12 Introduction Discovery Manager overview EMC SourceOne Discovery Manager enables discovery and secure legal hold of archived content in response to legal and regulatory notices and corporate policy complaints. With Discovery Manager, users can quickly find, review, and produce archived information relevant to an inquiry. Discovery Manager is built around a legal matter or case metaphor. It supports secure, authorized investigator access, defensible collection results, and the chain of custody of content that is archived in EMC SourceOne and EMC Xtender archives. Discovery Manager supports the Electronic Discovery Reference Model (EDRM) XML export standard for easy data transfer to final e-discovery production applications. Prerequisites Before installing Discovery Manager, you must install and configure the EMC SourceOne Management product. The EMC SourceOne Management product provides the core architecture to support Discovery Manager. Two editions of Discovery Manager The installation steps for installing Discovery Manager differ depending on whether you are installing the Full edition or the Express edition. The following sections include more information about the two editions. Full edition Express edition The Full edition of Discovery Manager is an add-on product to the EMC SourceOne Management product used to search for, collect, review, and export archived in response to legal or regulatory notice, or corporate policy complaint. The Express edition of Discovery Manager is included with EMC SourceOne Management product used to search for, collect, review, and export archived in response to legal or regulatory notice, or corporate policy complaint. Note Discovery Manager Express edition is intended for administrators, supervisors, or legal users to search the archive for other users items and export the results. It is not intended for users who want to export their own archived items. Discovery Manager Desktop and Discovery Manager Web Application There are two Discovery manager interfaces. The first is the Discovery Manager Desktop interface, and the second is the Discovery Manager Web Application interface. 12 EMC SourceOne Discovery Manager 7.2 Installation and Administration Guide

13 Introduction Installation and administration of Discovery Manager differ depending on the interface you are using. EMC SourceOne central installation and upgrade feature You can use the SourceOne Central Installation and Upgrade feature to centrally install SourceOne components including the following. SourceOne Management EMC SourceOne Discovery Manager EMC SourceOne for Microsoft SharePoint EMC SourceOne for File Systems You can also use this feature to upgrade to SourceOne product service packs and hotfixes. The EMC SourceOne Management Installation Guide provides detailed instruction about how to install SourceOne software from a central location. 17 Discovery Manager Architecture EMC SourceOne Management Discovery Manager database Discovery Manager Server software Web service Discovery Manager requires the EMC SourceOne Management infrastructure. For more information about establishing this infrastructure, refer to the EMC SourceOne Management Installation Guide. The Discovery Manager database is installed on a Microsoft SQL Server host computer (or SQL Server instance) and maintains data that is related to Discovery Manager. Discovery Manager integrates with EMC SourceOne Management by installing the Discovery Manager Server software on a host computer running the following EMC SourceOne Management software. Worker Services Web Services Installing the Discovery Manager Server software on an EMC SourceOne Web Services host computer adds the Discovery Manager Web service. The Web service schedules the execution of several operations on behalf of the Discovery Manager client application, including discovery searches and, for the Full edition of Discovery Manager, copying results to a hold folder. Server editions There are two versions of the Discovery Manager Server software, one for each edition of Discovery Manager. ES1_DiscoveryMgrExpressServerSetup.exe is for the Express edition and is in the Management software kit. ES1_DiscoveryMgrServerSetup.exe is for the full edition and is in the Discovery Manager software kit. Discovery Manager Worker Services software Discovery Manager Desktop software Starting with version 6.8 of EMC SourceOne, the capability to process Discovery Manager activities is included in the Management Worker Services software. You can enable additional Worker Services computers to process Discovery Manager activities. You install the Discovery Manager desktop software on end-user computers. This thick client provides a user interface to perform discovery tasks that are based on the roles that are assigned to the user. For more information about using the client software or the user roles, see the EMC SourceOne Discovery Manager Desktop User Guide. EMC SourceOne Management 17

18 Discovery Manager Architecture Discovery Manager Web Application Users can access the Discovery Manager Web Application from their computers by using a supported web browser. Users can perform discovery tasks that are based on their assigned roles. 20 High Availability Discovery Manager Web Services high availability You can install the Discovery Manager Server software on two or more EMC SourceOne Web Services host computers. You can also use a network load balancing using an appliance or software solution such as Microsoft Network Load Balancing Service (NLBS) to provide high availability. Use the following procedure to ensure that the Web services are highly available for users of the client application. Procedure 1. Install Discovery Manager Server software on two or more EMC SourceOne Management Worker Services/Web Services host computers. Note Install the same edition of Discovery Manager Server software on all host computers. Do not mix the Express edition and the Full edition. 2. Configure the load balancer to include these computers 3. Specify the virtual hostname for the load balancer when you install the Discovery Manager client software. Ports Depending on the configuration, the following ports should be configured in the network load balancing appliance or solution. SSL (recommended) 443 Non-SSL 80 Temporary work directory size Work directory configuration The export to PST functionality provided by Discovery Manager may require a significantly larger temporary work directory than is normally required for a worker be available, depending on the configuration. For example, consider a worker that is configured to: Only process Discovery Manager activities Process four simultaneous jobs with a maximum of 5 GB of data for each job The work directory in this scenario would require at least 20 GB of free space. The work directory is created when installing the prerequisite Management Worker Services software. If you intend to perform the type of processing described in the example, then ensure each Worker computer that is used with Discovery Manager has a work directory with an appropriate amount of disk space available. Note Disable virus scanning and Windows Desktop Search for the SourceOne work directory that is on the Discovery Manger server. 