2 About This Guide This guide introduces students to some of the technology resources available at the University of Iowa, with the aim of making those resources easily accessible. It is an overview of the most common technologies and services used by the University of Iowa community. Alongside each service description in this guide, there will be links to complete details and instructions. Important considerations for many services are identified with the following icons: Additional information, or actions that should be taken, will be denoted by the information symbol. For services with mobile device support, a QR code is present. Scan the code with a mobile device to visit the site. Security considerations are denoted by a lock icon.
3 Acceptable Use of Information Technology Resources All users of the university s computing and network resources must exercise responsible, ethical behavior when using the university s computers, information, networks, or resources, and are expected to abide by university policies and local, state, and federal laws. 5 Where to Get Help ITS Help Desk The ITS Help Desk provides assistance with computer problems and answers questions about software, accounts, networking, operating systems, etc. ITS Help Desk services are available to all students, faculty, and staff free of charge The ITS Help Desk can be contacted: -- In person at 2800 University Capitol Centre (2nd Floor of the Old Capitol Mall) -- By telephone at (4-HELP) -- Via at -- Via Help Desk Live Chat at IT Alerts and Outages Get more information about planned and unexpected system and service outages. IT alerts and outages can be accessed on a mobile device at 4 Where to Get Help
6 Software Repair Services The ITS Help Desk offers a software troubleshooting and repair service for current UI students, faculty, and staff s personal computers. There is no charge for this service. Some of the services offered include: Software installation Reformat and reinstallation of an operating system Virus scanning and removal Software Repair Services 5
7 HawkID The HawkID is an electronic identity at the University of Iowa. Most of the services available at the university (such as ISIS, ICON, or university ) are accessed with a HawkID and passphrase. Health Care users may have an additional HealthCareID that can be used to access applications such as Epic, Health Care workstations, or Health Care accounts HawkID Password/Passphrase Because of the sensitive and personal material that students access with their HawkID, it is very important they are the only person who knows the passphrase If a student suspects someone else knows their HawkID passphrase, the best solution is to change the passphrase immediately to avoid security issues To help secure HawkID accounts, ITS encourages students to change their passphrase often Students can provide passphrase hints by selecting questions and providing answers that only they will know. Doing this gives them the ability to reset the HawkID password at any time at Forgotten Passphrase Service If a student forgets their HawkID passphrase, it can be reset using the Forgotten Password/Passphrase tool at This service does require that the passphrase hints are set up ahead of time No password hints? Students can call the ITS Help Desk at (4-HELP) to have their HawkID password reset over the phone. 6 HawkID
8 Password vs. Passphrase The purpose of passwords and passphrases is to provide access to secure services or sensitive information; however, passwords are generally short, hard to remember, and easy to crack. Passphrases are easier to remember and type, are considered more secure due to the length, and shouldn t need to be written down. Here are some tips for creating a good passphrase: Make up a sentence or a phrase that includes a combination of uppercase and lowercase letters, numbers, and punctuation Include some memorable encoding in the phrase, for example: -- Iowa winters are cold would not be an acceptable passphrase as it does not include numbers or punctuation -- Iowa w1nters are c0ld! meets minimum complexity requirements in addition to having a secure length of nine or more characters HawkTools HawkTools is a University of Iowa mobile app that gives students access to the following features (and more): Mobile access to ISIS, ICON, and Bongo Information about residence hall laundries and open dining locations Links to mobile versions of After Class and Hawkeyesports.com The HawkTools app can be downloaded and installed from the Apple App Store (for ios devices) and the Google Play Store (for Android devices). HawkID 7
9 University Office Microsoft Office 365 is the primary service for students at the University of Iowa. It provides students with larger quotas, video conferencing tools, file storage, Office Online, and much more. Students can access their Office 365 account multiple ways: Through a web browser at With programs, such as Outlook, Mac Mail, etc. On most mobile devices using the default application on the device. See for instructions University holidays, class schedules, and ICON events are automatically added to calendars. New students can request a university account through ISIS, under the My UIowa section. ITS provides built-in anti-spam and attachment blocking for university accounts. 10 Computer Security Securing Personal Computers Whether students are bringing a computer to campus or purchasing a new computer, precautions should be taken to ensure its physical security, including: Close and lock offices, residence hall rooms, or apartments while away Use a cable lock to secure the computer to a desk Students should make sure to keep their computers with them at all times, or lock it up in a safe place The computer should always be password-protected while not in use Computer Security 9
