a range of exercise modalities. Regularly appraise client s fitness and skill acquisition and modify their program accordingly. Conduct group activities such as circuits. How to Enroll Once you contact Fernwood Learning to discuss your enrolment, an Enrolment Form and a Pre-Training Review will be ed to you. Please note: All our courses are exempt from GST as they are professional and trade courses. Students who have not committed to pay the course fee as indicated on the Enrolment Form will not be enrolled. 4 Certificate III in Fitness (SIS30313) Exercise Instructor Course Outline Qualification for Certificate III in Fitness (SIS30313) requires completion of 10 core units and 5 elective units. Units have been grouped into learning clusters which are identified in the table below through colour coding. 5 Course Outline (continues) First Aid Certificate Students are required to complete HLTAID003 Provide First Aid Course with a registered First Aid Training Provider. Students will be required to supply a copy of their First Aid Certificate to Fernwood Learning and be issued with a statement of attainment to gain a credit transfer for core unit HLTAID003. Work Placement Students are required to complete a minimum of 40 hours of guided work placement over the duration of the course. Work placement hours for each cluster are noted on the previous page however will be determined by the amount of time it takes each student to complete the practical assessment tasks required. For further information regarding work placement, please read Work placement Attendance on Page 6. Course Duration The course is self paced, however it is expected it will take Students approximately 9 months to complete. Students have the option to extend the course to 12 months if required. It is recommended Students dedicate hours per week of study and practice time. Training Materials Students will be provided with online Learner s Workbooks for each unit competency, assessment tasks for each cluster and access to the Fernwood Learning Online Forum. Students will also be provided with a comprehensive work placement Information Guide. Each individual assessment has it s own record of hours to be completed, along with practical assessments, to document the 40(+) hours of work placement undertaken. (Students have access to download Learner s Workbooks online for each competency. Students may print copies directly from online resources, or alternatively request a set of Learner s Workbooks from Fernwood Learning at a cost of $250.) 6 Fernwood Learning Fees Correspondence Students are deemed to have started the course from the date the course materials and online forum password have been sent to the Student. Course fees are non-transferable to other Students. All enrolments must be accompanied by payment, as outlined in the Enrolment Form. Fernwood Learning reserves the right to increase fees from time to time and update Enrolment Forms. Learner Responsibilities & Understandings The Learner agrees to comply with the policies and procedures of Fernwood Learning as outlined in the Learner s Handbook version signed upon enrolment. Learners are responsible for ensuring they have successfully completed all prerequisites for each subject before the commencement of the next and subsequent subjects. As a Student in an educational/activity based course you will have the responsibility to advise Fernwood Learning if you are pregnant, have a medical condition which would contra-indicate exercise or require medical clearance before exercising, or if you have any special learning needs, prior to enrolling, or as soon as practical if your health status changes. Learners are required to complete a pre-exercise screening form towards the start of the course (part of course content) and as per industry standards. Learners with known disease (cardiovascular, cerebrovascular, pulmonary disease, metabolic etc.) or pregnant or with signs or symptoms of heart disease will be required to provide medical clearance for exercise participation and follow any medical recommendations for their health. Fernwood Learning will treat this information with strict confidentiality. As an activity based course and career it is expected that Students are currently active participants in the fitness industry, particularly strength training in a gym. Learners will release and hold harmless Fernwood Learning Pty Ltd, its administrator, staff, trainers and agents in respect to any property loss or personal injury that may be sustained whilst participating in their course or attending Fernwood Learning whosoever caused. Enrolments are not transferable. Learners will follow all health and safety requirements during their work placement. For you to fully participate in our courses, it is recommended that you have an active lifestyle and be already participating in the gym activities such as strength training, cardio training, group exercise classes and personal training, have good literacy skills in English to Year 10 level and access to internet, and a printer. Fernwood Learning Policies Successful completion of the course is subject to the Student satisfying Fernwood Learning s Student Assessment and Attendance Policy. Students wishing to request Recognition of Prior Learning (RPL) may do so by requesting an RPL Form from Fernwood Learning at the time of enrolling. Fernwood Learning recognises qualifications from other RTO s. Persons under the age of 16 cannot participate in any of the courses offered by Fernwood Learning. Any other matter not specifically mentioned in Fernwood Learning policies is at the discretion of Fernwood Learning. It is a condition of enrolment that you have read and understood these course conditions and agree to abide by them. Industry Training for National Accreditation Fernwood Learning is committed to deliver fitness education excellence. As a national RTO, Fernwood Learning is audited and registration