Changes to EMC SourceOne console LDAP Server Configuration and Data sources dialogs In previous versions of EMC SourceOne Management, it was possible to select the Directory server contains identities option on the Data Sources dialog when the directory server was not available, causing the LDAP query to fail. Refer to Changes to LDAP Server Configuration and Data Sources dialogs in 6.8 SP2 on page 79 for details on the changes that have been made to prevent this problem from occurring in version 6.8 SP2 EMC SourceOne Management Version 6.8 SP2 Release Notes 3
4 New features and changes in 6.8 SP2 Offline Access Kerberos authentication support EMC SourceOne Offline Access by default uses Microsoft Windows NT LAN Manager (NTLM) authentication. In some cases, you may want to change the authentication protocol used by Offline Access to be Kerberos authentication instead of NTLM. Refer to the EMC SourceOne Offline Access Release Notes, Version 6.8 SP2, for details on configuring this type of authentication. 5 New features and changes in 6.8 SP1 New features and changes in 6.8 SP1 This section describes the following new features and changes with the release of EMC SourceOne Management 6.8 SP1: Updated shortcut capabilities added to EMC SourceOne Management on page 5 Auditing and Reporting added for EMC SourceOne Discovery Manager on page 5 Updated shortcut capabilities added to EMC SourceOne Management EMC SourceOne users can now specify multiple mapped folders in which to attempt to locate the messages to be shortcut and if the message is not found to archive it in another specified mapped folder. This change is shown on the Mapped Folders page used by the Shortcut - Historical and Shortcut - Microsoft Exchange Public Folder activities. Refer to the EMC SourceOne Management Administration Guide for more information. Auditing and Reporting added for EMC SourceOne Discovery Manager EMC SourceOne Management 6.8 SP1 includes auditing and reporting support for EMC SourceOne Discovery Manager 6.8 SP1: To support this feature, you must update to: EMC SourceOne Management 6.8 SP1. Refer to Updating the EMC SourceOne system on page 12. Discovery Manager 6.8 SP1. Refer to Updating Discovery Manager in the EMC SourceOne Discovery Manager Version 6.8 SP1 Release Notes. You must assign the ALTER permission on the Discovery Manager 6.8. SP1 database to the EMC SourceOne security group. This additional permission is required for the automatic partitioning of the new Discovery Manager database tables. Reporting is an optional feature. To install EMC SourceOne reports, refer to the EMC SourceOne Management Installation Guide. To configure auditing of search operations and to run reports, refer to the EMC SourceOne Management Administration Guide. Auditing features EMC SourceOne Management audits the following information: All search operations that were performed using the Administrator search type, and if configured, selected search operations for specified users and document details. 8 New features and changes in 6.8 Auditing reports Audit information is stored in the EMC SourceOne Activity database and can be viewed in EMC SourceOne reports. The following audit reports are available: Search Audit reports - Search Activity, Search Copy, Search Delete, Search Restore, Documents Copied, Documents Deleted, Documents Restored, Documents Viewed Configuration reports - Mapped Folder Permissions Audit, Mapped Folder Effective Permissions Discovery Manager express edition Starting with this release, there are two editions of Discovery Manager: Express edition The express edition of Discovery Manager is included with EMC SourceOne Management. Administrators, supervisors, and compliance officers can use the express edition for quick search and export. Full edition The full edition of Discovery Manager is an add-on product to the EMC SourceOne Management product used to search for, collect, review, and export archived in response to legal or regulatory notice, or corporate policy complaint.! IMPORTANT Discovery Manager express edition is intended for administrators, supervisors, or legal users to search the archive for other users items and export the results. Included with Management license; no additional license required. Some application-wide user roles are available, plus the new Search & Export role. Only the new Personal Matter is available, one for each user. Some parts of the user interface are available. Some export formats are available (PST and NSF). Discovery Manager, full edition Some components are in the SourceOne Management software kit. Other components are in the Discovery Manager software kit. Requires an additional license. All application-wide and matter-specific user roles are available, plus the new Search & Export role. Both Personal Matters and standard matters are available. All parts of the user interface are available, as appropriate for the user role. All export formats are available (PST, NSF, and EDRM XML). Microsoft Office 365 journaling EMC SourceOne Management now supports journaling of Microsoft Office 365 content using the Journal activity. Microsoft Exchange Public Folder support EMC SourceOne Management now supports archiving and shortcutting of Microsoft Exchange public folder content using the following activities: Archive - Microsoft Exchange Public Folder Shortcut - Microsoft Exchange Public Folder activities. EMC Cloud Tiering Appliance integration EMC Cloud Tiering Appliance optimizes network-attached storage (NAS) infrastructure by moving inactive data to lower-cost tiers of storage, reclaiming primary storage capacity. EMC SourceOne Management now supports integration with the EMC Cloud Tiering Appliance (CTA) by allowing the administrator to launch CTA consoles from within the EMC SourceOne console. SMTP address reuse EMC SourceOne now supports the reuse of SMTP addresses. 