1 This presentation covers the essential information about IT services and facilities which all new students will need to get started. 1
2 Most of the information is covered in more depth on the Information Services Division website. This is the only web address you will need to remember from this presentation. 2
3 At registration you will be given a starter information pack containing a pocket guide. The guide contains a summary of the points made in this presentation and the web addresses mentioned. 3
4 The Service Desk is the principal point of contact when things go wrong, when you want IT information or if you need technical advice. They re open regular office hours and can be contacted in person in the DMS Watson library, by or telephone. There is some limited additional support outside of these times. 4
5 To use many central IT services you will need a user ID and password. If you haven t already got these through the pre-enrolment process or another means please go to the ISD Service Desk located in the DMS Watson library to retrieve these details. You will need to show your UCL ID card so you need to enrol first. 5
6 You can change your password at any time and it will expire automatically after 5 months. We will send you s reminding you of this and if you don t change it before it expires you will have up to a week to change it online. You are strongly advised to register for the user authentication service if you haven t already. The advantage of doing this is that if you forget your password, you will be able to reset your password by answering some questions online rather than having to go along in person to the Service Desk. 6
7 Your account is primarily for academic use, but we do accept that students need it for personal purposes as well. Any misuse of your account will be your responsibility so please don t let anyone else use it or allow anyone else to know your password. Make sure that you log out whenever you leave your computer unattended. Legitimate UCL members will never ask you for your password; if you are unsure, ask, do not respond to suspect s or click on any links. Don t carry out illegal downloading or file sharing on the UCL network. This will result in a written notification and disconnection from the UCL network for first and second offences, but will be referred to the Dean of Students upon a third offence. 7
8 is the mail service for students and is available via Outlook Web App (also known as OWA ) and mobile devices like smartphones and tablets. When you log in to live@ucl remember to after your user ID. Your address will usually be [email protected], for example [email protected] but there are exceptions, for example where two new students have the same first and last name. You will receive an with all the details. You must check your UCL regularly as Information Services, the Library, Registry and academic staff will use this rather than any other address. You should also use your UCL to send UCL related questions; some services will not be able to help you if you do not them from a UCL address. 8
9 Our campus wifi service is called eduroam. Details of how to connect are available on the ISD website and if you have problems there are regular surgeries at the Service Desk from 21st September to 3rd October between 12 and 2 p.m. Wifi is available in all UCL-provided student accommodation and in many other universities, museums and libraries. 9
10 Moodle is the main online learning environment and your lecturers will use it to support your modules. Moodle also contains some general courses which are open to all such as a statistics course and courses on developing library skills. To get a feel for Moodle we have a Learning with Technology at UCL course in Moodle aimed at new students. There is also an Information Security Awareness course. 10
11 Portico is the student information system for UCL. Through it you can select modules, communicate with your Personal Tutor, update your contact addresses and view your results. You can also use Portico for your Personal and Professional Development. 11
12 UCL has identified 4 main categories of skills and competencies that students need - Self-management, Working with others, Communicating and Academic. You can use the Personal and Professional Development (PPD) tab in Portico to selfassess in these areas, identify areas for development and make an action plan to discuss with your Personal Tutor. You can also find links to self-study resources and help in developing your CV. 12
13 MyPortfolio is your personal learning environment at UCL and you have complete control over what goes in it and who can access your content. Anything created in MyPortfolio can be kept private to you, shared with people inside UCL or made publically available. You can upload files from other sources such as Moodle, create a journal and build an online CV. This can then be easily combined on a page, along with external content and other media. There is also a groups function to help you collaborate, and everybody gets a profile page with a comments wall. Finally, you can export your work to take it with you when you leave UCL. 13
14 Skills4studycampus is an interactive e-learning resource which provides courses on a range of essential study skills and is highly recommended. It covers getting ready for academic study, dissertations and plagiarism, critical thinking, employability and personal development. The PPD web site has more information and a link. 14
15 Turnitin is UCL s plagiarism detection service. When you submit a piece of work it is checked against a huge database to make sure that it is genuinely your own work. You may also receive feedback via Turnitin. You can find out more and use it confidentially to develop your own written work in the Plagiarism and academic writing course on Moodle. 15
16 lynda.com is a library of high-quality video tutorials and articles written by professionals who are experts in their field. There are over 3000 courses available covering software, creative, business and personal skills. UCL has a site licence which offers free unlimited access to all students. You can study coding, data analysis, personal productivity and much more. You can even download the content to your phone or tablet for offline viewing. 16
17 Box of Broadcasts is an online off-air TV and radio recording service. Through BoB you have access to over 60 channels and over a million programmes that have already been recorded. You can use it to catch up on programmes you have missed and set up your own recordings for future programmes. You can then share these recording in their entirety or as clips. There are even searchable transcripts to help you find what you are looking for. bobnational.net 17
18 There is a wide range of IT Training available for FREE at UCL. We offer face to face training courses for students covering Microsoft Office 2013 applications, Photoshop, statistical analysis, website design and much more. Training is offered both to beginners and to more advanced users of the applications. 18
19 The IT Training Drop In Service runs in DMS Watson G15 during term time. No booking is necessary. We offer general IT help related to your work and can also offer more specialist help in other things such as statistical, bibliographic and graphics packages depending on who is available. 19
20 The UCL Online Timetable displays your personal timetable week by week with details of lectures, seminars etc. related to your modules. It can be accessed by clicking on the Student Timetables link on the ISD web page. The online timetable can be used to populate personal calendars. 20
21 The service is available in all student computer workrooms and can be accessed using your user ID and password. It gives a consistent desktop no matter where you log in. You can also access your desktop remotely using desktop@ucl Anywhere. A wide range of software is provided including Microsoft Office Find out what is available on the UCL software database. You have your own personal drive, the N: Drive, on which you can store your work. The service also provides virus protection and a nightly back up which is archived for two years. Find out where the computer workrooms are by following the link on the ISD web site or use the map in your pocket guide
22 Laptops are available on loan from a number of key locations around UCL including the Cruciform Hub, Main Library, Bartlett Library in Central House and a few others. Use your ID card to borrow a laptop for free but be careful with it because you will be liable for any loss or damage incurred. 22
23 UCL Go! contains lots of useful information about UCL including a directory, location finder and access to your timetable. It is also available as a smartphone app. 23
24 If you have a disability or impairment and require assistive software or technology you can contact the Disability IT support analyst for help and advice. The SEnIT suite provides improved access for students with disabilities and long-term medical conditions. For more information or to arrange an induction you can contact Disability IT Support or the Disability Office. 24
25 As a UCL student you can obtain free Office 365 software including all the Office 365 applications. You can install it on up to 5 compatible PCs and Macs plus 5 tablets (including ipad!). All work can be saved online in OneDrive so it can be accessed no matter which device is being used. There is also free anti-virus software and other software available from the UCL software database. Note that if you are connecting to the UCL network we expect you to be running up-to-date anti-virus software. 25
26 Our service includes the ability to scan to and to print wirelessly from mobile devices. You will receive 12 free credit to get you started but after that you will need to top up your credit. You can print up to 240 pages per year free of charge, in any of the student Computer workrooms. After this you will be charged 5p per copy for black and white printing and 25p for colour printing of A4 sheets. Printing double sided costs the same as printing single sided green and frugal! 26