is managed by the Australian Skills Quality Authority (ASQA). As a recognised RTO, our organisation and the fitness qualifications we deliver meet strict compliance as set out by ASQA. These guidelines are in place to ensure quality assurance for our trainees and provide an obligation by Fernwood Learning to administer training under the auspices of the ASQA framework. Refer to ASQA website RTO Obligations: As such the assessment structure used by Fernwood Learning follows the ASQA framework as follows: C = Competent NYC = Not Yet Competent Subjects are presented in a course subject format in compliance with industry accreditation and the Fitness Training Package for Nationally Recognised Training. Grading is competency based. A Student is deemed either Competent or Not Yet Competent as a result of the successful completion of relevant assessment in relation to the competencies/ elements studied. Assessment Policy Students are deemed either Competent or Not Yet Competent in line with industry and training guidelines for assessment. As the courses are delivered by way of individual subjects or courses, each subject has its own requirements for attaining competency. The range of assessments include: written questions and answers, projects, third party reports and practical activities. 7 The individual subject course notes will provide details of the necessary requirements for passing that subject. All sections of a subject including theoretical and practical work must be assessed as competent before a student can attain competency in the units of that subject. The practical demonstrations of competency occur in the Learner s work placement and by video assessment by Fernwood Learning s competency assessor. All assessments will be planned and conducted in a way that ensures that they comply with the following principles: Authenticity (reflect the Student s own work) Validity (directly relate to the current version of the relevant endorsed units of competency) Reliability (shows that the Student consistently meets the unit(s) of competency) Currency (reflects the Student s current capacity to perform the work covered by the units) Sufficiency (covers the full range of criteria in the relevant units of competency) Fairness (are not advantageous or disadvantageous to different individuals or groups) Flexibility (a range of approaches can be used to allow for different delivery modes and Student needs) Guarantee The NVR registered training organisation will ensure the student will complete the training and/or assessment once the student has commenced study in their chosen qualification or course. Resitting of Examination or Resubmission of Assessment In the event that Students do not pass any aspects of the course, assessments may be resubmitted. However, Students must be aware that assessment fees are payable after 3 resubmissions are required, at a rate of $50 per assessment. For practical assessment this fee may be higher. Lateness in Submitting Written Assessments Correspondence students have up to 9 months to complete the course and may apply in writing to have an extension of up to a further 3 months. After 12 months the course will have expired and no further work will be assessed and a discontinued result will be recorded. See Deferment for exceptions to this rule. Students must contact Fernwood Learning in writing/ if they wish to apply for an extension. Students enrolled in single units have 6 months to complete and are not eligible for an extension. Cheating or Plagiarism Fernwood Learning will not tolerate cheating or plagiarism. As such, any Student found guilty of either demeanour will immediately fail that assessment and have the demeanour recorded on their Student record. They will have to resubmit or resit the assessment at their own costs as outlined above. Serial offenders will face expulsion from Fernwood Learning without recompense. Students are required to follow the instructions for the assessments, using the course texts provided and using only the nominated websites within the course workbooks to complete their workbooks and assignments. Work Placement Attendance Work placement is work experience which is designed to allow the Student to develop and demonstrate their skills in the workplace setting. To complete the work placement assessment for Certificate III in Fitness (SIS30313), supervised work experience of a minimum of 40 hours must be satisfactorily completed. Work placement must take place in a suitable gym environment, with access to weighted machines, cardio equipment, group exercise and free weights. Fernwood Women s Health Clubs are suitable for work placements, however placement at one of our gyms is not always guaranteed. All Students are to be available to attend the nominated Fernwood Club from a selection of 2 or 3 Clubs closest to their location. The 40(+) hours of guided work experience will take place throughout the duration of the course starting midway through the first module of competency units as detailed in the Certificate III in Fitness course outline, continuing until the end of the 7th module. If this is not feasible, work placement may be completed at the end of the theory components, however you will not be marked as completed in any unit until both theory and practical components are completed. Work placement will be completed on a part-time basis during the morning and/or evening shifts in the Club at mutually agreed times by the Student and the management of the Club or nominated Gym. Work placements take the Student from observation of workplace activities through to practical demonstration under supervision. Work placement tasks will include written questions, projects, practical demonstration/video and Third Party Report by Workplace Mentor. Third Party Reports will be completed by Supervisors in the workplace and it is the Student s responsibility to ensure the completed report is returned by post to Fernwood Learning. Students are provided separate information on the policies, procedures and guidelines regarding attending work placements. 