WHAT THE UNIVERSITY NEEDS: ORGANIZING TO MEET INSTITUTIONAL PRIORITIES In 2005 Dean Van Ordel arrved, brngng wth her a progreve vewpont that embraced change and ntated a new culture of nformed rk takng. The Lbrare had a flat organzatonal tructure wth all lbraran reportng drectly to the prevou Lbrary Drector, and upon her arrval, the Dean worked wth faculty and taff to retructure the organzaton. Team were organzed n a matrx o that ad hoc, nformal work group could be formed a needed to creatvely olve problem and addre new poblte. Even before the new organzaton wa n place, the Dean began facltatng converaton wthn the Lbrare about the role of an academc lbrary n a 21 t century unverty. We looked afreh at the need of our uer and condered how to rearrange reource to erve a larger von. Every tradtonal tak, trategy, and proce wa put on the table for dcuon. Our top-dong lt grew rght along wth our lt of emergng prorte. Over tme, we were able to make ome hard change that acheved broad conenu conoldatng our reference ervce and removng profeonal lbraran from the front lne, changng our only profeonal catalogng poton nto a laon poton, dmantlng the prnt reference collecton, replacng prnt journal wth onlne veron, and allowng patron to elect new reource. In every cae thee change were made becaue omethng more trategcally mportant, more mpactful, more central to the need of our uer needed the reource that were beng conumed by le mpactful tak. It through th hft of culture that the Lbrare programmng ha thrved and we ve been able to nculcate ourelve frmly a a contrbutor to the academc lfe of the communty. WHAT LIBRARIANS DO: A CHANGING PARADIGM We know what an academc lbrary uppoed to do: upport teachng, learnng, and reearch. We know what that work look lke tradtonally. We have quetoned the effcacy of pat practce n order to evolve wth the unverty we erve and prepare our tudent for the wder world. Nowhere that more evdent than n the work of our reearch and ntructon lbraran. FOCUSING ON STUDENT LEARNING AND ACADEMIC SUCCESS Over the lat fve year, lbraran at GVSU have radcally redefned ther work. Whle they contnue to work wth tudent or faculty ndvdually through conultaton, they no longer pend tme watng for queton to come to them at a tradtonal reference dek. Intead, ther focu on outreach, teachng, and workng wth campu partner. Workng collaboratvely to advance a core et of goal, ther effort have expanded the reach and mpact of the Lbrare acro the Unverty and have reulted n robut converaton wth key member of the GVSU communty about nformaton lteracy, tudent learnng outcome, faculty reearch, and cholarly publhng. GVSU lbraran, who are repreented on the Unverty General Educaton Commttee, have worked trategcally for a number of year to dentfy and promote nformaton lteracy throughout the currculum. Ther good work ha been realzed n the general educaton core currculum, whch currently undergong faculty revew. Much of our recent ucce can be attrbuted to a et of Informaton Lteracy Core Competence (ILCC) 1 that were developed by our laon lbraran SCAFFOLDING STUDENT INFORMATION LITERACY LEARNING OBJECTIVES about four year ago. The ILCC document defne tudent learnng objectve n a way that can be caffolded to upport almot any equence of coure from frehman year through graduate chool. The developer ued focu group wth claroom faculty to olct feedback on the language n the GRAND VALLEY STATE UNIVERSITY UNIVERSITY LIBRARIES 3
5 ILCC to enure the document wa ncluve of dfferent dcplne and free of jargon. Profeor had to be turned away from the focu group, o keen wa the nteret n th project. The ntrument ha been ucceful n advancng the converaton of ntegratng nformaton lteracy nto the currculum at Grand Valley, and we have alo benefted from t clear correlaton to the AA- CU LEAP Goal. Informaton lteracy kll, along wth other LEAP-defned kll, wll be dtrbuted a lmted number of tme throughout the new currculum to allow claroom faculty to more deeply teach and ae the agned kll goal. We antcpate that faculty wll ak lbraran for help n degnng ntructon and aement. In fact, the General Educaton Commttee ha gven lbraran the tak of draftng an Informaton Lteracy Aement Rubrc that may be ued by faculty who teach core clae once the new currculum adopted. Clearly, our Informaton Lteracy Core Competence are the foundaton of the Lbrare developng ntructon program, and we are buldng nfratructure to upport emergent thnkng about tudent learnng and lbrary ntructon beyond the core currculum. To better connect theory wth practce, for example, the kll goal n the ILCC document have been tranlated nto pecfc teachng and learnng actvte the Lbrare can provde. A