14 Updating the EMC SourceOne system Update scenario details The specific update procedures differ depending on the version of EMC SourceOne Management that you are updating to version 6.8 SP2. Updating from version 6.5 SP2 or 6.6 Updating from version 6.6 SP1 or higher Updating Discovery Manager (express edition) Updating Discovery Manager (full edition) If you are updating from EMC SourceOne Management version 6.5 SP2 or 6.6, you must meet some additional indexing related prerequisites which were first introduced with version 6.6 SP1. Use the update procedures provided in Updating from version 6.5 SP2 or 6.6 on page 15 to update to version 6.8 SP2. If you are updating from version 6.6 SP1 or higher, the indexing prerequisites introduced in that version have already been met. Use the update procedures provided in Updating from version 6.6 SP1 or higher on page 36 to update to version 6.8 SP2. Information on updating Discovery Manager (express edition), which was introduced as part of the Management software kit with version 6.8, is included in the appropriate update instructions for Management: Updating from version 6.5 SP2 or 6.6 on page 15 Updating from version 6.6 SP1 or higher on page 36 Information on updating Discovery Manager (full edition) is integrated into each update procedure above as a convenience for sites that have both products and prefer to upgrade both products at once. 15 Updating from version 6.5 SP2 or 6.6 Updating from version 6.5 SP2 or 6.6 This section describes how to update from EMC SourceOne Management and Discovery Manager (if used) version 6.5 SP2 or 6.6 to version 6.8 SP2.! IMPORTANT If you are updating from EMC SourceOne Management and Discovery Manager (if used) version 6.6 SP1 or higher, a separate procedure is provided. Refer to Updating from version 6.6 SP1 or higher on page 36. This section includes the following topics: Reviewing indexing changes for this release on page 15 Preparing for the update on page 17 Updating the EMC SourceOne databases on page 26 Updating EMC SourceOne server and client software on page 32 Next steps on page 35 Reviewing indexing changes for this release This release includes important changes related to indexing. Overview Previous versions of the product performed some index processing over the network which may have resulted in performance and latency issues. Beginning with this release, EMC SourceOne now performs all indexing locally on the Native Archive computer. To support this requirement, you must now allocate a local directory with at least 20 GB of space on all Native Archive indexing computers to serve as a temporary space for indexing. This directory: Must be regarded as a local drive by the operating system. Can not be the operating system drive (e.g., C:). Can be on local disk or SAN storage, as long as it is regarded as a local drive by the Native Archive server. Requires a minimum of 20 GB of free disk space be available. 16 Updating from version 6.5 SP2 or 6.6 Previous versions Meeting the new prerequisite EMC SourceOne already required a temporary space (called the EMC SourceOne Work directory) with a minimal amount of free disk space (1 GB) as part of the Master, Worker and Native Archive installs. For Native Archive servers, this work directory included a subdirectory dedicated to index processing called ExIndexWork. Before you can upgrade to Management version 6.8 SP2, you must run a verification utility on all Native Archive servers currently configured with the indexing role verify the required temporary space is allocated. If a Native Archive server is not validated, the database update required as part of the upgrade will not be allowed. Most installations will include one or both of the following scenarios. Scenario 1: Verify existing work directory meets the prerequisite Run the utility to verify that the existing EMC SourceOne Work directory (which includes the ExIndexWork directory) has at least 20GB of free disk space. In many cases, this may already be true. Scenario 2: Move the index work directory to meet the prerequisite Run the utility to designate a new Index Work directory that is separate from the EMC SourceOne Work directory on a drive with at least 20GB of free disk space. The utility updates the Archive database with the new location information. Prerequisite verification utility For each Native Archive server configured with the indexing role, you must run the Native Archive Local Indexing Prerequisite Verification utility. Details The utility will inspect the current drive on which the EMC SourceOne Work (and ExIndexWork subdirectory) is located and determine if it has the minimum amount of free disk space required (20 GB). If space is sufficient, the utility reports success. If the space is insufficient, the utility alerts you of the deficiency and allows you to create a new Index Work directory by specifying a new folder path for a drive with adequate space. This enables you to easily move the Index Work directory to another drive. Details: The utility updates the Archive database with the new drive and folder location that you specify. The previous ExIndexWork directory location is no longer used by the product. 16 EMC SourceOne Management Version 6.8 SP2 Release Notes
