Positions reporting to this position: Nil Other significant working relationships: Internal: Marketing and Communications Team, IT, Retail areas such as Lending Operations and Customers & Partnerships, CCC and Strategy, Treasury, Finance & Risk, Business Partnership team External: Digital and social media specialist agencies, advertising agencies, mailhouse suppliers, stationery and print suppliers brokers, loan managers The Digital Marketing Coordinator is responsible for the development and implementation of the social media strategy and to implement digital and communication activities. In addition, the Digital Marketing Coordinator is responsible

2 Primary outcomes and accountabilities Key results areas Operational responsibilities Performance measures Digital & Social Media Manage and monitor HomeStart social media channels and identifying online influencers to increase engagement online Produce regular digital and social media reporting Provide support within the digital team with digital advertising, and search campaigns Manage Facebook competitions and posts, including Facebook advertising, coordinating competition apps and prizes. Coordinate the website optimisation for search and page conversions, to contribute towards the digital KPI of SEO growth and web generated sales leads. Business partner relationships Develop and manage a component of the Marketing & Communications Plan to strengthen our business partner relationships and therefore sales generated via our Brokers and Loan Manager distribution channels Implement, monitor and report on activities identified within this plan Develop a specific marketing & communication plan by consulting with the Customers & Partnership Team to assist them to implement the Distribution Strategy. Write, manage and continuously improve the bi/tri-monthly GreenLight newsletter to the broker network Support Greenlight events in conjunction with the Community Partnership Specialist Customer Communications Coordinate &/or create content (written & imagery) for the HomeStart website MyStart and social media channels Provide support to the communications team in writing, editing and coordinating the production of written materials Customer notification mailings Manage the relationship with the external mailhouse and coordinate all adhoc customer notification mailings such as interest rates and direct mail campaigns. Manage and review annually the Service Level Agreement between HomeStart and Fuji Xerox. Document and maintain mail house function procedures. Provide training for and supervision of function back up staff. Maintain electronic record keeping on all customer notifications in accordance with HomeStart s Record Keeping policy. Print production management and stock control Manage and communicate with the Marketing & Communications team and Business Partnerships team external suppliers to ensure: timely ordering and distribution of the organisation s stationery and marketing collateral stationery stock complies with the organisation s style guide Manage the stock control of organisation s stationery, marketing collateral and merchandise. Liaise with the Marketing team to ensure timely ordering of marketing collateral

3 Print production and stock control Coordinate updates to existing stationery, point of sale and marketing collateral, and sourcing new merchandise, ensuring compliance with the organisation s style guide and timely ordering and distribution. Liaise with Compliance, Legal and Lending teams to coordinate changes, delivery and communication to staff and Loan Managers. Maintain stock control of organisation s stationery, marketing collateral and merchandise. Develop and maintain a merchandise stock register and complete a review of stock levels and organisational needs on a six monthly basis. Liaise with internal stakeholders and external suppliers to understand and fulfil requirements. General support Liaise with frontline staff for delivery of timely information about advertising and promotional campaigns ensure they receive the current advertising and promotional schedule before implementation. Coordinate competitions, including the collection and storage of entries, conducting the draw or judging of the winner(s), purchase and delivery of the prize, and writing terms and conditions, according to HomeStart s Record Keeping and Privacy policies as well as Lottery and Gaming Regulations. Assist and support the Marketing and Communications Manager in the monitoring and management of the M&C budget. Manage projects following the PMBOK framework, as required. External Stakeholder Relations Financial management Corporate Responsibilities Create and maintain conditions for effective relations with relevant external organizations, government agencies, customers and vendors where appropriate. Respond to stakeholder queries in a prompt and courteous manner. Monitor all relevant administration costs to ensure proper budgetary controls are exercised and budget variances are accounted for. Review and approve all expenses relating to relevant cost centres according to delegations specified in the Register of Financial Authorities document. Ensure the appropriate application and recording of risks according to HomeStart s Risk Management Policy and Practices. Ensure compliance to HomeStart financial policies and procedures. Ensure that all legal responsibilities attached to this role as noted in the Compliance Register are discharged, are properly recorded in the Risk Management System (RMS) and any breaches of these requirements are recorded as incidents in the RMS. 5 Other Requirements Essential criteria A degree qualification in marketing, communications, related discipline with 1-2 years experience Ability to work effectively autonomously or as part of a team Proficient in the use of MS Word, Excel, PowerPoint & Outlook Excellent written and verbal communication skills Strong planning, prioritising and attention to detail Ability to be flexible in a changing environment to meet demands, and ability to depart from or adapt accepted practice in the development of more efficient work practices Working knowledge of Web Content Management Systems Experience in basic HTML Knowledge and understanding of social media platforms and how to manage online communities Desirable criteria Desktop publishing and graphic design skills Project management experience Awareness of current and emerging digital media platforms and their usage Experience and knowledge in developing and implementing e-marketing, digital or internet campaigns and solutions to support communication objectives Customer services and B2B marketing experience Special conditions Required to provide a satisfactorily National Criminal History Record Check (Police Check), where applicable. May be required to act in higher level positions, or assume additional accountability, as and when required. Flexibility in working across business units as required.