Reearch Gudance Rubrc (RGR) 3, developed by two lbraran, functon a a elf-aement tool for faculty to at them n degnng reearch agnment for ther tudent. It advocate for agnment that gve concrete and pecfc gudance on reearch method. It ha alo erved a a tactful way for our lbraran to ntate converaton wth claroom faculty that mght otherwe be awkward. The author of the RGR have poken wdely about the new rubrc, and t ha ubequently been adopted for ue at college and unverte acro the U.S. and n Canada. On the macro level, the ILCC document provde a conceptual model and functon a a currculum document, whle the Intructon Menu and the RGR work on the mcro level to provde concrete gude for faculty on ntegratng nformaton lteracy nto ther practce. Our ntent a we move forward to cale our nformaton lteracy program to upport the entre Unverty currculum, o we wll contnue to create or adopt tool that make nformaton lteracy ntructon ealy acceble to claroom faculty. FOSTERING STRATEGIC PARTNERSHIPS AND CAMPUS ENGAGEMENT Gettng acce to faculty crucal for buldng a trong program of ntructon. It not alway eay, o we ue a lot of door. For example, we ve developed trong trategc partnerhp wth two campu unt: IT Educatonal Technology team and the Faculty Teachng and Learnng Center. Becaue of thee partnerhp, the lbrary ha been able to ytematcally promote and market profeonal development workhop for faculty va a campu regtraton ytem. We ve alo found that teamteachng wth other academc upport profeonal work well. Lbraran are vble a preenter at the on-campu Aement Conference and at the annual Fall Teachng and Learnng Conference. To better undertand and connect wth teachng faculty about reearch and teachng prorte n ther dcplne, lbraran are encouraged to attend dcplne-pecfc academc conference. Over half of our lbraran have attended uch event, often preentng or co-preentng wth faculty n ther laon department. Th ha ncreaed lbraran knowledge of dcplnary ue, helped them keep up wth trend, and offered new networkng opportunte. Th alo hape the way faculty perceve u a profeonal colleague. VALUING ACTIVE RESEARCH AND SCHOLARSHIP: CORE BUSINESS FOR ACADEMIC LIBRARIES Although Grand Valley State Unverty prmarly a comprehenve teachng unverty, t hot a number of reearch center, t teachng faculty do ubtantal reearch, and undergraduate reearch a hgh prorty. Belevng that the ue embedded n the cholarly publhng reform movement apply to all unverte, regardle of type, the Lbrare have created a robut Scholarly Communcaton Program. Lat year our Provot joned other unverty provot n gnng a letter n upport of FRPPA leglaton that would make vrtually all publcly funded reearch free to taxpayer, and n November 2011 the Unverty became a gnatory to the Berln Declaraton. PROMOTING THE INSTITUTION S SCHOLARLY OUTPUT Sx year ago, the Lbrare etablhed an annual Author Recognton Recepton to rae the awarene of cholarly and creatve effort of GVSU faculty and taff. The elegant event brng together author from acro all dcplne to celebrate ther publhng achevement over the coure of the year and to rae awarene of the achevement of the body of unverty cholar. We publh a bblography n conjuncton wth the event, and each year the number of ctaton grow. The recepton ha become a not-to-be-med occaon n the eye of the Provot, the Unverty Predent and the college dean. We have been able to ue th event to rae awarene of the Lbrare role n expandng the reach of our faculty cholarhp. Lat year we ncluded profle of nnovatve faculty who are tetng new model of publhng and a a reult of th annual event we have a growng network of faculty who promote the Lbrare and who are actve partner n advocatng for our central role n the Unverty AUTHOR RECOGNITION BIBLIOGRAPHY COVER PAGE In 2009, the Lbrare mplemented an nttutonal repotory, ScholarWork@GVSU 4, to demnate and promote GVSU faculty and tudent cholarly publcaton and other reearch output to the wder communty. Demand for the ervce grew o quckly that no formal rollout ever took place. In fact, we had a queue of department watng to be erved almot a oon a we began to talk wth takeholder about the repotory potental to ncreae acce to the cholarly work of the college and reearch center acro the Unverty. Becaue of the ucce of the ntal phae of the launch, GRAND VALLEY STATE UNIVERSITY UNIVERSITY LIBRARIES 5