21 High Availability Discovery Manager activity processing high availability When configuring load balancing of the Discovery Manager Web Service, you can enable additional workers to process Discovery Manager activities. Discovery Manager Windows Service Do not have the Discovery Manager Worker Windows Service enabled on more than two hosts. Installing Discovery Manager Worker Windows Service on two hosts provides a high availability (HA) deployment. However, having more than two hosts can cause excessive load on the Discovery Manager SQL Server and provides no additional deployment value. Discovery Manager Web Application high availability To provide high availability, you can install the Discovery Manager Web Application software on two or more host computers. You can also network load balance by using an appliance or software solution such as Microsoft Network Load Balancing Service (NLBS). Use the following procedure to ensure that the Discovery Manager Web Application is highly available for users. Procedure 1. Install Discovery Manager Web Application software on two or more host computers which have IIS 7.5 or above installed. 2. Configure the load balancer to include these computers. 3. Specify the virtual hostname for the load balancer. Ports Configure the following ports in the network load balancing appliance or solution. 24 Accounts and Permissions Controlling access to EMC SourceOne resources Discovery Manager uses the accounts and permissions model that is established when the EMC SourceOne Management product is installed. Refer to the EMC SourceOne Management Installation Guide for more information about the accounts and permissions that are used with EMC SourceOne. Note The database permissions for the Discovery Manager database must be assigned after installing the database. SQL database installation permissions When you install or update the Discovery Manager databases, ensure that the installation account, that is used to log in to the SQL Server host computer, has one of the following. Is a member of the local administrators group Has SQL system administrator server role privileges Authorizing users All Discovery Manager authentication and authorization is based on Microsoft Windows authentication. The Discovery Manager client application disables or hides functions for which a user does not have permissions. Advantages include: Authorization information is stored in Microsoft SQL. Default and matter-specific roles are supported. Each user in Discovery Manager can have different global and matter-specific roles. Matter-specific roles are available in the Full edition of Discovery Manager. Password information is not stored in Discovery Manager. Configuring Integrated Windows authentication Discovery Manager uses a Microsoft Internet Information Services (IIS) website that is configured to use Integrated Windows authentication. The Microsoft Internet Information Services (IIS) website is created when you install the Discovery Manager Server software. The Discovery Manager Web service is an IIS website, named DiscoveryManager, running on an EMC SourceOne Web Services host computer similar to other IIS sites used with EMC SourceOne. You install Discovery Manager Server software on one or more EMC SourceOne Web Services host computers. If you have already implemented a single sign-on (SSO) configuration in the EMC SourceOne Management environment, Integrated Windows authentication may already be configured. 25 Accounts and Permissions If you use a separate service account for Discovery Manager, ensure that this account also uses the same authentication configuration as the primary EMC SourceOne service account. For Windows Server 2008 R2 or 2012, ensure that you use the same role services configuration for Discovery Manager Server as described for the SearchWS IIS site. The EMC SourceOne Management Installation Guide includes information about: Requirements, considerations, and configuration examples of Integrated Windows Authentication for hosts running Microsoft Windows operating systems. Implementing SSO and configuration. Information about installing Web Services software. Providing a network share for exporting matter content Perform the following steps to allow Discovery Manager users to export matter content to a network share. 1. Establish a network share. 2. Grant permissions to Discovery Manager users to the share. 3. Communicate the share location to users. Providing a network share for exporting matter content 25

28 System Requirements Database host computer requirements Important SQL Server considerations You can install the Discovery Manager database on the same database host computer on which EMC SourceOne Management is installed, or on a separate database computer. In either case, Discovery Manager has the same SQL Server requirements as EMC SourceOne management, The EMC SourceOne Management Installation Guide includes more information about database host computer requirements. Ensure that you review the information that is provided in the Important SQL Server considerations section of the EMC SourceOne Management Installation Guide. Many of these considerations may also apply when planning the Discovery Manager database implementation. Database maintenance SQL Server TCP port configuration The EMC SourceOne Management Administration Guide includes information about maintaining databases, including the Discovery Manager database. Ensure that you review and use the information in the "Maintaining the EMC SourceOne databases (common)" section of the EMC SourceOne Management Administration Guide. When the Discovery Manager Worker service starts, it tries to establish a connection to the SQL Server database by using the default TCP port (1433). If SQL Server uses the default configuration (which does not enable remote connections) the following error message appears in the EMC event log on the Discovery Manager server. An error has occurred while establishing a connection to the server. When connecting to SQL Server 2008, this failure may be caused by the fact that under the default settings SQL Server does not allow remote connections. You can configure SQL Server to allow connections using the default TCP port For information on configuring SQL Server to enable remote connections, see the following Microsoft KB article: If you configure SQL Server to enable remote connections, but choose to specify a TCP port other than port 1433, then you must also update the Discovery Manager configuration files (after installing Discovery Manager Server) to access the correct port. Edit the following Discovery Manager configuration files: Program Files\EMC SourceOne\DiscoveryManager\Server\Web.config Program Files/EMC SourceOne/DiscoveryManager/Server/bin/ DCWorkerService.exe.config Use the following procedure to configure the SQL Server TCP port. 28 EMC SourceOne Discovery Manager 7.2 Installation and Administration Guide