17 Updating from version 6.5 SP2 or 6.6 The new folder is not created in the file system until the first index run is performed after the upgrade is completed. Completing all verifications The utility can provide a list of the remaining unverified Native Archive servers so that you can track remaining verifications. You must successfully run the utility on all Native Archive servers currently configured with the indexing role before you can continue with the upgrade. Enabling the indexing role post-upgrade You do not need to run the utility on Native Archive servers which are not configured with the indexing role. If you later decide to enable the indexing role on a Native Archive server, you will need do one of the following: Manually verify that the existing EMC SourceOne Work\ExIndexWork directory has 20 GB of free space. Use the utility to move the Index Work directory to another drive with 20 GB of free space. Refer to the information about configuring Native Archive roles in the EMC SourceOne Management Administration Guide for details about ensuring the required temporary space is allocated. Preparing for the update Perform the following tasks before updating the EMC SourceOne system to EMC SourceOne 6.8 SP2: Determine the Index Work directory location on page 17 Stop Native Archive services on page 18 Run the prerequisite verification utility on page 18 Estimate database update time on page 20 Communicate update impact to users on page 24 Determine the Index Work directory location As described in Reviewing indexing changes for this release on page 15, this release requires that you have a local work directory with sufficient free disk space on all Native Archive servers configured with the indexing role. 18 Updating from version 6.5 SP2 or 6.6 Since you are required to run a verification utility to ensure the minimum free disk space is available, you can ensure the utility runs successfully by determining the directory location ahead of time: In many cases, the existing location of the EMC SourceOne Work (and ExIndexWork subdirectory) may have sufficient space and the utility will simply validate the configuration. If the existing location disk space is insufficient, you can use the utility to move the Index Work directory to a different drive. Stop Native Archive services Before running the utility, use the Services console to stop the following Native Archive services: EMC SourceOne Administrator EMC SourceOne Archive EMC SourceOne Indexer EMC SourceOne Query Note: Stopping the EMC SourceOne Administrator service stops the other three services. Run the prerequisite verification utility You run the Native Archive Local Indexing Prerequisite Verification utility from the command line for each Native Archive server configured with the indexing role. You do not need to run the utility on Native Archive servers which are not configured with the indexing role. If you later decide to enable the indexing role on a Native Archive server, you will need to manually ensure the required space is available. Refer to Enabling the indexing role post-upgrade on page 17 for details.! IMPORTANT If you want the flexibility to enable the index role in the future, you should ensure now that all Native Archive servers have the necessary disk space. Permissions You must be logged in with an account which has adequate permissions to write to the Index Work directory. 19 Updating from version 6.5 SP2 or 6.6 Command line parameters The command line parameters for the ES1_IndexPrereqVerifier.exe utility are described in the table below. Table 4 ES1_IndexPrereqVerifier command line parameters Command Example Description ES1_IndexPrereqVerifier ES1_IndexPrereqVerifier Verifies the current server ES1_IndexPrereqVerifier -ChangeIdxTempDir path ES1_IndexPrereqVerifier -ListUnverifiedServers ES1_IndexPrereqVerifier -ChangeIdxTempDir F:\new_workdir ES1_IndexPrereqVerifier -ListUnverifiedServers Changes the current Index Work directory to a new location. If the directory does not exist, it will be created. Lists any remaining Native Archive servers which have not yet been verified. ES1_IndexPrereqVerifier -? ES1_IndexPrereqVerifier -? Provides help text for the command parameters. Procedure 1. Locate the ES1_IndexPrereqVerifier.exe utility in the software kit (in the Utility\Index folder) and copy it to the Native Archive indexing server. 2. Open a command prompt and navigate to the utility location. You can use the command and switches as follows: a. To verify the drive on which the Index Work directory (e.g., E:\EMC SourceOne Work\ExIndexTemp) currently resides has enough free disk space to meet the storage prerequisites, type: ES1_IndexPrereqVerifier The utility retrieves current work directory location from the EMC SourceOne Archive database and checks that it meets the 20 GB space requirement. If the space requirement is met, the following message is displayed: This Native Archive Index Server qualifies for upgrade. If the validation fails, you can do one of the following: EMC SourceOne Management Version 6.8 SP2 Release Notes 19