8 Students are not eligible to commence their work placement until a Work placement Placement Agreement has been signed by Fernwood Learning, the Gym Manager and the Student. Where possible, Fernwood Learning will assist you to find a suitable work placement at a Fernwood Women s HealthClub. Requests for work placement at a Gym other than Fernwood may incur an additional fee for a Facility Report by a Workplace Trainer. This will not necessarily ensure the suitability of Gyms other than Fernwood Fitness. Access to Records No Student information will be made available to third parties without the Student s written permission. Duplicate copies of Statements of Attainment and certificateshave an administration fee of $50. Please contact Fernwood Learning for the appropriate Replacement Certificate Forms. All Students have a right to view their own files and may do so on request to the RTO Manager. Students can access records of their participation and progress at any time by contacting Fernwood Learning. If a Student wishes to receive an interim transcript of results before completion of the course, this will be at a cost of $50. Refund Policy It is the policy of Fernwood Learning Pty Ltd to provide fair, equitable and reasonable treatment with regards to refunds. In the event that a course has been cancelled by Fernwood Learning Pty Ltd, a full refund will be made available to those Students enrolled in that course. Correspondence courses are considered to have commenced from the date the course materials have been sent to the Student. Correspondence Students have 7 days after this date to apply in writing for a refund due to withdrawal, after which there will be no refund for any courses, subjects received, or time lapsed. Students entering a payment plan for payment of course fees who withdraw from the course after 7 days of access to the course, will be liable for all payments due under the agreed payment plan. If the materials are returned undamaged before 14 days of receiving course materials a full refund will be issued minus a $300 administration fee. If the materials are not returned or returned damaged they will be returned to the Student along with a full refund minus $500 ($300 administration fee and $200 materials fee). Extension of Course Time Students have 9 months to complete the Certificate III in Fitness (SIS30313) from the date they commence their course. In the event the student is unable to complete the course in this time period, the student may apply for a FREE 3 month extension by completing an extension application form. (Available on Planet Pink or by contacting the Fernwood Learning team). If for some reason due to extenuating circumstances a student requires longer than 12 months to complete the course, the student may apply for a further extension of up to 6 months at a rate of $100 per month. Applications to extend the course cannot exceed 6 months. In the event that the course materials are updated after the first 12 month period, and the student is yet to complete the course, the student will be required to pay the cost of the new course materials. Learner Support Fernwood Learning is committed to ensuring Student success and enjoyment in their course. We do this by: Progressive Learning Learning is made easy and effective with sequential learning. Practical Sessions Your training will be through activities directed by your course workbook and the Fernwood Learning Web Forum. As a future role model of an active lifestyle who will be instructing gym members in activities such as strength training, cardiovascular fitness and stretching, it is expected that you are an active participant in these activities. This will also enhance your learning as these activities will be demonstrated by you in your work placement; e.g. correctly demonstrate a dumbbell squat then instruct a client in the correct technique. (Your course notes will also teach you how to do this.) Fernwood Learning will provide Student and Mentor Information Guides as well as Third Party Reports requiring completion by the Workplace Mentor. Online Forum Provides Student support, extra learning resources and answers to common questions also Students can ask questions and chat to other Students. Use of the Forum is a requirement of the course. Professional Team Support all aspects of the program are designed to show you how to become a successful fitness professional. We re committed to your success. Should you need any assistance, we ll be happy to provide the information and make sure your on the right path! Complaints Procedure The affected Student should first attempt to resolve any complaint informally with relevant Fernwood Learning staff. If the complaint is considered serious in nature, the following steps must be taken. The complaint is submitted in writing to the RTO Administrator on the Complaints Form available from the Forum. The complaint must not be anonymous. Appropriate outcomes will be determined by the Director in consultation with relevant staff and the Student. If necessary, consultation with independent external agencies regarding issues raised and necessary approaches to resolving the issues. All outcomes will be documented and stored inline with ASQA standards for effective administrative and records management. 