29 System Requirements Procedure 1. Open each file in an editor and search for the line that contains the string DatabaseServer. For example: <add key="databaseserver" value="<sql_server_name>"/> 2. Modify the DatabaseServer line to include the port number by using the following syntax (server name, port number). For example: <add key="databaseserver" value="<sql Server name>, <port number>"/> 3. Save the changes to the files. 4. Restart the EMC SourceOne Discovery Manager Worker service. 5. Verify that Discovery Manager can now communicate with the SQL Server. Worker Services host computer requirements You install Discovery Manager Server software on EMC SourceOne Worker Services host computers. Refer to the Worker Services host computer requirements section in the EMC SourceOne Management Installation Guide for more information. Consider the following: Discovery Manager Server software must be installed on an EMC SourceOne Worker Services computer on which EMC SourceOne Web Services software is also installed. You can install Discovery Manager Server software on two or more Worker Services/Web Services computer and use a network load balancing appliance or solution such as Microsoft Network Load Balancing Services to provide high availability. You can install additional Worker Services computers (with or without Web Services software installed) and enable them to process Discovery Manager activities and provide high availability. Language options For Asian characters to display correctly in a Windows form application such as Discovery Manager, select the Install files for East Asian languages checkbox. The Full edition of Discovery Manager to the Full edition of Discovery Manager 7.2. The Express edition of Discovery Manager to the Express edition of Discovery Manager 7.2. Note The EMC SourceOne Discovery Manager Installation and Administration Guide provides information about how to upgrade the Express edition of Discovery Manager to the Full edition. Supported update scenarios This section includes information about supported update scenarios. The EMC SourceOne Discovery Manager Release Notes includes information about the update paths that EMC supports. Note Do not update software releases and upgrade product editions simultaneously. Performing updates and upgrades simultaneously, can result in a non-functional product. Important considerations The process that is described in this section assumes that you have already updated to EMC SourceOne Management 7.2. The EMC SourceOne Management 7.2 Installation Guide provides detailed instructions on how to update to the latest version of the EMC SourceOne Management software. Updating Management and Discovery Manager together Component update order If you intend to update both Management and Discovery Manager simultaneously, then follow the procedure that encompasses both products in the EMC SourceOne Management 7.2 Installation Guide. By updating both products together, you only have to make the system temporarily inactive or disabled once. Update Discovery Manager components in the following order. 1. Discovery Manager database, using the database upgrade scripts. 2. Discovery Manager server software. 3. During an update, client-generated activities do not function. You must communicate a planned outage to users to reduce the number of client requests while the update occurs. Preparing Discovery Manager systems for update Use the following procedure to prepare the EMC SourceOne Discovery Manager systems for the update. Procedure 1. Use the Discovery Manager backup process to make the Discovery Manager system temporarily inactive or disabled: a. Install and configure backup scripts and customize the scripts for the environment. b. Suspend Discovery Manager. Note The EMC SourceOne Discovery Manager 7.2 Installation and Administration Guide includes information about performing a backup of Discovery Manager. Preparing the Management system 2. Wait for all Discovery Manager activities to complete. Depending on the Discovery Manager activities that are running, this may take several hours. You must update to EMC SourceOne Management 7.2 as described in the EMC SourceOne Management 7.2 Installation Guide. Temporarily make the EMC SourceOne servers and applications inactive or disabled before performing the update of Discovery Manager. Updating the Discovery Manager server software and the Discovery Manager Desktop client software Use the following procedure to update the Discovery Manager software. Procedure 1. Perform one of the following steps: For all servers that have the Full edition of the Discovery Manager server software installed, update the software by running the Discovery Manager server installer ES1_DiscoveryMgrServerSetup.exe. For all servers that have the Express edition of the Discovery Manager Server software installed, update the software by running the Discovery Manager Express Server installer ES1_DiscoveryMgrExpressServerSetup.exe. 36 Updating from a Previous Version Note You cannot install the Express edition of the Discovery Manager Server software over an installation of the Full edition of the Discovery Manager Server software. Install the same edition of Discovery Manager Server software on all host computers. Do not mix the Express edition and the Full edition. 2. For all servers that have the Discovery Manager Desktop client software installed, update the software by running the Discovery Manager Desktop client installer. 3. Restart the Discovery Manager servers after the servers have been updated. 4. Restart the Management system as described in the EMC SourceOne Management Installation Guide. 5. Use the Discovery Manager backup scripts to resume operation. 6. For all client computers on which the Discovery Manager Desktop client software is installed, update the software by running the Discovery Manager Desktop client installer. Updating the Discovery Manager Web Application Use the following procedure to update the Discovery Manager Web Application. Note The DiscoveryManagerWeb web.config file is overwritten during an upgrade. Changes to the web.config file, can occur directly or through the IIS Manager application. EMC recommends that you review the web.config file after the upgrade completes and reapply prior changes as necessary. The upgrade creates a backup of the existing web.config file. The backup file is renamed and includes a timestamp, for example, web.config.backup_ _055009am. The backup file is saved alongside the new web.config file which allows you to compare the new and old files after the upgrade completes. Procedure 1. Download the EMC SourceOne Management software kit from the EMC Online Support site at: 2. Browse to the Setup\Windows directory in the EMC SourceOne Management software kit. 3. Copy the ES1_DiscoveryMgrWebSetup.exe file to a temporary location on the host. 4. Browse to the temporary location to which you copied the ES1_DiscoveryMgrWebSetup.exe file. 5. Double-click the ES1_DiscoveryMgrWebSetup.exe file. Updating the Discovery Manager database An update of the Discovery Manager database is a major process that might require business downtime and additional storage space. Before you begin 1. Use the database upgrade estimator to plan for downtime and additional space requirements. 2. Shut down all EMC SourceOne and Discovery Manager services. 