11 Accessing the Internet Protecting Yourself Online An online security attack can result in losing the privilege of Internet access on campus, personal identity theft, or worse. Here are some things to remember to remain safe while online: Keep passphrases confidential; students are responsible for all of their account activity Be wary of any links in an instant message or ; links are a way for viruses, worms, and trojans to infect a computer Be skeptical of s that ask for personal information or that have instructions to click on a link to verify an account; replying to these types of messages can compromise the integrity of a university account The university will never ask for passphrases (HawkID passwords) via ; contact the ITS Help Desk to verify if an message is legitimate Make sure to use antivirus software and keep it updated; be sure the operating system on the computer is updated as well Students should be careful of what information they publish online; before uploading pictures or text, they should consider how it might affect their personal security or possibly jeopardize future job prospects 10 Accessing the Internet
12 Sharing Copyrighted Material Online Copyright infringement is not the only threat from file sharing. Assume files on peer-to-peer (p2p) networks are infected with spyware and viruses Students are responsible for all online activities that take place on their network port or wireless connection If a student violates copyright laws using a computer on the University of Iowa campus network, their Internet access will be restricted and they could be prosecuted Accessing the Internet 11
13 UI Wireless: eduroam The University of Iowa offers wireless connectivity in all academic buildings, the residence halls, and many common areas on campus. The university s wireless network is part of eduroam, a worldwide consortium of colleges and universities that provide wireless Internet access across research and education networks. The eduroam network is a secure wireless network that requires users to log in with their HawkID followed and HawkID passphrase. Use the UI Wireless Setup network to automatically configure a laptop or desktop computer for access to the eduroam wireless network. To connect a mobile device to eduroam, select the eduroam network directly from the list of available wireless networks. See the ITS website for more information about connecting a WiFi enabled device to eduroam at 12 Accessing the Internet
14 UI Wireless: AT&T Guest WiFi Visitors to the University of Iowa campus can enjoy free guest wireless service, courtesy of a partnership between Information Technology Services (ITS) and AT&T. Guests can take advantage of this convenience by selecting the attwifi network when configuring a device for wireless access. After this, guests will just need to use a web browser to confirm the connection to the wireless network and agree to AT&T s terms and conditions and UI policies. For technical support, guests using the attwifi network can contact AT&T directly at Like most guest networks in public places, attwifi is not encrypted; therefore, UI faculty, staff, and students are encouraged to continue to use eduroam for access to wireless Internet Network Connections in the Residence Halls ResNet is the high-speed Internet connection in the university residence halls. Each student is provided with their own wired connection in their room All ResNet users are expected to abide by the ResNet Acceptable Use Policy, which can be found at Extensions to the campus network such as wireless routers, hubs, and other network devices are not permitted. Accessing the Internet 13
15 Internet in University Apartments The University of Iowa has partnered with Mediacom in Iowa City to provide high-speed cable Internet access to tenants living in University Apartments. Mediacom is responsible for ensuring that the cable modem can connect to the Internet. The ITS Help Desk can assist with configuring computers correctly for Internet access. UI Anywhere UI Anywhere is a Virtual Private Network (VPN) that provides offcampus secure access to resources located on the University of Iowa campus. Examples of those resources would be: library resources and websites restricted to on-campus use. Cisco AnyConnect is the software program the university has site licensed for this service. It can be downloaded and installed from the ITS Software Download Site at 14 Accessing the Internet
16 Discounts on Computers The ITS Computer Purchase Site provides information about educational discounts on computers available through participating vendors. To take advantage of academic discounts available for new computers, students can log into the Computer Purchase Site with their HawkID and passphrase. The ITS Help Desk provides suggestions to consider when purchasing a new computer, and recommended configurations, at Discounts on Computers 15
17 Free & Discounted Software ITS Software Central The University of Iowa offers site-licensed software to students free of charge or at significant discounts. Students should visit the ITS Software Central website to access and download free software, and to find information on the cost and availability of other software programs. Registered UI students can obtain a copy of Microsoft Office 2013 Professional Plus for Windows or Office 2011 Home & Business for Mac, at no cost, by following the directions at UI students can also obtain Microsoft Windows 8 Professional, at no cost, at Remain safe while online by using antivirus software and updating it regularly. A few examples of free antivirus programs are available on the ITS website at Virtual Desktop Virtual Desktop is a web-based system that allows access to several software applications, at no charge, from almost any computer with an Internet connection. Provides access to applications such as Microsoft Office, SPSS, SAS, Adobe Creative Suite, and more Due to licensing agreements, some software titles are only available when accessing Virtual Desktop on the campus network 16 Free & Discounted Software