20 Updating from version 6.5 SP2 or 6.6 Free up space by removing unnecessary files from the drive. Use the utility to move the Index Work directory to a drive which has adequate free disk space. b. To change the Index Work directory location from its current location to a new location, type: ES1_IndexPrereqVerifier -ChangeIdxTempDir drive:\path For example: ES1_IndexPrereqVerifier -ChangeIdxTempDir F:\IndexWork When this command is issued: The utility updates the Archive database with the new drive and folder location that you specify. The previous Index Work directory location is no longer used by the product. The new folder is not created in the file system until the first index run is performed after the upgrade is completed. c. To determine which Native Archive servers have not yet met the prerequisite, type: ES1_IndexPrereqVerifier -ListUnverifiedServers 3. Repeat this procedure on the remaining Native Archive indexing servers. Estimate database update time The database update scripts for the Activity and Archive databases include an update analysis report which provide detailed database statistics and a time estimate for completing the database update based on your specific environment. Details: Depending on your database environment, running each update analysis report can take time. To avoid unnecessary downtime when preforming the analysis, you can run the update analysis reports without completely quiescing EMC SourceOne (e.g., only pausing activities) Running the update analysis report allows you to determine the amount of planned downtime to expect for the databases updates to take place. 20 EMC SourceOne Management Version 6.8 SP2 Release Notes
21 Updating from version 6.5 SP2 or 6.6 To ensure an accurate estimate, you should plan on performing the actual database update within 24 hours of running the update analysis report.! IMPORTANT Follow the instructions carefully and DO NOT update the databases yet. Updating the databases while EMC SourceOne is still running will cause serious problems. Pausing activities The estimation will consume some SQL Server resources which can impact running EMC SourceOne activities. You must pause current activities while performing the estimation: 1. In the EMC SourceOne console, select the Organizational Policies node. 2. In the Organizational Policies area: a. Expand the organizational policy that contains the activity you want to pause. b. Select the activity. 3. Select Action > Pause. In the Organizational Policies area, the status of the activity changes from Active to Paused. Estimating EMC SourceOne Activity database update time To estimate the time required to update the Activity database used by EMC SourceOne, do the following: 1. Log in to the SQL Server host computer using an account with local administrator permissions on the SQL Server host computer and the SQL sysadmin role. Note: For details on why sysadmin permissions are required, refer to the SQL database installation permissions section in the Pre-installation Activities chapter of the EMC SourceOne Management Installation Guide. 2. Navigate to the Database\Activity directory on the EMC SourceOne software kit. 3. Copy the contents of the Activity directory to the database server computer. 22 Updating from version 6.5 SP2 or Run the batch file (ES1_ActivityDB_Update_mssql.bat) on the database server from the command line prompt and respond to the prompts: D:\scripts> ES1_ActivityDB_Update_mssql.bat EMC SourceOne 6.82 Activity Database Update Program 5. Enter the name of the SQL Server server computer on which the EMC SourceOne databases are installed in response to the prompt. If you press Enter, the default, localhost, is used. Specify SQL Server for Activity database (default: localhost): Note: If you are using a named instance, enter the SQL Server name and instance in the following format: hostname\instance 6. Enter the name you assigned to the activity database when you installed EMC SourceOne. If you press Enter, the default, ES1Activity, is used as the activity database name. Specify Activity Database Name (default: ES1Activity): 7. Choose Y to display an update analysis report which displays database statistics and a time estimate for completing the update. Display database statistics and upgrade estimates? (Y/N default:y): 8. Choose N to view the log file, as the estimation information will display in the console. View log file (Y/N)? (default: N) A log file detailing analysis results will be produced in the directory containing the update script. The log file is appended each time the update script is run. Do not delete the log file. 9. The script outputs an analysis report. 10. Review the update analysis information. You are prompted to perform the database update: Upgrade the database (Y/N)? (default: Y)! IMPORTANT DO NOT update the databases yet. 23 Updating from version 6.5 SP2 or Choose N and exit the console. Estimating EMC SourceOne Native Archive database update time To estimate the time required to update the Native Archive database used by EMC SourceOne, do the following: 1. Log in to the SQL Server host computer using an account with local administrator permissions on the SQL Server host computer and the SQL sysadmin role. Note: For details on why sysadmin permissions are required, refer to the SQL database installation permissions section in the Pre-installation Activities chapter of the EMC SourceOne Management Installation Guide. 2. Enter the name of the SQL Server server computer on which the EMC SourceOne databases are installed in response to the prompt. If you press Enter, the default, localhost, is used.