3. Perform a Discovery Manager database backup. 4. Optionally, clear the export shares in use (destination directories). Any data in these locations will be unknown to Discovery Manager after the upgrade. Procedure 1. Log in to the SQL Server host computer by using an account with local administrator permissions on the SQL Server host computer and the SQL sysadmin role. 2. Browse to the Setup\Database\DiscoveryManager directory on the EMC SourceOne Management software kit. 3. Copy the contents of the Database\DiscoveryManager directory to the database server computer. 4. Type the name you assigned to the Discovery Manager database when you installed Discovery Manager. If you press Enter, the default, DiscoveryManager, is used as the database name. Specify Discovery Manager Database Name (default: DiscoveryManager): 7. At the following prompt, enter the server for the Activity database: Specify Server for Activity database (default:localhost) 8. At the following prompt, enter the Activity database name: Specify Activity Database Name (default:es1activity) 9. Select (Y or N) depending on whether or not you want to display database statistics and upgrade estimates. Display database statistics and upgrade estimates? (Y/N default:y) Note Take advantage of the upgrade estimates for your deployment to correctly plan both time and space requirements. You must run the script once to perform only the estimate without the upgrade step. 10.Select (Y or N) depending on whether or not you want to view the log file that is created after the update. If you press Enter, the log file will not open after the update is complete. The log file (ExDisCo_Update_mssql.bat.log) is created in the temporary directory where you placed the database update scripts. View log file (Y/N)? (default: N) 11.If you chose Y in step 9, you are prompted to start the database update: Upgrade the database (Y/N)? The file is generated in the temporary directory where you placed the database update scripts. Update results An update of the Discovery Manager client application has the following effects on persisted user information. All grid persistence information is deleted from the user s preference file ExUserPreference_user.xml in the install directory. Information such as the last selected export location, Quick Click tag, and the last selected address book source is retained. Update results 41

Installing the database using the MSI installer This section describes how to create the database required for Discovery Manager on a Microsoft SQL Server host computer using a Microsoft Installation (MSI) program. You can install the database: On the default instance or a named instance of SQL server. On the same SQL Server on which the EMC SourceOne databases are installed, or on a separate SQL Server. Note Copying the setup executable locally Alternatively, you can use the database installation scripts. Perform the following tasks to install the Discovery Manager database on the Microsoft SQL Server host computer. Use the following procedure to copy the setup executables for the database locally to the SQL Server host computer. Procedure 1. Log in to the SQL Server host computer by using an account with the following permissions on the SQL Server host computer: Local administrator permissions SQL system administrator role permissions 2. You can also verify the Discovery Manager database was created by navigating to the database in Microsoft SQL Server Management Studio. Configure the EMC SourceOne security group and installation account with permissions to the Discovery Manager database. EMC SourceOne security group This group includes the EMC SourceOne primary service account used to run Discovery Manager services. EMC SourceOne installation account This account is used to log in and install Discovery Manager software. EMC SourceOne Admins group This group houses the accounts for designated administrators who will use the EMC SourceOne console application. The EMC SourceOne Management Installation Guide includes more information about the SQL security logins and permissions EMC SourceOne Management uses, and on which Discovery Manager depends. Assigning security login roles Map each of the EMC SourceOne security logins to the following databases roles for the Discovery Manager database. db_datareader db_datawriter Configuring permissions for the database Configure explicit permissions for the security logins for the Discovery Manager database as shown in the following table. You can install the Discovery Manager Server software on more than one computer to support a highly available configuration. Note Install the same edition of Discovery Manager Server software on all host computers. Do not mix the Express edition and the Full edition. Perform the following tasks to install and configure Discovery Manager server software on a Worker Services host computer. Ensuring that the Discovery Manager Server communicates with the SQL Server Copying setup executables locally Ensure that Discovery Manager Server can communicate with SQL Server. Use the following procedure to copy the setup executable for the Discovery Manager Server software locally to the host computer. Procedure 1. Log in to the host computer using the EMC SourceOne installation account. Note This account must be configured with privileges in SQL and be a member of the Local Administrators group on this computer. You can remove this account from Local Administrators group after all installations are completed. 2. Perform one of the following steps: For the Express edition of Discovery Manager: a. Browse to the Setup\Windows directory on the Management software kit. b. Copy the ES1_DiscoveryMgrExpressServerSetup.exe executable to a temporary location on the host computer. For the Full edition of Discovery Manager: a. Browse to the Setup\Windows directory on the Discovery Manager software kit. The EMC SourceOne primary service account is used to run services related to Discovery Manager task processing. c. Type the Security Group. The EMC SourceOne primary service account should be a member of this Security Group. Note The security group and primary service account were established during the planning process for EMC SourceOne. Refer to Accounts and permissions in the EMC SourceOne Management Installation Guide for more information. d. Select the Enable check box in the Service Logon Policy region. e. 55 Installing the Discovery Manager Server and Database Disabling Enhanced Security Configuration If you are running Discovery Manager Server software on Microsoft Windows Server, you must disable Enhanced Security Configuration (ESC) in Internet Explorer 8. This configuration supports the viewing of Discovery Manager reports. Use the following procedure to disable Internet Explorer ESC. Procedure 1. Click Start > Administrative Tools > Server Manager. 