18 Computers Available on Campus Instructional Technology Centers (ITCs) There are over 1,000 Windows & Mac computers in the ITC labs, Learning Commons, and libraries across campus. ITCs are conveniently located in University Housing, the Iowa Memorial Union (IMU), and classroom buildings Each computer has Microsoft Office, graphics software, web design applications, and statistical packages A list of computer labs can be accessed from a mobile device at Laptop Rentals Overnight rentals of Windows laptops are available at no cost for students. Rentals are available at the Main Library, Hardin Library, and the IMU All laptops are equipped with Microsoft Office and are configurable for wireless access on or off campus Computers Available on Campus 17
19 Printing It is not necessary for students to bring their own printers to the university because students can print in all ITCs, Learning Commons, and library facilities. ITC printing costs $.05 per printed side in black and white, and $.50 per printed side in color (where available) At the beginning of each semester students receive $10 to print for each fall and spring semester, and $5 to print for each summer semester; any printing costs beyond these amounts are charged to the student s U-Bill Wireless printers are not compatible with the UI wireless network iprint iprint allows students to print from home, their dorm, or wireless hotspots. Instructions for configuring a computer for use with iprint, can be found at iprint locations on campus (and specific configuration settings) can be found at 18 Computers Available on Campus
20 Online Academic Resources ISIS ISIS is the Iowa Student Information Services portal and self-service website. Students use ISIS from the point of admission to graduation and beyond to register for classes, monitor academic progress, and manage their university records. The ISIS course list contains up-to-date information about current, future, and past course offerings at the University of Iowa and is publicly accessible ICON The ISIS course catalog can be accessed on a mobile device using the HawkTools app available for Android and ios devices ICON (Iowa Courses Online) is a website that can be used to access content, submit assignments, take quizzes, and monitor grades for many University of Iowa classes. Wiki Limited access is available for ICON on a mobile device using the HawkTools app available for Android and ios devices The wiki is a web-based tool for collaboration and discussion. Users are able to create and manage their own wiki space. Popular uses include team notes, documentation, information sharing, and collaboration with classmates and external researchers. The wiki is available for limited use on a mobile device at Online Academic Resources 19
21 Online/Cloud File Storage Students should regularly back up important documents and files; hard drive failure, or a virus, could result in losing data forever. Files@Iowa (H: Drives) Files@Iowa allows students to save files to a secure, backed-up location that is accessible from work or home 24 hours a day, 7 days a week Files can be accessed from university-managed computers via network drives Files can be accessed on personal/home computers by connecting to the VPN and mapping a drive to that computer One Drive OneDrive is a cloud-based storage option available to students through their Office 365 account. OneDrive provides students with 25 GB of storage Files can be accessed through the Office 365 website, OneDrive for Business mobile application, and a desktop application for Windows -- A OneDrive for Business application for Mac will be available in the near future OneDrive gives students the ability to share and collaborate on documents with anyone, regardless if they have a OneDrive account Students can access their OneDrive by logging in with their HawkID and password at 20 Online/Cloud File Storage
22 Technology Training is a one-credit, Satisfactory/Unsatisfactory online course that introduces incoming students to technology and electronic resources at the University of Iowa. Lynda.com The university has a site license for Lynda.com. Lynda.com is an online training library that provides access to more than 2,500 courses, and over 100,000 tutorials. The courses and tutorials available contain content that ranges from appropriate for all, to advanced. The videos cover a wide variety of technology-related topics, creative techniques, and business strategies. Technology Training 21
23 ITS Assistive Technology ITS offers Assistive Technology (AT) support on computers in several ITC computer labs and other places on campus. For more information about assistive technology or accessibility, see the Student Disability Services website at 22 ITS Assistive Technology
24 ITS Service Catalog This guide is intended to highlight just a few of the most popular technology services offered to students at the University of Iowa. ITS offers many more services that may be of further interest. A comprehensive listing of ITS services can be found online in the ITS Service Catalog.