9 Fernwood Learning will make every endeavour to amicably reach a resolution with the person making the complaint, however if the complainant wishes to pursue the matter further, they have the right to appeal the decision made by Fernwood Learning following the Appeals Procedure below. Alternatively, complainants may make a complaint to the RTO registering body, ASQA by following the procedure on the website: html. Please note ASQA can only deal with complaints about the information provided by an RTO by its courses, the delivery and assessment of training received and the qualifications issued or to be issued. Appeals Procedure You many appeal against the decisions made by Fernwood Learning which may be a decision made about an assessment outcome, a complaint, acceptance into a course or any other procedural decision made by Fernwood Learning. Appeals should be made by using the Appeals Form (available on Planet Pink) and must be lodged within 30 days of the original decision being made. The appeals process will occur by having the RTO Manager and CEO together review the case within 14 days of the appeal being made. The Appellant may be asked to provide additional information if required. Appeals about an assessment outcome will occur by arranging for the assessment to be re-assessed. Written notice of the outcome of the appeal including reasons for the decision will be provided to the Appellant within 14 days of the decision being made. All outcomes of an appeal will be documented and stored according to our record keeping policies. Student Conduct Policy and Disciplinary Procedures It is important that Fernwood Learning remains a positive environment to learn, with the utmost concern for the welfare of our Students, staff members and clients. Students have an obligation to behave in a professional and respectful manner at all times. At no time will Fernwood Learning tolerate disrespect or aggression towards other Students, staff members or clients. The following would be considered a breach of conduct and would attract disciplinary action. Academic misconduct such as cheating or plagiarism Not meeting the academic requirements set out by Fernwood Learning Pty Ltd Rudeness, disrespect or aggression Not complying with Fernwood Learning policies (or those of the workplace) whilst on work placement. Should a situation arise whereby a Student is considered to be acting in breach of the requirements of conduct, appropriate action will be taken. This action may take the following forms, depending on the seriousness and nature of the breach of conduct. 1. Information discussion with relevant member of staff 2. Formal discussion with RTO Administrator 3. Resitting of an examination or resubmission of assessment 4. Deduction of marks and/or resubmission of assessment 5. Suspension from the course 6. Expulsion from the course. Access and Equity Incorporating Language, Literacy and Numeracy Principles Fernwood Learning Pty Ltd applies access and equity principles in order to meet the needs of both staff and Students. Any concerns a Student has regarding their level of language, literacy and numeracy will be treated on an individual basis with the utmost care and confidentiality. Students should notify the Fernwood Learning Administrator of any issue they feel will disadvantage them in the course. It is recommended a good level of reading and writing in English and access to computer, and internet is a pre-requisite. To ensure the workplace remains free of discrimination, harassment and bullying and in alignment with Fernwood Women s Health Clubs values, all managers and employees, trainers and students will treat each other with respect, integrity, commitment, openness, passion and service mentality. Wherever possible, Fernwood Learning will enhance the flexibility of its courses in order to maximise access for those facing disadvantage. This includes, but is not limited to: Regularly reviewing the planning, delivery and assessment components of courses in order to maximise access and equity for disadvantaged individuals The allowance of foreign language dictionaries in examinations Any special considerations must be directed to the RTO Administrator at the start of the course to ensure a fair and timely resolution. Women who are pregnant or fall pregnant during the course can apply to defer for 6 months at no charge. Occupational Health and Safety Policy Fernwood Learning is committed to the principle of prevention of workplace injuries. Fernwood Learning ensures the health, safety and welfare at work of all the employees and students. 10 Responsibilities of Staff & Students To follow the OHS policies of Fernwood Learning, Fernwood Women s Health Clubs and any other gym or health club. Not entering Fernwood facilities whilst under the influence of non prescription drugs/alcohol Obtaining medical certificates when required Keeping copies of all assignments and certificates Maintaining a friendly service for all gym members Wearing appropriate modest attire in keeping with Fernwood uniform style whilst on work placement. Recognition of Prior Learning (RPL) Recognition of Prior Learning is the formal process by which the skills and knowledge gained through work and life experience and outside formal training arrangements are formally recognised. This process allows competency to be determined without the student being required to complete formal assessment tasks. When recognition is gained for a unit this means the student is not required to complete it as part of their course and the student is deemed to be at an equivalent competency level. RPL is available to all students and should be applied for during the enrolment process. Students fees are not reduced when RPL is granted for part of an enrolled Certificate III in Fitness (SIS30313) course. How to apply for RPL RPL Fee - A fee of $50 per unit for assessment of applications will be charged to all students. 1. Student identifies themselves as wishing to seek RPL. A student may identify themselves as a potential RPL candidate at any stage of the enquiry or enrolment process. A student should apply for RPL prior to commencing any training in a unit of study and preferably at the commencement of a qualification. However, students may also apply for RPL during their studies. 2. Fernwood Learning will send the student an RPL kit and notify student of their Assessor. 