2. In the Security Information section of the center pane, click Configure IE ESC. 3. Disable the following: IE ESC for Administrators IE ESC for Users 4. Click OK. 5. Close Server Manager. Adding Discovery Manager workers (Optional) After installing Discovery Manager Server software on a Worker Services/web Services host computer, you can also install the Management Worker Services software on additional Worker Services computers. Enabling these computers to perform activity processing related to Discovery Manager is useful in environments that use two or more Worker Services computers. The EMC SourceOne Management Installation Guide includes more information about installing Worker Services software. Upgrading from Express edition to Full edition Use the following sections to upgrade from the Express edition of Discovery Manager to the Full edition. Depending on the Discovery Manager activities which are currently running, this could take a significant amount time, up to several hours in some cases. Preparing the EMC SourceOne Management system Use the following procedure to prepare the EMC SourceOne systems for an update. Procedure 1. Quiesce the EMC SourceOne servers and applications prior to performing the update of Discovery Manager. 2. Perform a backup of the EMC SourceOne system as described in the EMC SourceOne Management Administration Guide. 3. Stop all active jobs using the EMC SourceOne console as follows: a. Expand the EMC SourceOne > Organizational Policies node. b. Right-click each policy. c. Select Stop. d. Expand the EMC SourceOne > Operations > Job Management. e. Observe that all jobs in the Jobs (Active) view are stopped. Note Client requests, such as jobs generated by users performing searches, will also be listed in this view. These requests can remain in an active state. Users will experience a service interruption until the systems are running again. 4. Close the EMC SourceOne console. 5. Close any other open MMC consoles. 6. Stop all EMC SourceOne services on all computers on which EMC SourceOne components are installed. If you are running the master computer in an active/passive cluster, perform the following: Do not manually stop the following master services: EMC SourceOne Job Scheduler EMC SourceOne Address Cache From the cluster administration console, take the following resources "offline." EMC SourceOne Job Scheduler EMC SourceOne Address Cache Taking these resources offline ensures that the master services are not running on either node. 7. Procedure 1. Uninstall the Express edition of the Discovery Manager Server software: a. Open Add or Remove Programs. b. Remove the EMC SourceOne Discovery Manager Server Express program. 2. Run the Full edition of the Discovery Manager Server installer. For example: ES1_DiscoveryMgrServerSetup.exe 3. Install the Full edition of Discovery Manager Server software on all host computers. Note Do not mix the Express edition and the Full edition. Resuming operations Perform the following procedure after completing updates to all Discovery Manager servers. Procedure 1. Restart the EMC SourceOne Management system: a. Ensure that all systems and EMC SourceOne services are running. b. Start the EMC SourceOne console. c. Expand the EMC SourceOne > Organizational Policies node. d. Right-click each policy and then select Resume. e. Click the Servers node: If the address cache rebuild has not completed, the workers will be in the Restart state. Wait until the rebuild completes. Once the rebuild is complete, the workers will be in the Available state and ready to process jobs. f. Expand the EMC SourceOne > Operations > Job Management node. g. Observe that all jobs in the Jobs (Active) view are Active. Note If you stopped a daily activity which was running, the activity will resume in the next scheduled run. 2. EMC SourceOne administrator tasks The following are the tasks of the EMC SourceOne administrator. Maintains the EMC SourceOne mapped folders that Discovery Manager searches. A mapped folder is an EMC SourceOne folder that is associated with, or mapped to a Native Archive folder. Creates Legal Hold folders for Discovery Manager matters. Configuration checklist Note Legal Hold folders are not available in the Express edition of Discovery Manager. Legal Hold folders are only used with the Full edition of Discovery Manager. Sets permissions on the EMC SourceOne mapped folders and Legal Hold folders so the EMC SourceOne primary service account can access them. Controls which Worker Services computers can process Discovery Manager jobs. Can observe Discovery Manager jobs executing in the EMC SourceOne console. The job name indicates the type of work the job is doing, such as search or export. Refer to the EMC SourceOne Management Administration Guide for information about monitoring jobs. Cannot run the Discovery Manager application unless it has been added as a user by the Discovery Manager administrator. Monitors and maintains the system using information provided in the EMC SourceOne Management Administration Guide. Before users can use Discovery Manager, the EMC SourceOne administrator must complete the following tasks. Procedure 1. Set the Read All permission on all EMC SourceOne mapped folders that Discovery Manager will be searching. 2. Create the Legal Hold mapped folders for Discovery Manager to use. Before Discovery Manager users can search archives, the EMC SourceOne administrator must set Read All permission on the EMC SourceOne folders that are mapped to those archives. Only the EMC SourceOne primary service account needs Read All access to EMC SourceOne mapped folders. Individual Discovery Manager users do not need permission to access the mapped folders. EMC SourceOne mapped folders that do not have Read All access granted to the EMC SourceOne primary service account will not be seen in Discovery Manager. Use the following procedure to set Read All permission on an EMC SourceOne mapped folder. Procedure 1. In the EMC SourceOne console, click the Mapped Folders node. 2. Perform one of the following steps: If the mapped folder already exists, select the folder, then select Action > Properties. The EMC SourceOne Management Administration Guide includes information about creating a mapped folder. 3. On the Permissions tab of the Folder Properties dialog box, or the Permissions page of the New Folder wizard, perform the following steps: a. In the Select user from field, select Active Directory. b. Click Add. c. Select the EMC SourceOne primary service account from the Active Directory. d. In the Group or user names list, select the EMC SourceOne primary service account. e. In the Permissions list, select the Read All permission. 4. Perform one of the following steps: To save changes and close the Folder Properties dialog box, click OK. To complete the New Folder wizard, click Finish. Creating Legal Hold folders for Discovery Manager Legal Hold folders are only available in the Full edition of Discovery Manager. When an Investigator assigns items to a matter that has a Legal Hold folder that is associated with it, Discovery Manager copies the items to the Legal Hold folder. A Legal Hold folder: Ensures preservation of valuable content for the lifetime of a matter. Allows companies to run disposition policies while preserving sensitive data beyond the original retention period. Setting permissions on EMC SourceOne mapped folders 77