7 the Lbrare carved out two dedcated poton lat year from extng taff lne to formally etablh a Scholarly Communcaton offce. Inget capacty grew a a reult, and the number of tem n the repotory rocketed from approxmately 300 tem to over 3300, ncludng the journal and publcaton of three cholarly ocete, two unverty conference and a number of college eral publcaton. Download over the pat year topped 100,000 for the frt tme, loggng uer from 141 countre and all ffty tate. Scholarly communcaton outreach wa formally wrtten nto the laon poton reponblte three year ago. Snce emphazng th program, the number and qualty of converaton around cholarly publhng ha grown gnfcantly. Snce 2009, 91% of laon have partcpated n actvte that promote the Lbrare cholarly communcaton ntatve, ncludng upport of faculty reearch, promoton of open acce and alternatve publhng model, and the growth of the Scholar- Work nttutonal repotory to ther faculty. In that ame tme perod, 66% of department or GVSU afflated commttee and reearch center have been contacted by laon regardng ScholarWork or other cholarly communcaton ue. Of thoe department contacted, 51% reponded by creatng a ScholarWork collecton or partcpatng n a cholarly communcaton actvty. ADVOCATING OPEN ACCESS Buldng on our cholarly communcaton programmng, n 2010 the Lbrare developed t frt programmng to promote Internatonal Open Acce Week, an annual event celebratng and advocatng for open acce publhng model that allow opportunte for author to more freely hare ther work. The Lbrare took the opportunty to offer taff development on copyrght and far ue a well a hot a campu-wde event to creen and dcu the flm RIP! A Remx Manfeto, whch explore the boundare of copyrght and far ue. In 2011, the Lbrare held a wde varety of event, ncludng a lbrary-wde workhop on Creatve Common lcenng, and eparate event that targeted both faculty and tudent dcung open acce publhng and textbook. A part of our program, an Open Acce Publhng Support Fund 5 wa etablhed n the fall of 2011 to upport faculty who want to publh n open acce journal. The Lbrare partnered wth the Unverty Center for Scholarly and Creatve Excellence, whch already provde related faculty grant. The Lbrare grant fund wll cover fee to make BUTTON DESIGNS FOR OPEN ACCESS WEEK CELEBRATION journal artcle wrtten by GVSU faculty and graduate tudent freely avalable n open acce and hybrd journal. The launch of th fund ha generated an even broader dcuon of open acce and cholarly communcaton trend acro the campu. BUILDING RELEVANT COLLECTIONS: RESPONDING WITH INNOVATIVE STRATEGIES The Lbrare contnue to upport the Unverty mon of teachng and learnng by buldng utanable collecton and repondng to emergng model that trengthen and upport the Unverty educatonal and cholarly endeavor. The demand for electronc materal contnue to ncreae. We have reponded to th demand by addng ten of thouand of electronc journal and more than one mllon electronc book. In the 2008/09 fcal year, the Lbrare tarted revewng and purchang ttle for Englh and Htory. In ubequent year we have done the ame for Clac and Phloophy. Th project ha had a potve mpact on faculty percepton of the lbrary. In 2010 th program allowed the Lbrare to trple t acquton rate, and aved the Unverty more than $480,000. Th practce ha alo leened the collecton development workload on our lbraran, allowng them to focu on other tak and opportunte. Today, approxmately one thrd of the Lbrare regular monograph acquton model allocated for demand-drven acquton. 6 DEVELOPING SUSTAINABLE COLLECTIONS PRACTICES A part of developng utanable collecton practce and beng reponble teward, the Lbrare have been workng wth conultant to etablh a rule-baed de-electon program. It wa teted n the prng/ummer of 2011 n our off-te torage faclty. The goal wa to lmt the ongong cot to the nttuton of torng, electroncally trackng, coolng and dehumdfyng prnt book that are no longer demontrably ueful to the GVSU communty. Th project automated and ped up the revew of ten of thouand of ttle by provdng lbraran wth lt that fltered for crculaton htory, the revew ource of the book, t appearance on tandard lt and whether t wa wdely held n Mchgan and the Unted State. To that end, the Lbrare, along wth Wetern Mchgan Unverty Lbrare, ntated a dtrbuted hared torage project wth academc lbrare throughout the tate to enure the preervaton of low-ue monograph, whle elmnatng the need to retan large number of thoe ttle wthn the tate. Th project beng coordnated by the Mdwet Collaboratve for Lbrary Servce and, although t n t early tage, t already ha even partcpatng unverte. MEETING USER NEEDS: CONNECTING USERS TO INFORMATION Technology contantly changng and mpactng the work of academc lbrare. At GVSU, we actvely embrace thee change and vew them a opportunte to explore new approache, new ervce, and new effcence. We are ung technology at the Lbrare to buld capacty for a varety of ervce we beleve are eental to the Unverty ablty to thrve n th century and n the new economy, and we are currently revewng