3. Student completes initial self-assessment. The student completes an initial self-assessment against the units in the qualification they are seeking to undertake, rating themselves on their ability to perform competently against the requirements of each unit of competency. 4. Fernwood Learning will decide whether RPL is appropriate. Where the Self-assessment checklist identifies that the student may be suitable for RPL for any or all of the units within a course, the student proceeds with the following steps from 5. Where the Self-assessment Checklist identifies that the student is not able to demonstrate competence against all performance criteria of at least 1 unit of competency, the student is considered an unsuitable candidate for the RPL process. The student should continue in their training course or discuss their application with their Trainer/Assessor. 5. Prepare RPL documents and list of evidence for first RPL interview. The student goes on to develop a preliminary Evidence Plan for the units suitable for RPL and completes the Qualification Summary in the Application kit. The student sends in their Application which includes: - Self-assessment and Evidence Plan - RPL Application Form - RPL Application Evidence The application form must include at least two professional referees who are able to provide third party verification of the student s skills and work history. 6. The assessor reviews the application Once received, the assessor reviews the application to determine whether the evidence provided by the candidate demonstrates suitability for RPL for the units applied for. If suitable, the Assessor contacts the candidate to make arrangement for first interview. The assessor may request further information from the candidate at this stage. 7. Conduct initial interview. At the initial interview, the assessor will review the information supplied by the student for each unit of competency. The assessor will use the interview as a time to make a preliminary judgment about the student s skills and knowledge against each unit. The assessor will ask a range of questions to identify the student s broad level of competency. This interview is called the Competency Conversation and findings and observations are recorded in the Assessment Logbook. 8. Decide which units are suitable to be assessed through RPL and develop an evidence plan. At the end or during the Competency Conversation, the assessor and student will make a decision about which units will be suitable for RPL. The assessor and student will further develop the evidence plan to determine which documents the student is required to provide as RPL evidence. The student completes an Enrolment Form at this stage if continuing with RPL process. 9. Conduct interviews with professional referees. The assessor contacts the professional referees to conduct interviews to confirm the candidate s skills, knowledge and practical skills. 11 10. Prepare for second interview and practical assessment of skills. The assessor notifies the student of any additional evidence that might be required as a result of the referee discussions. The assessor makes a time with the student for assessment of practical skills. 11. Gather additional evidence. Gather the evidence documents as agreed to in the plan, prior to the practical assessment visit. 12. Conduct practical assessment. Review the evidence provided by the student. This evidence will be used to form part of the competency decision. Observe the student s on-the-job performance and collect the evidentiary documents. Observations and findings are to be recorded in the Assessment Logbook. Ask any further questions required to determine competence. A further interview/assessment meeting may be required. Make a decision about whether RPL will be granted for each unit. OR find a suitable 3rd party person. The student must source a third party person who can verify their competency in a workplace and who can confirm the essential skills and knowledge required by each unit. The third party person must be someone who: - has worked in a supervisory role to the student - has competencies at least to the level of the qualification the student is seeking or the ability to demonstrate an extensive working history in a directly related role. Complete Third Party Verification Report Complete report that verifies the student s skills, knowledge and performance against the units the student is applying for RPL for. 13. Make arrangements for training and assessing skills and knowledge gaps. If gaps in skills and knowledge are identified and/or RPL is not granted, the assessor will work with the student to arrange a suitable training plan. 14. Send records of assessment to administration office. Send records of interviews and assessment to administration office after each visit throughout this RPL process. Credit Transfer Credit Transfer will be granted where students have previously completed qualifications or units that are recognised as being equivalent to those in a qualification or unit/s of a student s enrolment with Fernwood Learning. Credit Transfers will be based on established credit agreements with other RTOs or higher education institutions or on guidance provided in the relevant Training Packages about equivalence between superceded and current Training Packages. Students must apply for Credit Transfers prior to or at the time of enrolment by providing certified copies of statements of attainment. records of results and qualifications that apply. National Recognition National Recognition will be granted for any qualifications and/or units of competency that have been previously attained from any other RTO where they are matched to a qualification or unit within a student s enrolment with Fernwood Learning. Students must apply for National Recognition prior to or at the time of enrolment by providing certified copies of authentic statements of attainment and qualifications issues by other RTOS.