78 Configuring EMC SourceOne for Discovery Manager Note Creating Legal Hold folders Legal Hold folders can be used for standard matters in the Full edition of Discovery Manager. Legal Hold folders cannot be used for Personal Matters in the Express edition or the Full edition of Discovery Manager. The EMC SourceOne administrator performs the following procedure to create each Legal Hold folder. Procedure 1. Decide whether to use a date-based archive folder or a concept-based archive folder for the Legal Hold folder. For more information about the two types of archive folders, review the best practices for selecting archive folder organization options in the EMC SourceOne Management Administration Guide. 2. Create an archive folder in the EMC SourceOne Native Archive. The EMC SourceOne Management Administration Guide includes information about creating an archive folder. Note Do not configure retention on a Native Archive folder that will be mapped to a Legal Hold folder. 3. In the EMC SourceOne console, use the Mapped Folders node to: a. Create a mapped folder. b. Assign the folder type of Legal Hold to the new mapped folder. c. Assign the Administrator and Read All permissions to the EMC SourceOne primary service account. Note The EMC SourceOne primary service account requires Administrator and Read All permission to be able to write and delete items in the Legal Hold folder. The EMC SourceOne Management Administration Guide includes information about creating and associating mapped folders. Best practices for Legal Hold folders This section provides best practice recommendations for Native Archive Legal Hold folders used with the Full edition of Discovery Manager. Create one or more archive folders for exclusive use by Legal Hold folders. Do not set retention on Native Archive folders that are used by Legal Hold folders. You can map multiple Legal Hold folders to the same archive folder. You cannot: Map a Legal Hold folder to an archive folder that is already mapped to a folder of another type (Organization, Personal, or Community), due to the potential for a retention policy to trigger the disposition of items that are on hold. 78 EMC SourceOne Discovery Manager 7.2 Installation and Administration Guide

79 Configuring EMC SourceOne for Discovery Manager Shared Legal Hold folders Configuring workers Map a non-legal Hold folder to an archive folder that is already mapped to a Legal Hold folder. If you try to perform such mappings, an error message appears: The data is invalid for the following reasons: Legal Hold folders cannot coexist with other mapped folder types on the same archive folder. The error appears for new mappings. It does not appear when you view properties of mapped folders where the invalid mapping already exists. In the Full edition of Discovery Manager, multiple standard matters can use a single Legal Hold folder. Matter subfolders Subfolders are automatically created for each matter in a shared Legal Hold folder. Each matter s subfolder inherits the retention policy from the shared parent Legal Hold folder. Matter deletion When the matter is deleted, all items assigned to the matter are deleted. Items in a shared folder are not deleted finally until no matter refers to them. De-duplication All items are deduplicated within the Native Archive folder. Reference counting Items are reference-counted. Deletion only removes the reference to the item, not the item itself. An item is deleted only when the last reference is deleted. Count of items in shared hold folders The EMC SourceOne console displays the total of all items for all matters in a shared hold folder. The console does not display information about individual matters in a shared items in a specific matter in a shared hold folder, not the total number of items in a shared hold folder. To see the total number of items in a shared hold folder in Discovery Manager, perform a search on the shared hold folder. Example Assume you create Matter 1 and Matter 2, and both matters share the same hold folder. You collect and assign only UserA s items to Matter1 for a count of 500 items, and collect and assign only UserB s items to Matter2 for a count of 300 items. In this scenario: Discovery Manager shows the counts for each matter separately, 500 and 300 respectively. The EMC SourceOne console shows 800 items total for the shared Legal Hold-Stocks folder. This section applies to both the Express edition and the Full edition of Discovery Manager. Before Discovery Manager users can search and export, the EMC SourceOne administrator must configure the EMC SourceOne Worker Services computer on which the Discovery Manager Server software (Express edition or Full edition) was installed. Perform the following procedure to configure an EMC SourceOne Worker Services computer to process Discovery Manager jobs. Shared Legal Hold folders 79

In the Server Properties dialog box, select the following check boxes: Query Discovery Manager Allows this computer to process jobs that are created when a Discovery Manager user performs a search in Discovery Manager. Export Discovery Manager Allows this computer to process jobs that are created when a user copies items to a Legal Hold folder in the Full edition of Discovery Manager, or exports items from either edition of Discovery Manager. Job and polling time limits To change the job limit or the polling time limit, refer to the Configuring Worker Servers section in the EMC SourceOne Management Administration Guide. Configuring Domino address lookup This section applies to both the Express edition and the Full edition of Discovery Manager. In IBM Lotus Domino environments, using LDAP for Domino address lookup is disabled in EMC SourceOne by default. You can determine whether LDAP is enabled from Discovery Manager by viewing the Source field in the Address Book dialog box: When LDAP is enabled, the Source field lists the Domino option. When LDAP is not enabled, the Source field lists the Domino <Choose directory> option. Consider the following: If Use LDAP for Domino address lookup is not selected, Domino address lookup is performed by using the native Domino directory capabilities. If Use LDAP for Domino address lookup is selected, it allows the Domino user to use LDAP queries for richer address book searching capabilities and more details in the address book result list. You specify the LDAP server to use in the LDAP Server field. If not previously installed, install and configure the Discovery Manager scripts for performing a backup. 2. Suspend the operation of Discovery Manager (Full edition or Express edition). 3. Suspend the EMC SourceOne Management system as described in the EMC SourceOne Management Administration Guide. 4. Perform a backup of Discovery Manager (Full edition or Express edition). 5. Perform a backup of the EMC SourceOne Management system as described in the EMC SourceOne Management Administration Guide. 