and analyzng our varou dcovery, delvery, and management ytem to enure holtc and ntegratve technology oluton. Alway lookng for opportunte to better connect our uer to our reource, the Lbrare have been n the forefront of mplementng dcovery ervce. We partcpated a beta-partner wth Innovatve Interface when Encore wa launched n 2007, whch allowed u to enhance our uer experence wth the lbrary catalog. More recently, we launched the frt lve Summon ervce te n Augut of 2009 and were the frt to begn harng data about t mpact on collecton ue. Our Lbrare are frequently contacted by other conderng mplementaton of Summon or mlar dcovery ervce and our lbraran are regularly aked to hare our experence wth web cale dcovery at conference and workhop. In addton to harng our experence, we ve alo developed and hared open ource code for creatng coped earche n Summon. 10 FOCUSING SERVICES: IMPROVING THE USER EXPERIENCE Freeng lbraran from long hour on the reference dek wa a trategc move. We knew that the number of reference encounter wa declnng and that the nature of the queton wa changng. Stattc and cloe trackng of patron quere over a twelve-month perod nformed u that welltraned upport taff and tudent atant could confdently anwer the vat majorty of queton beng aked. We alo knew that tudent were often confued about whch dek to go to for pecfc ervce. To mprove the uer experence, we wanted to combne ervce nto one locaton. In January 2010, we cloed the tradtonal reference dek and mplemented a ngle-ervce dek at our man Zumberge Lbrary. Snce then, we have alo mplemented a ngle-ervce dek at Steelcae, our larget downtown lbrary. The newly degned ervce report through our Technology and Informaton Servce Dvon, and we no longer have a formal front-lne reference ervce managed through the Reearch and Intructonal Servce Dvon. The ervce dek at each locaton now handle the majorty of tranacton that ued to come to the reference dek, and tudent or faculty who requre more n-depth reearch atance are drected to lbraran for one-on-one conultaton. Now, tudent and faculty have one clear path to ak all of ther queton and get ther lbrary need met. At the ame tme, lbraran now have more tme to devote to hgh-mpact outreach and ntructonal actvte. Wth the tranton to a ngle ervce pont, ervce dek taff and lbraran began to collaborate n new way and are workng to contnue to trengthen contnuty of ervce. In March 2011, a Servce Commttee wa created to work on communcaton among the varou team who are reponble for ervce to tudent and faculty. The commttee charge to dentfy and remove barrer to delverng hgh-qualty uer experence. In addton, a Reference Servce Qualty Survey wa conducted n Aprl 2011 to meaure nternal atfacton wth extng tranng, communcaton, and procedure related to reference ervce. The reult from the urvey are beng ued to degn a new tranng program for tudent worker and other taff who feld front-lne reference queton. MEETING UNIVERSITY NEEDS: INFORMED DECISION MAKING AND CONTINUOUS ASSESSMENT Drvng toward a new future ha requred contant vglance and a wllngne to reconder what eem to have only jut been decded. We do th through nternal montorng of our reource and ervce, and external feedback from our uer communty. We delberately and proactvely evaluate our nternal procee and procedure, revew uage tattc and other data avalable, and work hard to let no ervce or reource go unchecked for t value and relevance to our communty. REVAMPING TECHNICAL SERVICES The Lbrare ntal 2006 reorganzaton brought about change to tradtonal techncal ervce work. The perodcal department wa folded n wth acquton and catalogng and a dedcated electronc reource management team wa formed. Effcence were found by outourcng the majorty of the book proceng to the Lbrare book jobber, frt wth YBP Lbrary Servce, and then later wth Emery-Pratt. Addtonal effcence were found by movng to an orderng proce that wa prmarly paperle. Thee move ntally allowed the Lbrare to reallocate reource to emergng or growng program, uch a coure reerve and electronc reource management. Th revew of workflow and opportunte ha contnued followng the ntal reorganzaton, and, for example, GRAND VALLEY STATE UNIVERSITY UNIVERSITY LIBRARIES 9