6. Once the Discovery Manager backup has completed, and the EMC SourceOne Management system has resumed operation, resume the operation of Discovery Manager 8. Verify the operation of Discovery Manager after it has resumed operation. Discovery Manager behavior during the backup process Backup procedures While Discovery Manager (Full edition or Express edition) and EMC SourceOne Management are suspended and being backed up, the following changes in behavior will occur for Discovery Manager. All jobs created by Discovery Manager will be suspended. The jobs will maintain their state without any failure or loss of data when they resume after the backup is complete. Scheduled Discovery Manager jobs may expire during the backup if their schedule causes them to expire while the backup is taking place. This section describes the backup procedures. 83 Performing a Backup of Discovery Manager Installing the backup scripts To perform a backup of Discovery Manager (Full edition or Express edition), you must install the backup scripts and configure the account that will be used to run those scripts. The following table lists the scripts included within the Management software kit in the Setup\Utility\Backup directory. Table 6 Discovery Manager backup scripts File PauseDMWebService.vbs ResumeDMWebService.vbs Description Suspends all Discovery Manager activity before back up Resumes all previously paused Discovery Manager activity High availability considerations Modifying the scripts for the environment These scripts are provided as Microsoft Visual Basic Scripting Edition (VBScript) source files. You use the cscript command to run these scripts from the command line. These scripts must be modified before use and can be integrated into existing backup procedures. The scripts do not use command line parameters, so any changes to the scripts must be made by editing the scripts. If you have installed the Discovery Manager Server software on multiple computers to support a high availability configuration, you must run backup scripts on each Discovery Manager Server computer. Modify the backup scripts to insert the names of the Discovery Manager computers in the environment before you use them. Use the following procedure to modify both the PauseDMWebService.vbs and the ResumeDMWebService.vbs scripts. Procedure 1. Open each script in a text editor. 2. Locate the string localhost in the script. This string only occurs once in each file. This string is the following line in each file: DmWS.mssoapinit Const DMHost = "localhost" 3. Replace localhost with the name of the computer on which the Discovery Manager Server software is installed. For example, if the Discovery Manager Server computer is named DMserver, this string would appear as follows: DmWS.mssoapinit Const DMHost = "DMserver" Installing and configuring the Discovery Manager backup scripts 83

Save the changes to both scripts. 5. Exit the text editor. Configuring the account to run the backup scripts The account to be used to run the backup scripts must be configured for that purpose as follows. Procedure Suspending Discovery Manager 1. Assign the Backup Operator role to the administrative account to be used to run the backup scripts as part of the Discovery Manager backup. Refer to either the EMC SourceOne Discovery Manager Desktop User Guide or the EMC SourceOne Discovery Manager Web Application User Guide for information about assigning Discovery Manager roles to accounts. 2. Verify that the account under which the scripts are to be run has privileges to start and stop services. The privileges are necessary because the scripts use the Windows SC command to start and stop services. You must suspend Discovery Manager operations before you can perform a backup of Discovery Manager. Use the following procedure to suspend Discovery Manager operations. Procedure 1. Log in to a computer with network access to Discovery Manager by using the account that you configured. 2. Open a command prompt window by selecting Programs > Accessories > Command Prompt from the Start menu. The cmd.exe window appears. 3. In the cmd.exe window, use the cscript command to run the PauseDMWebService.vbs script to pause all Discovery Manager operations. 4. Review the output of the script to determine when the script is successful. The following message indicates success: The Discovery Manager Web Service state is now 'Paused' 5. If you have installed the Discovery Manager Server software on multiple computers to support a high availability configuration, repeat this procedure on the remaining Discovery Manager Server computers. Performing the Discovery Manager backup Use the preferred backup solution, such as the EMC NetWorker backup and recovery software, to perform the backup of Discovery Manager. 88 Troubleshooting Discovery Manager Troubleshooting common problems Troubleshooting database permissions This section includes information about troubleshooting common problems. The Discovery Manager Worker service produces the following error in the event log in startup if the Discovery Manager service account does not have the Alter privilege on the Discovery Manager database. Discovery Manager service account needs ALTER permission on DiscoveryManager database (0x86041C08) [DiscoveryManager, DCWorkerCode.cs(420).DCWorkerCode::ServiceWorkerMethod] Troubleshooting client or server connection issues The following are possible causes and solutions to client or server connection issues. Client cannot connect to server The cause of the problem is that the address of the Discovery Manager server is wrong in the client configuration file. Perform either of the following steps to solve the problem: Reinstall the Discovery Manager client application. Edit the DiscoveryManager.exe.config file on the client computer to correct the value of the Server application key: <add key="server" value= server" /> where server is the name or the IP address of the Discovery Manager server. You are not authorized to use this application The cause of the problem can be either of the following: The user is not a Discovery Manager user. To solve this problem the Discovery Manager User Administrator must: 1. Add the user, who must be in Active Directory, to Discovery Manager. 2. Specify appropriate roles. The user s account is not in Active Directory. To solve this problem add the user s account to Active Directory. Unable to connect to the Discovery Manager server:<server name> This problem is caused by the inability to connect to the Discovery Manager server:<server name>. To solve the problem restart the Discovery Manager Web service. Discovery Manager client status indicator changes from Connected to Limited Availability This occurs when the Discovery Manager Worker service stops while search is running, or if a Worker is not available to process searches and exports. By default, the Discovery Manager client polls the server for status every 5 minutes and the server checks for Worker status every 20 minutes, so it can take up to 25 minutes for the Limited Availability status to appear. After the Worker service restarts, it can take up to 5 minutes for the Connected status to reappear in the Discovery Manager client. 88 EMC SourceOne Discovery Manager 7.2 Installation and Administration Guide