11 allowed the Lbrare to outource authorty work and reallocate a taff poton dedcated to that work to the Lbrare growng laon outreach program. Currently our Technology and Informaton Servce Dvon plannng for the move nto a new man lbrary buldng n In preparaton, they are engaged n a comprehenve revew of the work of the three team who delver a hot of both drect and ndrect mon-crtcal ervce to patron, ncludng reference, crculaton ervce, lnk-checkng, nterlbrary loan/document delvery, catalogng and acquton, coure reerve, and tack mantenance. The reorganzaton wll ultmately allow cloer ntegraton and collaboraton among the team, wth ncreaed cro-tranng to enure we reman able to repond to our uer need when we move nto a much larger faclty wth a far more complex array of uer ervce. MAKING DATA-DRIVEN COLLECTIONS DECISIONS Over the pat x year, we have developed a culture of collecton aement. Snce 2006, the Lbrare have been developng and refnng a proce that engage laon lbraran n the aement of our databae reource, placng them at the center of the proce and enurng that the ue and need for each databae examned on an annual ba. At a mnmum, each databae receve a hort examnaton, revewng the cot of the databae and uage of the reource. Lbraran are aked to dcu t relevance to the Lbrare collecton and the Unverty currculum, and to then makng a recommendaton a to whether the reource hould be renewed or canceled. In ther dcuon of uage tattc, laon are aked to provde ome analy whle alo calculatng cot per eon, earch, and full-text acce when avalable. Th data provde a meaure by whch laon can examne uage and make comparon to other mlar reource. Acro the board we employ ue and cot data to make decon on how to pend our collecton dollar, lookng for opportunte to maxmze our reource and delver qualty content. ENCOURAGING FEEDBACK Ongong aement key to our ablty to delver effectve and effcent ervce to the GVSU communty and beyond. One of our formal foray nto aement wa partcpatng n the 2007 LbQUAL urvey, whch gave u a baelne agant whch to meaure future effort to contnually mprove patron atfacton along the three dmenon of ervce, collecton, and phycal pace. In the Fall 2011, the campu wa nvted to partcpate n LbQUAL+ Lte, a horter veron of the urvey ntrument that wa ued n Jut under 5,000 uer completed the urvey, contng of a good mx of tudent, faculty, and taff. The nformaton gleaned from th ntrument wll allow u to dentfy where our ervce need mprovement or better algnment wth uer expectaton. LIBRARY STUDENT ADVISORY COUNCIL Ung ad hoc urvey, we aeed the qualty of the Lbrare laptop lendng program, reultng n upgrade to extng laptop and an ncreae n the number of laptop we crculate. Lat year, we permanently upended chargng lbrary fne for regular crculatng materal; the number of overdue tem actually decreaed a a reult of the more uer-frendly polcy. We have alo ntated a Lbrary Student Advory Councl (LSAC) wth repreentatve from both the Undergraduate Student Senate and the Graduate Student Aocaton. Many hold commttee appontment n ALA, ACRL, REFORMA, the Mchgan Lbrary Aocaton (MLA) and n a hot of regonal or pecalzed profeonal group. Many of our lbraran have alo been profeonally recognzed for ther achevement, recevng award on the local, tate, regonal, and natonal level. Lbraran, lke other Grand Valley State Unverty faculty, are expected to engage n ongong cholarhp and reearch. In recent year, we have gone from a clmate that produced very few cholarly and profeonal output to one where all lbraran regularly hare experte and reearch wth colleague at conference and workhop on the local, tate, natonal, and nternatonal level. We have contently been on the leadng edge of nnovaton over the lat fve year, poneerng dea uch a rule-baed de-electon of reource, demand-drven acquton, reference taffng model, tool lke the ILCC and RGR, and dcovery tool lke 360 Search and, later, Summon. The Knowledge Market peer coachng program wll be leadng, not jut facltatng, change on our campu. Plannng for the buldng wa baed on reearch on how today college tudent balance peronal, ocal, and academc need. Through a ere of obervatonal tude done by our taff, n partnerhp wth Steelcae Corporaton, we defned how our tudent ue our lbrary. After obervng dfferent type of tudent behavor n extng pace and at dfferent tme of the day, expermental furnture wa placed n a varety of locaton throughout Zumberge Lbrary. Furnture electon for the new lbrary wll be nformed by what we are learnng by watchng tudent behavor. Our new lbrary alo provdng the Unverty wth an opportunty to enhance t utanablty profle at the natonal level. The project wll contnue the Unverty commtment to utanablty by eekng the hghet poble LEED certfcaton. Addtonally, we were choen by the U.S. Department of Energy (DOE) to receve atance n plannng a buldng wth the mallet practcal energy footprnt. Scentt and engneer from Pacfc Northwet Natonal Laboratory, a DOE laboratory, worked wth our degn team to dentfy way to reduce energy conumed by the buldng. Project electon crtera ncluded the lkelhood of achevng gnfcant energy avng, the probablty of ucce and wdepread deployment potental.