89 Troubleshooting Discovery Manager To see the current state of the Workers immediately: Restart IIS Restart the Discovery Manager client Discovery Manager Web Application web browser is blocking content In Microsoft Internet Explorer, users can log in but the application does not appear correctly because the browser is blocking content. This blocking issue can occur if you are using a local host name to access the Discovery Manager Web Application's website. The solution to resolve this blocking issue is to add the site to the browser's Trusted sites list. Troubleshooting user authentication issues The following are possible causes and solutions to authentication issues. The Connect to <server> dialog opens when a user tries to view reports The cause of this problem is that the Insert Intranet Zone setting is set to False. In the Discovery Manager application, set the Insert Intranet Zone setting to True. Refer to the section on configuring Discovery Manager in either the EMC SourceOne Discovery Manager Desktop User Guide or the EMC SourceOne Discovery Manager Web User Guide. The Connect to <server> dialog opens when a user tries to view reports, even when the Insert Intranet Zone setting is True This is caused by the service principal name (SPN) for the EMC SourceOne service account under which the Discovery Manager Web service runs has not been registered. To solve this problem, refer to Configuring Integrated Windows authentication on page 24. Troubleshooting Discovery Manager Desktop interface localization issues The following are possible causes and solutions to localization issues. Note For a list of supported languages, refer to the EMC SourceOne Discovery Manager Localized Product Release Notes. Client user interface does not appear localized in supported languages The cause of this problem is that the language pack was not installed on the Discovery Manager server. To solve this problem perform the following: 1. Install the language pack on the Discovery Manager server, as described in the EMC SourceOne Discovery Manager Localized Product Release Notes. 2. Restart the Discovery Manager client application. The language pack was installed, but the wrong language displays on the client computer This problem can be caused by either of the following situations: The language packs are downloaded to client computers based on the regional setting or the operating system language. The regional setting or the operating system language on the client computer is not correct for the language that you expected to be displayed. To solve this problem ensure that the regional setting or the operating system language on the client computer is correct for the language you expect to display. Troubleshooting user authentication issues 89

90 Troubleshooting Discovery Manager Troubleshooting search issues On a client computer running an English operating system, the regional setting has not been set. Set the regional setting to the correct language. The regional setting was set on an English operating system, but the correct language still does not display The cause of this problem is that the language settings that were changed during an active session do not take effect until the Discovery Manager client application is restarted. To solve this problem restart the Discovery Manager client application. The following are possible causes and solutions to search issues. The Discovery Manager client application shows that a search is running, but the search does not complete This problem can be caused by either of the following situations: The Discovery Manager Worker service is not running. To solve this problem, restart the EMC SourceOne Discovery Manager Worker service on the Discovery Manager server. No Worker servers have been configured to run Discovery Manager jobs. To solve this problem, in the EMC SourceOne console, configure the Worker to run the following jobs: Query Discovery Manager Export Discovery Manager Searches take a long time to complete The cause of this problem is that the current hardware is not sufficient to handle the volume of searches. To solve this problem, dedicate one or more Worker servers to run only Discovery Manager searches. No search results This problem can be caused by either of the following situations: The wrong search fields were used. To solve this problem verify that the correct search fields were used. The wrong criteria was entered in the search fields. To solve this problem verify that the criteria entered in the search fields is correct. Wrong search results This problem can be caused by either of the following situations: The wrong search fields were used. To solve this problem verify that the correct search fields were used. The wrong criteria was entered in the search fields. To solve this problem verify that the criteria entered in the search fields is correct. Search results depend on the type of archive. The differences in search results might be due to the type of archive, for example, EMC SourceOne Native Archive or Xtender. The EMC SourceOne Management Administration Guide includes information about searching different types of archives. The archive is not full-text indexed. Some search fields search against the database (a relational search) and other search fields search against the index (a full-text index search). The Search full text indexes option also affects whether a relational search or a full-text index search is executed. The EMC SourceOne Discovery Manager Desktop User Guide or the EMC SourceOne Discovery Manager Web User Guide include more information. The wrong criteria was entered in the search fields. To solve this problem, verify that the criteria entered in the search fields is correct. The following are possible causes and solutions to user role issues. No one can add users to Discovery Manager and specify their roles This can occur, for example, when the only User Administrator has left the company. No other Discovery Manager user has the User Administrator role, which is the only role that can manage Discovery Manager users and application-wide roles. Use the Discovery Manager service account to define another User Manager, as described in the section about adding the first Discovery Manager user in either the EMC SourceOne Discovery Manager Desktop User Guide or the EMC SourceOne Discovery Manager Web User Guide. In the Full edition of Discovery Manager, no one can perform Matter Manager actions on a standard matter This can occur, for example, when the only Matter Manager for a standard matter has left the company. No other Discovery Manager user has the Matter Manager role for the matter, which is the only role that can perform the actions on that matter. To solve this problem contact EMC Support to create a record in the Discovery Manager database. Note Troubleshooting export issues EMC recommends that you always have at least two Matter Managers for every standard matter. The following are possible causes and solutions to export issues. Discovery Manager Server cannot write to <share path> This problem may be caused by either of the following: Viewing Discovery Manager logs The server cannot write to the share because the account running the service does not have write access to the share path. To resolve this issue, ensure that the account running the service has write access to the share path. The server cannot write to the share because disk space is low.
